3 Student & Parent Guide IT Helpdesk The IT Helpdesk is the initial point of contact for the IT Department. The IT Helpdesk is located in Mercy 2 and is open Monday to Friday 8:00am - 4:00pm. Direct telephone is Contact can also be made out of hours by ing it@mdc.wa.edu.au which will create a Helpdesk ticket. We will then respond as soon as we can. Good Standing Policy Students will need to follow the guidelines in the Information and Communication Technology use by Students Policy to keep in line with the College s Good Standing Policy. In summary, being a good Digital Citizen; protect private information for yourself and others; stay safe online; balance the time you spend online and using media with real world activities and socialising; carefully manage your digital footprint; respect copyright and intellectual property, stand up to cyberbullying, respect yourself and others. The Information and Communication Technology use by Students Policy is available online on the welcome page of SEQTA Engage. Software updates Keep your MacBook up to date with any required software updates. Examples of update notifications you may receive are Apple software, Google Chrome or Microsoft Office. Updates help protect your MacBook from security threats and fix bugs and glitches. Software can be updated via the Apple App Store, Microsoft Auto Update, or direct from software vendors (where required). Web Browser and Bookmarks We recommend using Chrome as your default browser and bookmarking the MDC Intranet page. Enter the word intranet/ into the browser search bar and you will be directed to the MDC Intranet, then use the star icon on the right of the menu bar to bookmark it. The MDC Intranet contains links to excellent resources. Self-Service The Self-Service icon is added to the dock after you have run the BYOD on-boarding procedure. Use Self-Service to add printers and software such as Microsoft Office.
4 Backup All students must have a backup drive and backup their laptop regularly. With all electronic/moving parts, they can fail and having a backup means, your data is safe. To backup we recommend using Time Machine (built in to macos). Please refer to the instructions in this handbook on backing up your data. To be able to backup using Time Machine you will need a hard drive that has at least 1TB of storage. Care and Maintenance We recommend using a protective cover and carrying your MacBook in a case/bag when transporting it around the College or to and from home. A keyboard cover is also a great tool to prevent the odd splash of liquid entering the keyboard. Ideally, keep food and drinks away from your MacBook to reduce the incidence of accidents. Clean the monitor with a soft cloth, avoid alcohol based cleaning products and never spray cleaning product onto the MacBook, spray the cloth. If you are not sure how to clean your MacBook come and see us. Make sure you keep your power adapter in good condition. If you see exposed wires or tears in the cabling, return it to an Apple Service repairer immediately. Student Responsibilities Please make sure your MacBook is fully charged for the start of the school day and backups are run each night. Students are wholly responsible for backing up their own work. MacBook Hardware Warranty AppleCare+ for Mac In our experience, you will certainly find this invaluable service and support for three years by the people who know your Apple MacBook best. Once purchased please register via the Apple website. AppleCare+ for Mac provides up to three years of expert technical support and additional hardware coverage from Apple, including up to two incidents of accidental damage, each subject to a service fee of A$149 for screen damage or external enclosure damage, or A$429 for other damage.1 In addition, you ll get 24/7 priority access to Apple experts via chat or phone through getsupport.apple.com.2 Coverage begins on the original purchase date of your Mac. AppleCare+ benefits are in addition to any legal rights provided by Australian consumer law. What is not covered: consumable parts (battery*) cosmetic damage (scratches, dents) damage caused by accident abuse misuse or other external cause. * Unless caused by defect in materials or workmanship.
5 Internet Safety A few things to remember to avoid getting targeted by spam or phishing services are; avoid giving out personal information, never give out passwords, never use parents credit card online, never arrange face-to-face meetings, avoid opening attachments if you don t know who sent it and don t click on banner adds or pop-up ads on websites. On the College network, Cyberhound is used as a web filter to protect students from inappropriate search results and to prevent the use of streaming and downloading services. LanSchool Teacher is a classroom management application used in class to monitor student MacBooks and keep students on task. Safe Home Use It is advisable that parents should set and enforce rules for home Internet use for example, keep computers in common areas (not in bedrooms), setting time limits on Internet, instant messaging, social networking sites, online gaming etc. Parental controls can do this for you. The Apple Support pages can guide you on setting it up, please visit Administrative Rights Students are Administrators of their MacBook and can install applications and make system changes which can sometime impede or break the operating system (OS) on the MacBook. If this happens please run an Internet Recovery to re-install the software and then restore your data from a backup. Remember students are responsible for their own backups. 6 MDC BYOD Program - Backups How often should I Backup? Think of how many days worth of work you can afford to lose? This is how frequently you should backup. Students are wholly responsible for backing up their own work. The IT Department Helpdesk will be happy to assist you with setting up your backups. Backups will only work with both the power adaptor and back up drive connected Scenario 1 If the external backup drive is new or you have re-imaged your MacBook and are plugging the backup drive into the MacBook for the first time you will see a pop up screen like this That s all you need to do the backup will continue to run. Scenario 2 If the external backup drive has been used before or Time Machine is not configured correctly you may need to follow some, or all of the following steps. STEP 1 If the Time Machine icon is not in the Menu bar continue to Step 2. If it is already in the Menu bar check the other preferences in Step 3.
7 STEP 2 Select the Apple icon and go to System Preferences then select the Time Machine icon. STEP 3 Configure these preferences.
8 STEP 4 Check that the backup drive you have connected is listed under Backup drives, if the drive you have connected is listed under Available Drives continue to Step 5. STEP 5 Upon selecting the relevant drive Time Machine will first ask if you wish to replace any previous drives and it may need to format it, in which case it will ask to erase all data, select Replace and Yes if data needs erasing.
9 STEP 6 Time Machine will now commence a backup, leave the backup to complete. STEP 7 You can also start, skip and view backups using the Time Machine icon in the Menu bar.
10 BYOD Program - Restore This explains how to restore data from a backup. STEP 1 STEP 2 Open the Backup drive and a second Finder window, arrange them side-byside. Open the Backups.backupdb folder and continue to open the folders indicated in Step 3. STEP 3 Open the folders until you get to a folder with your username ie.jonest. You can now copy data from inside the Desktop, Documents, Movies, Music and Pictures directly into the same locations on your MacBook.
11 MDC BYOD Program - FAQ S a) What else should I purchase with the MacBook? Apple Care which provides three years of hardware support. An external USB hard drive for backups and a protective case are mandatory. Some models of MacBook will require adapters to connect to peripherals, for example USB-C to USB adapters. Please check with us if you are not sure. b) Are we still required to purchase text books or are these included on the MacBook? Where possible, texts have been chosen that have electronic versions. Unfortunately, not all subjects have suitable texts and in some cases the electronic version comes with the hardcopy, the remainder involve a per person licence which appears on the booklist and is charged as part of Digital Delivery. c) If my child does not have a MacBook for any reason is it still possible to complete classroom studies? If a student does not have a MacBook at all, the student will not be able to participate in all of the learning experiences in class. d) What does a student do if they have a problem with their laptop? The student takes the MacBook to the Help Desk during College hours where a Technician will assess the problem. For hardware repairs e.g. failed HDD, the MacBook needs to be taken to an authorized Apple Service Centre for assessment and liaison with the relevant Insurance Company if required. Most repairs are usually covered under the AppleCare Warranty and so are at no cost to the parent. If it requires an insurance repair, the specific insurance policy conditions will apply. If the MacBook is at an authorized Apple Service Centre and is in warranty, Students can loan a MacBook from the Library whilst the MacBook is being repaired for up to two weeks. This will require a MacBook Short Term Loan Agreement Form to be completed and signed by a parent or guardian.
12 e) Are there limits to how the student uses the MacBook at home? The laptop is for the student s own use both at home and at the College. The student can save work directly on their laptop and install programs at home independent of the College network; however, if they are able to connect to the internet from home they will still be able to access College digital learning content for collaboration with their teachers and peers. Parents are advised to monitor use at home. Please refer to MDC Information and Communication Technology use by Students Policy. For further information refer to the Policies page on our College website. f) What is the College s policy on laptop use on campus? Use at the College is subject to the MDC Information and Communication Technology use by Students Policy. Please refer to the Policies page on our College website. Monitoring of student use whilst at the College keeps the students on track during class g) When should the MacBook be replaced? When you purchase a new MacBook at the start of Year 7 with the extended Apple Care Warranty students will have a three year warranty plan. At the start of Year 10 we highly recommend that a new MacBook be purchased with the extended Apple Care Warranty (Apple Care Protection Plan) giving you a further three year warranty plan.
