2 PAGE LAYOUT AT A GLANCE The main itinerary page consists of four key areas: 1. The itinerary profile link button (Click to login) 2. The menu expansion button (Menu) 3. Quick-Action buttons underneath the Click to login button 4. The main itinerary itself Itinerary Profile Link Button If a user is not logged in, they will see this link button. Clicking it will let them login to the system OR create a new itinerary profile. The itinerary profile is used to setup your preferences on how itineraries are displayed to you (i.e. mobile friendly), your globalization settings and your local time zone. Menu Expansion Button Perhaps one of the most important features is the Menu Expansion Button. Clicking on it will slide the itinerary over exposing a number of itinerary features and utilities including: - Itinerary Recipients - Additional Custom Recipients - Print Features - Calendar Integration Page 2 of 25
3 Menu Expansion Button Continued Clicking on a particular menu feature will expand that section. Itinerary The itinerary section allows you to easily your itinerary to any number of recipients. The Additional Recipients section lists all of the addresses that are associated with this particular trip. If you are logged in to the system, you can add additional recipients in the My Saved Addresses section. These additional recipients are saved from itinerary to itinerary. To resend the itinerary, simply check the box next to the address and click the Resend Itinerary button. Page 3 of 25
4 Menu Expansion Button Continued Print Itinerary To print your itinerary, simply click one of the two print options listed. Print itinerary will print your current itinerary to a printer. Print to PDF will print your itinerary to a PDF file. Add To Calendar To add itinerary segments to a calendar, click the Select calendar items link. A modal window will next be display that will allow you to pick the segments you with to add to your calendar. Quick-Action Buttons The quick action buttons allow you to quickly perform common actions for an itinerary. The calendar button on the left allows you to add selected itinerary segments to your calendar using the common.ics calendar file format. The print button in the middle allows you to send your itinerary to either the printer, pdf or . The share itinerary button on the right allows you to push your itinerary into third-party itinerary management systems. Page 4 of 25
5 CALENDAR INTEGRATION (Accessed via the quick-action button or expanding the menu) After expanding the menu and selecting the calendar items link, a new window will open listing your segments. ICS/VCS Calendar Types This button allows you to export your itinerary segment into a format that is compatible with common mail clients such as Microsoft Outlook and Lotus Notes. Additionally, any mail client that accepts either.ics files or.vcs files will be able to accept this file format. Google Calendar This button allows you to export your itinerary segment into Google Calendar. This is an integrated solution which requires you to have a Google account. To add a single itinerary segment to your calendar, click one of buttons located to the right of your segment. To add your complete itinerary, select the first calendar item. See below for additional instructions on adding your complete itinerary. Page 5 of 25
6 Calendar Integration Complete Itinerary Adding your complete itinerary to your mail client is simple. Click the Outlook/Lotus Notes button on the first row of your segment list (* Add all segments for locator: xxxxxx). When the window appears asking you to Open or Save the.ics file, click the Save button to save the file to your local computer. Next, go to your mail client and select File > Open > Import from the menu. Page 6 of 25
7 Calendar Integration Complete Itinerary Next, select Import an icalendar (.ics) or vcalendar file (.vcs) from the list of options and select Next >. You will now be prompted to select the.ics file you just downloaded from the itinerary system. Page 7 of 25
8 Calendar Integration Complete Itinerary Select the file and click the Open button. You will then be prompted to import the.ics file into your calendar. It is important to remember that you need to select the Import option to add it to your calendar. Selecting Open as New will open the itinerary in a new calendar. Page 8 of 25
9 Calendar Integration Google Global Insight Itinerary System Getting Started After clicking on the Google Calendar button, you might be prompted from Google to allow access to your calendar from the itinerary application. Click the Grant access button to continue. Your selected itinerary segment will be added to your calendar. If you are not prompted by Google to allow access to your calendar, then Google has already added a token for this session (usually when you add multiple segments to your calendar). Page 9 of 25
10 Quick-Action Buttons Print Itinerary Clicking on the print icon will open up a menu allowing you to send your itinerary to a printer, pdf document or with pdf attachment. Simply select the print destination from the menu. If you opt to the pdf itinerary, a separate dialog window will open up allowing you to enter recipients and customize the message before sending. Note: if you are logged in, clicking the booklet icon next to the recipient text field will drop down a list of saved addresses. Simply click the address to add it. Page 10 of 25
11 Quick-Action Buttons Itinerary Integrations The itinerary integration button lets you quickly push your itinerary into a third-party itinerary management system. We are constantly adding more vendors so check back often. TripCase After clicking the itinerary integration quick-action button, a window will open allowing you send your itinerary to TripCase. Enter the address that you used to create your TripCase account and click the Send button. Your itinerary will automatically be sent to the TripCase mobile itinerary management platform. TIP: If you have created a profile in the Global Insight itinerary management tool, you can setup automatic integration of your itineraries. Turning on this feature in your profile will automatically send all future itineraries to TripCase. Page 11 of 25
12 TripIt Global Insight Itinerary System Getting Started After clicking the itinerary integration quick-action button, a window will open allowing you send your itinerary to TripIt. Enter the address that you used to create your TripIt account and click the Send button. Your itinerary will automatically be sent to the TripIt mobile itinerary management platform. TripIt requires authorization to be given by your TripIt account to the Corporate Travel Management application within TripIt. If you have not done so before clicking send, you will be prompted with instructions on how to do this. TIP: If you have created a profile in the Global Insight itinerary management tool, you can setup automatic integration of your itineraries. Turning on this feature in your profile will automatically send all future itineraries to TripIt. Page 12 of 25
13 CREATE USER PROFILE Global Insight Itinerary System Getting Started Creating a user profile allows you to setup how you want your itinerary delivered to you as well as setting your time zone preferences and your international settings. To create your profile, click the Click to login button found in the top-right side of the page. Enter your first name, corporate address and password. Click the Create Account button to create your itinerary profile. ** Note your password is case sensitive. Once you have created your profile and are logged in you can edit your profile by clicking on the same button used to create your profile. Click this button to access your itinerary profile. 14 EDIT YOUR PROFILE Global Insight Itinerary System Getting Started To change different features of how your itinerary is sent to you, modify the settings found in your profile. If you prefer to receive your itineraries in a Smart Phone/PDA Friendly version select this feature from the Itinerary Style drop-down box. To view itineraries in a different language, select either Spanish or French from the Language Choice drop-down. For calendar integration, you can specify your preferred time zone from the Preferred Time zone drop-down box. This will convert the dates and times from your itinerary into your local time. Once you have made your changes, click the Save Profile button. Page 14 of 25
15 EDIT YOUR PROFILE Continued Password Maintenance To change your password, enter your new password and then confirm your password. Please note that the password is case sensitive. Click the Change Password button to save your new password. Page 15 of 25
16 EDIT YOUR PROFILE Continued Itinerary Integrations To have your itineraries automatically sync to other profile management systems, simply activate the appropriate vendor from within your profile. TripCase To sync to TripCase, enter the address you used to create your account with TripCase. Then, simply select the Yes, push my itineraries to TripCase checkbox. Any new itineraries will be automatically pushed to TripCase. To stop syncing itineraries, simply uncheck the box. EDIT YOUR PROFILE Continued Itinerary Integrations Page 16 of 25
17 To have your itineraries automatically sync to other profile management systems, simply activate the appropriate vendor from within your profile. Tripit To sync to Tripit, enter the address you used to create your account with Tripit. Then, simply select the Yes, push my itineraries to Tripit checkbox. Any new itineraries will be automatically pushed to Tripit. To stop syncing itineraries, simply uncheck the box. ADDITIONAL FEATURES Once you are logged in, additional features are available to you. 18 To save itineraries for later review, use the following buttons: These buttons are located at the top-right side of the web-page when you are logged in and have an itinerary selected. The folder button on the left allows you to save your itinerary to a folder that you create. This allows you to group similar itineraries into categories for easier storage. The star button allows you to save an itinerary into the My Itineraries menu. These are then easily accessible when you click the My Itineraries menu option. Page 18 of 25
19 ACCESSING YOUR ITINERARIES There are several ways to access your itineraries. From the main menu located at the top of the page you can click the My Itineraries menu button. To view an itinerary, you can select it from the menu, click the My Active Itineraries menu button or click the My ifolder Itineraries. Accessing Your Itineraries My Active Itineraries From the Active Itinerary page, simply click on your name (Passenger Name column) to view the itinerary detail. Page 19 of 25
20 Accessing Your Itineraries - Continued Accessing Your Itineraries My ifolder Itineraries Selecting the My ifolder Itineraries from the main menu will take you to the ifolder web page. From there, you can view your organized itineraries by selected the folder name from the drop-down box. Simply click on one of your itineraries in the box to view the itinerary details. To add additional ifolders, simply click the button to expand the menu. Page 20 of 25
21 Accessing Your Itineraries - Continued To add a new ifolder, enter the name in the textbox provided and click the Add button. It will appear in the Existing ifolders section below. To rename an ifolder, simply click on its name and change the name. To remove an ifolder, click the red delete button found to the right of the ifolder name. Page 21 of 25
22 SEARCHING FOR ITINERARIES Searching for your itineraries is easy to do. Simply locate the search button on the top right hand side of the homepage and click. Additionally, you can select the search feature from the My Itinerary menu. After navigating to the search itinerary page, simply enter the required information and click Search. The Reservation Code is the PNR Locator provided to you by your travel agency. The Passenger Last Name is the last name of the traveler that is associated with the Reservation Code. The Traveler Verification is the address that the travel agent has entered into the record. These three pieces of information must match what is in the GDS. Page 22 of 25
23 FLIGHT DELAY AND CANCELLATION NOTIFICATIONS Corporate Travel Management is committed to providing the most accurate and up-to-date flight delay and cancellation information in the industry. To that end we consume flight information from two separate sources: FlightView and Sabre. FlightView delivers the most accurate air travel data, enabling consumers and the travel industry to better plan & manage the travel experience. Sabre is a technology solutions provider to the global travel and tourism industry. It offers a broad range of technology solutions including, data-driven business intelligence, mobile, distribution and Software-as-a-Service solutions which are used by travel suppliers. To setup or change flight notifications OR to add additional flight notification recipients, login to the online itinerary system and click your name to edit your profile. From within your profile edit page, select the Flight Notifications tab from the available options. To turn on/off the delay and cancellation notification feature, simply check or uncheck the corresponding box next to that item. Page 23 of 25
24 FLIGHT DELAY AND CANCELLATION NOTIFICATIONS Continued If you would like to receive notifications via text messaging to your smart phone or PDA, enter your cell phone (numbers only) in the space provided. Select your cell carrier s mail domain from the drop-down list and click the Test button to verify you have received the text message. If you would like to receive both a text message and an notification, check the appropriate box labeled Send notifications to both address and cell phone. Once you have made the appropriate changes, click the Save Notifications button. Adding additional recipients to your flight notifications You can add any number of additional recipients who will receive a copy of your flight delay or cancellation notification. To add a new recipient, simply click the Add Recipient button. A new modal window will be displayed allowing you to setup a recipient. Page 24 of 25
25 To setup a new user, enter their address and/or cell phone and carrier domain. Check the notification options you would like this recipient to receive. ** Tip: If you don t want to receive notifications and would rather have them go to an administrator, uncheck the notification options on your profile and add the notifications to the recipient you are adding. When you are finished making your changes, click the Save button. The recipient will be added and you will be able to add another. When you are finished adding users, simply click off of the window or click the x button to close the window. To edit a saved recipient, click on the edit button. To remove a recipient, click the red x button. Page 25 of 25
