1 The National President warmly welcomed everyone to the first meeting of his year. He then welcomed the following: Ken Boden past National Councillor and Association International Officer Tim Smith past National Councillor Region 10 and Conference Officer Graham Smith partner of Karen Durie Tangent National Vice President National Secretary Manny Martins read out the Health and Safety Notice. 1 RATIFICATION OF NEW NATIONAL COUNCILLORS President David welcomed the three new National Councillors Paul Cooper Region 9 Paul Molley Region 11 Noel Tyler Region 15 and invested them with their Chains of Office He then welcomed the three new Deputy National Councillors Paul Ankcorn Region 22 - Apologised David Leach Region 24 Simon Green Region 25 He asked National Council to show their welcome to them all. 2 APOLOGIES Terry Cooper National Councillors Liaison Officer Phillip Ellis National Councillor Region 3 David Yardley - National Councillor Region 8 Sean McCormick National Councillor Region 17 Paul Ankcorn Deputy National Councillor Region 25 3 MINUTES OF PREVIOUS MEETING The minutes of the 218th meeting on the 27th April 2012 in the Golden room, Hotel De France, Jersey were accepted. The approval was proposed by David Leach and seconded by Andy Waite. All agreed. 4 MATTERS ARISING FROM THOSE MINUTES None 5 NATIONAL COUNCILLORS REPORTS All National Councillors Reports were taken as read with the following Region 5. Peter Caley. In Clitheroe a new 41 Club has been formed by the sons of the existing 41 Club members. Blackburn 41 Club is trying to close down though some of the members may be starting a new Club consisting of Round Table Area club members. This is very similar to the Inbetweenees previously described by David Yardley members from a cluster of places meeting at a peripatetic venue

2 Region 10. Peter Good. A Cluster Meeting is being organised at this venue in Long Eaton - details to follow. Region 15. Barry Durman. National Sporting Weekend is being held in Birmingham. To watch the Olympic Torch carrying Celebrations Barry had organised an Olympic Champagne Breakfast Celebration. 40 people had attended at 7.50 a head and made profit which he presented in cheque form to President David. Region 16. Nigel Davies. Eastern Regions Golf Tournament organised. 75 Dining, 65 playing golf. A Regional Forum is planned for the Autumn. Region 18. Jim Smith. The first Region to have 100% capitation paid. Regional Forum is organised for February 2013 in Hornchurch. Region 19. Tom Abbott. Complicated and intricate organisation is not necessary. He had attended a Regional Meeting organised in a 41 ers garden it went well. Simple is best. Region 20. Frank Venables. Returning from an overseas Club visit he arrived home to an answerphone message from Henley on Thames stating that they wanted to reaffiliate. He had worked with the club and the results will occur later in the meeting. A Regional Forum is planned for 15 October On retiring Tablers he had had the following response:- 1/3 no response 1/3 were forming a new 41 Club 1/3 in touch and too busy to join yet. Region 22. Mark Fairchild. Had organised a Taunton v Exeter 41 Club cricket match and raised for Prostate Cancer. Mark presented President David with a cheque for Region 23. David Brown. As Conference Chairman 2014 he was working hard on behalf of the council. 6 BOARD REPORTS PRESIDENT David Smith stated his report was as published and additionally had been at a staging post for the York Ebor Cyclists who had raised 50,000 so far. VICE PRESIDENT Martin Green stared that his report was as published and additionally he would update the meeting on the results of the Forward Planning Committee which he had chaired. The Training Needs Analysis had shown that IT training was required by most of the Council. He had organised several training days and required Council members to book and attend. Open Membership will not be raised again internally for at least three years The National Council meeting for this time next year is now arranged for the weekend 21/22/23 June Apologies Lawrence Bamber and David Hewitt for that event... NATIONAL SECRETARY Manny Martins stated that his report was as published and additionally:- He asked the Council how many were on Office 365 the response was all present. He offered assistance to move s to personal e- mail addresses and asked for courtesy in response to compiling the Council Report. If not submitting please inform him. Finally it was with regret that he informed Council that Mike Garner had stepped down as National Councillor Region 7 Lawrence Bamber would act as Caretaker. Verification s temporary procedural and technical issue - switched off. MM

3 To be included with 2013 AGM notification statement that the Association has deemed that members have confirmed that use of their personal is permissible for the conduct of Association communications. NATIONAL TREASURER Mark Fairchild stated his report was as printed. Additionally he had produced a new Expense Policy and Expense Claim Form now on SharePoint. He proposed their adoption. Carried. MEMBERSHIP AND ROUND TABLE LIAISON OFFICER Jim Smith stated that his report was as printed and additionally:- Jim took Council through a very comprehensive PowerPoint presentation. Salient points were 128 Round Tables with no 41 Club; falling membership necessitating opening 300 new 41 Clubs over the next three years, the need to target year old ex-tablers. Jim then showed a video to be shown at the Round Table National Council Meeting today talking about working together. COMMUNICATIONS OFFICER Ray Hill stated that his report was as printed additionally:- He had compiled and published 35 issues of the Newsletter but had decided to stop because of pressure of work. Paul Molley had volunteered to take it on. Nick Lawton was looking at BIG advertisers and income generation. Peter Caley was taking over Small Ads David Hewitt was looking at Social Media. David Addison was continuing the Archive Scanning which would be completed by September and David would deliver a presentation at the next meeting in Kingston on the completed exercise complete with DVDs of the Archives. Tom Abbott invited Council to look at the Round Table Family Magazine printing costs:- 41 club - 18K Tangent 14K Round Table 4.5K Ladies Circle 1.5K He would be liaising with Cait Allen (CEO of Round Table) over this President David thanked Ray on behalf of Council for his hard work and successfully issuing 35 Newsletters. 7 Social Media a Presentation by Helen Child-Villiers Helen led Council through a most informative presentation on Social Media alternatives which she felt would be a vital tool for promoting our Association. Over 500,000 people a day join up and I in 9 people in the world are on Facebook. She explained that we needed to decide what we wanted to do with the opportunity and the rules for both their use and success She explained the difference between Twitter, Facebook, LinkedIn and several other sites. Vice President Martin thanked Helen for her presentation. 6 Cont. INTERNATIONAL OFFICER David Campbell stated that his report was as published. Additionally:- The French Association has refused to pay its capitation and is therefore out of 41 Club International. David is to visit Romania, Belgium and Switzerland.

4 Despite the resignation of the French Association there are no changes to twinning or Euro meetings. The Association will continue to encourage twinning with French Clubs. David is arranging a joint meeting with France 41 based in Dover on the 23 February FELLOWSHIP OFFICER. Barry Durman stated his report was as printed and additionally:- Conference. Llandudno. Too many early bird bookings have been made thus reducing income. Thursday Night Party Fully sold out, all the Scandinavian Countries booked in. Poole Conference Chairman is David Brown, conference has moved from Poole to Bournemouth Conference Hotel is the Royal Bath Hotel (Tangent AGM) and evening events will be at the Pavilion opposite the Hotel Bids awaited October 2013 National Council Meeting Bids awaited. Change to Conference Manual - Proposal That the Association invite both the Outgoing and Incoming National Presidential Charity s Representative to attend the Association s Conference for one night and one event only. Carried Sales. The Association was staying with the existing supplier with a different name. There would be an online payment system and certain items on the website would be reduced to move slow moving products. There is 8,000 of stock in National Councillors Sales Boxes and 6,000 at the suppliers. Fellowship. The National Golf Final is in Loughborough on Thursday 27 th September. The Board proposed to pay Donald Watson s motor mileage to attend the Golf Final and officiate at it. Carried. Barry hoped to organise a Caravan and Walking Weekend in the Malvern area. NATIONAL COUNCILLORS LIAISON OFFICER Terry Cooper had held a National Councillors Meeting on the Friday afternoon very productive. Webmaster David Hewitt thanked President David for the opportunity to attend a most enjoyable National Council Meeting Solicitor Paul Cammiss said he was happy to attend and contribute Archivist David Addison said there was obviously more paper for him
