3 1 Introduction This documents primary function is to assist Depots in configuring and using the TPN mobile application for driver consignment delivery and collection. Instructions are presented on how to configure the mobile phone for installation of the application and operating instructions for the correct use of the application. 1.1 Mobile Phone Configuration The mobile phone must be configured as follows : 1. Android operating system V5 or greater. 2. Android phone must be setup with a Gmail account. We need this to access the Google PLAY store, so we can download the barcode scanner. 3. Must have barcode scanner application loaded, see user instruction section Gmail Setup - (Skip to 1.3 if Gmail is already set up) Create a Gmail Address To sign up for Gmail, a Google Account needs to be created. This is done as a one time activity for every new user/driver/phone being deployed on the system. Each depot should have a resource dedicated to executing this function or handling issues related to it. It's free to create a Google Account. 1. Visit the Google Account creation page. 2. Follow the steps on the screen to complete the account setup. 3. After the Google Account is created, it can be used to sign in to Gmail on a computer, phone, or tablet. Suggestion for creating names on Google : First Name :- tpn + depot number e.g. tpn102 Last Name :- tpn + depot number e.g. tpn102 Username :- tpn + depot number + Driver Name e.g. tpn102johnsmith Password :- Enter a password for the user, and keep record of it at your Depot. Resulting Gmail address :- tpn102johnsmith@gmail.com. (Using our example name & number) 1.3 Application Download and Install 1. Go to play store & download barcode application, ref image. 4 2. To download the mobile app, browse to 3. Download application. Await prompt to install the application. Hit ok. Await confirmation. 4. Browse to the Apps icon to find the application icon. 5. Press and hold the icon image to drop the app onto the desktop of your phone. 6. 5 2 Mobile Application This section details the mobile application screen menus and operating instructions. 2.1 Application Bootup Menu When the user first taps the app icon the following menu appears:- Application Configuration App code version Menu Select 3 Main modes of operation 1 TPN Mobile App User Guide - Revision 0.3 Page 5

6 2.2 Bootup Menu Options There are seven main menu options. These are as follows: Application Configuration (Password protected, Administrator controlled ) Application configuration, depicted by the gear wheel, allows the user to configure the following items:- a. IP address b. Driver Number 3 Digit TPN Depot Number + driver code. (eg : 102TC1) c. Vehicle ID d. Activate GPS - If activated, enables recording of longitude & latitude. e. Activate Depot Complimentary to this are three functions, (1) Save settings, (2) Log and (3) Copy Database. When accessing settings / configuration, a password is requested. Tap that field, and a keyboard is displayed. Type the correct password (which you should know if you are a Depot Admin), and press continue. See graphics below. 7 2.2.2 App Version Number App Version Number is important, and helps ensure that everyone is using the most up-to-date version of the app, with all the necessary functionality. Failure to use the correct version, may result in PODs not being delivered correctly to the system Menu Select Menu select, this is an icon which has the following functionality when activated:- f. Sync Synchronises data transmit back to base only. g. Manifested Goes to the driver manifest screen. For depots using Vigo for routing. h. Exit Exits the application. 8 2.2.4 Manifested Menu Synchronising to the Hub to Download Jobs When you tap the Manifested option the graphic appears as per the image below. Three possible menus exist:- 1. The configuration menu indicated by the Gear Wheel 2. Unmanifested 3. Sync The configuration menu has already been described. The Unmanifested button returns the user back to the main operating menu. Sync allows the user to download data from the hub. If there are jobs available for the configured user, the application will synchronise with the hub, verify any jobs that are targeted to the user, and downloads to the mobile phone. Image on the left is before sync, on the right is after sync. NB : Driver Code appears here and version code appears here. When a job is available an entry appears on the screen as per the graphics on the previous page. If you tap the > arrow on the right of the screen, full details of the job appear on the screen as per the TPN Mobile App User Guide - Revision 0.3 Page 8

9 graphic below on the left. If you tap the phone element you get the option to dial the job contact person using skype or Phone Call Management. The Jobs element will bring the user back to the previous menu (job list). The Deliver element will take the user to the Deliver Consignment functionality of the main user interface menu. 10 2.2.5 Deliver Consignment (in Unmanifested mode) or Deliver (in manifested mode) Deliver Consignment Used when delivering a consignment. The following features are available in this mode of operation:- i. Scan Barcodes multiple entries allowed. j. Manual barcode entry. k. Clear scans. l. Take photographs multiple pictures allowed. Please refer to appendix A for situations where a photograph may be required. It is not necessary to send photos ifthere are no issues with the consignment. m. POD allows named entry and signature for proof of delivery. See graphics below for actual images. Note: After printing name from keyboard tap the Signature element and the keyboard disappears leaving a full screen to sign the name. TPN Mobile App User Guide - Revision 0.3 Page 10

11 2.2.6 Exception (in Unmanifested mode) or Not Delivered (in Manifested mode) Exception Used when having to deal with deliveries which you are unable to complete. The menu is similar to the deliver consignment menu but has an additional category called Fail Reason. When you tap on this selection you get a list of reasons the delivery failed. (See graphic below for itemised list.) When a fail reason is allocated the Next button sends the user to a menu which facilitates adding a contact name or some helpful notes. Screen 1, appears when you tap the exception menu. Screen 2, appears when you tap the fail reason element in screen 1. Screen 3, appears when you tap Next in screen two. 12 2.2.7 Collection Collection Used for collections. The collection menu differs from the deliver consignment in that it has an exception option built into it, which the deliver consignment does not. The exceptions are different from Exception menu listings, see graphic below. TPN Mobile App User Guide - Revision 0.3 Page 12

13 3 Data Entry 3.1 Scanning a Barcode In any of the four modes of operation you can scan a barcode. When Scan Barcode is pressed, the barcode scanner application starts, and a camera mode of operation is entered into. Align the barcode target in the window with the red scanning line running horizontally. Once the barcode is centred in the window the application will automatically capture the barcode, and return to the scan menu - with the barcode number. At this point, you have the option to scan more barcodes, take photos, manually enter barcode numbers, or send the data back to base by hitting the send button. Please scan a pallet barcode, OR a barcode on the TPN/Vigo manifest, OR the TPN/Vigo COP label on the delivery docket. UK barcodes on the pallet labels (usually 8 digits beginning with 5) are not recognised by the app, so this will fail validation. You can scan the manifest barcode or the COP label on the docket in this instance. 3.2 Manual Barcode Entry There is a provision to manually enter a barcode. From any of the menus : Deliver consignment, exception, or collection menus, tap the Manual Barcode Entry element. The graphic below will be displayed. Type the barcode from the TPN label and press enter. The number will be validated, and accepted if it's valid. You can then continue with the delivery POD process. 14 3.3 Taking a picture In the photograph mode of operation you will again be presented with a camera and a button to press when you are happy with the picture setup. The difference with camera mode is that when the picture is taken you have an option to hit ok or retry. Be sure to do one of these, otherwise no picture will be stored. See graphics below.
