2 General Information The are attendance reports that can print from a receipt printer that is 2.75 inches wide or can also be printed on a laser printer in both Aeries Client and Aeries Web versions. The Re-Admit program will locate the last date the student has an attendance record entered. A date range will display and default to this date. This attendance record will print along with specific student information. The Off Campus Pass can print notes entered from the Attendance Notes form indicating the student has permission to be off campus. A Time to Leave and Approval field can display on the Attendance Note form for specific codes. In order for these fields to display the Attendance Notes codes (ATN.CD) must be set up with a 1.00 entered into the Amount field from Update Code Table form. The following are examples of the printed on a receipt printer. Note: The student photo currently only prints on the Aeries Web version receipts. Page 2

3 Receipt Printer Setup Once the receipt printer is installed in Windows, the following steps should be followed. The settings below are based on Windows 7. Verify the paper size. Access does not support a paper length above 22.5 inches; therefore the Receipt Length options must be discarded. Instead, select a Letter Length option that has approximately the width of the paper being used (at least 3 inches) as the default paper. Windows 7 o Click Start o Go to Control Panel o Select Devices and Printers o Right-click Receipt Printer o Select Printer Properties o Select the General tab o Click the Preferences button o Click the Advanced button (at the bottom right) o Set Paper Size to Letter length 3.14x11in 48c o (OK, OK) o Device Settings tab o Set Receipt to Letter length 3.14x11in 48c o Select the Advanced tab o Click the Printing Defaults button o Select Paper/Quality tab o Click the Advanced button (at the bottom right) o Set Paper Size to Letter length 3.14x11in 48c If the printer is the Generic / Text Only printer: o Open the Properties window o Click on the Advanced tab o Select Print Directly to the Printer The following are the two printers that were tested with the Re-Admit Slip and Off Campus programs: Printer Brand / Model Printing Method Connection Aeries Version Citizen idp-3550 Dot Matrix Parallel Port Client only Citizen CT-S2000 Thermal USB Client or Web However, the Citizen CT-S2000 was preferred due to the setup being much easier and it is a better quality printer. Also, USB ports are modern, whereas parallel ports are slowly disappearing. Page 3

4 Aeries Client In Aeries Client, View All Forms, Aeries Variable for Current User, select the name of the receipt printer from the dropdown list. If the receipt printer is a dot-matrix printer connected to a parallel or serial port, select the Generic / Text Only printer. By default, the Maximum Characters per Line is set to 28, but it can be adjusted If the receipt printer is NOT a dot-matrix printer connected to a parallel or serial port, the Max Character per Line is not necessary and the field will be grayed out. Note: The receipt printer selection supports parallel (LPTx:), serial (COMx:), and USB printers. It will also work with shared and network printers. However, it will not work with printers connected thru adapters. For instance, a parallel printer connected to a USB port thru a cable adapter will not work. In printers with a cutter, and depending of the brand, driver version, and default settings, some of them could perform a double cut. This means that the printer will cut the receipt, eject a couple of inches of paper and then cut again. This setting is usually located in the printer s advanced options. Page 4

5 Re-Admit Slip To generate a Re-Admit slip from the Period Attendance form in Aeries Client and Web versions, click the mouse on the Re-Admit button. A date range entry box will display with the last date the student has an attendance record entered. The date range can be changed. The Re-Admit Slip will display on standard letter size paper and can be printed from a laser printer. Click the mouse on the Printer icon. If a receipt printer is being utilized, a receipt can be printed 2.75 wide. Page 5

6 Off Campus Pass The Off Campus Pass can print notes from the Attendance Notes form in both Aeries Client and Aeries Web versions, indicating the student has permission to be off campus. A Time to Leave and Approval field can display on the Attendance Note form for specific codes. In order to have the Time to Leave and Approval field display on the Attendance Note form for specific codes the value of 1.00 MUST be added to the Off Pass Campus codes on the Update Code Table form. From the Update Code Table form select the ATN table and the CD field. Select the Off Campus code and enter 1.00 in the Amount field and save the record. Print Off Campus Pass From the Attendance Notes form enter the Period that the student will be off campus. Click the mouse on the drop down list for the Code field. Only the Off Campus codes that display Off Campus in the right hand side can be used to display the Time to Leave and Approval fields. Page 6

7 Select the Off Campus code from the code dropdown. The Time to Leave and Approval fields will display. Enter the Time to Leave in a 24 hour format for the time the student will be leaving. For example, if the student will be leaving at 1:00 PM, enter 13:00 hour. The 24 hour time entry will automatically enter the AM or PM status. Press Tab. Enter the person s name that Authorized the student to be off campus. Save the record. To print the off campus pass in the Aeries Client version click the mouse to the left side of the attendance note. Click the mouse on the Off Campus Pass button. To print the off campus pass in the Aeries Web version click the printer icon to the left side of the attendance note. Note: the printer icon will only display for Attendance Notes codes (ATN.CD) set up with a 1.00 entered in the Amount field from Update Code Table form. The Off Campus Slip will display on standard letter size paper and can be printed on a laser printer. Click the mouse on the Printer icon. Page 7
