1 Dashboard Inbox Widget The Inbox widget displays items which you are responsible for completing. Screenshot: Inbox Widget The widget displays by default those items which are currently active as well as those which have already been closed (completed) by using the Assignments that are Closed/Completed filter. It makes the following information about items available to you: ID Name Template Stage Due by Assigned On Assigned By Identification number of the item. Name of the item. Template which is used by the item. Current stage of the item. All completed items are in the Closed stage. Date by which the item should be completed. If the due date is not available for the item, the --- will be displayed. Items which are due today will be marked by the orange [Today] label located next to the date in this column. Items which are past due will be marked by the red label next to the date in this column indicating the number of days which has passed since the due date. Date when this item was assigned to you. A person who assigned this item to you. Screenshot: Item which is Nine Days Overdue Screenshot: Item Due Today To open the item, click on any of the clickable links in the item s record. You can filter the items in this widget according to their state and due date. To filter the items according to their state, in the Show list, select one of the following entries: All Assignments Assignments That Are Not Closed Assignments That Are Past Due Assignments That Are Closed/Completed Display all available items assigned to you, both active and closed. Display only currently active items. Display items that have not been closed as of their due date. Display closed items.
2 To filter the items according to their due date, use the Due in filter. This filter will select items which due date is less than the number of days, specified in the filter. Item without a due date will not be displayed, so as the items which are past due or due today. Owned by me Widget This widget displays items which you own. Screenshot: Owned by me Widget You automatically become the owner of items which you create. Also, you can own items which you did not create, but for which you were selected to be the owner by other users. All those items will be displayed in the Owned by me widget. The widget displays those items which are currently active as well as those which have already been closed (completed). Item without a due date will not be displayed, so as the items which are past due or due today. My Watched Items Widget Verifield allows you to put a watch on an item. Depending on its settings, the watch will trigger every time when someone views, modifies or deletes the item. The purpose of My Watched Items widget is to help you track items you are watching in order to stay informed about who and when performed the last action on them. Screenshot: My Watched Items Widget The widget makes the following information about items available to you: ID Name Template Owners Stage Last Activity Assigned On Activity By Identification number of the item. Name of the item. Template which is used by the item. Owners of the item. Current stage of the item. All completed items are in the Closed stage. The last action performed on the item. The following actions may appear in this list: Delete Only someone deleted the item Modify & Delete someone modified or deleted the item View Only someone viewed the item Date and time when the last activity on the item was performed. A person who performed the last action on the item. If an item has been deleted, a strikethrough will be displayed through its record: Screenshot: Deleted Item Watching items Verifield allows you to put a watch on an item. A watched item appears in the My Watched Items widget and displays information on who and when performed the last action on the item.
4 To view the list of items you are currently watching Go to the dashboard and navigate to your My Watched Items widget, or in the user menu, select Watched Items. To put a watch on the item 1. Click the Watch This Item button. 2. In the Item Watch Settings window, select type of watch: Type of Watch Delete Only Modify & Delete View Only When notification triggers The item was deleted by another user The item was deleted or modified by another user The item was viewed by another user 3. Click the Start button. The Watch This Item button will become blue, and an entry about this watch will appear in the My Watched Items widget and in the Watched Items section of your user settings. To stop watching the item 1. Click the Watch This Item button. 2. In the Watch Item Settings window, click the Stop button. The Watch This Item button will become grey, and an entry about this watch will disappear from the My Watched Items widget and from the Watched Items section of your user settings. Favorites To get a quick access to an item from anywhere in Verifield, add this item to Favorites. To add an item to Favorites, make sure that the color of the Add to Favorites of this button will indicate, that the item has been added to Favorites. button is grey, and then click it. Yellow color Audit Trail Viewing audit trail of an item The term audit in context of Verifield refers to recording any changes made to the data at item level. Some reasons for an organization wanting to audit items are: To analyze user actions in order to improve business processes. To maintain security. To document modifications for future analysis and record keeping. To assist in compliance with statutory or other regulations. Auditing Overview Verifield auditing supports the following features: Audit of update events for item fields. Audit of file attachments. Audit of item reminders. Audit of item associations. Audit of stages of the life cycle of an item. Audit of item privilege changes.
5 Besides feature-specific information, the following data is recorded in the audit history: What kind of change was made (add, delete, modify) on the item. Who (username, first and last name) made the change. When (date and time) the changed was performed. Old and new values of the fields that have changed on the item. Viewing Audit Data To view audit data, open the History tab. The audit trail of the item will appear. Screenshot: Audit trail By default, the audit history of the current (primary) item is displayed. If this item has sub items, you can view sub items audit history by expanding the current item s group and selecting the change record group for an associated sub item. 6 The audit trail grid displays a list of all the changes that have been made to the selected item. It provides the following information about each change event: Column Date Action Field Previous Value Current Value By Username Meaning Displays the date & time of the change Displays the type of action that caused the change. Information about the following types of actions is recorded: Add action. This type of action is displayed when the change has new information available which wasn't present before the change. Modify action. This type of action is displayed when the previously available information has been replaced/modified with some new information. Disassociate action. This type of action is displayed when another item was disassociated with the current item. Delete/Remove actions. This type of action is displayed when the previously available information has been completely deleted from the field. Displays the field's name in which the change had been made Displays the value of the particular field before the respective change was made Displays the value of the particular changed field with the respective change that was made Displays the name of the person who made the change or modification Displays the username of the person who made the change or modification A field which does not have a previous or current value is displayed as --. Each individual change is logged as a separate record. For instance, if you ve modified multiple fields and saved the item, then in the audit trail as many new records will appear as many fields have been modified. There are certain types of changes that cause several fields to be updated. For instance, after you create a new item reminder several records informing about values that you ve provided for individual fields of the reminder will be added to the audit trail. Since all those records are related, Verifield conveniently combines them into a single multiple value record prefixed with a twisty which is collapsed by default. When clicked, it expands to display initially hidden records. Screenshot: Expanded multiple value record To make searching for specific audit records more convenient, use the All Records and Type of Action lists located above the audit trail grid. The All Records list allows you to view audit records for a selected time period, while the Type of Action according to a specified type of action
