1 Bethesda Koons of Silver Spring Premier Cup On Line Registration Documentation To process the online registration paperwork, you must have the following equipment/resources: 1) Access to a computer with internet access 2) Access to a full version of Adobe Acrobat Pro Software or Tournament Stamp & Scanner or app like FastScanner 3) Access to a printer to print copies of the registration materials for the tournament books Adding the On Line Registration Tournament Stamp to Adobe Pro To add the Bethesda Premier Cup Tournament On Line Registration stamp to your custom stamp group in Adobe Acrobat Pro perform the following steps: 1) Copy the BSCRegistrationStamp.GIF to your desktop. 2) Open Adobe Acrobat Pro 3) Click on Comment on the far right side of the screen Last Updated September 19, 2018 Page 1
2 4) Select the icon that looks like a stamp in the Annotations box 5) Select Custom Stamps, Create Custom Stamps. 6) At the Select Image for Custom Stamp dialog box click on the browse button, and locate the BSCRegistrationStamp.GIF file that you placed on your desktop in step 1. Make sure that you are looking for *.gif files or you won t see the file listed. Once selected, you will see a preview of your file and you should click Last Updated September 19, 2018 Page 2

4 Processing On Line Registration Requests via Printing/Scanning All on line check ins must be processed and teams notified no later than 1 week prior to the tournament weekend. For girls teams, this will be one week earlier than the boys teams. To process on line check ins, follow the steps below: 1) From GotSoccer, download/export Excel files of all Accepted teams (I am attaching them for you as well in case you do not know how to do this.) GotSoccer Login Info: Girls: Bethesda/girls; PW: agc2018 Boys: Bethesda/boys; PW: agc2018 From within the GotSoccer, select Bethesda Premier Cup at the bottom of the screen. 5 Click on Teams in the menu bar. Using the filters, select: Documents, Accepted = Yes, and select the age group you want to view. Then click the Apply Filters button. Once the search/filter comes back you will see all the accepted teams in the age group you selected. Using the scroll bars (right/left), if you go to the right, you will see which teams have uploaded check in materials (see the Last Updated September 19, 2018 Page 5
6 example below). 2) Each team should have uploaded the following documents: a. US Club Teams need to provide: i. Team Information Sheet ii. 1 copy of the US Club Roster (see Frequently Asked Questions below about adding guest players) iii. A copy of each US Club Players Passes (ONLY front must be copied) iv. A copy of each guest players US Club Player Passes (ONLY front must be copied) v. A copy of the guest players completed application form vi. BSC Guidelines/Policies/Rule Acknowledgement b. US Youth Soccer Teams need to provide: i. Team Information Sheet ii. 1 copy of the State Approved Roster (see Frequently Asked Questions below about adding guest players) iii. A copy of each US Youth Soccer Player Passes (ONLY front must be copied) iv. A copy of each guest players US Youth Soccer Player Passes (ONLY front must be copied) v. A copy of the guest players completed application form vi. Teams outside of the East Region or from CT and NJ need to provide a signed permission to travel form. Check with your State association for the appropriate form. (East Region teams include: ME, NH, VT, MA, RI, PAE, PAW, NYE, NYW, MD, DE, VA, WV) vii. 7 c. If any of these documents are missing you need to respond to the sender from within GotSoccer. To do this, click on the team name, and set the Flag to YELLOW and add comments in the documentation notes (see image below with red circle). Let them know what the problems are with their submission and remind them of the deadline to resubmit the missing or bad forms. d. It is critical to set the flags for each team as we will be able to sort by this and ensure we can relay this information to our age group coordinators and teams. YELLOW flags mean the team is in process CHECKERED FLAGS mean they have completed online check in. Last Updated September 19, 2018 Page 7
8 VERIFY SUBMISSION e. If all the documents have been submitted, you need to verify the following: i. All player cards have a registrar stamp for the current year ( seasons) ii. All players appearing on the roster have player cards iii. Guest players have been written on the roster, included a guest application form and copy of the player cards (if they have not been written in, you may do this or return it to them to do) iv. If all the documents pass the check, you will place the BSCRegistrationStamp on the bottom of the roster under the last player and under any guest players. If you are manually stamping, follow the stamp guidelines and then ensure you scan the stamped roster in to a PDF format so you can upload it to GotSoccer. In order to place the electronic stamp, from within Adobe Acrobat Pro click on the stamp tool and select BSC and then select your stamp. (See the pictures below for samples of stamp placement.) v. Save the stamped roster to a location on your hard drive with the following naming convention: Gender/Age Group/ Club and team name, e.g., BU14BethesdaBlue99.pdf. You now need to secure it so it cannot be changed. vi. In order to secure the PDF file, from within Adobe select the Tools menu on the right hand side, click Protection, then More Protection, then Security Properties. 9 On the Document Properties dialog box under Security Method select Password Security. On the Password Security Settings dialog box ensure that your selections match the ones in the image below. For the Change Permissions Password enter BradRoos18 as the password. This is very important as this is the password that will need to be entered if you need to edit this file. 10 vii. Print copies of the Team Information Sheet and the Stamped Roster. Place the hard copies in your folder as you will submit these to Christi Woodruff for inclusion in the Age Group Coordinator Books a week prior to the tournament. viii. To notify the team of an approved check in status do the following: Click on the team name, and set the Flag to CHECKERED and add comments in the documentation notes (see image below with red circle). Include Comments: Your approved roster has been posted in GotSoccer for you to download and is under the "BSC USE ONLY: APPROVED On Line Roster". Please print it! During the tournament, you will need to show the stamped version of your roster as well as your original player cards to the field marshal prior to each game. A screenshot on how to ensure the stamp appears when printing is included in the FAQ s. Please make sure this information has been printed and accessible for review. ix. It is critical to set the flags for each team as we will be able to sort by this and ensure we can relay this information to our age group coordinators and teams.
