3 1.0 Introduction This document is a set of guidelines of how users are able to change their windows login passwords. The windows login password is used for various devices and software, these include: LAIO issued work computers LAIO Services: Outlook, OWA and Mobile LAIO Corporate Wireless Network: PC and Mobile Devices Business Applications such as Cheops and ARM Microsoft Lync Cisco Softphone (CUCI Lync) All in all, the password you assign for your windows login is of quite some importance. Remember it and keep it safe. 2.0 Audience This document is intended for LAIO employees who have been migrated to the new LEI domain. Should you have received this document by mistake, please disregard. 3.0 Password Requirements All IT users in Leighton Asia will be required to change the password in order to comply with the Password Policy and Group ICT Security Policy. Password Requirements Password Renew Frequency: 60 days Password History: 3 records (You will not be able to use any of the 3 previously used passwords) Password Age: 5 days (Once you have changed your password, you will not be able to change again for 5 days) Password Complexity o o The password shall be at least 8 characters long. The password shall contains at least one character of each of the following: o English uppercase (A - Z) o English lowercase (a - z) o Base digits (0-9) The password shall not contain three or more characters from the user s account name. 8 December 2014 Page 3 of

4 4.0 How to change your Windows Password 4.1. How to change password when prompted In the office on PC Every 60 days since you last changed your password, you will be prompted to change your password. Windows will prompt you that you must change your password before you can continue to use of your personal computer. When you are prompted to change your password, you will see a screen stating: The user s password must be changed before logging on the first time When you see this screen, click OK to continue. You will then be presented with another screen asking you to enter your current password, followed by entering your new password and clarifying your new password by entering it again. After entering the required fields, click on the blue arrow to proceed to the change. Should you get an error message, please contact the local IT helpdesk. 8 December 2014 Page 4 of

5 Out of the office on PC or mobile device (prompted) If you happen to be out of the office and find yourself not being able to receive s or access the LAIO OWA system, this is most likely due to password has expired. To change your password out of the office is possible. 1. Go to com via a web browser at home, coffee shop or on a tablet. 2. You will be directed to a website which LAIO runs a Secure Citrix Portal 3. Enter your LAIO username and password and click Logon. The portal will prompt you if your password has expired. 4. Enter your new password and enter again to verify the new password; then click Logon. Your password will be now changed Manually changing your password Instead of being prompted to change your password, you may choose to do so at regular intervals at your discretion. You are recommended to change your Windows password manually when you are in the Leighton offices with corporate network connection In the office on PC 8 December 2014 Page 5 of

6 1. Press Ctrl+Alt+Delete, and then click Change a password. 2. Type your old password, type your new password, type your new password again to confirm it, and then press Enter Out of the office on PC or mobile device (manually) You may want to change password even if the system does not prompt you to do so. Should you want to change the password out of the office, you may follow these steps: 1. Go to m via a web browser 2. You will be directed to a website which LAIO runs a Secure Citrix Portal 3. Enter your LAIO username and password and click Logon 4. A Citrix Applications page will load with various applications. Click on the application that states Change Password Alternatively, Copy and paste the following link into the browser to get to the same location the button takes you: /Citrix/XenApp/site/changepasswor d.aspx 8 December 2014 Page 6 of

7 5. After clicking on Change Password you will be presented with the following screen: 6. Enter your current (old) password, new password and verify the new password. 7. Click OK to complete the process. 5.0 Update the password for other services and devices The updated Windows password would be replicated across different systems that are authenticating using the same set of password. For example, the password would be updating automatically on Outlook, Outlook Web Access, Corporate Wireless, Lync, and some business applications like Cheops and ARM. You only need to update the password on Cisco Softphone, Mobile and Mobile Corporate Wireless, if you are using these services, after you have changed your Windows password first. Do I need to update password manually after changing Windows password? 8 5.1. Update Password on Cisco Softphone (CUCI Lync) You may find the CUCI Lync Client beneath the Lync Windows. 1. Enter the new Windows password. 2. User ID remains unchanged (which is your IP Phone Extension). 3. Click Sign In to login into CUCI Lync Update Password on Mobile 1. Enter the new password when your mobile device prompts for the Exchange Account password. 2. If the same Password Incorrect message shown, please enter the new password again 30 mins later Update Password on Mobile Corporate Wireless You can only update the password when you are in the Leighton office equipped with the Corporate Wireless. 1. Open Wireless Settings in Settings > Wi-Fi. 2. Select Leighton_Internal. 8 December 2014 Page 8 of

9 3. Update the new password. 4. Accept the Certificate when prompted. 5. Your mobile device is connected to the corporate wireless network. 6.0 Troubleshooting You may find that after changing your password, accessing your through your mobile phone seems impossible. Do not be worried about this issue. Due to system architecture design, cannot authenticate with the new password at first. It is recommended to enter the new password to the mobile device after at least 30 minutes after change. This can take up to 60 minutes at the worst case. 8 December 2014 Page 9 of
