2 Section I: Connecting to Room System Step 1: Connection Options - Presenting options can take advantage of HDMI and Solstice (wireless). Choose prefered source (options below). Solstice - Used by connecting wirelessly from computer while on Stanford or Stanford Secure WiFi network. See the Solstice Wireless Display after this page for connection instructions, otherwise continue to Step 2 below. VGA - Used by connecting VGA cable (pictured below) to personal computer. Mini DisplayPort - Used with the adapter on the VGA cable. Step 2: Share Desktop / Present VGA Cable - Locate Cisco Touch Panel and touch surface to wake. Next select Share and select connection you are using, at which time the display should mirror your computer. Connect appropriate cable (shown above) to your computer. Connect other end of the cable to the VGA port on the Control Panel. There is also a share wireless option that connects to the solstice pod. Volume is controlled at the Touch Panel. To mute the room, use the table speaker & the Touch Panel.

4 Section III: Troubleshooting 1. Cisco Touch Panel - If the Cisco Touch Panel appears to be off: a. Wake the display by touching the surface. b. If touching the display does not turn on the display, disconnect and reconnect the ethernet cable. This should cause the Touch Panel to reboot and re-establish connection with the displays. c. Call room support for additional troubleshooting steps. 2. Display Power - If the power does not appear to be on: a. Touch Cisco Panel on the desk to wake display. b. Make sure the display is turned on. You should see an indicator light. c. There is also a Sharp Remote that is located in the back of the room that can power on the displays. d. If the options above fail to turn on display, call for room support. 3. VGA - If unable to connect via VGA: a. Confirm physical connection to the computer is secure. b. If using Displayport Adapter, confirm physical connection to the cable and computer is secure. c. Try another method to connect or call room support for additional troubleshooting steps.
5 Section IV: Teleconference Instructions Join a Zoom Meeting From a Video Conferencing System IMPORTANT NOTE: To protect Stanford data, including video content, Stanford Zoom requires that all devices participating in a Zoom video conference have encryption turned on. Encryption is automatic for Stanford desktops, laptops, and mobile devices, but not always true of room systems. When planning a Zoom meeting in which participants will use a non-uit supported room system, it is best to test the connection before the meeting to avoid meeting delays. If you encounter any problems connecting to a room system, contact your local IT support for help setting up encryption on the room system. Alternatively, you can use Stanford's WebEx service to connect to unencrypted room systems. More information can be found at 1. From a video conferencing system panel, dial the video address in the format meet@zoomcrc.com. NOTE: This video address may already be saved as a Favorite under Contacts. 2. Enter # followed by the Meeting ID, then # again on the welcome screen when prompted. If you are the host, enter your host key if prompted. Source: KB
6 How Do I Log In To Stanford Zoom For The First Time 1. Before you can use Zoom, you must install the Zoom software for your device. Start by going to stanford.zoom.us and click Download in the footer. 2. Once the Zoom Client for Meetings is installed, click the Sign In button. NOTE: For desktop/laptop users, download and install the Zoom Client for Meetings. For iphone or Android users, download Zoom Mobile App from your mobile app store. 3. Click Sign In with SSO. 4. When prompted to enter your company domain, type stanford. 5. You'll then be taken to the Stanford WebLogin screen where you can log in with your SUNet ID and password.
7 Source: ServiceNow KB Join A Zoom Meeting Prerequisites Each meeting has a unique 9, 10, or 11-digit number called a Meeting ID that will be required to join a Zoom meeting. If you are joining via telephone, you will need the teleconferencing number provided in the invite. These instructions apply for both Windows and MacOSX Instructions 1. Select Join A Meeting. Note: You can join a meeting with or without signing in
8 Option 1: Join from your computer's Zoom Client for Meetings web browser client application. Option 2: Join from your Zoom Pro Client For Meeti ngs applic ation on your comp uter. 2. Enter the Meeting ID number and input your name. Also select if you would like to connect audio and/or video and select Join.
