1 Using Cisco WebEx Cloud for Group Patient Education ECU Physicians (ECUP) Providers and Staff can use Cisco WebEx Cloud (WebEx) for group patient education. Note: ECUP Providers and Staff are not allowed to record audio or video of any patient education sessions. The WebEx login is Before the education session begins, the WebEx Host or Presenter will inform the patient participants of the following: This WebEx session is a LIVE presentation Your participation in the session is voluntary The session will not be recorded The information provided is not a substitute for medical care or counseling During the session, you will see and hear others joining the session You will be seen and heard by others in the group so please do not share any personal information with the group East Carolina University is not responsible for comments made by others in the group. Getting Started with WebEx: 1. If you need assistance with WebEx, please call MTS at From your web browser, go to to open WebEx. 3. In the top right hand corner of the screen, under the ECU logo, click on the Log In button. 4. Enter your ECU credentials and click on the Log On button. 5. If you are asked to save your password for this site, click on the Never button. 1 P age

2 6. You are now in your Personal Meeting Room. 7. Click on the floating arrow at the top of the screen to open the menus. 8. Choose the My WebEx tab to access your profile, preferences, and support. 9. Click on the Preferences menu. 10. Now click on the My Personal Room menu. This is where you can customize your Personal Meeting Room. You only need to do this step once. 2 P age

3 11. Here you can change the Room Name, see/change your Host Pin, etc. 12. You should also check the Notification feature so you will be notified by when someone enters your Personal Room lobby while you are away. Do not check, the Alternate host feature, this will let other people host a meeting in your Personal Meeting Room. Now, click on the Save button. 13. You will then see a confirmation screen stating all changes are saved. Click on OK. 3 P age

4 14. Click on the Home tab to get back into your Personal Meeting Room. 15. Click on Start Meeting. 16. If this is your first time using WebEx, you will be asked to add WebEx to your browser. This information will vary based on your browser choice. For these instructions, we used Chrome. Click on the Add WebEx to Chrome button. You only need to do this step once. 4 P age

5 17. You will now install the Cisco WebEx add-on. The file is at the bottom of your screen. 18. The install box will appear, click on Run to install the Cisco WebEx add-on. 19. After the install, your Personal Room with the navagation screen will appear. 5 P age

6 20. In the Audio and Video Connection window, Select Call Using Computer. You should see a self-view in the upper right corner, if not click on the camera icon to start your video. Also, make sure the microphone is not muted, if it is muted the icon will have a red line. Note: ECUP Providers and Staff are not allowed to record audio or video of any patient education sessions using WebEx. 21. Click on the Invite & Remind icon. Add the address of the person you want to invite then click Send. 6 P age

A dialog box will show 1 invitation was sent, click on Invite More to add more participants, multiple participants can be added by adding a semi-colon (wallacega@ecu.edu; stanleyjo@ecu.edu) after each address or if you are finished click Done. 23. The invited participants will receive the invitation to join your meeting. The actual will have your Personal Room information. Example: Hello, Join me now in my Personal Room. Join WebEx meeting Join from a video conferencing system or application Dial stanleyjo@ecu.webex.com 24. The participants will click on the Join WebEx meeting information and enter the meeting. As the participants enter, you will see their name under the self-view screen on the right. 7 P age

8 25. To end the meeting, click on the End Meeting button, the dialog box will appear on your screen click, End Meeting. Note: For help with WebEx, please call MTS at P age
