1 BusinessOnline Security Device Guide Introduction Objectives This document contains instructions in the use of the Security Device that is used in conjunction with the BusinessOnline service provided by Clydesdale Bank and Yorkshire Bank. The Security Device is required to log on to BusinessOnline and when completing certain transactions. The Device The image below shows the front of the Security Device: Keypad Used to enter the PIN number and any code provided by BusinessOnline LCD Display Displays user instructions and any code for entry into BusinessOnline. Menu/Backspace Button Used to select different menu options after successful entry of a PIN, or to delete an incorrectly entered value Used to switch the security device on and confirm data entered into the device The image below shows the back of the Security Device: Serial Number The information on the back of the Security Device includes the Serial Number. The Serial Number will be needed when completing the initial security device activation process. 1
2 Getting started Activating the security device Each Security Device requires to be activated before it can be used to access the BusinessOnline service. For a Corporate Administrator this activation must be done through our BusinessOnline Helpdesk. This can be done by calling the BusinessOnline Helpdesk on or if calling from Overseas +44(0) For a User this activation can be done through your own Corporate Administrator. During the activation of a Security Device the User will be prompted to change the default PIN to a PIN of their choice. The following should be considered when selecting a PIN for use with a Security Device: A PIN should not be easily guessed. For example PIN numbers with sequential numbers or repeating numbers should be avoided. A PIN should not be shared with anyone else, including representatives of the Bank. The Bank will never ask you to reveal your PIN number. 2
3 Using the Security Device for the first time login A unique default PIN is presented on the BusinessOnline first time login screens. It is necessary to correctly enter this default PIN into the Security Device to successfully generate a One Time Password (OTP) from the Security Device. This OTP is required to complete the first time login into the system. Entering the default Security Device PIN The following steps should be followed to enter the default PIN number into the Security Device: During the first time login each user will be presented with a screen to setup their Security Device. This screen includes a default PIN. (Please note the default PIN presented is unique to each User). Press the OK/Power button to switch the Security Device on. The Security Device will prompt to enter a PIN. ENTER PIN The default PIN presented on the BusinessOnline screen is to be entered at this point. This will get displayed as a series of # symbols on the Security Device display. # # # # The Security Device will then prompt for a new PIN to be entered. NEW PIN Step 6 Decide on and enter a new PIN. Then press the OK/Power button to confirm the PIN entered, or the Menu/Backspace button to delete an incorrectly entered number. # # # # Step 7 The Security Device will then prompt for the new PIN to be re-entered to validate the initial entry. CONFIRM Step 8 Re-enter the new PIN and then press the OK/Power button to confirm the PIN entered # # # # Step 9 The Security Device will then present Select on screen. 0 1 The PIN is now changed to the new PIN. The next stage in the First-Time login process is to generate a One Time Password (OTP). This OTP can be generated by pressing 1 on the keypad when is shown on the Security Device screen. The eight-digit OTP number presented on the Security Device should then be entered into the BusinessOnline login screen. 3
4 Entering a valid Security Device PIN After the First Time Login it is necessary to correctly enter a valid PIN before any Security Device function can be used. Entering a valid Security Device PIN The following steps should be followed to enter a PIN number into the Security Device: Press the OK/Power button to switch the Security device on. The Security Device will prompt the User to enter a PIN. ENTER PIN Enter the 4 digit PIN number using the keypad. This will be displayed as a series of # symbols on the Security Device Display. (The Menu/Backspace button can be used to delete an incorrectly entered number). # # # # The Security Device will then display Select. This confirms that the PIN has been successfully entered. Using your Security Device to Login to BusinessOnline BusinessOnline requires a One Time Password (OTP) to be entered each time you log in. In addition, a Corporate Administrator will be authenticated by providing an OTP when contacting the BusinessOnline Helpdesk. This OTP is generated by completing the following sequence of steps: Start The Security Device is required when this screen is reached during the login process. Follow the steps to enter a valid PIN into the Security Device from the section Entering a Valid Security Device PIN On entry of a valid PIN the Security Device will display the message. To generate an OTP Press the 1 button on the keypad An 8-digit code will be generated by the Security Device The 8-digit OTP should then be entered into the corresponding field during the BusinessOnline Login or provided over the phone when contacting the BusinessOnline Helpdesk. 5 Using your Security Device to complete transactions The Security Device may also be required to complete transactions within BusinessOnline. There will be on-screen prompts when this is necessary. The use of the Security Device in relation to transactions differs from login. For additional security reasons, the use of the Security Device will function on a Challenge/Response basis. This confirms both details of the transaction and that the approval of the transaction is being made by an authorised individual. To confirm details of the transaction, BusinessOnline will generate a Challenge code of between 1-10 digits and present it on screen. For security reasons the Challenge code will be based on an element of the transaction or your user credentials. That Challenge code then has to be entered into the Security Device. Based on the code entered, the Security Device will then generate an 8-digit Response code that has to be entered into the corresponding Response field within the BusinessOnline screen. Please Note: There may be circumstances where multiple Challenge/Response entries are required in the completion of a transaction e.g. where a number of new beneficiaries are included within a batch of payments. For each Challenge/Response required it is necessary to switch off the Security Device and complete all steps below, including entry of your PIN. The Security Device can be switched off by pressing the OK/Power button after the Response Code has been generated. Start The Security Device is required when this screen is presented during a transaction. Follow the steps to enter a valid PIN into the Security Device from the section Entering a Valid Security Device PIN On entry of a valid PIN the Security Device will display the message. To follow the Challenge/ Response process press the 3 button on the keypad. This will present an ENTER message on the Security Device. ENTER Enter the 1-10 digit Challenge code presented on the BusinessOnline screen into the Security Device, including any preceding zeros, and press the OK/Power button This will generate an 8-digit Response code on the Security Device. Enter the Response code from the Security Device into the corresponding BusinessOnline field and select the Submit button For any subsequent transaction approvals it is necessary to return to the Start of this process by switching the Security Device Off. This can be achieved by pressing the OK/Power button on the Security device. 5
6 Incorrect PIN / Locked Security Device If an incorrect PIN is entered into the Security Device an error message will be displayed. Continuing to enter an incorrect PIN will result in the user being notified that they have a final attempt to enter a correct PIN. Should an incorrect PIN be entered at this point the Security Device will be locked. After the Security Device is switched on, and an Incorrect PIN has been entered then an ERROR message is displayed. This is followed by the Security Device switching itself off. When there is only one attempt remaining to enter a correct PIN the Security Device will notify the User that it is their last attempt. ERROR LAST TRY If the PIN is entered incorrectly for this final attempt the Security Device will be locked and a corresponding message will be displayed to the User. LOCKED In the event that a Security Device is locked a User should contact their Corporate Administrator. If a Security Device for a Corporate Administrator is locked then it will be necessary to contact the BusinessOnline Helpdesk. Security Device PIN unlock When a Security Device has been locked, due to the entry of an incorrect PIN, the Device remains capable of generating an Unlock Code. This code will be required by the Helpdesk/Corporate Administrator when unlocking the Device. To generate the unlock code complete the following steps: Press the OK/Power button to switch the Security device on. The Security Device will display the LOCKED message on screen. LOCKED Press the OK/Power button on the Security Device again. The Security Device will display an 8-digit Unlock Code Step 6 Step 7 Step 8 Provide this 8-digit code to your Corporate Administrator or the BusinessOnline Helpdesk. The Corporate Administrator/ Helpdesk will then provide an 8-digit code in response. Press the OK/Power button on the Security Device again. This will display a flashing icon cursor on the Security Device Screen. Using the keypad enter this 8-digit code provided by the Corporate Administrator/Helpdesk into the Security Device and press the OK/Power button. 6
7 Step 9 If the code was entered correctly the Security device will display a COMPLETE message on screen. COMPLETE 0 1 The Security Device will prompt for the entry of a new PIN. Enter a new 4-digit PIN and press the OK/Power button. (*Note a different PIN number to the one previously used with the Security Device will be required). The Security Device will request confirmation of the new PIN. Re-enter the 4-digit PIN and press the OK/Power button. NEW PIN CONFIRM 2 When a new PIN has been successfully confirmed the Security Device will display COMPLETE on the display. COMPLETE Other Security Device functions The Security Device has a menu option which accesses a number of other Device Functions. This menu can be accessed after entering a valid PIN - and for some functions after generating an OTP. The Menu functions are described in the following table. Menu Option No of Digits Description CHANGE PIN 4 This enables the PIN used to access the Security Device to be changed at any time. VIEW SN 10 Allows the Serial number for the Security Device to be displayed. VIEW CLOCK 10 Each Security Device has an internal clock. At certain times it may be necessary to resynchronise a Security Device. This clock value will be required by either the Corporate Administrator or the BusinessOnline Helpdesk should a Security Device require to be re-synchronised. VIEW COUNT 10 Each Security Device has an internal counter. At certain times it may be necessary to resynchronise a Security Device. This counter value will be required by either the Corporate Administrator or the BusinessOnline Helpdesk should a Security Device require to be re-synchronised. Changing the PIN To change the PIN for a Security Device the following sequence of steps should be followed: Follow the steps to enter a valid PIN into the Security Device from the section Entering a Valid Security Device PIN On entry of a valid PIN the Security Device will display the message. To access the menu functions press the Menu/ Backspace button on the Security Device Keypad. Menu/Backspace Button Continue to press the Menu button to cycle through the menu options until the CHANGE PIN option is displayed. Then press the OK/Power button. CHANGE PIN 7
8 The Security Device will prompt for the entry of a new PIN. Enter a new 4-digit PIN and press the OK/Power button. NEW PIN The Security Device will request confirmation of the new PIN. Re-enter the 4-digit PIN and press the OK/Power button. CONFIRM Step 6 When a new PIN has been successfully confirmed the Security Device will display COMPLETE on the display. COMPLETE View serial number and clock values The menu functions for viewing the Serial Number or the Clock values can be accessed through the following sequence of steps: Follow the steps to enter a valid PIN into the Security Device from the section Entering a Valid Security Device PIN On entry of a valid PIN the Security Device will display the message. To access the menu functions press the Menu/Backspace button on the Security Device Keypad. Menu/Backspace Button Continue to press the Menu/Backspace button to cycle through the menu options until the required function is reached. For the VIEW SN and VIEW CLOCK functions the corresponding Serial Number and Clock values are displayed when the OK/Power button on the Security Device Keypad is pressed. To return to the menu functions the Menu/Backspace button needs to be pressed again. 8
9 View counter values The other menu function to view the Counter value requires the generation of a one Time password (OTP). The counter value can be accessed through the following sequence of steps: Follow the steps to enter a valid PIN into the Security Device from the section Entering a Valid Security Device PIN On entry of a valid PIN the Security Device will display the message. Generate a One Time Password by pressing the 1 button on the keypad An 8-digit code will be displayed by the Security Device Access the menu functions by pressing the Menu/ Backspace button on the Security Device Keypad. Menu/Backspace Button Continue to press the Menu/Backspace button to cycle through the menu options until VIEW COUNT is displayed. VIEW COUNT Step 6 Step 7 When the VIEW COUNT function is displayed press the OK/Power button on the Security Device Keypad. The Security device will then display the 10-digit Counter value. To return to the menu functions press the Menu/Backspace button again Further information Should you require any further assistance in the use of your Security Device, please contact your Corporate Administrator in the first instance.
