3 1. DMS SFTP File Watcher Windows Service Setup 1. Login Sage UBS Select the company data used. Example: Company ABC. 3

4 3. Click on Sage UBS Inventory & Billing. 4. Click on the menu below to access General Setup page. 4

5 5. Enable the FTP Integration. 6. Enter the Distributor Code. The distributor code entered will be used by Inventory & Billing to perform CSV data content filtering. Example: If the distributor code received in CSV content doesn t match the value defined in this screen, Inventory & Billing will reject the CSV data file. 5

6 7. Click on Setup. 8. Proceed to click OK. 6

7 9. Proceed to click Yes when this UAC message prompted. 10. Fill up the form below based on the required configuration. 7

8 Sage DMS SFTP File Watcher Configuration tool item descriptions: Item Description * Mandatory field indicator. Distributor Code* DMS File Watcher Service would filter out (skip) the CSV file which does not have the same distributor code as configured in this field. As per requirement, all the CSV files from DMS SFTP should contain the target distributor code as part of the CSV file name. SFTP Host* Target SFTP server IP address/host name where the CSV source file stored. Port User ID* Password* Confirm Password* SFTP Folder* Target Company Data Folder* Scan SFTP folder for new file every* SFTP Operation Timeout* Save & (Re)Start Service (Optional) Listening port number at SFTP server. User ID (credential) used to access SFTP folder. User ID password (credential) used to access SFTP server folder. User ID password confirmation (credential) used to access SFTP server folder. Target SFTP server folder which where the CSV source file stored. Target Sage UBS Configure the service to periodically (in seconds) scan the SFTP folder for new CSV file. SFTP operation response timeout in seconds. Click this button to save the configuration items and start/restart the SFTP File Watcher Windows service. 11. Browse the target Inventory & Billing company data folder. Important: Please make sure the correct company Inventory & Billing data folder is selected, else, it might create some unexpected problem. 8

9 12. Double check on the settings configured. 13. Click on the Save & (Re)Start Service button. Message below prompted, click OK to proceed. 9

10 14. Status Starting DMS File Watcher service, please wait will be shown, please wait for the next message prompt for confirmation of the service startup. 15. Once service started successfully, the confirmation message below will be prompted. Click OK to proceed. 10

11 16. Back to this screen, click OK to close the page. 11

DMS SFTP File Processing Note: Please close existing Inventory & Billing and open it again after the DMS File Watcher service configuration above done. 2.1 Check and Process Pending SFTP File List 1. Click on the menu below to access SFTP file listing. 2. SFTP file list (*.dbf files are converted from *.csv file received) pending to be processed will be shown on this page. Click Process button to process all the pending imported data files. 12

13 2.2 Audit Trail Log Enquiry of Processed SFTP File 1. Click on the menu below to proceed to check the processed SFTP file data audit trail log. 2. On the screen below, default date (current system date) would be selected, click on Process button to show the list of the audit trail logs. 13

14 2.3 Dispatch List Enquiry 1. Click on the menu below to access Dispatch listing page. 2. Input the search criteria required, click Search button to proceed. 14

17 2.5 Invoice List Enquiry 1. Click on the menu below to access invoice listing page. 2. From invoice details page, click the magnifier button to show the invoice search list. 17

18 2.6 Credit Note List Enquiry 1. Click on the menu below to access credit note listing page. 2. From credit note details page, click the magnifier button to show the credit note search list. 18

19 2.7 Stock Write-Off List Enquiry 1. Click on the menu below to access stock write-off listing page. 2. From stock write off details page, click the magnifier button to show the stock write-off search list. 19

20 3. DMS SFTP File Watcher Windows Service Failed to be Started 1. If the DMS File Watcher Windows service failed to be started within certain timeframe, the failure message below would be shown. 2. f the Windows service could not be started successfully, user may check the log content from log file SageDMSFileWatcher.log in Windows application folder C:\Program Files\Common Files\Sage Software\SageDMSFileWatcher\Log. For 64bit Windows, file path should be: C:\Program Files (x86)\common Files\Sage Software\SageDMSFileWatcher\log\SageDMSFileWatcher.log 3. Sample log showing that given SFTP host IP/address is not reachable.s 4. Alternative way to start DMS File Watcher Service: 4.1. Open Windows Services manager by entering services.msc in Windows Run command Look for Sage DMS File Watcher Service in the Windows Services manager, right click on it and select Start to start the service. 20
