1 Batch Upload & Reports Retrieval Guide The NEW Advantage ACH Batch Upload site provides: - Line item Edit and Void options for a batch already uploaded. - Error data messages at the moment of upload, enabling a quick fix. - Reporting on-demand in multiple formats to download or print. - Search options expanded to include obtaining a Federal ACH Trace #, in addition to the ability to search for specific data across multiple batches. Upload, Review and Process a Batch 1) Upload to "Staged" Payments section 2) Review Batch, Edit or Void 3) Process Batch Website address Manual Batch Upload & Reports Retrieval: On the home page menu, choose "New FTP User" Enter Passwords, & Security Answers: Answer to both questions is: 1234 Website address Automated Batch Upload & Reports: Automated Batch content confirmation to: achfprocessing@achfederal.com and Support@AdvantageACH.com The Payments Center UPLOAD FILES - Upload a Batch WAREHOUSED PAYMENTS - Edit Entries in a Batch - Delete a Batch - Process Batch Online Reporting Center REPORTING - Select Report in desired format. Activity, Returns, Settlement, Origination Confirmations. RESEARCH TRANSACTIONS - Obtain Fed Trace# and search using different criteria. Page 1
2 Uploading a Batch - In Payments Center select UPLOAD FILE. - Choose Company in the drop down menu. - Choose "Browse" to locate and select the batch on your PC. - Choose "Upload" Button. Batch is Loaded into Staged Status - Select "Process" to process the batch into the Warehouse Payments area. - Warehoused Payments will remain in there until the deadline for the Effective Date. At deadline the Batch is processed into the Federal ACH. No recall or edit of the data is available. - Warehoused Payments data may be edited or voided until deadline " Process" MUST BE SELECTED to release batch into the Federal ACH system. Warning Prompts Upon Upload Warning messages prompt you to stop the batch from processing into the Warehoused Payments. When asked if you wish to continue, you may elect "No" then make corrections the Batch data and upload again. - Matches a prior uploaded batch. - Over limit item or batch. - Error in the data, such as incomplete or wrong data in a field or an invalid Routing #. 3 Void a Batch Upload - To Void, choose "NO" when asked if you wish to continue to process this file. - A "NO" choice will cause a rejection of the batch. It will not be accepted into the Warehoused Payments upload area. - A "Yes" choice for other types of errors will return you to the Staged Files list. - In Staged Files List select the batch, then "Edit Warehoused Payments" - If only 1 Batch is in the Warehoused Payments, then the line item details in that batch will appear when "Edit Warehoused Payments" is selected. Edit or Void an Item in the Batch - Choose "Edit Warehoused Payments". - In Warehoused Payment window, select "SEARCH", to see a list of all batches that are pending to be sent to the Federal ACH. - Choose the Batch and choose the "Open or Void " option to the right of the item name. - Edit the data error, or void that item. 4 Edit or Void an Item in the Batch continued. - Choose the item to edit or void. - Choose "Open or Void " option to the right. - Edit a detail of the item and Save or Void Edit Another Item in the Batch - To Edit another item, select "Back to Menu", In Payments Center, select "Upload Files, select "Edit Warehoused Payments", select "Search Warehoused Payments", select "Search" All warehoused data will be displayed and available for edit or void until deadline. A Batch Processed Confirmation is sent by our Processing Center to the Batch Originator when the batch is sent to the Federal ACH Example of a Processed Confirmation that you will receive from the Process Center From: achnotifications@manageach.com Sent: Wednesday, March 24, :35 AM To: Business address Subject: ACH File Upload Confirmation (Business Name) Credits, Debits,0.00 CreditCount,2 DebitCount,0 RejectCount,0 NOTE Manual Batch Upload no longer requires confirmation be sent to the Process Center by the person uploading the Batch Instead. Upon the Originator's command to "process" the batch, the website will display the contents of the batch received, the count of items and total $ amount, then require the Originator to confirm on the screen, yes or no, to release this file to the Federal ACH. This provides the Originator the convenience of immediate confirmation. Page 4
5 Training Login & Password: Login = Advantageftp3 Password = Tr@1n!63 Security Answer to both questions: 1234 Reports Retrieval Website: On the home page menu, 1) Choose "New FTP User" 2) Login Reports are obtained on the website. - Settlement - Returns - Activity Summary - Confirmation - Origination Detail - Rejected Transaction Enter Date as: MM-DD-YY To request a report for another date, choose 'Clear', then enter the new date and select 'Run'. ACH Batch Reporting Center 1) On the Main Menu (Headquarters) screen = - Select "Reporting" pull-down menu. - Activity Report should be requested first, to determine if any Returns or Settlement Detail Report has been issued for the today's date, or the date expected. 2) On the Reports Menu screen = - Select Report type desired from the drop-down menu. - Select "Company" in the drop-down menu. - Specify Report Date desired in the Date field. - The report will be displayed in an Adobe Acrobat document that may be printed and/or saved to your PC. If you are requesting a report before the data has been received from the Federal ACH System, you will receive a blank PDF document with the notice the information is not yet available. Request again later. -- Monthly Invoices will be delivered in the Reports Menu, instead of by -- Page 5
6 Search for ACH Federal Trace # 1) From Main Menu, Choose "Research Transactions" 2) Search for the Entry by any item of data, then Choose "Search". Biil Brown 3) Choose the entry, then choose "View Selected" 4) Research Transaction Details screen will display all data related to the entry, including the Federal ACH Trace #. The Federal Trace # is helpful if your customer says a credit to their account has not been posted by their financial institution today as expected. You may provide the Federal ACH Trace #to your customer to provide their bank to locate the entry received. A search may be conducted by using the customer s name, the amount of the transaction, the individual ID, the customer s routing and account number or any combination of these. The search results will provide the effective date (date the transaction will hit the customer s account) and the trace number associated with the transaction.
