6 1. Introduction The User Manual is catered towards the Users who would be using the website. There are 2 types of Users: 1. Parent 2. Head-Coach The Parent is responsible for signing up their kid for the Swimming Events. The Head-Coach is responsible for uploading the PDF provided by the USA Swimming and remove any incorrect signups. This document provides step-by-step approach to aid Users in using the website. 1.1 System Overview The system will provide the following facilities to the Users: o Information about swim events will be extracted from a pdf file. o Parents can sign up their children for swim events they are eligible for. o Head Coach will have a list of swimmers and events they can participate in. o Head Coach can modify event signups. o Head Coach generate reports for each swim meet User Side Hardware Requirements: Processor: Windows - Pentium 4 or newer processor that supports SSE2 Mac Intel x86 processor Mobile/Tablet Qualcomm/AMD or any other processors for mobile devices Storage: Windows/Mac GB free space Android/iOS 50 MB RAM: Windows/Mac MB / 2G for 64-bit version Android/iOS 384 MB Internet Connection I/O Devices to operate Web Browsers properly. 7 1.1.2 User Side Software Requirements: Windows, MacOSx or equivalent (mobile or tablet) operating system that can operate supported web browsers. Google Chrome, Mozilla Firefox, Safari Web-Browsers (Strongly Recommend using any of these Web-Browsers). Adobe PDF Reader (recommended) or any other PDF reader Other Requirements The Users (Parents and Head-Coach) must be familiar about the proposed business workflow and basic understanding about Swimming Events. The Users must also be familiar with using websites on desktop, mobile or tablet (preferably e-commerce websites). 2. Operational Procedures For each of the operational procedures, this document contains snapshots for Laptops/Mobiles Tablets. The name of the buttons on the websites are the same for all the devices with some exceptions. and 2.1 For the Parents: a) Login Enter the valid Username and Password to login to your account. 9 b) Event Signup You can click + Button to add an event to the Cart. Clicking on - button will remove the event from the Cart. When you think the appropriate events are added to the Cart, click on Sign Up Event to see the total payment amount. Note: Your kid will be signed up for the events only when Sign Up Event button is clicked. Also, you cannot select an event that is already present in the Cart. Profile button shows all selected events which have been successful signed up by the parent. The left side contains some crucial information about the meet. Please take note of it while signing up your kid for a swimming event. Also, the parent can select various meet from the top bar to view the events that he has signed up. 12 Mobile View: d) Checkout This page contains the total amount that you have to pay to the swimming organization based on the events signed up. 17 2.2 For the Head-Coach: a) Login Select the Coach radio button and enter the valid Username and Password to login to your account. Desktop View: Tablet View: UM_IOC3_S13b_T03_V Version Date: 12/04/17

18 Mobile View: b) Upload PDF Desktop View: Click on Upload PDF to Upload a Swim Meet PDF. Click on Select File to choose a PDF format file from your Desktop/Mobile/Tablet. Select a deadline. Note: You cannot continue without selecting a deadline. As a Head-Coach you can change the deadline (this feature will be shown in later sections). 20 Mobile View: c) Remove Meet You can also remove a meet from the list if the list becomes too long or that meet is no longer needed. Click on Delete to remove the meet from the list. Note: If a meet is removed, the parents will not be able to sign-up for the events of the meet. Please remove the meet only if is absolutely necessary. In case of any issues, contact the maintainer. 28 g) Add Event Click on Add Event button to add an event to the meet. This functionality will be used in two cases: i) When an event is not extracted from the PDF. ii) A new event (that is not mentioned in the PDF) needs to be added to the meet. UM_IOC3_S13b_T03_V Version Date: 12/04/17

30 Mobile View: h) Edit Signups i) Click on View Report to see the signups for the events. ii) Click on Delete icon to remove a signed up events from the list. iii) Note: Removing a signup cannot be reversed. 34 3. Frequently Asked questions 3.1 Parent: o o o o o o o o Can my kid use the website to login and signup for the event? Yes, he/she can use the website as well. Just make sure to follow the steps provided in Section 2.1. Can I see my signed up events if I login to the website some other time? You can see them whenever you will login (unless you have removed them of course). Can I signup my kids for multiple swim meets at the same time? Yes you can do that. Just make sure you select the right swim meet and the corresponding events. Why can I see only see a handful of events from the meet? Your kid is not eligible for all the events in the list. The events shown are the ones for which your kid can participate. I cannot login to my account. Please ensure that you are following the steps provided in Section 2.1.a and that you are using valid credentials. If you cannot login even then, contact the maintainer. I forgot my username and/or password Contact the maintainer to get the username and/or password. I cannot add more events to the cart. It says You have reached the maximum number of event signups. Your kid can only participate in a limited number of events. This number is decided by the Swimming organization. All these details are given here: PHOTO HERE Can I login using devices other than laptops. Yes, you can login using mobiles and tablets. 35 3.2 Head-Coach: o o Can upload the.doc version or any other file extension of the Meet PDF No you MUST upload only the PDF version of the Swim Meet. Can I upload the same Swim Meet PDF? Technically you can upload the same Swim Meet PDF again but the website will give a message File already uploaded. o o o I want to add new events to the Swim meet. Refer to the Section 2.2.f. I want to change the deadline due to unavoidable circumstances? Yes, you can change the deadline Step1: Select Meet Info Step 2: Set the deadline in the Sign Up deadline field. Refer Section 2.2.e for more details. Can I see the deleted Swim Meet again? Once you have deleted the Swim Meet you cannot see in your meet list.
