1 TimeRewards Software, Inc Outlook Interface for Timesheet Entry Introduction and Prerequisites TimeCard for Microsoft Outlook is an add-on application for TimeRewards timesheet entry. If you do not have a user id and password for TimeRewards, please contact your administrator or visit for more information. With TimeCard you plan and report your time inside your Outlook Calendar. Once installed, you can use the software without an internet connection, but you will need a net connection to submit your timesheet entries to your administrator. Note: All screenshots in the manual are taken from a PC with Microsoft Windows Vista or 7 and Office 2007 (English version), but TimeCard also works with all Office versions from 2000 and with the most common operative systems (such as Windows XP and 2000) Install Download the software from exe and double click on the downloaded file to start the installation Once the installation is finished, Outlook will open with two new buttons in the Calendar view. Note: if the two new buttons do not appear automatically, then re-boot your computer and open Outlook.

2 Click on the Personal Setting link on the Outlook TimeCard toolbar. This will open the Personal Settings form. Click on More Enter the following information EZ location: Enter UserId: Enter your user name Password: Enter your password here Last Update Date: Leave this as 01/01/2000 Clink on Download from EZ button. This downloads all your customer, project/jobs, and task information from TimeRewards. The status window shows you progress of download

3 The customer tab lists all customers you are authorized to track time against. You can select the customers you want to work with by checking the checkbox next to customer name. You can always come back change the selection at anytime The task tab lists all tasks you are authorized to track time against. You can select the tasks you want to work with by checking the checkbox next to task name. You can always come back change the selection at anytime If you track Billable and Non Billable time, click on the Billable tab and select both the options Note: This tab may not be visible, your system administrator decides if this tab is available

4 Click OK to complete the set up Track Time Create a new appointment like you normally would to create a regular appointment. The Time Card task bar will appear in the ribbon of the appointment if you use Outlook In earlier versions of Outlook, the task bar will appear in the upper part of the appointment Note: If you do not see this task bar, close and reopen Outlook 1. Select the customer, task, and billable option 2. Enter Subject information 3. Select Start and End time 4. Enter detailed notes if required 5. Save the appointment The appointment will appear in your calendar. When you select the appointment the associated timesheet information is displayed in the tool bar

5 Report Time When you are ready to submit your time, click on the Report your appointment button Note: If you get a message Unable to start the MS Office Web Components! Click Yes to download this tool from Microsoft s web site. The report your appointment window displays a list of timecards available to report. Click OK to report these appointments to TimeRewards. If you do not see your appointment here: 1. Change the From and To date to include your appointment date 2. Select All appointment instead of Marked appointment and click on Get Values. Note: Only Marked Appointment can be reported. Marked appointments are appointments that have all necessary Customer, Task, and Billable information filled out. Once appointments are reported to TimeRewards, the Posted column displays the report date instead of Not Posted Thank you for taking time to review our document.
