5 INSTALLING PAYGLOBAL EXPLORER

6 Table of Contents Overview This document serves as a guide to installing PayGlobal Explorer at sites. PayGlobal Explorer is a simple system for entering timesheet data. Eurest (Australia) Pty Ltd has chosen to implement Explorer at each of their sites to automate the timesheet entry process. The installation of PayGlobal Explorer is straightforward and users can follow default settings throughout the process. After installing from the CD, a small application is run that identifies each site to the main PayGlobal server. After this process PayGlobal Explorer can be used for submitting timesheets to payroll. What you need to run this process The PayGlobal Explorer installation CD. Your new 6-digit site code. The from the PayGlobal Project Team, with subject PayGlobal Explorer installation. About 30min! 7 Installing PayGlobal Explorer Installation You can expect this process to take about fifteen minutes. Installing the software Step One 1. Exit out of all programs currently running on the PC. Step Two 2. Place the CD in the CD drive. The label should be facing up. 3. Double click the My Computer folder to open it. 4. The My Computer folder will open. Double click on PG_Explorer. 3

8 Installation 5. Double-click on the installpayglobalexplorer icon. The Installation Wizard will commence. Step Three 6. The installation will commence. The first screen should look like the following. Click Next to continue. 4

9 Installing PayGlobal Explorer 7. The second screen looks like the following screenshot. Read the End-User Licence Agreement. If you agree with the terms and conditions of using PayGlobal Explorer, click on the I Agree radio button. Click Next. 8. The Choose Destination Location screen below will display. Click Next to install in the default location (please do not change this!). 5

10 Installation 9. The Select Components screen below will display. Click Next to continue. (Please do not change this setting.) 10. The Select Program Manager Group screen below will display. Click Next to continue. (Please do not change this setting.) 6

11 Installing PayGlobal Explorer 11. Click Next to complete the installation of PayGlobal Explorer. 12. The system will now install PayGlobal Explorer from the CD to the PC. This process is very fast, and should take only a few seconds. 7

12 Installation 13. At the conclusion of the install, the Installation Complete screen will display. Click Finish, and the Installation window will close. 14. Now close the PG_Explorer window below by clicking the button in the top right corner. This concludes the first part of the installation. 8

14 Installation 2. This will open Internet Explorer (you may be prompted to connect to the Internet first), and display the following page. 3. Click in the Site Code field and type in your site code. If you are not sure what your new site code is, please contact your Area Manager. Now click Next. Note: the screen below is a sample only; please enter your own site code not the example below! 10

15 Installing PayGlobal Explorer 4. The screen will display your site s name. Verify that this is your site if so click Next. If not, please contact your Area Manager to get the correct site code. 5. The screen below will appear. Click the check box beside Run this program from its current location. 11

16 Installation 6. Click OK. When the following screen appears, click Yes to continue. Step Two 7. A screen similar to the picture below will appear. Click Unzip to continue. 8. After a couple of seconds the following screen will appear. Click OK. 12

17 Installing PayGlobal Explorer 9. You will be returned to the screen below. Click the button in the top right corner to complete the task. 10. You will be returned to the screen below. Click the button in the top right corner to complete the task. 11. Close the connection to the Internet. To do this, click the right mouse button over the icon in the bottom-right of your screen. 12. The following menu will display. Click Disconnect. PayGlobal Explorer is now configured with your site details. The next section of this document will lead you through logging in for the first time. 13

19 Installing PayGlobal Explorer Logging in for the first time This step will run you through setting up each user for PayGlobal Explorer. Most sites will require only two users one for the site manager, and one for the site area manager. However, up to five are available, so that you can give access to others at your site. Please discuss this with your Area Manager. Make a note here of each person at your site (including your Area Manager) who will have access to PayGlobal Explorer. Use the first user, USER1, for the site manager, and USER2 for the area manager. User Name Position USER1 USER2 Site Manager Area Manager USER3 USER4 USER5 Now go through the following process for each user. Step One Start PayGlobal Explorer 1. Click the Start button in the bottom left of your screen. 2. Click Programs. 3. Click PayGlobal. 4. Click PayGlobal Explorer to start PayGlobal Explorer. 15

20 Installation Step Two Log in to PayGlobal Explorer 5. PayGlobal Explorer will start, and present a log in screen. The last user to log in will display (the first time you start Explorer, this will be Z as below). 6. Click the down arrow button to see a list of users. 7. Click on USER1 to set that user s password. Please do not click on the Z user this is for Helpdesk use only. 16

21 Installing PayGlobal Explorer 8. Click in the Password field. Type NOTSET and click Ok to continue. 9. An information box will appear to let you know you need to change your password. Click OK to continue. 10. In the Old Password field, type NOTSET. 17

22 Installation 11. Click in the New Password field. Now type in a password of your choice. It must be at least five characters long, and it does not matter if it is in upper or lower case. 12. Click in the Confirm new password field. Now type in the same password again. Click OK to continue. 13. An information box will appear to tell you the password has been changed. Click OK. You have now successfully logged into PayGlobal for the first time congratulations! The final section in this document will lead you through downloading the current list of employees for your site. 18

23 Installing PayGlobal Explorer First synchronisation The synchronisation process downloads the current list of employees for your site. This step takes you through synchronising for the first time. It is a good opportunity to ensure all of the employees that work at your site are available for timesheet data entry. Step One Synchronise PayGlobal Explorer 1. Click the Synchronise button on the PayGlobal toolbar. 2. PayGlobal will connect to the Internet and download data for your site. The download can take up to a minute or two to complete. Note: if your computer is not already connected to the Internet, you may be prompted to connect first. Make sure you enter the password to connect to the Internet, not your PayGlobal Explorer password. 3. If you receive an error while submitting, try again in a couple of minutes. If many sites are trying to synchronise or submit at the same time, occasionally the connection is not established. If you continue to have difficulties, contact the Helpdesk. 4. When finished, if the employees for your site are not shown, click the next to your site code. If you employ pooled casuals, they will be shown under a separate site code (in the example below, site CAS ). Check the list and make sure these are the employees you need to enter time sheet data for if not, please contact your Area Manager. 5. Close PayGlobal Explorer by clicking the in the top right corner. 6. Close the connection to the Internet. To do this, click the right mouse button over the icon in the bottom-right of your screen. 19

24 Installation 7. The following menu will display. Click Disconnect. Congratulations, you have completed the installation of PayGlobal Explorer! 20
