4 PDFs Press-Ready Pdf Preparation Press-Ready PDF Generation To avoid confusion, we refer to a PDF file which contains one page as a single-page PDF and a PDF file which contains multiple pages as a multi-page PDF. Single-page PDF files should be given a name which corresponds to the document page number. Submitting multi-page PDFs can cause issues with imposition and makes uploading correction pages difficult. If you have any questions about naming conventions, please ask your CSR for more information. There are a number of solutions for creating single-page PDF files: Print each page separately: Time consuming but cheap and accurate. Print a large multi-page PDF file, and separate in Acrobat: Only works with Acrobat 7 and above. Open the file and go to Document/Extract Pages..., then select Extract Pages As Separate files. You may have to rename the files if the automatic naming in Acrobat doesn t work for your particular document. Exporting from Adobe InDesign Once you have loaded the settings specific to your version of InDesign (see below), you are ready to export your layout as a PDF file. To create a single-page PDF file, go to File/Export... Name the file, browse to where you want to put it, and make sure you are creating an Adobe PDF (Print) PDF file. Click the Save button. In the next window, select your newly loaded PDF export setting in the Adobe PDF Preset drop-down menu at the top. Do not change any other settings, except to choose the page that you will be exporting (If you choose to export all pages and extract them later, then select the all pages option). Click the Export button. Continue until all pages have been exported. The.joboptions file described below can be downloaded from our website. Go to Adobe InDesign CS4, CS5 & CS6 Go to File/Adobe PDF Presets/Define Click on the Load button and browse for the.joboptions file on your desktop. 5 PDFs Exporting from Quark Xpress QuarkXPress 8 It s recommended that you send in some test files before preparing all of your PDFs in order to ensure compatibility. Download QuarkXPress 7 You can Export directly from QuarkXPress 7 with these settings. To load the settings, once you ve downloaded and unzipped the file, Open XPress and go to Edit/Output Styles and click on the Import button. Browse for the file that you unzipped. To export a PDF, go to File/Export/Layout as PDF and select the Trend PDF settings in the drop-down menu at the bottom of the page. Download Other layout applications Many applications let you create PDF files; use these with caution. Most cannot create a press-ready PDF file that we can use, as they may not embed fonts, use the CMYK color space, or add crop marks. However, if your application has an option to create a PDF/X1-a file, then use that. If you are not sure if your application can create a usable PDF file, then please contact us as soon as possible so that we can test what you have. Generic Distiller Settings Some applications cannot create a PDF file at all, but can create a PostScript file, which you can then Distill into a PDF file if you have Acrobat Distiller. You can download the a.joboptions file below to load into Distiller. You must first create a composite CMYK PostScript file from your layout application to make your PDF. Do not use Distiller 3 to create PDFs, as it will not embed all of the fonts in the PDF, which will negatively affect the output of your document. In Distiller 6, 7 and 8, you also have the option of creating a PDF/X1-a file. This type of PDF is compatible with Roberts workflow, so feel free to use it. Roberts Quality Printing, Inc. DECEMBER

6 PDFs Pdf File Naming Conventions To keep files organized, it s best to be sure that the file name corresponds to the page. The PDF for page 2, for example, would be called 02.pdf. If your project has more than 100 pages, add an additional leading 0 to files 1-99 (e.g., 003.pdf, 019.pdf, 099.pdf, 120.pdf). Covers are typically named FC.pdf (Front Cover), IFC.pdf (Inside Front Cover), BC.pdf (Back Cover) and IBC.pdf (Inside Back Cover). If you need to add versioning, zone, or other information to the file, that should go before the page number. For example: Zone1_02.pdf, Zone1_03.pdf, Zone2_02. pdf, etc. Additionally, if files are being transferred via InSite, please add the following additional information to the file name: CMYK files: File names should end in _4c.pdf (e.g., 002_4c.pdf) B/W files: File names should end in _BW.pdf (e.g., 002_BW.pdf) CMYK+Spot color files: File names should end in _Spot.pdf (e.g., 002_Spot.pdf) 2-color files: File names should end in _2c.pdf (e.g., 002_2c.pdf) Other workflows: Contact your CSR or technical specialist to determine the correct file naming convention. 7 Log-in Mac: Use Safari, Firefox & Chrome PC: Use Internet Explorer, Firefox & Chrome Add this site to your favorites or bookmark it for easy access later. Enter your username, your password & click Login. } Note: Turn pop-up blocker off. Turn cookies on. If you are unable to login successfully, click System Diagnostics to check the system requirements. The most common problem is that Java has not been updated. System Diagnostics will instruct you on how to update Java. If you are still experiencing problems, review our troubleshooting guide or call for assistance. Note: If you get a pop-up window asking you to 1. Show Certificate, 2. Don t Trust or 3. Trust, click on the Trust button. We suggest that you add insite.robpri.com to the exceptions list, under the Security preference pane, of your specific browser. Your password can be retrieved if it is forgotten. Click Forgot Your Password. Enter your username and click My Password. Your password will be ed to you using the address used to setup your account. 8 Upload Files Click on the Create Job button to create a new job. Name the Job. Then click the Create button in the lower right of the screen. Click on Upload Files. If the Kodak verify certificate appears you must click Trust. Note: Files cannot be uploaded across a network or from a CD or DVD. Name the Upload. Drag your file folder/pdf into the bottom window OR Click the Plus button to browse to the file you want to upload. Note: Folders should be stuffed to protect the files. Click on the Upload button once you have placed all the files in the bottom window panel. The progress bar will appear when the upload starts. 8 DECEMBER 2013 Roberts Quality Printing, Inc.

9 When the file is done uploading > Click Close. Do not cancel the window even if it says 100%. Wait until the Close button appears. Click on Jobs to return to the list of jobs you have access to OR Close your browser to log off InSite. This will return you to the job home. Roberts Quality Printing, Inc. DECEMBER

10 Using Preview Please use Preview to view, approve and reject pages. Preview will allow you to view pagination and view your high-res PDFs for content. Log into InSite > make sure the Summary tab is selected Select the Preview button. A new window will open launching your digital blueline. This flash animation will turn the pages similar to having a 3-dimensional book in page order. You can turn the pages by using your mouse to click and drag OR using the arrows at the top of the screen. 10 DECEMBER 2013 Roberts Quality Printing, Inc.

12 Approving Pages You will receive an notification when your files are ready for approval. Approving pages online is your final ok to proceed to print. Once all pages have been approved your job will move forward to be plated. You cannot approve pages unless you have been assigned as an Approver. Pages may be approved in either Preview or SmartReview. Please use Preview unless you are using SmartReview for color calibrations and densities. Roll the mouse over the arrows on the far left and right side of your screen to approve or reject single pages. Click Approve Page - Approves a single page You are about to approve 1 page - click OK. Click Reject Page - Rejects a single page. A field for comments about the rejected page also appears. You are about to reject a page - click OK. 12 DECEMBER 2013 Roberts Quality Printing, Inc.

13 While in Preview, you may approve the entire job at one time. If you have previously rejected any pages before clicking on the Approve Job button, they will NOT be approved. Click the Approve Job button to approve the entire job. Confirm that you want approve all pages by clicking OK. To check approvals, navigate back to the Summary tab. 14 SmartReview In SmartReview you may view pages, page separations, and preflight information, as well as make annotations. Pages are not always in correct page order. 16 Sending in Correction Pages Corrections should be sent in in single pages. Do not resubmitt every page - ONLY corrections. Name the PDF using the page number and indicate it is a revised page. Below is an example of a new page naming convention. Buyers_Guide_04_2C_new.pdf Buyers_Guide_IBC_Spot_revised.pdf *You do not need to create a new folder to upload new pages. You may upload corrections into the job folder or the folder you previously created for the original upload. If you have any questions or problems with InSite, please contact us. 17 InSite Troubleshooting 1) Try emptying web browser and / or Java caches For Mac OS X users: To empty web browser cache and cookies Within Safari a) Choose Safari > Preferences > Security tab > Show Cookies > Remove All > Done For v5.1 or higher: Choose Safari > Preferences > Privacy tab > Remove All Website Data... > Remove Now b) Choose Safari > Empty Cache > Quit Safari (Not available in v6) For Mac OS X users: To empty JAVA cache Close web browser, then go to /Applications/Utilities/Java For Tiger (10.4.X) a) Open Java Plugin Settings > Cache tab > Clear JAR Cache > Quit b) Open Java Plugin Settings > Cache tab > Clear > Yes > Quit c) Go to /Applications/Utilities/Java/J2SE 5.0. Open Java Preferences Within the General tab under the Temporary Internet Files section choose Delete Files. Check all 3 and OK then Quit. For Leopard (10.5.X) a) Open Java Preferences. Within the Security tab, click Delete Files..., check Applications and Applets and Trace and Log Files then OK. b) Click Show Cache Files... A Java Cache Viewer dialog appears. Within the Show Applications drop down list, if there is anything listed, click on one, then Apple A to select all, then click the X icon above. Do the same to the Show Resources list. c) Quit Java Preferences. Try Insite again and respond trust or yes on certificate. For Snow Leopard (10.6.X) and Lion (10.7.X)*, and Mountain Lion (10.8.X)* a) Open Java Preferences. Within the Network tab, click Delete Files..., check Applications and Applets and Trace and Log Files then OK. b) See parts b) and c) of Leopard (10.5.X) above. * Java Preferences.app may be gone, please refer to item #5 for Mac details. For Windows users: To empty web browser cache and cookies Within Internet Explorer Tools > Internet Options > General tab. In the Temporary Internet Files section, Delete Cookies then Delete Files... Select Delete all offline content then OK. Quit Internet Explorer. For Windows users: To empty JAVA cache a) Close any web browsers, then: If Windows 2000: Start > Settings > Control Panel > JAVA If XP/Vista/Win7: Start > Control Panel > JAVA (If not there, click Switch to classic view ) b) Within the General tab under Temporary Internet Files section click Settings... c) Then Delete Files... Check Applications & Applets and Trace and Log Files then OK d) Within the General tab under the Temporary Internet Files section, click View... then within the Show Applications drop down list, if there is anything listed, then click on one, then Ctrl A to select all, then click the X icon above. Do the same to the Show Resources list. e) Close JAVA control panel. Try Insite again and respond trust or yes to certificate. Roberts Quality Printing, Inc. DECEMBER

18 2) Gather other information within Insite a) You can do this by either clicking on the System Diagnostics link just below the Login button or after you ve logged into Insite by clicking the wrench icon on the far top right as shown below. If dialog This applet was signed by...do you trust appears, click Trust Within about 1 minute, the diagnostics will finish, resulting in a page similar to below. 18 DECEMBER 2013 Roberts Quality Printing, Inc.

19 If the diagnostics reads OK, Enabled, Successful and Supported then your setup is complete. b) You may then click Results to the details of the diagnostics to the system s administrator as it is helpful for the administrator have this information. c) Additionally, you may want to click Click here to test your connection speed at the bottom of the page. Within a few seconds you will be presented with diagnosis like below. 3) Check / Confirm Java is loaded and sufficient Java Information Verification: For Windows users only This is a tool called Java Verifier which checks to see if Java is properly loaded. (The Java Verifier is for PC users only it is a web detection tool no software installation is required.) Installation: For Windows users only downloads html Version 6 Update 37 (This is the latest version since this document s last revision.) For Mac OS X users only For Mac users with OS X: Panther, Tiger, Leopard, Snow Leopard, Lion i.e., 10.3.X or 10.4.X or 10.5.X or 10.6.X or 10.7.X Use the Apple / Software Update from Finder on the Macintosh If needed, the Software Update will list either Java etc. or J2SE etc. Click Install. i.e. For Mountain Lion (10.8.X), Java won t be there by default but is required. ONLY refer to Item #5 below for details. Roberts Quality Printing, Inc. DECEMBER

20 4) 5) Web Browser Concerns and Notes a) For Snow Leopard and higher Safari must be ran in 32-bit mode: Quit Safari, open Applications folder, highlight Safari icon and Command i, click Open in 32-bit mode. b) AOL web browser is not supported. c) Firefox v22.0 is the latest supported version. Obtain here: d) Java 7 is NOT COMPATIBLE on Mac or Windows with our version of Insite. Please refer to Item #5 to resolve if it s already there. e) Safari v5.1 and higher is partially supported but requires the following modifications: Insite Fix For Uploading Issues After Apple Safari v5.1 Update or Greater On , Apple introduced an update for Safari v5.1 and unfortunately it introduced a bug in its plug-in that causes drag-n-drop functionality to stop working. That plug-in is also used by other browsers like Firefox. That same software also happens to break the uploading ability within Insite as if you attempt to upload you re only provided an upload dialog with the notes field present and no drag-n-drop or other below fields. Apple has no fix yet, however here is one confirmed work around: NOTE: The drag-n-drop ability, per the Apple known bug will still be unavailable. This is only for Mac users running or 10.7.X in conjunction with Safari v5.1 STEP 1) Make sure Safari is in 32-bit mode (Insite requires it to be in this mode) (Close Safari. Find the program in the Applications folder. Select Safari and Get Info [command-i]. Select the checkbox that reads Open Safari in 32-bit mode ) STEP 2) Change Java binding order (Open Java Preferences program in the Utilities folder, which is in the Applications folder. While you are in the General tab drag the 32-bit and 64-bit items for Java version 1.6 to the top of the list and make sure the 32-bit one ends up at the very top. STEP 3) Clear Java cache (See Item #5 for Lion & Mountain Lion oddity) Do manually within the Java Preferences application (Go to the Network tab and click Delete Files..., then check Applications and Applets and Trace and Log Files then OK ) STEP 4) Open Safari and navigate to Insite. The drag-n-drop screen will draw but per the Apple issue Drag-n-drop will not work BUT the Plus icon for navigation is there and does let you choose a file and successfully upload. Java 7 update prevents the use of Smart Review and uploading ISSUE: You re unable to open pages using Insite SmartReview or upload files. You may receive an error that states Unable to launch the application or Could not open SmartReview.jnlp because it is either not a supported file type or because the file has been damaged CAUSE: Java 7 is not yet compatible with Insite. RESOLUTION: FOR WINDOWS a) Verify you re running Java: You can also check Java Version by going to: Control Panel/Programs/Java/General. click About. If it says Java 7 is not installed, DON T install Java 7 as it s not supported yet. b) Uninstall Java 7 (ONLY if above states you are running it). Go to Control Panel, then Uninstall a program from the Programs section, find Java 7 and uninstall. Determine what OS type you have. If you aren t sure if you have x86 (32-bit) or x64 (64-bit) OS then simply right-click Computer and choose Properties, it will be listed under System Type. 20 DECEMBER 2013 Roberts Quality Printing, Inc.

21 Go to the following URL to download latest Java 6 (Click the correct download per System Type) downloads html c) Empty Java Cache: First close any Web Browser. Go to Control Panel/Programs/ Java/General; under Temporary Internet Files, click Settings, then click Delete Files..., make sure both checkboxes are enabled then click OK. Now reopen your browser and within Insite try SmartReview again. d) Turn off Java s Auto-Updating: Go to Control Panel/Programs/Java, select the Update tab and disable the Check for Updates Automatically, Click Never Check on next dialog, then Apply. Failing to do so will cause Java 7 to automatically install and break Insite s SmartReview again. However, in the future, you may want to re-enable this once Insite becomes compatible. Interestingly, Java after about version 1.6.0_21, changed the control panel requiring admin privileges to modify its updating thus if you don t see the below Update tab then you ll need to do perform the above using this method: 64 bit system: right click/run C:\Program Files (x86)\java\ jre6\bin\javacpl.exe with Administrator privileges 32 bit system: right click/run C:\Program Files\Java\jre6\ bin\javacpl.exe with Administrator privileges Windows Troubleshooting (only utilize if above doesn t provide SmartReview functionality): a) In your operating system Control Panel s Association Listings check to make sure the association for (the.jnlp extension) is correct. From Control Panel, then Programs, then from Default Programs click Make a file type always open in a specific program, then scroll down to the.jnlp extension and make sure it says this:.jnlp -- JNLP File Java(TM) Web Start Launcher. And when you highlight the.jnlp extension and click Change Program Open With dialog that extension.jnlp should say the same thing. If they each are correct and the same then click Cancel to close the dialog. Proceed to STEP C. If they aren t Proceed to STEP B to resolve. b) Associate the application for use with.jnlp files. Go to Start (the large circular Windows Icon), then All Programs, then Default Programs, then highlight.jnlp extension, then click Change Program and browse/navigate to Program Files\ Java\jre6\bin\ and choose javaws. The directory might be different if you re using a different version of Java. If your associations say Java(TM) Web Start Launcher : Proceed to STEP C. If you re unable to get them to say that: Proceed to STEP D. c) Open browser now to see if SmartReview properly opens and display pages Clicking page presents popup stating Do you want to open or save SmartReview. jnlp. Click Open The next popup states Do you want to run this application? Click Always trust then Run to continue If you get popup stating Windows can t open this file then choose Select a program from a list... and go to the application noted in STEP A. d) ONLY if you re unable to get the association to say Java(TM) Web Start Launcher after you are SURE you are clicking on javaws do this: Remove the corrupted.jnlp association. It s possible the association for the.jnlp file extension got garbled and won t let you add the proper javaw app. Be sure you ve uninstalled Java 7 and installed Java 6 update 37 and disabled automatic updating. From the following URL: Download unassoc.zip, unzip it, run unassoc.exe, find/ select the.jnlp file extension from the list, highlight it, then click Remove file association Roberts Quality Printing, Inc. 22 RESOLUTION: FOR MAC ISSUE: The latest Java update from Apple and Oracle (Java 7) for Mac OS isn t compatible with Insite and breaks Smart Review and uploading functionality and removes the Java Preferences.app.»» If the Mac prompts you to install Java runtime or Web Start, don t do it.»» ONLY utilize the below methods to install an Insite-compatible Java. RESOLUTION: (Java is required for Insite Smart Review functionality) These instructions will install Java for OS X (1.6.0_35), which is compatible with Insite. It overwrites Java for OS X (1.6.0_37) and uninstalls Oracle JRE 7 if they exist. 1. Clear Safari browser and Java cache. Refer to Step #1 (page 17) of this Troubleshooting Guide. 2. Open /Applications/Utilities/Terminal.app and type the following followed by admin password: /usr/bin/sudo rm -fr /Library/Internet\ Plug-Ins/JavaAppletPlugin.plugin Note: It may not be there as it s part of the Oracle Java 7 install but this is done in case it does. 3. Download Java for OS X (1.6.0_35) installer (JavaforOSX dmg) 4. Double-click the JavaForOSX dmg to mount it. a. First quit Safari if open, then try to install by clicking on the JavaForOSX. pkg within BUT if you get an alert stating A newer version of this package is already installed then click Close, then goto Step #4b -- If it did allow you to install it then proceed to the Step #5. b. Since it detected a previous version you ll have to use a program called Pacifist to install it. -- Download it: cgi?type=dmg -- Quit Safari after downloaded. c. Double-click the Pacifist_ dmg and drag Pacifist to your desktop or Applications d. Double-click Pacifist to run, then click Open Package, navigate to the JavaForOSX dmg and select it s JavaForOSX.pkg within. e. Once it loads then highlight Contents of JavaForOSX.pkg, then click Install -- If anything comes up stating File already exists then click Don t ask again and click Replace -- One may come up with the a defaulted Update button BUT DON T click it -- ONLY click Replace. -- This process should take about 3 to 5 minutes 5. Confirm required settings below before attempting Insite functionality. a. Open /Applications/Utilities/Java Preferences.app, and make sure the Enable applet plug-in and Web Start applications is clicked, then close app. Quit Safari if open, then open Applications, highlight Safari then Command i, click Open in 32-bit mode. You are good to go! To confirm you can: Open page in Smart Review and perform an upload by clicking that dialogs + icon to navigate to your desired file(s). 22 DECEMBER 2013 Roberts Quality Printing, Inc.
