3 Contact Us Profile User s Guide Overview With this AccountLink Advantage (ALA) User s guide, you should be able to access your account summary, payment and billing information, energy usage, preferences, and a wealth of additional information. To begin, navigate to kcpl.com and use your username and password credentials to login. Once logged in, you will be on the Account Summary page with your personalized information as well as main navigation items to help direct you on your ALA User s Guide Journey! Accounts Account Summary From the Account Summary, you will be able to see a wealth of information related to your account in an overview format. Information will include Account & Billing Info, Reports, Yearly Energy Information, and KCP&L contact information. If an account is associated with a KCP&L
4 Energy Consultant, that information will display. Hyperlinks should navigate the user to that subsequent page. A search box should display in the upper right corner that allows end-users to search by account number, address or meter. The bright orange Pay Bills button should be prominently displayed next to Account & Billing Info, when clicked should navigate you to the Pay Bills page with accounts filtered by due date. If not enrolled in electronic payments, then the user will still need to go to the Payment Setup page to provide bank information. Begin typing directly into the search box to see a dropdown of pre-populated items. The dropdown items should be organized by Accounts, Addresses and Meters. Selecting an item will navigate you directly to that detail page. Pay Bills - Accounts by Due Date
5 For an overview of pending bills, select Pay Bills from the Accounts dropdown, or click the Pay Bills button on the Account Summary page. From here, you can see a list of accounts by due date - a user can also choose to filter Accounts by Category. You have the option to filter by specific dates vs all dates from the dropdown. If you click the Print icon, a printable version of the table will open in a new tab. Depending on the type of account (credit/debit), different column headings should display. Each column heading is sortable when the user clicks directly on the arrow icons located next to each column heading. At the bottom of the page (if there are more than 10 results) pagination should display. You will be able to select between 10, 25, 50, and 100 results to display on a single page, as well as the option to navigate between pages. Authorize for Payment/Pay Bills Click the 'Authorize for Payment' hyperlink next to an individual account ( Pay Bills hyperlink if it is Debit). This should navigate you to the Authorize for Payment (Or Pay Bill for Debit) process.
6 Step 1: From this page, select the accounts you want to authorize for payment. The accounts that are authorized will be marked with a checkmark next to each account. Clicking 'Select All' and 'Clear All' will allow for you to select and de-select all accounts. Users can manually enter the amount they wish to authorize for payment in a text box field. A dropdown of dates will allow for you to select specific times to display. A pending authorizations table will display for payments that are pending. Click Continue to move onto the Authorization Review step. Step 2: You will be navigated to the Authorization Review page, that allows you to review the payment amount before authorizing pertinent information such as Account - Description, Address, Current Bill, Account Balance, and Payment Amount will display. Clicking Change will navigate you back to the Select page. Clicking Authorize Payment will navigate you to the Confirmation Page to confirm to the user that the payment has been authorized.
7 Step 3: On the third and final step, you should be on the Confirmation page where an Authorization Receipt will display. A confirmation message is shown in a green box at the top of the page. If you click the Print icon, a new tab will open in a printer-friendly version of the Payment Summary table. Clicking the 'Authorize Another Payment' hyperlink will navigate you back to the Accounts by Due Date table to select another account for authorization. Accounts by Category For an overview of accounts sorted by category, select the Accounts by Category from the Accounts drop-down menu, which will navigate you to important information such as Accounts, Amount Due, Category Name, and Category Description. From the drop-down menus, users have the option to sort by All Accounts, or by Due Date. The other drop-down will allow you to select individual categories.
8 Click on a Category Name (either from the drop-down, or the hyperlink in the table). This will filter the accounts within that category, with relevant information on Account Number, Address, Description, Bill Due Date, Current Bill, and Account Balance. Click the Select/Order Columns for report link. The Select/Order columns for report link will navigate you to the Column Selection page. From here users can drag and drop columns to be included/excluded. The ordering of the columns can also be decided by you and your preferences. Click Save once the ordering has been complete.
9 Accounts Information Reports Overview To view reports for an individual account, click on the individual account hyperlink from the Accounts by Category page (as shown above). From here, you can choose to view reports for Current Charges, View Bills, Payment History, and 24-Month Comparison on an individual account. Users can select that account from the dropdown. Current Charges Report Viewing Current Charges for an individual account will display relevant notifications, address, service, usage and amount. An Understanding My Bill hyperlink will display, when clicked will navigate you to the Understanding My Bill page on kcpl.com which provides helpful tips on how to read your KCP&L bill including an explanation of all billing details. There is separate information for Missouri and Kansas business customers.
10 View Bills The View Bills page will display relevant bill information. Click the date hyperlink or download icon to have the bill open in a new tab. Relevant bill inserts should display as a link within the same row as the bill date. Bill inserts, when clicked, should open in a new tab. Payment History Payment History displays relevant payment history information for that individual account. From the dropdown menu, you can select different accounts to view for payment history. Date, Description, Amount, and Balance will display for the entire payment history. Click the 'Payment' hyperlink in the description to open a tooltip that will display additional Payment Details information including the bank account used and the confirmation number. If an Energy Consultant is associated with an account that information will display along with the Business Center information.
11 24 Month Comparison This page provides an accurate comparison of your monthly usage from the Current Year to the Previous Year. The graph is color coded and allows the user to view trends over a 12-month period between the two years. Each year will have statistics to easily compare between the two as they are side by side. The Select / Order columns for report feature is also available for you to easily sort columns. Printing and Downloading capabilities are conveniently located on the page as icons directly below the graph. All Accounts Navigate to the All Accounts page from the dropdown menu Accounts > All Accounts. A listing of all accounts should display with account number, address, description, due date, current bill, and balance information. Individual account reports can be accessed (see above) by clicking on
12 the account number link in the table. The Select / Order Columns functionality will also be available on this page where users can choose to include/exclude columns and dictate the sort order in which the columns will display. Download and Print icons allow the user to download or print account information respectfully, as well as pagination where you can conveniently choose to display 10, 25, 50, 100 results per page. In the search in the upper right-hand corner, you will be able to search accounts by account number, address, and other relevant information. Begin typing directly into the search box and notice how the accounts that display on the page should update in real time, allowing for an intuitive search experience among accounts. Download Bills Navigate to the Download Bills page, from the Accounts dropdown menu. From here you have the option for recurring downloads vs one-time downloads. Click the Recurring Downloads link.
13 Recurring Downloads From here, you can choose to generate daily, weekly, or monthly billing files for the accounts you select. Use the radio buttons to select the file you would like to generate and click 'Create'. You will then be navigated back to the Download Bills page where the Recurring download displays. Information such as the Timeframe, Status, Size, and Created will display. You can Change or Delete the existing Recurring Download. Additional Recurring Downloads can be added to the page. Next, Click on the One-Time Download.
14 One-Time Downloads From here, the you can choose to select a one-time download from the Current Year, Last Year, or Custom Timeframe using radio buttons. A dropdown will allow users to select different accounts. From the Custom Timeframe, users will have the option to choose a custom Start and End time. After selecting the desired preferences click Create. The Recurring and One-time Downloads should now display to the user on the Download Bills page. The Change link will allow users to edit the download, while Delete will remove the respective download. Payment Receipts
15 Navigate to the Payment Receipts page by clicking on the account number. In a list format by date and account, all payment receipts should display. Click on an individual payment receipt link to navigate to a receipt for more details. Payment receipt details should display with complete details. A Print icon will allow you to easily to print the details page by opening a new tab. A Payment Summary and Payment Details table will display. The dropdown will allow users to select from different payment receipts. Pending Payments Navigate to Pending Payments from the Accounts dropdown > Pending Payments if the account has associated pending payments. Payment Status, Reference Code, Payment Amount, and Date & Time information will display. You can change the ordering of the columns by clicking the columns next to each column heading. Clicking View Completed Payments will navigate you to the Payment Receipts page. Next, select the reference code link within the table.
16 Clicking the reference code will navigate you to the Authorization Receipt page for that payment. A GMO Payment Summary and Payment Details table will display. Click on the Print icon in the upper right corner to have a printer friendly view of the page open in a new tab. Usage To navigate to the Usage pages, simply click the Usage dropdown and navigate to either Energy Usage, Benchmarking, Download Reports, or Other Reports. Energy Usage Navigate to the Energy Usage page from the Usage dropdown. The Energy Usage page conveniently displays energy usage information for the user. When accessing the page. it defaults to open with monthly information. The user can also access Daily, Hourly and 15 Minute data. The weather line graph can easily be turned On/Off through a toggle in the upper right-hand corner. When turned on displays weather information in degrees Fahrenheit. Different accounts can easily be selected from the dropdown.
17 Click on another time interval and the user can see how the graph changes to reselect that period. The table column headings will change, for example 15 Minute Trend table headings will update to display time, Date, kw, and Temp. Directly below the graph is a search bar. Begin typing directly into the search and notice how the table intuitively updates the results to display information relevant to your search in real time. You also have the option to download 14 or 25 months of energy usage information as well as utilizing the Print icon to open a printer friendly page in a new tab.
18 Benchmarking Navigate to the Electric Service Benchmarking page by clicking Usage > Benchmarking. This page will allow you to compare energy statistics for a selected building to other buildings with similar characteristics. Address, Account, Rate Code, Building Type, and Square Footage columns display. The columns are sortable by clicking the up/down arrow next to each column heading. The orange Run Benchmark button will display next to the address in each row. The green Update Accounts button will display in the upper right-hand corner of the table. Click on the Update Accounts button. Update Accounts
19 From the Electric Service Benchmarking page, the user can choose to update the Building Type, Description, and Square Footage. Once the updates have been made, click Save. Run Benchmark If you choose to Run Benchmark, it will compare energy statistics for the selected building to other buildings with similar characteristics. A selected account table and your other accounts tables will display. You can manually choose different options from the dropdown and click Refresh to update the comparisons.
20 Download Reports The Download Reports page will display Billing and Usage Data Reports available for Download. Up to five years of data is available. Billing Data Reports include bill date, kwh, kw and amount due. Usage Data Reports include bill date, bill amount, facilities demand, demand, kwh, average kwh daily, average kwh cost, load factor, HDD (Heating Degree Days) and CDD (Cooling Degree Days). Click on All Accounts. Billing Reports for All Accounts From here you can conveniently select a date range for downloading the billing report. Click Submit to download. The results are presented in Excel. Other Reports
21 Navigate to the Other Reports page by clicking on Usage > Other Reports from the dropdown. The page should display links within three categories: Current Billing, 12-Month Summary, and 24-Month Comparison. When the links are clicked, it should navigate you to that respective report. The All Accounts link will display the number of accounts in parenthesis. Energy Consultant will display in the right column if an energy consultant is associated with that account, along with contact information for the Business Center. Preferences To navigate to the Preferences pages, click on the Preferences dropdown. This will allow the user to select from Alerts, Outage Alerts, and Paperless Billing pages. Alerts Navigate to Alert Preferences by clicking Preferences > Alerts. This page gives a complete overview of your Alert Preferences and their current settings. Billings & Payments, Services, and Other Communications can all be managed by you. You can easily set your preference for each individual item by clicking the On/Off toggle within the column. Each alert contains its own tool-tip to help you understand the information that applies to it. By clicking the tool-tip, a definition of the alert is provided. The user can easily change their directly on the page, and the Manage link takes the user to the Profile page. The user must click Save to save their settings and preferences.
22 Outage Alerts Navigate to the Outage Alert Preferences page, from here you can select the Outage Alert preferences you wish to be notified for your account. You can select the preferred contact method text, voice or .
23 Paperless Billing The Paperless Billing page provides the ability to enroll or unenroll from Paperless Billing. The accounts you select will receive electronic bills via instead of paper bills via the U.S. Postal Service. The On/Off toggle, View Terms & Conditions, and View FAQs will display.
24 Terms & Conditions Display Window Moving the Paperless Billing button from the off position to the on position will present the Terms & Conditions display window. The user is required to click on the Accept button to enroll in paperless billing. If you choose a category, all accounts in the category, including future accounts, will be enrolled in Paperless Billing. The option to create a new category is available via a link. Click Save to update your paperless billing changes. Admin To navigate to the Admin pages, click on the Admin dropdown and select from Users, Accounts, Categories, Accounting Codes, and Payment Setup
25 Users This page is only accessible to users with the role of Administration. Non-Administrators receive a message of Access Denied. The User Administration page provides access to create new users and update existing ones. A list of users displays on the user administration page with the option to Reset Password. Clicking reset password sends an to the user with step by step instructions to reset their password. Also, Download and Print icon displays on the page in the upper right-hand corner of the page as well as additional search functionality. Click the Create New User button to navigate to the create new user page. Create New User The Admin can enter all the required user information such as first name, last name, , etc. Clicking the Access Group Permissions tool-tip allows for easy identification of user permissions on a group basis. Account Access for category will display in the right-hand column where uncategorized accounts can be selected. Click Save to update changes.
26 Update Existing User Click on an individual account within the list to update all the existing user information (first name, last name, , etc.) At the bottom of the page you are also given the option to Delete User. Accounts After navigating to Admin > Accounts in the navigation menu, you will be given the ability to update existing accounts. The following information for the account can be updated: Description, Category, Accounting Code, Building Description, Building Type, and Square Footage. Click Save to update you changes. Business Center information will display in the right column (and Energy Consultant if applicable).
27 Manage Categories Navigate to the Manage Categories page by clicking Admin > Categories from the dropdown menu. From here, you can easily create new categories, or delete existing ones. Delete Category link is only available once all accounts and users have been removed. Category, Description, Accounts, and Users should display within the table. You can order each column by clicking on the arrows next to the table headings. The number of unassigned accounts, and a create new category button displays. A search box displays in the upper right-hand corner that updates results in real time. Click Create New Category. Create New Category
28 From here, you can create new categories by entering the new category name and description. Select the accounts to include in the category. Accounts can only be assigned to one category. Select All/ Clear All allows you to select all/clear all accounts. Click Save to create the new category. Unassigned Accounts Display window When the Unassigned Accounts link is clicked, it opens an Unassigned Accounts display window. Next the user should click on the Assign Account link next to the account/address that they want to assign a category.
29 Update Category Click on an individual category from the table, and it will allow you to update its information (category name, description, assigned accounts) Manage Accounting Codes Navigate to the Manage Accounting Codes page by clicking Admin > Accounting Codes from the dropdown menu. From here, you can easily create new codes, or delete existing ones. Accounting Code, Description, and Accounts should display within the table. You can order each column by clicking on the arrows next to the table headings. The number of Unassigned Accounts, and a Create New Code button displays. A search box displays in the upper right-hand corner that updates results in real time. Click Create New Code.
30 Create New Code From here, you can create new codes by entering the new code name and description. Select the accounts to include in the code. Accounts can only be assigned to one accounting code. Select All/ Clear All allows you to select all/clear all accounts. Click Save to create the new code. Unassigned Accounts Display window When the Unassigned Accounts link is clicked, it opens an Unassigned Accounts display window. Next the user should click on the Assign Account link next to the account/address that they want to assign an accounting code.
31 Update Accounting Code Click on an individual accounting code from the table, and it will allow you to update its information (code name, description, assigned accounts) Payment Setup (Default) When you have not set up electronic payments then you are presented information on all the options available. You have the following options: ACH Debit which are deducted from your bank account either automatically or as one-time payments. This can be setup online.
32 ACH Credit where you authorize accounts for payment each month and then transfer a matching payment from your bank account. This requires contacting KCP&L. EDI (Electronic Data Interchange). This requires contacting KCP&L. Payment Setup (ACH Credit) Navigate to the Payment Setup from by clicking on Admin > Payment Setup in the navigation. This will allow you to turn on ACH credit for each category of accounts you'd like to pay (if a credit account). Use the toggle buttons to easily turn credit on and off. You can Select All/Clear All to make it easier to select/deselect all category of accounts. The Weekly Payments toggle allows you to group all accounts with upcoming due dates, so you only pay once each week.
33 View ACH Credit Accounts Display window The display window will display a table depicting Accounts - ACH Credit accounts and No Online Payments accounts. Payment Setup (ACH Debit) You can choose to setup a One-time Payment or Automatic Payment option. The Payment Type and Bank Account can be added through dropdown menus. Weekly Payments toggle can be easily turned On/Off for a group of accounts with upcoming due dates, so you only pay once each week.
34 Manage Bank Accounts Display window This will allow the user to add, modify, or delete bank accounts for one-time payment purposes.
35 Terms & Conditions Display window This screen will display Terms & Conditions for Automatic Payments.
36 View Accounts by Payment Method Display window This displays in a table format by account whether they are setup for One-time or Automatic Payments, or no online payments at all.
37 Payment Setup (Enrolled in ACH Credit) Navigate to the Payment Setup from by clicking on Admin > Payment Setup in the navigation. This will allow you to turn on ACH credit for each category of accounts you'd like to pay. Use the toggle buttons to easily turn credit on and off. You can Select All/Clear All to make it easier to select/deselect all category of accounts. The Weekly Payments toggle allows you to group all accounts with upcoming due dates, so you only pay once each week.
38 View ACH Credit Accounts Display window This displays in a table format by account whether they are setup for ACH Credit or no online payments at all. Resources To navigate to the Resource pages, click the Resources dropdown for Energy Toolkit and User Manual.
39 Energy Toolkit Navigating to the Energy Toolkit will take you to the depository of Energy Talk newsletters as well as access to online calculator and benchmark tools. If the user is not registered to receive Energy Talk then they can sign up here. Contact Us The Contact Us navigation item is prominently located in the main navigation menu for you to quickly access. The Contact Us form allows you to easily send a message to KCP&L with any questions or concerns that you may have. Your should be pre-populated by default, and the message field allows you to construct a personalized message to send. Also, contact by phone and mail information is provided. In the right column, Business Center contact information will display (and Energy Consultant if associated with account).
40 Profile You can access your profile at any time in your ALA journey by clicking on the Profile icon in the header at the top of the page.
41 From here, you can manage and update all your profile information such as first and last name, , etc. Security questions can be chosen and answers updated. You also have the option to change your password by clicking the Change Password link at the bottom of the page. Once clicked, an with a link to change your password will be sent to your associated . Click Save to update your changes. In the right column, Business Center contact information will display (and Energy Consultant if associated with account).
