1 Hello and welcome to the TIE Mass Linking guide for Harris Teeter s new website! In this document you will find a step-by-step explanation of how to use the mass linking page. The actual guide start of the guide is on Page 2. Page 1 is a brief explanation of the changes. The final page of this document is an FAQ section. Why things have changed: In early 2016, Harris Teeter embarked on creating a new website. This site would function both on desktop browsers as well as mobile devices. Since these changes were site-wide, elements of the TIE Coordinator as well as the user s Together In Education section were redesigned. Summary of the changes: Old Site New Site Entries per upload ,500 Method to upload Manual entry into the TIE Coordinator section of the website Linking section our site. Linking confirmation or denial Errors when submitting Information being submitted The form on the website is filled out and submitted. Those people will see their profile updated and the school linked by the next business day. This feature does not exist in the old site. Last Name and either Phone# or VIC# Excel or CSV file. This file can be found on the TIE Coordinator Mass No changes from old site. After you upload a file, our new website will show you how many records were successfully uploaded and how many were errors. These errors are generally from missing Last Names or a phone number being too long or too short. It s usually missing data. No changes from old site. 2 Instructions for Mass Linking on New HT.com Site 1. Have your participating members fill out the spreadsheet as seen below. The form has 3 fields*. If these fields are incorrect or missing, our site will flag them upon submitting the spreadsheet. *Note: You must enter LastName. Then, enter VICCardNumber OR PhoneNumber. See example below. 3 b. Then login: 3. Once in, click Mass Link on the left: 4. Click Choose File and select your completed spreadsheet: 5. Click Open. 6. Click Submit. 7. You will now see a success message letting you know how many records were successfully sent and how many failed. You can view which failed by clicking Click Here. 4 download with those failed records. 8. In the example above, 31 records have been sent to VIC and will be processed by the next work day. In our experience, 100 records takes around 3 minutes to transfer to VIC. Harris Teeter TIE Mass Linking Guide 4 October 2016 v1.2
5 FAQs for Mass Linking Does the file have to be named a certain way? No, it can be named whatever the coordinator chooses. Do I need to save the file on my computer? Yes. The coordinator will need to save the file on their computer in order to upload. Do I need to keep the file saved on my computer? That is the coordinator s choice. You can keep the files to reference later on but our website will not archive the files. Does the file need to be a certain type? The site will accept either Excel or CSV. How many names can they have in 1 file? There is not a limit though files over 200 names will begin to take a little bit longer to load in. With that said, you could load in 1,000 names and nothing would be lost. The screen would take around 60 seconds to feed that data into our site. For the sake of load times, we recommend no larger than 2,500. Do they have to use our form or can they use their own? They can use their own but the field headers have to be the same. Where do I get the form? On the TIE Coordinator Mass Linking page here: Do I have to enter both my VIC and Phone number? No. One or the other is fine. You can enter both but it s not required. The only field that is required along with the phone and/or VIC number is the customer s Last Name. Why was an entry labeled an error?
