3 About this release Athena Software is pleased to announce the release of Penelope v EDGE. Please review previous release notes if upgrading from a version prior to Version 4.1. Crucial information regarding upgrade details specific to each version are included in the applicable version s release notes. A reverse-chronological library of Penelope release notes can be found on our help site at: This upgrade contains important security measures designed to keep your system safe. We consistently monitor and update the security of Penelope to ensure your data is protected. It is always important to stay up-to-date with the most recent version of Penelope to ensure you are using the most secure version of the software. What is an Edge Release? This is a supported version of Penelope that has both security updates as well as other features or functionality enhancements. This is helpful for organizations that want to take advantage of all the latest features added in Penelope or stay up to date with any third-party synchronizations (for example, DSS or NDIS). What is a Long Term Release? This is a supported version of Penelope that has security updates during its lifecycle but no other features or functionality enhancements. This is helpful for organizations that want to deliberately plan how they roll out new functionality according to their own timescale as opposed to when Penelope updates are available. 3 Athena Software

4 Penelope enhancements The following list represents enhancements to existing Penelope features. In most cases, little or no action is required on your part beyond reviewing the updated help materials (if applicable). General Enhancement Description Documentation New Event Location options when booking events Update to the Worker Day Sheet Report New default for State available during intake When booking a Service Event or Group Event there are new options for Event Location. For Service Events, Location can be selected as the Event Site Location, Attendee Address or Other. For Service Events with multiple Attendees or Addresses, the correct address can be selected from a dropdown. When Other is selected, workers will need to specify the location in the text field. For Group Events Location can be selected as the Event Site Location or Other. When Other is selected, workers will need to specify the location in the text field. To ensure consistency of the Event Location, Location cannot be edited at the individual level for Group Events, or for Service Events with more than one individual. Event Location data can now be seen in the Worker Day Sheet Report. Previously during intake an Individual s State (as in their address) would default to the agency s State. System Admins can now change this setting so State will default to be the same as the Site s state. 5 Individual s State will default to the state of the site where the worker is logged in. Ability to restrict Case Open dates from being in the future Ability to restrict Service File start dates from occurring in the future Ability to restrict future dates in document responses System administrators will now have the ability to restrict Case File Open Dates from occurring in the future. A new checkbox called Allow Future Case Open Date has been added to the Case Setup Settings for System Admins. When Allow Future Case Open Date is unchecked workers will not be able to add a Case File with a start date in the future. When editing an existing case you are able to edit the Case Open Date. When Allow Future Case Open Date is unchecked you will not be able to set a future Case Open date on an existing Case. Similarly, if a case has been created with a date that is still in the future, and that case is edited, Case Open date will have to edited so it does not occur in the future. System administrators will now have the ability to restrict Service File start dates from occurring in the future. A new checkbox called Allow Future Service Start Date has been added to the General Settings of Service File Setup. This checkbox will default being checked, which allows future Service File start dates. When Allow Future Service Start Date is unchecked workers will not be able to add a Service File with a start date in the Future. Likewise, workers will not be able to edit an existing Service File to have a start date in the future. When creating a new document with a date field, workers will now have the option to disallow response dates in the future. During document creation a checkbox called Allow Future Date will appear on date questions. This checkbox Document Building Guide Update 5 Athena Software

6 Ability to restrict future dates for Pre-Enrollment Off List day Option to display Pre-Enrollment On List Date in Intake Wizard New Pre-Enrollment Time Based Action Trigger Locked Document Icon in Document List will be checked by default. To disallow responses that occur in the future, uncheck the checkbox. System Admins will now have to ability to restrict whether the date an individual is removed from the Pre-Enrollment list can occur in the future. A new checkbox called Allow Future Pre-Enrollment Off List Date has been added to Pre-Enrollment Setup. This checkbox will default to being checked, allowing future dates. When Allow Future Pre-Enrollment Off List Date is unchecked workers will be unable to use future dates when an individual is removed from the Pre-Enrollment list. This is true for individuals being removed by entry to a Service File, or by cancelling a Pre-Enrollment entry. The Pre-Enrollment section of the Intake Wizard will now have an option to include a Pre-Enrollment On List Date. This date cannot occur in the future, it must be before or equal to the current date. In order for the Pre-Enrollment On List Date to be displayed, SAs must first enable it through the Intake Wizard Configuration in the Pre-Enrollment section. To enable it, Pre-Enrollment Configuration must be set to User Option. A new checkbox titled Include Pre-Enrollment On List Date will allow SAs to enable or disable the On List Date in the Intake Wizard. A time based action trigger can now be set up based on a date field for Individuals on the Pre-Enrollment List. The action trigger called [Date Field Name] is Approaching, is found in the Pre-Enrollment Rule Category. The Locked Document symbol will now appear on the list of documents so you can easily see which documents are locked. The Locked Document Icon will now appear on the Enroll a Client in Service from Pre-Enrollment List Update Add a new client using the Intake Wizard Athena Software

7 left (rather than the right) of any locked documents or revisions The Locked Document symbol will also appear on locked document revisions when the new checkbox Show Icon for Locked Document Revisions is selected in the System Admin settings. Caution Symbol Visible on Incomplete Documents Ability to Disable Lock Document function The Caution symbol will now appear for any incomplete documents. In order to accommodate documents with long titles, the caution symbol has been moved from the right to the left of the document title. Using the new checkbox Allow Documents to be Locked System Administrators will now have the ability to say whether or not documents can be locked. This function will not affect the ability to lock document revisions. DSS Enhancement Description Documentation New field added called DSS Case End Date Changes to Homelessness Status To comply with new DSS regulations we have added a new DSS Case End Date field. End dates can be entered at either the Service File or Group levels. Setting a DSS Case End Date will impact the submission status of a case. Previously in Penelope DSS Homelessness was indicated through the checkbox field Is Homeless. This has been updated to a dropdown called Homeless Indicator. The new values of Yes, No, At Risk and a blank value reflect the values introduced by DSS. This dropdown has replaced the 7 Athena Software

8 checkbox in all locations, namely Group lists, Individual Profile DSS and Service File DSS. The original Is Homeless checkbox was tied to action triggers in Penelope. These triggers are still functioning. Selecting Yes in the Homeless Indicator dropdown is the equivalent of checking the Is Homeless checkbox, i.e. giving a value of True to Is Homeless. All other values in the Homeless Indicator are the equivalent of leaving the Is Homeless box unchecked, i.e. giving a value of False to Is Homeless. 8 Athena Software
