E-SYLLABUS PREPARATION 1 IE Editorial. Octubre 2017
SYLLABUS REQUEST 2
CAMPUS ONLINE ACCESS You will need to access Campus ( with the username and password that has been provided to you: 3
CAMPUS ONLINE ACCESS The requested syllabus can be found in the My courses section in the main screen. 4
SYLLABUS STATUS There are 5 possible status a syllabus can be in: Professor: The syllabus has not been sent by the professor yet. Program Manager: Pending OK from Program Management. Publishing: Syllabus is being prepared by IE Editorial. Finalized: Preparation has been finished, but it is not visible for students. Visible: Preparation has been finished and the syllabus is visible for students. 5
SYLLABUS PREPARATION Once you have accessed the syllabus, click on Activate Edit Mode, on the upper right side of the screen. In order to be able to review each of the e-syllabus sections (Bio, Objectives, Methodology, Sessions, etc..) click the Edit button, located on the left side of each section. We can use the Delete section, located on the left side of each section to delete a section created by mistake or that is not going to be used. 6
SYLLABUS PREPARATION When the Edit button is clicked, in the biography section, for instance, you will get the following form: These 2 fields cannot be modified, because they are completed by default by campus The text in the bio always needs to be filled out. If the professor does not fill it the syllabus will be rejected. When the edition is done, click on Finish edition. 7
SYLLABUS PREPARATION To create new sections we click on Add a new section. You will be able to choose the section type in the drop-down menu and include all the necessary information in the text box. 8
EDITING THE SESSIONS In order to edit the documentation for your sessions click the Edit button of the session you are going to work in. You can also add all the necessary information in the text boxes. 9
EDITING THE SESSIONS In order to include the documentation, first click the Edit materials for session X button. After this, there are two different ways to upload your documentation: 1 st Searching for the documents in the search box (only for IE and HBS documents) When including HBS documents only the reference will be added. Once the purchase is done IE Editorial will add the link. 10
2 nd Using the Add manually option. EDITING THE SESSIONS The form fields have to be filled out and the document attached (only.pdf o.xls formats) or the link added. The fields are: Type: You will get a drop-down menu to select the correct one. Code: If your document has a code, add it here. If it is a publication or a book, add the name of the journal or book here. Title: Add the name of the document. (Required field). Author: You can add the author information here (this field will not be visible by students). 11
EDITING THE SESSIONS Attach file to upload the document 12 Add the link Save when you are done
EDITING THE SESSIONS Once the document or its reference has been uploaded you have to select the delivery system: Hand-out (Students will not be able to see this document and it will be delivered to the professor in the session selected) Printed (If the document cannot be provided digitally). The students will receive it prior to the start of their classes. Publish after Class (Students will not be able to see the document until the end of this session) No Digital Documentation Associated (No document is attached. I.e.: Book chapters that are above the legal 10%, chapters of mandatory books) (If none of these options is selected the document will be available in the e-syllabus) 13
HAND-OUTS The documentation requested by the professor will be delivered for the session they have included it in. For face-to-face programs the documentation will ALWAYS be printed and delivered prior to the day and time of the session in the building where it will take place. For blended programs it will be uploaded to Campus (in the Additional documentation folder) as Not Available, so that the professor can activate it when they need it. 14
DOCUMENTATION TYPOLOGY A. IE Documents B. Documents from other schools (Harvard, The Case Center ) C. Journal articles, book chapters, etc D. Links to videos or web pages. E. Other documents 15
A. IE DOCUMENTS This refers to documents that have an IE code (including multimedia documents). They are directly uploaded to the syllabus using the search box in the E-syllabus. They can be searched either by title or by code. 16
B. OTHER SCHOOL DOCUMENTS Once the syllabus has been approved by the Program Management, IE Editorial will purchase the documents and will add the links to the syllabus. The professor is responsible of providing the necessary data and references to identify the requested document. This information should be added to the session where the document is going to be used. (This can be done using the search box in the case of HBS documents. For any other schools, or if you do not find the document, the reference can be added manually). 17
RESTRICTIONS FOR THE USAGE OF OTHER SCHOOL CONTENTS HARVARD (HBS) Documentation. According to the agreement signed with Harvard, the following restrictions have to be taken into account: It is completely forbidden to send these documents by , or any other electronic format, including fax, without express written consent. In order to access the Harvard Teaching Notes it is necessary to register in its webpage using your IE faculty . If you have any questions about this process do not hesitate to contact 18
RESTRICTIONS FOR THE USAGE OF OTHER SCHOOL CONTENTS The Case Center Documentation The documents purchased to The Case Center have a validity of no more than 6 months, being completely forbidden sending it by or any other electronic format without express written consent. Other school documents (London Business School, IMD, INSEAD, IESE, ) No document from other schools can be sent by or any other electronic format without express written consent. 19
C. JOURNAL ARTICLES, BOOK CHAPTERS These documents will be delivered under CEDRO or VEGAP license. IE Editorial will acquire the necessary permissions once the documents have been included in the syllabus, prior to its publication. Its the professor s responsibility to upload the document, as IE Editorial may have no access to the materials. If the materials have not been uploaded and the department does not have access to them, they will contact the professor so that they can send them as soon as possible. The syllabus will not be published until all the materials are correctly uploaded. 20
RESTRICTIONS FOR THE USAGE OF CEDRO CONTENTS The book chapters that are added to the e-syllabus have the same restrictions they do when they are printed: No more than 10% of the total pages of the book can be reproduced. They always need to have the Cedro seal. They must be registered by IE Editorial to be legally reproduced. 21
E. OTHER DOCUMENTS Any other document uploaded by the professor to the e-syllabus will be checked by IE Editorial staff to see if they have any copyright or restrictions and act accordingly. The documents added by the professor to their Additional documentation folder will be uploaded under their responsibility, as they have to know the regulations and have accepted the legal clauses in CAMPUS ONLINE. If the professor wishes to include any copyrighted materials, they should contact IE Editorial in order to authorize their use. If you have any doubts, please, contact IE Editorial. 22
MODIFYING THE SESSIONS ORDER Once the sessions have been filled out if their order has to be changed, they can be simply dragged to their desired destination. The session number will be automatically changed as they change place. 23
MODIFYING THE SESSIONS ORDER From the second session, next to the Edit button there is a Combine with previous option, that allows the user to combine or divide two sessions. If the user wishes to combine more than two sessions the process needs to be repeated, following the order: I.e.: Session 2 with session 1, session 3 with sessions 1 and 2 Two blocks of sessions previously combined cannot be combined unless they are divided first. The option Combine with previous changes to Divide once the sessions have been combined. 24
EVALUATION METHOD All the relevant information about the student s evaluation has to be presented in this section. There are two text boxes: the first one is used as an introduction of the evaluation method, before including the criteria percentages; the second will be used to explain any other thing the professor deems important. Workshops or conferences may not need this section, so it can be disabled using the Deactivate button. Bear in mind that the Program may require you to add an evaluation. 25
EVALUATION METHOD It is important to add the different criteria that will be taken into account in the student s evaluation. To do so, use the Add Criteria button. Then you can select in the drop-down menu its type (the text that will be visible to students can be modified regardless of its type), add manually the percentage and include any other comments. After this is done, save and add the next criteria until the sum is 100%. 26
SENDING THE SYLLABUS When the editing of the syllabus has been finished it has to be sent to IE Editorial to be prepared and published. To send it select the option Sent the Syllabus to the Program Manager that can be found in the upper side of your screen. From this moment, the syllabus will not be editable anymore. If the professor wishes to do so, optionally, they can request the opinion or the approval from the Area Director using the Request that the Area Director checks your Syllabus button. This is not part of the process and can be omitted. If it is done, it will still need to be sent to the Program Management. 27
SYLLABUS REVISION Once the syllabus is sent, it will change its status from Professor to Program Management and a confirmation will be sent to the professor, program management, area management and IE Editorial. The program management will check that all the data is correct and will either accept it and pass it on to IE Editorial to be published, or reject it, in which case they will send an to the professor detailing the reasons and the problems that need to be fixed (at this point the syllabus will be editable again). 28
DOWNLOADING THE E-SYLLABUS IN OTHER FORMATS DOWNLOAD TO PDF In the right side of the screen select Manage PDF. This will allow to download the different versions the syllabus has gone through, and to create a PDF of the last version for students or professors. 29
SYLLABUS IMPORT When the professor has taught a subject before, they can choose to reuse a previous syllabus instead of filling it out again. To do so, they will need to access the syllabus they want to fill out and once the edit option is enabled they will get the Import syllabus option. There is a short tutorial next to this option. 30
SYLLABUS IMPORT To import, select the subject from the list by clicking on the name of the subject. You can also preview the syllabus using the eye symbol. 31
SYLLABUS IMPORT After selecting the subject to import the sections to be added can be selected (only those selected will be imported), and the order of the sessions can be rearranged using the drop-down menus next to them. When everything is selected press Import Information and it will be appear in the destination syllabus. 32
LIST OF MATERIALS If you want, you can download a list of all the materials used in your syllabus in Excel format. STUDENT VIEW In order to know what your students will see when they have access to the syllabus, you can use this option. It can be found in the upper left side of your screen. 33
