1 Activity: Using Mapbook Requirements You must have ArcMap for this activity. Preparation: Download Mapbook. The download page is intimidating. Just scroll to the bottom and find the Download Now place. The zip file you download includes a word document that explains installation and how to use the tool. Production/DSMapBook/DSMapBook.htm Download the activity data. Activity 1. Open ArcMap and pull you data together The mapbook tab should appear in the Table of Contents. If you have your own data, feel free to use it. At a minimum, you will need an index layer. This layer needs to have a unique identifier for each polygon. Note: you should have one polygon for each output area, such as town or county or watershed. This can be a big issue if a town has more than one polygon, such as islands. If you don't have data on hand, download the activity_data.zip file. Save and unzip this file in a folder on your C drive called Data. The Zip contains, among other things: - an index layer of Connecticut towns (towns_index.lyr) where there is one and only one polygon per town AND an text field with unique values - a detailed town boundary shapefile (towns_detail.lyr) where one town can have many polygons - a statewide lakes layer (lakes.lyr) - the coastal boundary area (coastal_boundary.lyr) 2. Set up your map and symbology. This is a chance for your creativity to shine! If you don t know how to set up symbology, snag an instructor. 1

2 3. Create a map layout. This step has two choices. The first is for outputting multiple images, such as would be used to create the images of the Build section of the Community Resource Inventory. The second is for outputting PDFs, which generally have more to the layout such as a title. Pick one and get going. 3a. If you are interested in outputing IMAGES: Size your layout to be the size of your output images. The CRI uses 3x3 inch output images. - Right-click over the layout and choose Page and Print Setup (or select it from the File menu). About half-way down the Page and Print Setup window, uncheck "Use Printer Paper Settings" and set the Width to 3 inches and the Height to 3 inches. 2

3 Size map to fit the layout. - Drag the map to fit the layout. Or, to be exact, right-click over the map, select Properties, and the Size and Position tab. Set the X and Y position to 0 in and the width and height to 3 in. 3b. If you are interested in outputing map LAYOUTS: Size your layout. The CRI uses PDFs to print on an 8.5 x 11 piece of paper so the layout is set to 8.0 in by 10.5 inches to be safe. - Right-click over the layout and choose Page and Print Setup (or select it from the File menu). About half-way down the Page and Print Setup window, uncheck "Use Printer Paper Settings" and set the Width to 8 inches and the Height to 10.5 inches. 3

4 Design Your Layout. - Drag the map to your desired size and location in your map layout. - Add a Title. Make sure the Drawing Toolbar is visible. o Click the Add New Text Button o Click inside your map Layout. Type text for your title and change the size and font to your liking. - Add another title which will become the town name. o Click the Add New Text Button o Click inside your map Layout. Type text for your title and change the size and font to your liking. - Other things to consider adding to your layout: o Legend o Images or graphics o North Arrow o Your great idea o Text boxes 4. Set Up Mapbook. - Click on the Mapbook Tab - Right-click over Map Book at the top of the column. Select on Add Map Series. We will use the towns index shapefile as the index layer. This polygon layer has one record for each municipality. The means that the coastal towns have one southern boundary that includes all islands. - In the Map Sheet Wizard box, Choose Layers as the data frame, towns_index as the index layer and TOWN as the field that specifies the page name. NOTE: TOWN is a text field in the attribute table. If you want to use a numeric field, you must create a new text field in the attribute table and do a calculate to get the numbers in the text field. - Click Next. 4

5 - Click Next in the next window too. Now, to all the fun settings. Read below to find what each does, then choose your own adventure. Extent: - Variable: changes each town to fit inside the data frame. This means that the output maps have different scales. The margin determines the distance of the town edge to the edge of the map frame. Zero means the town boundary will touch the match edge. I like to use 5%. - Fixed: Uses a fixed scale to draw the outputs. This means they will not perfectly fit within the map frame. - Data Driven: If the index layer has an attribute, you can use it. The towns_index.shp does not contain any such attribute. Options: - Rotate data using value from this field: self-explanatory. Towns_index.shp does not have any such field. - Clip data to the outline of the tile: Clipping it makes each output town float in space. An alternative is to cross-hatch the outside area. 5

7 5. Set Up Dynamic Label. This option works better when outputting an entire map layout, such as the PDF option above in step 3b. - Click on the title text so it is highlighted. - Right-click over Map Series and select Tag with Index Layer Field - Select TOWN-TOWN. This will tag the text field with the town name. - Click OK. - To view the result, right-click over any town name in the map series list and select View Page. Notice how the title changes to the town name. 7

8 6. Export Images or PDFs. 6a. Export Images. - Right-click over Map Series and choose Export. - In the Export to: box, click browse and select a folder on your computer. In the File Name box, provide a name, such as mapbook. It will add the town name (the index field of the index layer) to the end of your file name. Click Save. - Notice all the output formats available. Select GIF. - Click OK. Mapbook will export 169 images called mapbook_townname.gif to the folder you specified. Easy as cake! 6b. Export PDFs using Complete Layout. - Right-click over Map Series and choose Export. - In the Export to: box, click browse and select a folder on your computer. In the File Name box, provide a name, such as mapbook. It will add the town name (the index field of the index layer) to the end of your file name. Click Save. - Notice all the output formats available. Select PDF. - Click OK. Mapbook will export 169 pdfs called mapbook_townname.pdf to the folder you specified. 8

9 And one last PDF thing. - Open one of the pdfs created by Mapbook - Click on the layers tab in Adobe Reader. - Notice how you can turn layer in the map on and off in Adobe Reader. HINT: the names of these layers match the layer names that were in ArcMap. To change the names, do it in ArcMap before exporting. 9
