2 PLEASE NOTE this guide relates specifically to the maintenance of case documents and starts from the Case View page case maintenance is the updating of information for an existing case maintenance is defined as the creation of new information or editing (updating) or deleting (removing) existing information there are separate case maintenance guides for each maintenance area maintenance of a case varies little from case type to case type (maintenance of a Trademark is almost identical to a Patent, Design, Domain Name etc.). In these case maintenance guides we have elected to maintain a Trademark case most case maintenance is undertaken from the Case View page fileye automatically directs you to the Case View page after creating a new case or duplicating an existing case it is also possible to access the Case View page by selecting a case from the history area, the Records search page or where you see the case folder view icon within fileye for the sake of clarity we have edited the images and removed some peripheral detail

3 WHAT ARE CASE DOCUMENTS? case documents is a list of all of the soft-copy documents assigned to a case case documents give you the ability to attach any document to a case there is no limit to the number of documents or to the type of documents if your documents are stored elsewhere it is also possible to create links (URL s) to websites such as Dropbox a document could also be a website link (URL)

4 from the Case View page, below the header, you are able to view the case documents list

5 to create new documents click on the Create button within the grid, or, if you wish to create a new primary image (the default image/logo associated with the case) click on Create Primary Image

6 in the following example we will create a new primary image (the default image/logo associated with the case) by clicking on Create Primary Image

7 you will be taken to the Case Document Create page where you can begin to create the case document

8 because we are creating the primary image, the Topic, Item and Primary Document fields are already populated for us

9 the Topic and Item fields are used to categorise the type and nature of the document

10 you may select an alternative Topic if required

11 and an alternative Item too (the available items are specific to the selected Topic)

12 it is worth noting that as will all areas of fileye, the Topic and Item can be configured (see the Configuration guides) and thought should be given to the options you require

13 the optional Reference is useful if you assign references to your documents

14 and you can further describe the document by assigning a Description

15 the Primary Document check box cannot be modified here as we are creating the primary document, but it can be if you are creating a new document or editing one

16 also assign a Document Date which is useful when viewing documents

17 you can further narrate the document with Comments

18 if you wish to store the physical document in the fileye database then select Store in Database, otherwise select Link to Document and you will be asked to enter the web address (URL)

19 by selecting Store in Database you can upload the document. To do so follow the instructions in the Document Upload box

20 the page will be updated and you will be informed of the success (or failure) of the document upload accordingly

21 to create the new case document press the Save button. Continue to add other case documents as required. Pressing Cancel at any time will return you back to the Case View page

22 the Case View page then displays details of existing case documents

23 you are able to export the physical documents stored in the database into a zip file should you need them by clicking the Export button

24 the Image displays the document type or a thumbnail if it is an image or picture

25 clicking on the document view icon will download the physical document to allow you to open it

26 and it is possible to further edit, view or delete entries
