3 Getting Started/Useful Tips Welcome to the MyClubPro user guide, you will find the product very simple to use but should you run into any trouble this guide is packed full of information about every section of your new website control panel. Before we get into adding information to your website we would just like to run through a few of the basic elements that you will encounter on a daily basis when using your online control panel. Accessing the Online Control Panel Any changes to your website will be made via the easy-to-use online control panel. When your website was setup you would have been provided with a username and password. To access your online control panel simply type the following web address into your web browser of choice (i.e. Firefox, Internet Explorer etc): Replace with your club domain name This will load the control panel login page as seen below. To login you will simply need to enter your username (usually an address) and your password. 3

4 The Welcome Page Once logged in to the online control panel you will be faced with the dashboard page. This contains usefull information like the current system status, so you ll know if we have any maintenance or feature upgrades planned. The navigation menu at the top of the page in the green bar gives you complete access to edit your entire website. The figure below highlights a few of the key elements on the page. 5 Getting to Grips with the Control Panel Throughout the online control panel you will notice that all the pages that enable you to enter data follow a very similar easy-to-use structure. On the whole editing the information on your website is very much like filling out an online web form. The following is an overview of common elements you will encounter throughout the control panel: Data Entry In the figure below you will see some of the common data entry elements. On pages like this you will simply need to fill out the various fields and click the update button. Some fields are mandatory denoted by the red asterisk *, others are not, if you do not fill them out, that information simply will not show on your website ensuring the site as flexible as you need it to be. Most of the above we think you ll find self explainatory but here are a few elements that might need explaining... The buttons on the text entry box: The Make Live Checkbox: INSERT HYPERLINK PASTE PLAIN TEXT SPELL CHECK MAKE TEXT ITALIC CUT TEXT COPY TEXT CONVERT TEXT TO UPPER CASE CONVERT TEXT TO LOWER CASE MAKE TEXT BOLD Wherever you see this checkbox, basically you are being asked - Would you like the page you are about to save to be live to the world on your website? This is a useful feature for example if you have created say a news article, but you don t want it to display on the website for a few days. 5

6 Existing Data Data/pages already entered into the contol panel will be displayed in tables like the one shown below. The table in the example shows existing gallery albums and the various buttons in the table are shortcuts to various actions. Here are what the most common buttons do: Edit Button - when clicked it will load the information of the chosen item whether it be a player profile or a team etc into the page so you can edit it. Show/Hide - This is a shortcut for the Make Live button described on page 5 so you can quickly hide or show data on your live website. Green for live/show, Red for hidden from the world. Ordering - The arrows allow you set the order of the data when it s displayed on the live website. Delete - Click the delete button to remove the chosen item from your website. Green Link - Wherever you see a green link in a table, when clicked it will take you through to another page for data entry for that item. So for example if the table displayed a list of existing news articles, to edit an article you would simply click the article name, and would then get taken to the page where you can edit and save the article. 6

7 Resizing Images for Easy Upload When you upload an image for any of the sections in your website the MyClubPro system automatically resizes and optimises the image for where it will be used. However if your images are of a very high file size you will find it takes a long time to upload the files. We reccomend your images are no larger than 2MB in size and should be in the format of either jpeg, gif or png. We appreciate it can be quite time consuming to resize a folder full of images so we have provided some software we recommend that will do all the work for you by batch processing your images for you in minutes, saving them in a compact size that will take seconds to upload: For PC - Fotosizer Click Here to download the Fotosizer Software Install the Fotosizer software and then run it. You may encounter a dialog asking for a product key but you can click Continue as we only need to use the free features. To use the software: 1. Add the image files you want to resize using the options shown in the below screen shot, bottom left, you can add a folder of images or single images. 2. Set the resize settings to By one side and 1000 px as shown below. 3. Scroll to the bottom of the options on the right of the window, choose where you would like to save the resized images and then click the Start button. 7

8 For Mac - OSX Image Resizer Click Here to download the OSX Image Resizer Software Install the OSX Image Resizer software and then run it. To use the software: 1. Set the resize type to Scale proportional to width and set the Resize Width to 1000 as shown opposite. 2. Add the image files you want to resize using the Add File/Folder button as shown opposite. 3. Set the location you would like to save the resized images as shown opposite. 8

9 4. Select the JPEG tab and then click the Resize Batch to JPEG s button. Your new resized files will be saved to the location you chose in step 3. 9

10 The Homepage Your website homepage is automatically generated from the information you add to your site via the various sections. The only information you need to add in the online control panel for the homepage is the welcome message and image... In your control panel click the Homepage tab: Complete the welcome message text box with your desired content and click the Save button: You also have the option on this page to upload a welcome image. The welcome message and image will then be displayed in the first panel of the homepage slider: 10

11 Team Management This is probably the most important step in setting up and maintaining your new website as it is where you will add and edit the teams at your club. You are not limited to the number of teams you can setup. To get started in your control panel hover over the Teams tab and click on Manage Team(s) from the drop down menu: If this is the first time you are adding a team there will of course be no existing data, so when you arrive at the page you simply need to complete the fields to add a team. We recommend the very first team you add should be the most senior team at your club, usually the First Team or if say you are a youth level only club it could be your Under 18 s, whoever it may be it s entirely up to you. Below is a guide to using the various page elements: Add/Edit Team The first thing you will need to add is the team name. The second option is Make Featured Team this checkbox can only be checked for one team at your club, usually the most senior team i.e. the First Team. This team will then always stay at the top of the list of teams & will always occupy a match report slide on the Homepage intro slider. You can choose not to have a featured team, the homepage slider will then show the last two match reports entered by any team at the club. Useful Tip: To quickly add all your teams, for each simply fill out the team name, scroll to the bottom of the page and click the Add Team button. Once all your teams are added you can then start adding all the other information for each by clicking the Edit button in the table of teams now on the page. Team Photo To add your team photo simply click the browse button, in the window that pops up, navigate to your team photo on your computer, select it and then click the open button. Team photo s should be of landscape orientation. Useful Tip: To ensure your images upload as fast as posible ensure they are no larger than 2MB in size. 12 Non Competative (Youth Teams) As per the FA s youth policy any team that is Under 10 s or younger cannot publish a league table or match results. To deactivate these features for your child teams simply check the Non-Competative box when setting them up. You can still publish match reports that conform to the FA s guidelines. Activate Player Profiles & Statistics Both Player Profiles and Player Statistics are optional. Leave the box unchecked if you do not require any of these features for your team. For example you may require stats for your team but not player profiles. Adding player profiles and statistics to your team is covered on page 18. Team Info This text box can be used to enter any information about your team. It s the ideal place to enter things like contact information for the team manager, perhaps the address of where that specific team play if different from that of others at the club. Team Kit Sponsor If you add a kit sponsor to your team page it will also be featured throughout the sites footer as well as the main sponsors page. The first thing to enter is the link to your sponsors website (if they have one), it must be the full address: i.e. Secondly upload an image of your sponsors logo by clicking the browse button. 12

13 League Table Setup To add you league table you have two options and you should only complete one or the other. Option 1 - Add a league table code snippet from the FA s Full Time website (Explained below). This will then auto generate a league table on your team page that is automatically updated without the need for you to do anything further. Option 2 - If your league is not on the FA s Full time website but is on the website for the league you are affiliated to, you can simply place a link to that page on your team page by checking the Click to activate link and adding the full link in the box below. Remember it must be the full link: i.e. How to get your League Table Code Snippet from the FA 1. Visit the FA s Full time website: 2. Enter the first three letters of your league name in the Find your League box on the right hand side of the page and click GO : 3. The site will then return a list of leagues that match your search criteria, click on your league: 4. On the page that loads click the Feeds tab in the menu at the top of the page: 13

On the Feeds page you can now select the options required to create your league table: - Choose the Look and Feel - We suggest white - Choose your Division - The Season should already be the current season - Make sure Show table detail remains unchecked - Click the Create Button 6. The page will now give you your league table code snippet: 7. Select the entire code snippet, copy it and then paste it into the League Table Code Snippet box for your team back in the MyClubPro control panel and click the update button at the bottom of the page: 14

15 Ground Address/Directions This section of the page gives you the opportunity to specify the address and directions to the home ground of the team you are entering. This is particularly useful if you have multiple teams that play at different venues. The Google Maps Code Snippet enables you to embed a Google map into the page. We have a guide to embedding a Google map on page 34 of this guide. Useful Tip: The Ground/Address text entry box could also be used for any other information you feel relevant. For example if your playing venue has multiple pitches you could use this area to state which pitch the next fixture will be on. 15

16 Fixtures/Match Reports/Statistics This is the section that will let you manage all the fixtures, match reports and statistics for each team at the club. To get started in your control panel hover over the Teams tab and click on Fixtures & Match Reports from the drop down menu: Fixtures There are two methods for adding fixtures; manually, as explained on this page, alternatively you can upload your fixtures in one go via the CSV upload feature as explained on the next page. The manual process: First select the team you would like to add a fixture for from the Team drop down menu. Choose the season you are adding it for, the default will always be the current season. Then simply complete the remaining text boxes on the page and click the Save button. At this stage you will simply leave the Result boxes blank. Your fixtures will build on the page in a table in date order as follows, to edit an existing fixture you simply need to click the cog icon next to it: Once a fixture has been played you can return to this page to add the result and match report and statistics. 16

17 Uploading Fixtures At the bottom of the fixtures page there is an option to upload a CSV file of fixtures to enable you to enter multiple fixtures in one go. A CSV file is a special format for this type of use and they can be created or edited in Microsoft Excel. Please note a standard Excel file will not work. It is also very important that the file you are uploading is in the correct format. On the page is the option to download a sample file which you can edit in order to create a file you can upload. Once your file is complete you will simply need to click the browse button, locate the file on your computer and then click the upload button. Match Statistics Before you can enter match stats you must first enter your players for the current season. See page 21. The first stage in adding a match statistics is to click the Statistics button in the table of fixtures which is the graph icon. This will then open the Match Statistics page for your chosen fixture. Entering your match stats could not be easier. It s just a case of checking boxes, and entering things like goals and the minutes your subs went on and came off (see below). This data will then be added to the match report for the fixture and also the season totals for that team: 17

18 Match Reports The first stage in adding a match report is to click the Report button in the table of fixtures which is a football icon. This will then open the Match Report page for your chosen fixture. Below is a guide to using the various page elements: Featured Image The Featured image is the image that gets used when the match report is featured on your homepage slider. If you do not provide one then your site will simply display the default system image. To add your image simply click the browse button, in the window that pops up, navigate to your chosen photo on your computer, select it and then click the open button. Your Featured Image should be of landscape orientation. Match Report This is where you should add your match report text. When writing a match report we highly recommend you first write it in a 3rd party software application like Notepad for PC or TextEdit for Mac. This is because chances are it will take you over 20 minutes to write the report at which point the control panel will automatically log you out as it thinks you have been inactive, you would then lose your hard work. Useful Tip: When it comes to pasting your text into the match report, please make sure you use the Paste Plain Text button to avoid unwanted styling. Software like Microsoft Word will add lots of unwanted layout code if you do a standard copy and paste. 18

19 Save Don t forget to save your match report! Match Photo s Match photos are optional but are a nice finishing touch for your match reports. You can add as many photos as you want. Useful Tip: To ensure your images upload as fast as posible ensure they are no larger than 2MB in size. For a guide to resizing images before upload see page 7. 19

20 Players Before you can add match statistics or player profiles to your website you must first enter your players. To get started in your control panel hover over the Players tab and click on Manage Players from the drop down menu: Entering Players/Staff There are 3 methods for entering your players/staff: Manually Simply complete the fields on the page labelled Add/Edit Players but first select the team and season you would like to enter players for. The current season will always be selected by default. Import Players This option allows you to upload a CSV file of players to enable you to enter players in one go. A CSV file is a special format for this type of use and they can be created or edited in Microsoft Excel. Please note a standard Excel file will not work. It is also very important that the file you are uploading is in the correct format. On the page is the option to download a sample file which you can edit in order to create a file you can upload. Once your file is complete you will simply need to click the browse button, locate the file on your computer and then click the Upload button. Duplicate Players from last season This option will only show on the page if there are no players currently entered for your chosen team and season. Clicking the button will simply copy all the players from the previous season to the season you have selected, giving you a starting point for the new season without having to re-enter all your players. Of course if there are no players in the previous season then this will have no effect. 20

21 Whichever method you choose your players/staff list will build on the page as shown below. From this table you can then manage existing players be it editing or deleting. 21

22 Player Profiles The player profiles section is optional for each team, to find out how to activate player profiles please see page 11 in the Team Management chapter. To get started in your control panel hover over the Teams tab and click on Player Profiles from the drop down menu: When entering a player profile you can enter as much or as little data as you want. To make your life easier when getting the information from players you can download and print out our player questionairre for them to complete - Click Here to Download the Questionaire Below is a guide to using the various page elements: Entering Profile Information Before you can enter a player profile you must first enter all your players into the system (see page 20). You will then see on the page three drop down menus where you can select the Team, Season and then Player you would like to enter profile data for. It is then simply a case of completing the player information and clicking the Save button once complete. Profile Picture To add a profile picture simply click the browse button, in the window that pops up, navigate to the relevant photo on your computer, select it and then click the open button. Profile pics should be of landscape orientation. If you do not yet have an image of a player the system will use the default blank image. Useful Tip: To ensure your images upload as fast as posible ensure they are no larger than 2MB in size. For a guide to resizing images before upload see page 7. Player Fun Facts Give your fans an insight into your players personalities and footballing history by entering their fun facts. You can complete as many or as few as you want, if a fact is not completed it simply does not show on your website. 22

23 News The News section of your control panel enables you to add the latest news at your club. To get started simply click the News tab in your control panel navigation: When you arrive at the news section you will see a list of existing news articles (if any have been added), this is simply a page for you to manage your articles. The page is very simply to use, to add a new article simply click the Add New Article button, alternativelty to edit an existing article just click the article title shown in green: Whether adding a new article or editing an existing you will arrive at the article entry page, here is a guide to the elements on the page: Article Title Simply the title of your news article. Try to keep your article titles as concise as posible. 23

24 Article This is where you will add your full article text. 25 Events The Events section of your control panel enables you to add your upcoming club events. To get started simply click the Events tab in your control panel navigation: When you arrive at the Events section you will see a list of existing Events (if any have been added), this is simply a page for you to manage your Events. The page is very simply to use, to add a new Event simply click the Add New Event button, alternativelty to edit an existing Event just click the Event title shown in green: Whether adding a new Event or editing an existing you will arrive at the Event entry page, here is a guide to the elements on the page: Event Information Add the title of your Event, try to keep your titles as concise as posible. Next enter the date of your Event, once an Event goes past this date it will automatically be removed from your website. 25

26 Event Description This is where you will add your full event information. 27 Gallery The Gallery section of your control panel enables you to add photograph albums. To get started simply click the Gallery tab in your control panel navigation: Here is a guide to creating a new album and adding your gallery images: 1. Give your Album a title, check the Make Live box and click the Save button 2. Your new album will then appear on the page in the table of Albums as shown below. The next stage is to add som photos to your gallery, click the Add Images link next to your Album name. 3. To add your images simply click the select button, in the window that pops up, navigate to the relevant photos on your computer, select either one or multiple images by holding down the shift key on your keyboard and then click the open button. You must now wait for your chosen images to upload, there will be a staus bar on screen for each image. Then click the Add Images button 27

28 4. Your image will now be uploaded and added to the table of images on the page as shown below. Useful Tip: To ensure your images upload as fast as posible ensure they are no larger than 2MB in size. For a guide to resizing images before upload see page 7. 28

29 Club Documents The Club Documents section of your control panel enables you to upload important documents that you would like to make available for download on your website. To get started in your control panel hover over the Club tab and click on Club Documents from the drop down menu: Here is a guide to uploading documents: File Upload Our file upload system supports 3 different file types, you can upload any of the following: - Microsoft Word - Microsoft Excel - PDF Enter your documents name as you would like it to appear on your website. Click the Browse button to locate the file you would like to upload on your computer. Check the Make Live box and then hit the Upload button. The system will then upload your file and it will appear in the table of files on the page as shown opposite. 29

30 Custom Pages The Custom Pages section of your control panel enables you to add informational pages to your website should our standard pages not cover a particular topic i.e a club history page. These pages then get added to the Club Info drop down menu of your website. To get started in your control panel hover over the Club tab and click on Custom Pages from the drop down menu: The page will load and you will see the below options. To create a new page simply click the Add New Page button. To edit an existing page simply click it s Title in the table of pages (in the example below Club History in green): On the subsequent page there are 3 sections to complete: Page Name - the filename of the page you are creating, must be made up of letters and hyphens only. Page Title - this will be displayed at the top of the page you create. Page Content - This is simply where your page content will go. Once you are happy with your input you simply need to check the make live checkbox and click save/ update. As with other similar sections you can upload multiple images to your custom pages. 30

31 Sponsors To get started in your control panel hover over the Club tab and click on Sponsors from the drop down menu: As your kit sponsors are added when creating your teams (see page 11) this page is used to add the following: - Sponsorship Information - Main Club Sponsor - General Sponsors Here is a guide as to what is on the page: About This is where you can enter an introduction to sponsorship at your club, you may want to include things like who to contact and what sponsorship opportunities you offer. Club Website Sponsor We implemented this feature so that clubs could sell some advertising space on their website, it could be used for an advert or simply your sponsors logo. If you don t have a website sponsor you could simply use the kit sponsor of your most senior team i.e. your First Team to fill the space. To add your clubwebsite sponsor: First enter the full website address of your sponsor (including the part), then click the Browse button to locate the sponsors logo or advert on your computer. Then simply click the Save button. 31

32 General Club Sponsors General club sponsors is intended for you to use to add anyone else that sponsors your football club. It could be they have an advertising hoarding at your ground or they simply sponsor your match day program. The add a general sponsor: First enter the sponsors name and full website address (including the part), then click the Browse button to locate the sponsors logo on your computer. Then simply click the Add Sponsor button. 32

33 Map/Directions To get started in your control panel hover over the Contact tab and click on Map/Directions from the drop down menu: Here is a guide as to what is on the page: Club Address This is where you can specify your main club address. There is no need to specify your club name here as the system will automatically add it to this address on your website Map/Directions page. Directions Simply the place for you to enter how away clubs and fans can find your home ground 33

34 Google Map Code Snippet The Google map code snippet enables you to add an interactive google map to your website. Here is a guide to getting your code snippet: 1. Visit maps.google.co.uk 2. Enter your club address into the search box at the top left of the page: 3. Google maps will now load your clubs location on the map. In the top left of the page you will see a hamburger menu i.e. 3 horizontal lines, click this and then choose Share or embed map : 34

35 4. A pop up wiindow will now open. First click the Embed map tab then select and copy the code snippet from the text box that starts <iframe src... You then just need to paste the code snippet into the Google Map Code Snippet text box in your control panel: 5. Click the save button and your website will now have a fully interactive Google map embedded. 35

36 Club Contacts To get started in your control panel hover over the Contact tab and click on Club Contacts from the drop down menu: Club contacts is the place for you to list key club personel and give your site visitors a way to contact them directly. Here is a guide to the elements on the page: Add Contact For each contact you add to this page you can specify whole they are, what their role is at the club and how to contact them. You can also include a bio picture. Please note we do not display any addresses on your website for security purposes but instead site visitors can fill out a pop up form to your Club Contacts directly, then it is up to the contact to decide if they want to that person back. This prevents addresses being harvested for spamming purposes. Existing contacts are displayed on the right hand side of the page in a table. You can edit or delete them at any time. 36

37 Section Management To get started in your control panel hover over the Settings tab and click on Manage Sections from the drop down menu: We wanted to make MyClubPro as flexible as posible for our users so we developed section management. It enables you to turn off entire sections of your website that you don t use to avoid your site looking empty. The control panel page is very easy to use, you will see a list of website sections that are available to be turned on or off: Simply click the on/off button, green for on, red for off, it s that simple. 37

38 Facebook & Twitter To get started in your control panel hover over the Settings tab and click on Facebook & Twitter from the drop down menu: This is where you can integrate your two favourite social networks into your website. The page gives you 3 optional items you can activate: A link to your club Facebook page Adds a Facebook icon to the top right of your website that links to your clubs Facebook page A link to your club Twitter page Adds a Twitter icon to the top right of your website that links to your clubs Twitter page Embed your Twitter Feed Adds your Titter feed to your website in the form of a pop out panel from the right hand side of the screen. To add your Twitter feed you will need to get your feed code snippet by creating a timeline widget in your Twitter account, instructions below: 38

39 1. Login to your Twitter account 2. Go to the widget creation page: 3. Without changing any of the default settings, click the Create Widget button: 4. Your code snippet will be created and can be copied from the text box on the bottom right of the page as shown below, then simply paste it into code snippet text box in your MyClubPro control panel as shown on the previous page: 39

40 User Management To get started in your control panel hover over the Settings tab and click on User Management from the drop down menu: MyClubPro is designed so you can split the website workload at your club by having multiple website administrators, you can create as many control panel users as you like and there are two different types of user account: Admin Users Admin users have full access to all control panel features just like yourself. To add an Admin user simply select the Admin option when completing the user setup as shown opposite. Team Users Team users only have access to edit a single team, including their team setup, fixtures/results/ match reports and player profiles. To add a Team user simply select the Team User option when completing the user setup as shown opposite and choose which team you would like them to manage. After a user is added the system will automatically the new user informing them how they can access the control panel and what their login details are. 40

41 Videos To get started in your control panel click on Videos from the menu: If you would like to add your own videos to the Video page of your website you will first require a YouTube account. Then once your videos are in YouTube you are ready to add them, all you need is your Video s ID. This is how you get it: 1. Go to the page on YouTube s website where your video is located, you will see in the address bar the page link. 2. Your YouTube video ID is everything after v= so in the example above: BPGS8uEe6BA 3. You now simply need to copy this ID and paste it into the YouTube Video ID field. Give the video a title as you want it to appear on your website, click make live and hit the save button.
