Editing Names: Middle School Students

1 Archdiocese of Milwaukee Website Help File 1 Editing Names: Middle School Students Parishes and schools have the ability to edit the contact information for their middle school students on the archmil.org website. This helps assure a single database for all students from our Catholic elementary schools and religious education programs. These names are shared with the Catholic high schools within the archdiocese for their recruitment purposes. Editing Student Names on archmil.org To access the Names Maintenance section of the site you must first log into archmil.org by clicking the MyArchmil link on the main blue toolbar. Enter your Login (username) and password. Click the Login button. Contact the Information Systems office if you do not have your login information.

3 Archdiocese of Milwaukee Website Help File 3 Adding a Name You no longer need to create a Username and Password for each person! There are now two options for adding a name. 1. To enter a student, click the Add Name link. 2. The second option, Add Name with Login, should not be used for students. Continued on next page

5 Archdiocese of Milwaukee Website Help File 5 Assign the correct Student Tag Note: the tag is based on the student s gender and year of 8 th grade graduation. 1. Select Students from Tags column 2. Next, select the appropriate grade level classification 3. Click the green arrow button 4. Finally, click Save & Continue Note: The student is automatically assigned to the same parish and/or school locations that you have. If you are a Names administrator for both a parish and school, this may not be appropriate. Students should be assigned either a parish or a school.

6 Archdiocese of Milwaukee Website Help File 6 If you need to edit a student s profile, use the Keyword search and/or the Filters to find an existing record. In the example above, all boys from St Test School from the Class of 2019 will be displayed once the Search button is clicked at the bottom of the screen (note: search button is not part of this image). To do this, you first select the Tag called Students (left column). This will display a list of possible values in the center column. Select the value(s) that you want and click the small button with the green arrow. This will move your selection to the Selected Values (right column). You can also use a keyword search where you enter the first name, last name, or first and last name. For example, if you enter the last name Smith, the system will display every student at your location with the last name of Smith who is also a boy from the Class of If you enter John Smith, the system will only display the records that match the first name John and the last name Smith. Note that you can check Starts with, Contains, or Exact Match to narrow the results.

7 Archdiocese of Milwaukee Website Help File 7 Click the Search button to run the query. If you don't enter any keywords or a filter selection, all names for your location are displayed. The results of your keyword search or filter selection will appear below the Search button. The records are displayed alphabetically by the person's last name and includes contact information as well as the Status of the record. Click the Edit link to open the profile. Note: In this example, Jane Student is obviously assigned the wrong tag. Clicking Edit will open her profile so you can assign the correct one. See Page 5 for an example of assigning tags.
