1 Knowingo + Dashboard Manual Introduction The purpose of this manual is to provide current Knowingo + users with references and instructions on how to utilize the Knowingo + Dashboard. The contents of this manual were comprised by members of the official Knowingo + team. This manual was last updated October 2017, and may be subject to further updates. For additional information about the Knowingo + learning platform, contact the Knowingo + support team at support@knowingo.com.

3 Getting Started How to Access the Dashboard The Knowingo + Dashboard can be accessed from any web browser by accessing the URL: dashboard.knowingo.com or by logging in through the official Knowingo + website. The login page will prompt for the login credentials that were provided by the organization s Knowingo + administrator. Knowingo + administrators will receive their login credentials from the official Knowingo + team. Forgotten password In the event of a lost or forgotten password, the password can be reset by clicking Forgot password?. A password reset will be sent to the address assigned to the Knowingo + account. Logging out To log out of the Dashboard, navigate to the upper righthand side of the screen and click on the avatar and name there. A drop down menu with the last option reading Log out will appear. 1
4 Knowingo + User Roles There are 5 different types of Knowingo + users which are defined by their role. When inviting new users to join Knowingo +, decide which permissions each user is allowed by defining their role. The roles of users are as follows: User Full access to the Knowingo + game on the mobile application and no access to the Dashboard. Content Creator Full access to the Knowingo + game on the mobile application and partial access to the Dashboard. Content Creators can create and edit content from Topics but are unable to see learning statistics or make any changes to Users and learning paths. Manager Full access to the Knowingo + game on the mobile application and partial access to the Dashboard. Managers can see learning statistics, and manage Users, Groups, and their Learning Paths but are unable to create or edit content. Moderator Full access to the Knowingo + game on the mobile application and dashboard. A Moderator has the combined permission and access rights of the Content Creator and Manager roles, being able to access all sections of the Dashboard and edit any information or content on the Dashboard. They are unable to remove other moderators from the platform it must be done by the organization s Admin. Admin Only one user with this role exists in your company. Admin has all the same permission and access as a Moderator, and has ultimate authority over all users and content on the Knowingo + dashboard. Admin is the only one that can add or remove Moderators from the platform. 2
5 Elements of the Dashboard The Knowingo + Dashboard is made up of several sections where a different type of work can be done. Some sections will be inaccessible to users who don t have full access to the dashboard. Read more about which users have Dashboard access in Knowingo + User Roles. Dashboard The first section and the landing screen of the Dashboard. This page provides an overview of learning progress in your organization. Read more about this screen in Dashboard. Users The section where all Knowingo + users can be invited, removed, and managed. This section will not be visible to users with the role of Content Creator. Read more about this section in the chapter Users. Groups Allows learning managers to control groups of users and to determine their learning path. This section will not be visible to users with the role of Content Creator. Read more about this section in the chapter Groups. Topics The section where all content creation and management for Knowingo + will occur. This section will not be visible to users with the role of Manager. Learn more about this section in the chapter Topics. Account Information Serves as a form that allows clients to add and edit their billing details. Read more about this section in the chapter Account Information. Settings Settings allows learning managers to set and edit some of the global settings of the Knowingo + application. Read more about this section in the chapter Settings. 3
6 Dashboard The Knowingo + Dashboard is the content and user management system for the Knowingo + mobile application. The Dashboard is also the very first screen of the platform, and it provides an overview of all learning done in the organization. The graphs and data found here are presented through widgets which indicate how learners are handling their learning material overall. Layout The first three widgets provide an overview of the current state of learning in your organization. The next row of graphs show the progression and growth of knowledge learned and the amount of time players have spent training with Knowingo +. Both widgets can display results of any/all groups by the day, week, or month. The bottom row of widgets display more detailed information about the progress of knowledge learned, and how it is distributed across any/all groups from any/all Topics. The Trending widget provides overview of three important metrics from the current month. 4
7 The Knowledge Graph The knowledge graph keeps track of initial, current, and potential knowledge level of the selected group. This graph is crucial to watch over time to ensure that employees are living up to their learning potential. Initial Knowledge This metric represents how much knowledge players had about the content in their learning paths before they started learning with Knowingo +. Initial knowledge is first calculated after players have played a few games in the app. Initial knowledge may slightly vary as time goes on, because the system continuously adapts it s statistics based on the information it receives. Current Knowledge Represents the average level of knowledge the selected group has currently reached. Potential Knowledge The amount of knowledge players could achieve based on the content in a group s learning path. User Learning Progress Graph This graph visualizes users progress in their learning path. The horizontal axis represents the amount of material learned, while the vertical axis shows the number of active users. In other words, this graph is able to track how much material learners have covered at a certain point in time. 5
8 Users All users invited to join the Knowingo + platform can be managed in the Users section of the dashboard. This page allows Knowingo + managers to view and filter the details of all Knowingo + users in a list form, take action on these users, and view user stats. Above the list of users, Knowingo + managers can efficiently view details about their user base: including the number of users on the platform, seats still available, registered users, unregistered users, and users currently online. On the users page, it is easy to view a list of all users and the current status of everyone on the organization s Knowingo + account. At a glance, view the names, addresses, and learning progress, as well as their current user-status. 6
9 Knowingo + managers can choose how their list data is displayed by clicking the gear icon on the far right of the User list. Depending on the managers preferences, the User list can display any variable of information from user status to learning progress, which makes reporting and information gathering simpler than ever. Using the Filters Knowingo + managers can use filters to help sort and display specific data about Users status on the platform. The filters can be used individually, or multiple filters can be selected to filter data even more specifically. The number of items displayed on the User list can be modified to display 10, 25, 50 or 100 items. Simply click the Items drop-down menu and selected the preferred value.selection. A Registered User is a user that has created an account (in other words, they have made up a password to log into the game) with the organization on Knowingo +. An Invited User has received an invite via to join the organization on Knowingo +, but have not completed the process of registering their account. A User who is Not invited has not been sent an invite to join the organization on Knowingo+ via . An Enabled User is able to utilize their Knowingo + account login and password to access the elements of Knowingo + their role permits. A Disabled User is a User whose access has been temporarily suspended, however, their progress and results from past Knowingo + sessions has been saved to the database. They will resume where they left off if they are ever enabled again. Adding Users to Knowingo + There are two methods of adding users to Knowingo. One way is to invite users individually through by clicking the button, Create User. 7
10 Enter their , and select which group(s) they belong should to by typing it in the second field. Every new user will be added to the Everyone group by default. To add more users, just click the button CREATE MORE which will add more fields for additional s, and group selection. Choose which Role the user will have in Knowingo + by selecting one from the drop-down menu labeled, Role. Read more about what each Role means in the chapter Knowingo + User Roles. To import up to 100 users to the same group at once from an Excel sheet, copy and paste the Excel data into the box (limit on address per line) and click VERIFY. If there are any typos in the data, there a warning message will display. Users invited through import will automatically be designated User role, meaning they will only be able to play the Knowingo + mobile application and cannot access the Dashboard. If any of these imported users need a different role designation, this can be changed later by selecting the individual user from the list, and opening the Edit User window by clicking the user s cell. To import up to 100 users to the same group at once from an Excel sheet, copy and paste the Excel data into the box (limit on address per line) and click VERIFY. If there are any typos in the data, there a warning message will display. Users invited through import will automatically be designated User role, meaning they will only be able to play the Knowingo + mobile application and cannot access the Dashboard. If any of these imported users need a different role designation, this can be changed later by selecting the individual user from the list, and opening the Edit User window by clicking the user s cell. 8
11 Sending Invitations Whether Users are added to the Knowingo + platform via the Create User or Import User method, managers are able to send invitations via to users at the same time as they are added. Managers can opt to send invitations to Users as they are created, or to add all users first and then send them invitations via the Actions menu and selecting MORE, and then Resend Invitations. Users that were added to the platform, but did receive an invite will have a green INVITE NOW button found in the user s cell. Invitations are s Knowingo + will send to the addresses provided by the platform s managers. These invites ask Knowingo + users to register their addresses and will guide them through the process of making their own personal, secure account and password. Managing Users Manage multiple users at once, or make specific changes to a User by utilizing the Edit user menu and Actions menu. Edit a specific user by clicking anywhere in their cell. Clicking on any non-linked section of the User s cell will open the Edit user menu on screen. From this menu, Knowingo + managers are able to edit the user s names, Group(s), role, and disable/enable their account. This menu can also be accessed by clicking the vertical three dots located on the far right of the User s cell. 9
12 To edit or act upon multiple users at once, Knowingo + managers can utilize the Actions menu, located above the list of users. Select the users which need to be modified by clicking the boxes next to their name (or click the box in the teal menu bar to select all users). Choose an action from this drop-down field to enact on the selected users. Delete a user to completely remove their results, address, and account details from the Knowingo + system. This action is permanent and cannot be restored. The only way this user can join Knowingo + again is to be sent a new invitation and have them create a new account. Disable a user to keep their account information, without removing them completely from the system. Their results will still be counted towards overall statistics. Disabled users will be unable to log into the mobile application or web platform until they are re-activated. Enable a user who has been disabled to restore the permissions of their role and allow them to continue playing Knowingo +. Resend invitations if any of your users lose their initial invite to join Knowingo + . NOTE: Users can only be assigned/removed from Groups from the Users section of the dashboard. Do not go to the Groups section of the dashboard when assigning or removing users. Edit the Group each user belongs by selecting the action Edit user from the user s cell. 10
13 Groups Groups are handy for organization purposes. Assign specific departments, project groups, new employees, etc., to their own groups for simple content management. Managing Groups When new users are added to Knowingo +, they are added to the Everyone Group by default. Manage which Groups users belong to from the Users screen. NOTE: For organizations with Groups of employees that require unique course material, we recommend that no learning path is assigned to the Everyone group. If a learning path is assigned to the Everyone group, that learning path will take priority over the learning paths of all other Groups. Create as many groups as necessary by clicking the green ADD GROUP button towards the top of the screen. This will bring up a form which will prompt for a name and description. Under the USERS tab, see all the active & invited users that belong to this group. View the second tab, LEARNING PATH to view which Topics are assigned to the group. NOTE: To make changes to this list, go to the Users category, and either add/remove the users there. If there are specific Topics that a group should be assigned to, those Topics can be chosen here. Click the button EDIT LEARNING PATH to edit the order of Topics. 11
14 About Learning Paths Knowingo + learning paths enable learning managers control over how content is introduced to users. On the Dashboard, learning paths are assigned per group and can be viewed from the Groups screen. Every User also has their own Learning Path, which can be viewed from the mobile application when pressing, Play Quiz. Learning paths are essentially lists of the Topics, or learning material, that need to be learned by a specific Group of users. Edit Learning Paths To edit a learning path of a specific Group, simply click the tab LEARNING PATH to view it. Once the learning path tab is open, click the button EDIT LEARNING PATH to add, remove, or change the positions of any of the Topics in the path. To add a Topic to the learning path, click the arrow in the field labeled Select topic to bring up a drop-down menu of all Topics. Simply click the Topics and they will be added to the learning path. To remove a Topic from the learning path, click the white x found opposite of the Topic name. To edit the order of Topics in the learning path, click and drag the Topics in place. Once the learning path is set, click SAVE. NOTE: Every group lacking a Learning Path will be unable to play Knowingo +. The only group that should not have a Learning Path is the Everyone group when all other users are assigned to other groups. 12
15 Priority in Learning Paths The order in which Topics appear in a learning path matter: whereas Topics listed earlier will be prioritized over Topics lower down the path. The first three Topics listed in a learning path will be unlocked and available for all the users of that group to play. Players unlock subsequent Topics after they have achieved a rank of 5 in any of the unlocked Topics. Learning Paths for Multiple Groups In some cases, a user may belong to multiple groups in which each group has a different learning path. The Learning Path of the Group with the most amount of users will take priority over the Learning Paths of smaller Groups. Once the Learning Path of the Group with the highest amount of users is complete, the content from the Group with the second highest amount of users Learning Path will be unlocked, and so on. This is why we generally recommend that Everyone group have no learning path. Because every User is automatically added to the Everyone group, it will automatically take priority over all other Groups with less users. 13
16 Knowingo + Content How to Add Content Adding content to Knowingo + must be done through this Dashboard. Content should be created in the form of trivia-like, multiple choice questions. Creating content in Knowingo + is done in two tiers: first by defining the subject of the material, or Topic, and then by creating the actual questions which are contained by Knowledge Sets. The Topics section of the Dashboard is where all content will be added and managed from. Read more about how to create content in the sections Topics and Knowledge Sets respectively. Topics Topics are defined subjects for Knowingo + users. Use Topics to manage different subjects and to separate subjects that are only relevant for specific Groups. To create new Topics, simply navigate to the Topics screen and click the green button ADD TOPIC to bring up the new Topic form. With this form, a prompt to name and write a description for the Topic will appear which will be seen by users who play this Topic. Topics contain Knowledge Sets with questions. A Topic can only be published and playable when there are at least 25 questions assigned to it. Questions can be added with Knowledge Sets. Read about Knowledge Sets to learn more about creating questions for Topics. 14
17 Knowledge Sets Knowledge Sets are a batch of questions assigned to a Topic. There are two types of knowledge sets: Image and Text. Knowledge Sets can be used to easily combine different types of questions (text and image) within one Topic. Learning managers can add as many Knowledge Sets per Topic as needed, but at least one Knowledge Set is required to play. To create a new Knowledge Set, navigate to the Topics screen and then click on the Topic that needs content added. Clicking the Topic will display the Knowledge Sets screen, which lists all the Knowledge Sets that belong to that category. Click the button ADD KNOWLEDGE SET to bring up the form to create and edit new Knowledge Sets. This form will have fields to name the Knowledge Set, write a description for it, and choose the type of questions (Text questions or Image questions) that will be in the Knowledge Set. Managing Questions Questions are the playable content that Knowingo + players will experience in-game. A Question can be either a Text question, a question which utilizes text, or an Image question, which is a question with an accompanying image. Text Questions All Questions contained within a Knowledge Set are listed in its respective Questions screen. The amount of Questions shown on-screen can be modified to show 10, 25, 50, and 100 by selecting the desired number of items via the Items drop-down menu. Questions may also be filtered to show specific Questions on screen based on their publish-status. Click the Filter drop-down menu and select either Published, Unpublished, or Changed, to show Questions on-screen with the respective publish-status. 15
18 To add new Text questions to this Knowledge Set, find the headline Add question at the top of the list of Questions and click it. Doing so will prompt the Edit question window to appear on-screen. Type the Question (max 180 characters, spaces included) as it should appear to players in game in the top field labeled Question. In the following four fields labeled Answers, type in the correct answer to the question, as well as 3 incorrect answers as they should appear to players in game. Use the drop down menu labeled Correct Answer to let Knowingo + know which answer to consider correct. From this screen it is also possible (yet optional) to add background information to the question. Read more about adding Background Information in Background Information & Question Review. Click the green button SAVE CHANGES for the new question or changes to be saved to the Questions list. Image Questions All Questions contained within a Knowledge Set are listed in its respective Questions screen. The amount of Questions shown on-screen can be modified to show 10, 25, 50, and 100 by selecting the desired number of items via the Items drop-down menu. Questions may also be filtered to show specific Questions on screen based on their publish-status. Click the Filter drop-down menu and select either Published, Unpublished, or Changed, to show Questions on-screen with the respective publish-status. Image questions can be viewed in list or tile format on-screen. This view can be modified via the list and tile icons found on the far right of the blue bar labeled Question. 16
19 To add new Image questions to this Knowledge Set, click on the headline Add question at the top of the list of Questions. Doing so will prompt the Edit question window to appear on-screen. Type the Question (max 180 characters, spaces included) as it should appear to players in game in the top field labeled Question. Image uploaded to Knowingo + must fit the following criteria: Filetype: jpg, png, gif, bmp File size limit: 4MB Dimensions: 1200x800 pixels Images that do not fit these dimensions may be editable from this screen. If so, a prompt to resize the image will appear on screen and by clicking the button EDIT IMAGE, it will be possible to resize via a crop tool. From this screen it is also possible (yet optional) to add background information to the question. Read more about adding Background Information in Background Information & Question Review. Click the green button SAVE CHANGES for the new question or changes to be saved to the Questions list. Publishing Questions Whenever changes or new questions are added to a Knowledge Set, these will only take effect once they are published. When this occurs, they will be labeled with the text Unpublished changes underneath the Question s text. Select the box(es) next to each question with unpublished changes, and then click Publish from the Actions menu. 17
20 Background Information & Question Review To help users better understand tough questions and the theory behind them, Knowingo + allows you to add Background Information to your questions. This additional information will be shown to the user as part of the Question Review. Question Review is a feature that shows the user their answer to a question, the correct answer and its related Background Information, explaining the answer, at the end of a quiz. Knowingo + will automatically pick the toughest and most important question (if any) to review at the end of a quiz. Add Background Information from the Questions screen under Topics on the Dashboard. Background Information is inputted on per question basis. Navigate to one of the questions that requires Background Information and click it to open the question-entry form. Towards the bottom of the form, find the prompt Add background information and click the button to switch it On. The Background Information form will open so that the content can be inputted. There are 2 fields, the Title (40 characters max) and Text (600 characters max), as well as the option to include an image (in this case, the Text can be max 240 characters long). To submit an image in Background Information, the following requirements must be fulfilled: Filetype: jpg, png, gif, bmp File size limit: 4mb Dimensions: 1200x800 pixels 18
21 Click SAVE CHANGES for the content to be added to the question. For the changes to take effect in your learners app, be sure to publish changes. Background Information will be shown to players at the end of the game, and will be displayed as shown. 19
22 Account Information & Settings Account Information The Account Information section of the dashboard is where billing details can be added and edited at any point. Fields marked with an asterisk (*) are required. Once the required fields are filled in, click SAVE CHANGES for the changes to take place. Settings Personalize the Knowingo + dashboard in the Settings section of the dashboard. Decide which language (English or Dutch) the dashboard components will utilize such as the display interface and automatically generated s. 20
23 From this screen it is also possible to upload a logo to the game s starting screen. Upload the image from your computer, and preview it here. Be sure to upload an image that fits the requirements: Filetype:.png format File size limit: 4mb Dimensions: 500 x 500 pixels NOTE ON PARTNER ACCESS: Enabling partner access allows a Knowingo + affiliate to access the Knowingo + dashboard with the same level of access as an Admin. If Knowingo + was purchased through an affiliate, this will be switched ON by default. Affiliate access can be toggled on/off at any point. Profile When logged in to the Dashboard, learning managers can edit their personal Profile settings by clicking on the avatar and their name in the upper righthand corner of the screen. From this screen there are two tabs: the first of which MY PROFILE allows the user to set their name, switch their account to another address, and change the language of the Dashboard and mobile application. NOTE: Changing the language from this screen will only affect the logged in user s experience. To edit the language settings for the entire organization, make this change from the Settings screen. 21
