3 Installing Cybozu Desktop This section describes how to install Cybozu Desktop on each client computer. Confirm the installation environment. Preparing for installation 2

4 Install Adobe AIR. Adobe AIR is required to use Cybozu Desktop. To install Adobe AIR on your computer, click the link below to download the software for free. Double-click "cybozu.desktop.1.x.x. air" that has been downloaded to your computer. The installation starts. Specify the installation preference and the installation location, and click "Continue". Changing the installation location To change the installation folder in the step 4, click to display the "Browse For Folder" screen, select a folder, and then click "OK". Installing on Macintosh Install Cybozu Desktop on your client computer in a Macintosh environment. Confirm the installation environment. Preparing for installation Install Adobe AIR. Adobe AIR is required to use Cybozu Desktop. To install Adobe AIR on your computer, click the link below to download the software for free. Open "cybozu.desktop.1.x.x. air" that has been downloaded to your computer. The installation starts. Specify the installation preference and the installation location, and click "Continue". You can change the installation location. Changing the installation location To add the Cybozu Desktop icon to the Dock: Drag from the Finder window or the desktop, and drop it on the Dock. 3

5 Upgrading Cybozu Desktop This section describes how to upgrade Cybozu Desktop. The upgrade procedure varies depending on whether or not the automatic upgrade of Cybozu Desktop is enabled. Enabling automatic upgrade Upgrading when automatic upgrade is enabled Cybozu Desktop can be automatically upgraded to the latest version upon release of a new version. Start Cybozu Desktop, and follow the instructions on the screen to upgrade to the latest version. Upgrading when automatic upgrade is disabled Uninstall the current version of Cybozu Desktop, and then install the latest version. The following issue may occur: Issue: Even if automatic upgrade is enabled in the product before upgrading, Cybozu Desktop cannot be automatically upgraded to the latest version. If this issue ocurs, you must use the procedure for products with automatic upgrade is disabled. Contact your system administrator for the version number of Cybozu Desktop. Set other options of Cybozu Desktop if required. Automatic upgrade is disabled. Confirm the upgrade environment. Preparing for installation Uninstall the current version of Cybozu Desktop. The uninstallation procedure varies depending on whether you want to keep the option settings such as for which services to use or notifications. To uninstall the current version of Cybozu Desktop keeping the option settings: Uninstall Cybozu Desktop without deleting the option settings files. The option settings is inherited by the latest Cybozu Desktop that will be installed in step From the Windows Start menu, click "Control Panel" > "Uninstall a program". 2. Select "Cybozu Desktop" in the program list, and click "Uninstall". To uninstall the current version of Cybozu Desktop completely with deleting the option settings: Uninstall Cybozu Desktop completely. You must configure the option settings after installing of the latest Cybozu Desktop. For details on how to uninstall Cybozu Desktop, see the following page: Uninstalling on Windows Install the latest version of Cybozu Desktop. 8 Uninstalling Cybozu Desktop This guide describes how to uninstall Cybozu Desktop. Uninstalling on Windows Uninstalling on Macintosh Uninstalling on Windows Uninstall Cybozu Desktop from a Windows computer. From the Windows Start menu, click "Control Panel" > "Uninstall a program". Select "Cybozu Desktop" in the program list, and click "Uninstall". Delete "cybozu.desktop.config" and "cybozu.desktop". When using version or earlier of Cybozu Desktop Delete the folder including all the files in the folder in the following directory: On Windows XP C:\Documents and Settings\<username>\Application Data\cybozu.desktop On Windows Vista or Windows 7 C:\Users\<username>\AppData\Roaming\cybozu.desktop When using version or later of Cybozu Desktop Delete the folders including all the files in the folders in the following directories: On Windows XP C:\Documents and Settings\<username>\Application Data\cybozu.desktop C:\Documents and Settings\<username>\Application Data\Adobe\AIR\ELS\cybozu.desktop On Windows Vista or Windows 7 C:\Users\<username>\AppData\Roaming\cybozu.desktop C:\Users\<username>\AppData\Roaming\Adobe\AIR\ELS\cybozu.desktop Uninstalling on Macintosh Uninstall Cybozu Desktop from a Macintosh computer. Select "Cybozu Desktop" in the Applications, and move it to the Trash. Delete "cybozu.desktop.config" and "cybozu.desktop". 9 When using version or later of Cybozu Desktop Delete the folders including all the files in the folders in the following directories: On Mac OS X /Users/<username>/Library/Preferences/cybozu.desktop /Users/<username>/Library/Application Support/Adobe/AIR/ELS/cybozu.desktop When using MAC OS X v10.7 or later To access the "Library" folder, hold down the Option key and select "Library" from the "Go" menu on the menu bar. You can select "Library" as long as you hold down the Option key. 8

11 Setting options This section describes how to set the options of Cybozu Desktop. Registering services Changing notification settings Changing display settings Enabling automatic upgrade Configuring a proxy server Registering services Register the services to display updates and notifications via Cybozu Desktop. Start Cybozu Desktop. Starting Cybozu Desktop Click to display the options screen. Click "Service" > "Add Service". To edit the basic information, click the product icon. Click "Basic information", set the desired options, and click "Test login". If Basic Authentication is enabled on the Web server, click "Network information", select "Enable basic authentication", and enter the account and the password. Setting items of basic information Item Description Service name Enter the display name of the service. URL Enter the URL to access the top page of the service. Account Enter the login name manually. Password Enter the password to log in to the service. Information of the URL column Refer to the following examples, and enter the access URL of the product. 12 of Garoon Linux IP address or host name/cgi-bin/cbgrn/grn.cgi Wait until a check mark appears next to "Test login", and click "OK". A check mark appears to indicate that the entered information is valid. You cannot use Cybozu Desktop unless your login name is registered in the intended product. Before registering services in Cybozu Desktop, make sure that your login name is registered in each product. Login will fail if the URL ends with a question mark (?). Delete the question mark in the URL,and then click "Test login". For details, see the following Japanese Web site: For Cybozu products on-premise versions Cybozu Office:Frequently asked questions Garoon:Frequently asked questions Removing services To remove services in use, click "Service" on the options screen, and then drag and drop the icon of the service that you want to remove. Changing notification settings Specify how to retrieve notifications from services. Click "Notifications" on the options screen. Set the desired options, and click "OK". 13 Select an update interval from the following options: 10 minutes 20 minutes Update interval 30 minutes 40 minutes 50 minutes 60 minutes To be notified of updates, select "Include update information". To be notified with a popup window, select "Show in popup window". Select a display duration for the popup window: 5 seconds Update information 10 seconds 15 seconds 20 seconds 25 seconds 30 seconds You can set a reminder to go off before each appointment by specifying the time in minutes. To be notified of upcoming appointments, select "Notify the latest appointments". Select an alarm time from the following options: 5 minutes Latest appointments 10 minutes 15 minutes 20 minutes 25 minutes 30 minutes Alarm tone To play a sound with the reminder, select "Sounds an alarm when appointment start times are approaching". The alarm only supports MP3 files. Changing display settings Change the display settings for update notifications and appointment notifications. On the options screen, click "Display settings". Set the desired options, and click "OK". Setting items of display settings Item Description 12

14 Display language Select a display language. Skins Select a skin color for the screen. Font size Select a font size used to display notifications. Enabling automatic upgrade Cybozu Desktop can be automatically upgraded to the latest version. On the options screen, click "Version". Select "Auto upgrade", and click "OK". Click "Version" to confirm your current version of Cybozu Desktop. Configuring a proxy server To access the services via a proxy server, you must configure the proxy server on your Web browser. Contact your server administrator for configuration details. Configuring on Windows Configuring on Macintosh Configuring on Windows Start a web browser (Internet Explorer), and click "Tools" > "Internet Options". Click the "Connections" tab, and click "LAN Settings". In the proxy server field, set the desired options, and click "OK". Configuring on Macintosh Start a web browser (Safari), and click "Preferences". Select "Advanced", and click "Change Settings" in proxies. Set the desired options, and click "OK". 13

15 Using Cybozu Desktop This section describes how to use Cybozu Desktop. Starting Cybozu Desktop Exiting Cybozu Desktop Confirming update notifications Confirming appointment notifications Checking new s Confirming logs Starting Cybozu Desktop Start Cybozu Desktop. You cannot start Cybozu Desktop if the login password has expired in the service. To start Cybozu Desktop, you must first renew the password in the service. On Windows On Macintosh On Windows The icon appears in the system tray once Cybozu Desktop is started. Use either of the following procedures to start Cybozu Desktop: Starting from the Start menu From the Windows Start menu, select "All Programs" > "Cybozu" > "Cybozu Desktop". Starting from a desktop icon If you select "Add shortcut icon to my desktop" during installation, appears on the desktop. Double-click to start Cybozu Desktop. Starting automatically Add the Cybozu Desktop shortcut to the Startup folder so that Cybozu Desktop will start automatically when you boot the client computer. On Macintosh The icon appears in the Dock once Cybozu Desktop is started. Use either of the following procedures to start Cybozu Desktop: Starting from the Applications From the Applications, select "Cybozu" > "Cybozu Desktop". 14

16 Starting from a desktop icon If you create the Cybozu Desktop alias during installation, appears on the desktop. Double-click to start Cybozu Desktop. Starting automatically Select "System Preferences" > "Accounts" > "Login Items" > "Cybozu Desktop", and Cybozu Desktop will start automatically when you boot the client computer. Exiting Cybozu Desktop Exit Cybozu Desktop. Exiting Cybozu Desktop stops the notification screen opening and appearing in the system tray. Right-click that appears in the system tray on Windows or in the Dock on Macintosh, and click "Exit" on the menu. You cannot exit Cybozu Desktop by closing the popup window or the notification screen. Confirming update notifications Cybozu Desktop displays the notifications retrieved from the selected services on your computer desktop. You can keep informed of the update information and the appointment start time that is registered in Scheduler. Confirming new information Confirming update notifications Confirming the notification history Confirming new information The popup window provides the newly arrived information that you have not yet read in the services. You can receive the new information of the following applications: Scheduler Messages Bulletin Board Cabinet Phone Messages Workflow Customized apps (only when using Cybozu Office) Project (only when using Cybozu Office) Report (only when using Cybozu Office) MultiReport (only when using Garoon) Space (only when using Garoon) 15

17 Notices from Cybozu Notifications of Customized apps appear when you are using one of the following product: Cybozu Office version 9.0 through 10.1 on-premise versions Notifications of Space appear when you are using one of the following product: Garoon version 3.1 through 3.7 on-premise versions The popup window appears only if you have selected both "Include update information" and "Show in popup window" on the options screen. You can specify a display duration for the popup window in the notification settings. Changing notification settings Confirm the information in the popup window. Confirm the details in the service. For how to use the services, see the manual of each service. Icons on the screen The icon is displayed in the system tray on Windows or in the Dock on Macintosh while Cybozu Desktop is running. The appearance of changes according to the status of Cybozu Desktop. Icons of Cybozu Desktop Icon Description Cybozu Desktop is running. Update information has been received. Click to display the options screen. Click to display the online manual. Click to display the update information in all services. Confirming update notifications Cybozu Desktop regularly checks for updates in the services and displays the update notifications. Notifications appear with a blinking icon if you have placed Cybozu Desktop on the taskbar on Windows. The update notification screen appears only if you have selected "Include update information" on the options screen. You can specify the interval at which Cybozu Desktop checks for updates. Changing notification settings 16

18 On Windows, click blinking on the taskbar or in the system tray. On Macintosh, click bouncing in the Dock. Confirm the updated contents on the update notification screen. The update notification screen displays the updates that are performed in each application. You can switch the services to display on the screen. Confirming the notification history Confirm the history of the notifications received in the day. On Windows, click On Macintosh, click in the system tray. in the Dock. Confirm the updated contents on the update notification screen. Display items of update notifications Confirming appointment notifications Cybozu Desktop checks for appointments in the services and automatically displays the appointment notification screen before the start time. Notifications cannot be displayed for all day appointments, appointments with no time specified, or tentative appointments. The appointment notification screen appears only if you have selected "Notify the latest appointments" on the options screen. You can specify the time that you want a reminder to go off before each appointment. Changing notification settings Confirm the contents on the appointment notification screen. The following information is displayed on the appointment notification screen: Alarm Time Subject Facility name Click the link to confirm the details. The details of the selected appointment are displayed on the Web browser. Confirm the appointment details in the service. For how to use the services, see the manual of each service. 19

21 Checking new s On version or later, Cybozu Desktop automatically checks for new s from the services you are using, and displays a popup window for each received . Required conditions for checking new s automatically Cybozu Desktop checks for new s at a specified update interval when all the following conditions are met: Cybozu Desktop is running. Note that when starting Cybozu Desktop for the first time, no notifications appear even though new s have been received in the services you are using. The system mail account is activated in the service you are using. Behavioral specifications Cybozu Desktop checks for new s each time it checks for updates in the services. s that cannot be received due to exceed the maximum size of incoming s per time are stored in the mail server until next checking. Cybozu Desktop cannot detect errors on receiving s. Confirming logs Confirm the error logs of Cybozu Desktop. Open the "cybozu.desktop.log" file. The file location varies depending on the environment. On Windows XP C:\Documents and Settings\user name\application Data\cybozu.desktop\ On Windows 7 C:\Users\user name\appdata\roaming\cybozu.desktop\local Store\ On Mac OS X \Users\user name\library\preferences\cybozu.desktop\local Store\ When using Windows XP or Windows 7 The log file is in a hidden directory. To display the hidden directory, you need to change some of the settings in "Folder Options".
