5 Introduction The goal of this training manual is to teach users how to effectively use the HEAT Track Online Platform (HOP). Look for the Tip: for shortcuts, tricks, and tips to make your job easier. Login Page 1. Open a web browser. The tracking software can be used with Google Chrome, Microsoft Internet Explorer or Mozilla Firefox. 2. Go to Enter the username and password provided to you. 4. Click Login. Page 5 of 65

6 Dashboard The Dashboard is the main entry point for the HOP. From the Dashboard you can do the following: Go to Tracking, Routing, Geofence and Report Sections View and/or Create Groups View Announcements and Recent Alerts View Key Statistics Access Tools and Settings Tools/Settings and Help Groups Announcements Key Statistics Alerts Page 6 of 65

7 Create Group In this lesson we are going to create a group and then edit the information. A group is a way to organize the items you are tracking. All vehicles, assets or individuals have to be assigned to a group. If you have a group of assets that are going to have similar configurations and alert settings, then creating groups might be a good idea. 1. Click Add New Group. Add Group 2. Enter a Group Name. 3. Optional: enter Supervisor Name. 4. Optional: enter Description of Group 5. Set the correct time zone settings and measurement units (gallon/liter, Farhrenheit/Celsius) 6. Optional: change Hours of Operation. 7. Click on the Save button. Page 7 of 65

8 Edit Group Now we are going to edit the group we just created. This part is optional. 1. From the Dashboard, click on the Group name you created in the previous lesson. 2. Change the Group Name and Supervisor Name. 3. Click on the Save button. Tip: You can also click on the pencil next to the Group Name to start editing Page 8 of 65

9 Group Editor The Group Editor is where you can add, delete, or modify a vehicle, individual, or asset. You can also manage landmarks, alerts, and permissions. In the Group Editor you can: Add a new vehicle Add a new asset Ass an individual (when using the HEAT SAT smart appliance tracking software) Configure tracking Add a new driver Assign a driver to a vehicle Configure alerts (for the entire group) View Alerts (for all items within the group) Add/View notes Add/View attachments Add New Vehicle 1. 11 Configure Tracking In this lesson we are going to configure tracking for the vehicle created in the previous lesson. Before you begin you need to have the IMEI/Serial number of the GPS unit. The number is on the sticker located on the face of the unit. Note: This process is the same for any HEAT Tracker that you might add to the system (vehicle, asset, individual) 1. Click on Configure Tracking. 2. Optional: Choose Icon. a. This icon will represent the vehicle on the map. Note: Custom icons can be created by HEAT upon request and fee 3. Select Hardware Profile. a. If you do not know your hardware profile, consult your account executive. b. The hardware profile has to match the type of device you have purchased. 4. Enter IMEI/Serial. a. The IMEI is the unique ID for the GPS device. This must be entered correctly to properly track the item. 5. Optional: enter the Phone Number for the SIM card in the GPS device. 6. Optional: enter 120 into the Reporting Frequency (Seconds) textbox. 7. Make sure Status is enabled. 8. Optional: select a trace color. a. The trace color is the color of the line that shows the path an item travelled. 9. Click on the Save button Page 11 of 65

12 Add New Driver In this lesson we are going to add a driver to the system. 1. From the dashboard, click on Driver under the Group you created earlier. 2. Click Add New. 3. Enter First Name. 4. Enter Last Name. 5. Take a look at the other data fields: Additional driver information, Contact Information and License/Insurance. 6. You can enter more information if you wish. 7. Click on the Save button. Assign Driver to Vehicle In this lesson we are going to assign the driver you created in the previous lesson. Assigning a driver to a vehicle allows you to determine which person was responsible for a particular action. This is very useful when more than one driver is assigned to a vehicle. 1. Click Vehicle. 2. Click the pencil next to the vehicle you created earlier. 3. Click the Driver tab. 4. Click Assign Driver. 5. Click Search. 6. A list of all drivers will be returned. 7. Click on the one you created previous lesson. 8. Click Assign. 9. Click Save. Tip: When searching for a driver, you can type part of the name to get a list of drivers. This is very handy when you don t know how to spell someone s name. Page 12 of 65

13 Tracking Tracking is where you can view your assets on a map. You can also search for route/travel history, check the status (ignition on/off, idling, or moving) of an asset, and see where alerts occurred. Definitions Active tracker: tracker that has reported at least one time since midnight. HEAT Tracker Tracking When you open the Tracking tab you will see all vehicles at their last reported location. The map will automatically refresh every two minutes to update the tracker s current position. The map will open to a display that shows all of the trackers in the selected group. Note: the refresh time is configurable Refresh Interval Hide Labels Show POI Show Geofence Info Alerts Print Map Export KML Measure Tool Asset Map View Zoom Trackers Last Report Callout Box You can view important information about an item by clicking on the icon on the map. 14 Tracker Information You can display detailed information about a tracker such as all the locations for the day, alerts, events, etc Click on the Info button (to the right of the vehicle name). 2. You should now see a window with the tracker name at the top. 3. The Now tab displays basic information, such as total distance for the day, last location, etc. 4. Click on the Location tab to see all the reported locations for the day. 5. Explore the other tabs. We will come back to them later. 6. Close the window by clicking on the X in the upper right corner. Display Vehicles You can remove a tracker(s) from the map to make it more readable. 1. Click on the checkbox next to the tracker you want do not want to display. 2. The tracker should no longer be visible on the map. Tip: If you want to remove all the trackers at once click on the checkbox next to Name. Page 14 of 65

15 Map View There are three different map views: map, satellite, and traffic. Map is the default view. The satellite view shows the vehicles overlaid on a satellite image. The traffic view shows traffic related information if available for a particular area. 1. Click on Map View icon (upper right hand corner of map). 2. You can now select the map view style from the drop down. 1 Map Navigation You can zoom in (see more detail), zoom out (see less detail), and pan (move the map) the map in any direction. 1. Pan Using the mouse, hover over any area of the map and click and drag the map in the direction you want to pan the map image. 2. Measure Click the ruler icon to enable measuring straight line distances or a selected area. 3. Zoom Click + to zoom in on the center of the map. Click to zoom out. 4. Zoom Slider You can use the scroll wheel of an equipped mouse to adjust zoom level. Page 15 of 65

16 History Use the History page to search for historical routes. You can search for routes by date and time and/or vehicle. You can also replay a route to see how the vehicle moved along its path Search for Historical Route 1. Click on History tab. 2. Select the Date Range Window to pick a date range. 3. Select a Start Date & Time. 4. Select an End Date & Time. 5. Click Search. 6. You should now see a list of routes in the Vehicle List. 7. Click on the checkbox next to the route you want to see. 8. You should now see the route on the map. Tip: use the time filter option to isolate a portion of the day. Route Playback You can playback the route. Each icon will move along the route displaying the time and date. You will also see a list of locations for the time period selected. 1. Click on the play button above the date. 2. You should now see a line representing the route for the time period selected with an icon moving. 3. You should also see a list of locations at the bottom of the screen. Page 16 of 65

17 Locate Tracker You can locate an item in between report times by clicking on the Ping button. 1. Click on the Ping button located next to the item that you want to locate. 2. Click Ok on the confirmation dialog box. 3. Within approximately 2 minutes the map should be updated with the current location of the tracker. Important! If the tracker is set to hibernate, it will not respond to the ping command. HEAT can assist with an SMS wakeup of the device. Page 17 of 65

18 Reports The system contains many reports that will help you efficiently manage your fleet. You can view a report in your web browser or export it to PDF or Excel and many other popular formats. Each report has a set of criteria that you can use to filter the data. 1. Click on the Reports tab. 2. You will see the option to view My Reports or Report Templates. 3. Click on Report Templates to view all of the available report groups 4. Click on any group heading to expand the category and view the included report templates. 2, Create a Report This lesson will show you how to select a report template, customize it and save the report in the My Reports section. The options you select when configuring this template will be saved with the report setup, but you can always edit your report options. 1. Select Report Templates 2. Select Alert Reports to expand this section 3. Select Geofence Exceptions Report 4. Select the checkboxes for the information you would like to include in the report. 5. Click on the Next button. 6. Select the Date Range from the drop down. 7. Select the Group(s) of trackers that you would like to report on (select the checkbox next to Groups to select all) 8. Select the specific Item(s) you would like to report on (select the checkbox next to Item to select all) Page 18 of 65

19 9. Select the Geofence you would like to include in the report (select the checkbox next to Geofence to select all) 10. Click on the Next button. 11. Choosing Display Options - the system will automatically insert a checkbox next to Include Grid as this will display the data in a columns and row format. You can select the checkbox next to Chart to also get a visual display of the data included in the report. Note: you will have the option of selecting the style of chart. 12. Click on the Next button. 13. Name your report how you would like to see it appear in My Reports. 14. Optional: Edit the description 15. Select the radio button for Save and Run. 16. 22 Export a Report 1. Run any report. 2. Click on the dropdown for file format and select the desired file type. 3. Click on Save. 4. You should now see the File Download dialog box (browser dependent). 5. Click on the Open button. 6. The report should now be displayed in the format selected. Schedule a Report You can configure the system to automatically compile and distribute any of your created reports. These reports can be sent to one or many recipients and will be sent on the same day, time and recurring frequency that you select. You can also select the report file format. 1. Select My Reports. 2. Click on the Stopwatch Icon next to the report you would like to schedule. 3. Enter the parameters. 4. Click on the Save button. 2 Page 22 of 65

24 Alerts Alerts can be setup to warn you about events, such as motion alerts, geofence entry/exit, temperature violations, etc. They can be delivered via , SMS, displayed on the map, or viewed on the dashboard. Alerts can be setup for an individual item or a whole Group. Note: all the lessons in this section will begin from the Group Editor. Setup Group Alerts To setup an alert click on a group from the Dashboard screen and follow the steps below. 1. Click on Setup Alerts. 2. Click on the Low Battery trigger. 3. Enter a value in the Threshold or Value textbox. 4. Change Display Type to Show Message Icon. 5. Optional: select an image to display with the alert in the dashboard 6. Optional: enter an address in the Address textbox. Note: messages can be sent via text if you know the carrier that the mobile phone is using. E.g. xxx-xxxxxxx@vtext.com will send an SMS message to the defined number with Verizon Wireless service. 7. Click Save Tip: You can tell if an alert is already configured and active by the * displayed prior to the alert name. Page 24 of 65

25 Setup Individual Alerts 1. Click on Asset tab. 2. Click on the pencil icon next to the tracker name. 3. Click on Setup Alert. 4. Click on the Movement Detected trigger. 5. Change Ignore Duplicate Alerts Within Minutes to Change Display Type to Show Message Icon. 7. Click Save Alert. Setup Schedules for Alerts The system can be set to monitor for alerts within a specified range of days or times. For example, if you only want movement detection alerts after operating hours, you can select the days of the week and the start and stop times for the period for which you want to be notified of this alert. 26 View Alerts Alerts can be viewed on the Dashboard, Tracking page, and in the Group Editor. Alerts on the Dashboard The alerts can also be viewed on the map. Click the red flag icon to see Alert Details Page 26 of 65

27 View Alerts by Tracker 1. From the Dashboard, click on the Group Name that you would like to view 2. Select Asset, Vehicle or Individual for the tracker you would like to view alerts for. 3. Click on the pencil icon next to the tracker you would like to view alerts for. 4. Click on View Alerts. 5. Pick a Session. 6. You should now see a list of alerts. Tip: If there were no alerts for the date session selected, you will not see any data displayed. Page 27 of 65

28 Routing You can find the closest item or vehicle to an address or landmark by using the Routing page. You can also get directions from a starting address to an end address and share this information via or SMS. Find the Closest Item This tool allows you to find the closest item by using an address or clicking on the map. 1. Click on the Routing tab. 2. Enter an address (including city and state) into the Destination textbox. 3. Click on Show Closest. 4. You should now see a list of trackers that are closest to the location that you clicked on. 5. Optional: Click on the Get Direction button to get directions to the destination from the selected vehicle s current location Page 28 of 65

29 Directions Tip: You can send the directions or address via by clicking Share. This message can be sent via text if you know the carrier that the mobile phone is using. E.g. will send an SMS message to the defined number with Verizon Wireless service. Search Directions Search Directions gives you an optimized route between two locations. 1. Click on Search Directions. 2. Enter a start address or click on somewhere on the map. 3. Enter an end address or click on somewhere on the map. 4. Click the Search Directions button. 5. You should now see a set of directions. Page 29 of 65

30 Geofence A geofence is a virtual fence. You can setup alerts to for many conditions utilizing a geofence. Some of these examples are: When a tracker enters or exits a geofence When a tracker has exceeded a specified time in a geofence When a tracker did not meet a minimum specified time in a geofence When a speed threshold is exceeded within a geofence You can create three types of geofences: circle, polygon, or route. A circle or polygon geofence is used to define an area. A route is used to keep an item on a designated path. There are two steps to creating a geofence: drawing and assigning it to an item. Create a Circle 1. Click on the Geofence tab. 2. Click on Create. 3. Click on Circle. 4. Enter an address with as much information as possible or enter a latitude/longitude 5. Click Search. You should now see an icon on the map indicating where the address is located. 6. Click on the icon to create the center of the circle. 7. Click the map again to set the outer radius. 8. Click on the Save button Tip: You can enter the radius in the mi textbox (next to the Show button) instead of clicking on the map. Page 30 of 65

31 9. You should now see the Geofence Editor box. 10. Enter a name for the geofence. 11. Optional: You can enter a description and change the border/fill color of the geofence Select the groups you would like this Geofence to be available to be used for. 13. Click on the checkbox to Assign to items in groups if you want to assign this geofence now. Important: Assigning a geofence to a group does NOT create alerts you will still need to set up alert rules that apply to this geofence. 14. Click on the Save button. Page 31 of 65

32 Create a Polygon 1. Click on the Geofence tab. 2. Click on Create. 3. Click on Polygon. 4. Enter an address with as much information as possible or enter a latitude/longitude. This location should be where you want to draw the geofence. 5. Click Search. You should now see an icon on the map indicating where the address is located. 6. Click on the map to draw your geofence region. 7. A double-click will complete the drawing action. 8. Click on the Save button You should now see the Geofence Editor box. 10. Enter a name for the geofence. 11. Optional: You can enter a description and change the border/fill color of the geofence Page 32 of 65

33 Select the groups you would like this Geofence to be available to be used for. 13. Click on the checkbox to Assign to items in groups if you want to assign this geofence now. 34 Create a Route A route geofence is used to make sure that a vehicle stays on a fixed path. For example, you may have a delivery vehicle that you want to follow a designated route. A route geofence can verify that the vehicle stayed on course. All route geofences have a buffer that allows the vehicle to leave the path. This could be used for example to allow a vehicle to exit the highway to get gas. You define the buffer when you save the route. 1. Click on the Geofence tab. 2. Click on Create. 3. Click on Route. 4. Enter an address including city, state, and zip where you want to begin the route. 5. Click Search. You should now see an icon on the map indicating where the address is located. 6. Click on the map to start drawing the route. 7. Double clicking on the map will end the route. 8. Click on the Save button once you are done Page 34 of 65

35 9. You should now see the Geofence Editor box. 10. Enter a geofence name. 11. Enter a Route Buffer in miles. 12. Optional: You can enter a description and change the border/fill color of the geofence 13. Select the groups you would like this Geofence to be available to be used for. 14. Click on the checkbox to Assign to items in groups if you want to assign this geofence now. 36 Assign a Geofence A geofence has to be assigned to an tracker before it can be used. 1. Click on the Geofence tab. 2. Click Assign 3. Select the Group that contains the tracker you want to assign or use the All default 4. Click on the Search button. 5. You should now see a list of trackers. 6. Click Gear Icon next to the tracker that you want to assign a geofence to You should now see the Assigned Geofence dialog box. This box shows any currently assigned geofences for that tracker. 7. Click on Assign Geofences to add additional geofence assignments. 7 Page 36 of 65

37 8. Click on the checkbox next to the geofence(s) that you want to assign to this tracker. 9. Set the schedule for the days and hours you want to monitor the assigned actions. 10. Select the Action. See below for a definition of the options. 11. Set the parameters for the action selected. 12. Click on the Save Assignments button. Action In = generate a violation if the vehicle enters the geofence. If a geofence alert is setup then an alert will be created when the item enters the geofence. Out = generate a violation when the vehicle exits the geofence. If a geofence alert is setup then an alert will be created when the item leaves the geofence. Both = generate an alert when an item enters or exits the geofence Page 37 of 65

38 Landmarks Landmarks are points-of-interest (POI) that can be displayed on the map. They are useful when your vehicles or personnel visit the same locations on a frequent basis and you want to know when they arrived and how long they were there. If you have different types of locations that you visit you can create your own landmark type to manage them. A landmark can be created inside a group or globally so that it can be assigned to all groups. Create Landmark in Group Editor 1. From the Dashboard, click on a group to enter the Group Editor. 2. Click on the Landmark tab. 3. Click on Add New You should now see the Landmark Detail page. 5. Enter a Landmark Name. 6. Enter an address, city, state, and zip code. 7. Click on the Map Location button. You should now see the location of the landmark. 8. Click on the Save button. Page 38 of 65

39 5 6 7 Edit Landmark Location 1. Click on the Pencil icon next to the landmark that you want to edit. 2. You should now see the Landmark Detail page. 3. Navigate on the map to the new location (hold down the left mouse button over the map and drag the map in the direction that you want to go). 4. Double click on the map to indicate the new location. 5. Click on the Map Location button. 6. You should now see the icon in the new location. 7. Click on the Save button. Tip: Alternatively you can enter a new address and then click on the Map Location button. Page 39 of 65

40 Setup Landmark Visits Every landmark can be setup to record when a vehicle has visited it. This allows you to know what time a vehicle arrived at a location, how long it was there, and when it left. 1. Click on the Pencil icon next to the landmark that you want to edit. 2. You should now see the Landmark Detail page. 3. Enter a buffer size into the Landmark Buffer (mi) textbox. See Importance of Buffer Size below for more details. 4. Optional: change the Buffer Alert if you want to know when an item leaves a landmark. By default it is set to In, which tracks when a vehicle arrives at a landmark. 5. Optional: click on the Should this POI Generate Alerts? checkbox if you want to setup an alert whenever a vehicle enters or exits a landmark. 6. Click on the Save button Page 40 of 65

41 Importance of Buffer Size The buffer size helps determine when a vehicle has visited a landmark. If the buffer size is set to.25 then every GPS tracker within ¼ of a mile of the POI will be considered to have visited that landmark. In general a smaller buffer is preferred because there will be less chance to catch trackers that did not truly visit the landmark. For example, if a landmark represents a store located inside a shopping center and the buffer size is too big then a vehicle that was stopped at the intersection would be considered visiting the landmark. Landmark Type A landmark type is an attribute that you can add to a landmark to help organize your points-of-interest. For example, a customer type would indicate that a landmark is a customer. The landmark type can be set when creating or editing a landmark. You can update a landmark s type in the landmark detail page of a landmark. Create Type 1. Click on the Tools/Settings icon. 2. Click on the Tools and Settings link. 3. Click on Create Landmark Types and Status Click on Add New Type. You should now see the Landmark Type Editor dialog box. 4 Page 41 of 65

42 5. Enter a name. 6. Choose an image. 7. Optional: enter a description for this landmark type. 8. Click on the Save button Page 42 of 65

43 Landmark Status A status is an attribute that can be used to describe the condition of a landmark. For example, if you have fueling sites as landmarks you could set their status to active to indicate they are working. It is not necessary to create a status in order to use landmarks. Create Status 1. Got to Tools and Settings. 2. Click on Create Landmark Types and Status. 3. Click on Landmark Status. 4. Select the Landmark Type that you want to associate with the status. 5. Click on Add New Status. You should now see the Landmark Status Editor. 6. Enter a Status Name. 7. Choose an image. 8. Optional: Enter a description. 9. Click on the Save button Page 43 of 65

44 Vehicle Maintenance You can schedule vehicle maintenance reminders and keep maintenance records for all the vehicles in your system. You can schedule maintenance based on odometer, engine hours, or date. You can track all types of maintenance tasks, such as oil changes, tire rotation, or brake inspections. All maintenance schedules and service records are maintained at the vehicle level. There are two pieces to vehicle maintenance, maintenance schedule and maintenance history. The maintenance schedule section is where you add the type of maintenance you want to track. The maintenance history section is where you track maintenance that was performed on the vehicle. Each maintenance record can have detailed line items about the service(s) that were performed. Create a Maintenance Schedule To create a maintenance schedule you have to edit a vehicle first. Click on the pencil next to a vehicle name before you follow the steps below. 1. Click on the vehicle in the Group Editor. 2. Click on Maintenance Schedule tab. 3. Click Add Schedule Click on the Service dropdown menu to select the type of maintenance to schedule. If you want to add a new one click Add. 4. Click on the Interval Odometer (mile) to create a schedule based on odometer. 5. Enter a number into the Interval Odometer (mile) textbox. The number should be when you want to be reminded. For example, if you want to change oil every 3,000 miles enter 2,800 to be reminded 200 miles before the oil change is due. 6. Click on the Save button (located at the bottom of the Maintenance Schedule Editor). Page 44 of 65

45 Create a Maintenance Record You can create a maintenance record in the maintenance history section. You can enter new ones and update existing ones. 1. Click on the Maintenance History tab. 2. Click on Add. 3. This will open the Maintenance History Editor Enter a description in the Description textbox. 5. Enter a date in the Completed textbox. 6. Enter the odometer at the time of service in the Odometer textbox. 7. Enter a name in the Service Provider Name textbox. 8. Click on the Save button Note: the Service Provider Contact and Service Provider Phone are optional. Page 45 of 65

46 Add New Service The service is the actual work performed. You can add unlimited service records to a maintenance record. 1. Click on the next to a maintenance record that you want to add service details too. 2. Click on Add New Service. 3. Select the service that was performed by clicking on the Services dropdown menu. 4. Enter a description into the Description textbox. 5. Enter a cost in the Cost textbox. 6. Click on the Save button Maintenance Reminder To receive a maintenance reminder via you have to setup a reminder subscription. A vehicle maintenance reminder requires that a maintenance schedule be setup. Page 46 of 65

49 Tools and Settings The Tools and Settings section is where administrative tasks are completed, such as creating users, changing map options, creating landmark types, etc. The Tools and Settings section is accessed from the Dashboard screen. It is comprised of three sections, Client Tools, Landmark Tools, and Security Tools. To access the Tools and Settings click on the Tools/Settings icon on the Dashboard. Tools and Settings Tools and Settings Overview Note: Not all items shown are displayed depending on user permission levels The Client Tools section is where you can manage the following items: general settings, post a system announcement, configure hardware messages, create and manage asset types, configure alert triggers, subscribe to reminders, manage reports, and create and manage maintenance items. The Import Tools is where batch uploads of geofence locations, Points-of-Interest or external group settings are performed. The system accepts various formats of data for these uploads and provides templates. The Landmark Tools is where you can create landmark types and statuses, update a landmark status, import landmarks from KML, and create global landmarks. The Security Tools is where you can manage the permissions for users that have access to the website. You can create new users, assign permissions, lockout a user, and manage group access. 50 Client Tools This section gives you access to general administrative functions. Manage General Settings The General Settings allows you to control items such as Preferences, Captions, Map Images, Map Options, and Display Format. The Preferences tab controls general settings for the website. For example, the default entry page can be changed from Dashboard to Tracking page. Preferences 1. Default Entry Page: the page the user first sees when they login. You have two choices: dashboard and map tracking. 2. Session Display Mode: a session is 1 day. There are three ways that sessions are displayed on the Tracking page, last 24 hours (default), last active session (last time vehicle reported in), and show all items. 3. Allow Multiple Login: multiple users can login with the current account at the same time. 4. Messages Refresh Interval (Seconds): how often messages are refreshed. Messages can be sent from one user to another. 5. Play MDT Sound: play a sound when an MDT message is received. 6. Inactivity Timeout (Minutes): if the user does not do anything for the prescribed time then the system will lockout the user. That user will have to login again to use the system. 0 means the system will not timeout. 7. POI Buffer: the default buffer size for the landmark buffer. 8. Auto Assign Geo-Fence: automatically assign a geo-fence to a Group when you save the geo-fence. Page 50 of 65

51 9. Support Address: address for support. 10. Help Link URL: link to the online help system. Captions Captions are the titles that describe different sections. You can customize these to fit your particular needs. Page 51 of 65

52 Map Icons Map Images are the icons that you see on the map. If you change the icon then the change will be applied to all the items in the system. 1. Landmark Image: default image for landmark. 2. Moving Position Image: icon that represents a moving position when viewing historical routes or more than one position in the Tracking tab. Directional Icon is the default image. 3. Idle Position Image: icon that represents a location where a vehicle was idling. Directional Idle is the default image. 4. First Position Image: icon that represents the first position when viewing historical routes or more than one position in the Tracking tab. Directional Start is the default image. 5. Stop Position Image: icon that represents a stop position when viewing historical routes or more than one position in the Tracking tab. Directional Stop is the default image. 6. Alert Position Image: icon that represents where an alert occurred. Directional Icon is the default image. 7. Trace Line Color (0000FF): color of the line that is used to represent the route of an item. The color has to be entered in hexadecimal. 8. Use Vehicle Status Icon: when this option is set to Yes the vehicle icon on the map changes to reflect the current status of the vehicle. The directional icons (for the position images) need to be selected to correctly use this feature. 9. Use Geofence Icon: Page 52 of 65

53 Map Options 1. Map Refresh Interval (Seconds): how often the map refreshes 2. Default View Mode: type of map that is displayed by default when opening a map 3. Tracking Session Display Name: show session label on map 4. History Session Show Label: show session label on history map 5. History PlayBack Speed (Seconds): default speed setting for playing route history 6. Numbering Position: order that the positions are labeled when viewing historical routes or displaying more than one position 7. Default Country: default country for formatting 8. Last Report Range (Min): 9. Last Report Range (Max): 10. Display Trace Line: line that represents the route an item travelled. 11. Display Mini Map: location map in the lower right corner of the main map 12. Show Map Full Screen: allows the map to fill the entire display area 13. Time Zone: change the default time zone 4. Unit of Measure: change the default unit of measure. You can choose between Imperial and Metric 5. Volume Measurement: You can choose between gallon and liter 6. Temperature Measurement unit: You can choose between Fahrenheit and Celsius 7. Country: change the country in which you are based 8. Use DayLight Saving Time: enable/disable time adjustment for daylight savings 9. Language: You can choose the default language Page 55 of 65

56 Post a System Announcement System announcements are messages that are be displayed on the Dashboard for everyone to see. 1. Click on System Announcement. 2. Type in a message. 3. You can insert an image or weblink. 4.. Click on the Save button. Training Manual Configure Hardware Messages Messages can be sent to a GPS unit to configure the device. By default there are no hardware messages setup. Messages sent incorrectly can cause a GPS unit to stop reporting. Messages are often used to trouble shoot potential problems with a GPS unit. Contact your account rep for more information. Create and Manage Asset Types Asset types can be created to more efficiently manage different types of assets. Assets are more generic items than individuals or vehicles, so you may find it useful to create asset types to distinguish between different types. 1. Click on Create and Manage Asset Types. 2. Click on Add New Type. 3. Enter a name. 4. Click on the Save button. Page 56 of 65

57 Configure Alert Triggers This section allows you to manage alert triggers. You can create new alerts, assign security privileges, and modify existing alerts. Alert triggers are based on event codes from the GPS unit. Contact your account rep for more details on how to create a new alert. To edit an alert click on the pencil next to an alert trigger. Trigger Name: the name of the alert as it appears in the Setup Alerts section and on the Tracking page Description: description of the alert Subject: subject contents of the if the alert is delivered to an account Body: body of the if the alert is delivered to an account Visible: controls if the alert is displayed in the Setup Alerts section Show Frequency: display the schedule for when the alert is recorded when setting up an aler Show Value: display the threshold or value textbox when setting up an alert. This is useful for temperature or speeding alerts Alert Image: default alert image Alert Sound: default alert sound Threshold Value: Free Text Entry: the hardware event code for the alert trigger. The event code comes from the GPS unit Group Permission: the users that have rights to setup the alert Page 57 of 65

58 Reminder Subscription The Reminder Subscription page is where you can setup reminders for driver birthday, driver license expiration, driver insurance expiration, vehicle insurance expiration, vehicle tag expiration, and vehicle maintenance reminders. The reminders are sent to your address. For a reminder to work the information for the reminder needs to be setup in the appropriate section. For example, to receive a vehicle maintenance reminder a maintenance schedule needs to be setup. If you want to setup a driver license expiration reminder then the driver license expiration date needs to be set in the driver profile. Setup a Reminder 1. Click on Subscribe to Reminders. 2. Click on Add Reminder Subscription. 3. Select the reminder. 4. Enter a subject in the Subject textbox. 5. Enter an address in the To textbox. 6. Select the groups that you want included in the reminder. You will receive a reminder for every item in the group. 7. Click on the Save button. Manage Reports In this section you can manage reports and the categories the reports belong to. In the Report Manager page you can change the name of the report and the description. In the Category Manager you can manage the categories. You can control which reports belong to a category, change the name of a category, and change the sorting of the categories. Create and Manage Maintenance Item In this section you can create the maintenance operations that appear in a list on the maintenance schedule. A maintenance item can be an oil change. You can create as many items as you like. Create New Maintenance Operation 1. Click on Create and Manage Maintenance Item. 2. Click on Add New Maintenance Operation. 3. Enter a name into the Operation textbox. 4. Enter a description. 5. Click on the Save button. Page 58 of 65

59 Landmark Tools The Landmark Tools is where you can create landmark types and statuses, update a landmark status, import landmarks from KML, and create global landmarks. Create Landmark Types and Status This area is where you create and landmark types and statuses. A landmark type is an attribute that you can add to a landmark to help organize your points-of-interest. A status is an attribute that can used to describe the condition of a landmark. For example, if you have fueling sites as landmarks you could set their status to active to indicate they are working. Please visit the Landmark Type and Landmark Status sections in this manual for instruction on how to create and manage types and statuses. Update Landmark Status This area allows you to update the status that has been assigned to a landmark. You can update the status for all the landmarks of the same type at the same time. Update Status Click on the Update Landmark Status link and follow the steps below. 1. Select the Type of landmark that you want to update. 2. Click on the Search button. 3. Click on the checkbox next to the landmarks that you want to update. 4. Select the Update Status. 5. Click on the Update Status button. Landmark Editor The Landmark Editor is where you can manage landmarks that are available to all groups. You can create, modify, and search for landmarks. Add New User 1. Click on Create Users and Manage Permissions. 2. Click on Add New User 3. Enter the First name. 4. Enter the Last name. 5. Enter a username. 6. Enter Password. 7. Enter user address 8. Enter the activation date for the user (you can also enter a deactivation date if desired) 9. Optional: change Default Entry Page to Map Tracking. 10. 61 Assign Permissions Once you add a new user you will need to assign permissions to this user so he or she can use the system. Note: After you assign permissions the new user will need to be assigned to a group so that he or she can actually see activity. Go to Manage User Group Access section for instructions. 1. Click on the name of the user you would like to edit. 2. Click on the check box for the Groups that you want to assign to the user. 3. Click on the Save button Page 61 of 65

62 Security Groups In this section you can modify group permissions, create new groups, and delete existing ones. Add New Group 1. Click on Add New Group. 2. Enter a name for the new group. 3. Optional: enter Description. 4. Click on the Save button. Assign Permissions 1. Click on the name of the Group you want to assign permissions to. 2. Click on the checkbox next to the resources that you want users of this group to have access to. 3. Click on the Save button Page 62 of 65

63 Manage User Group Access In this section you can assign users to different groups. When a user is created it is not assigned to a group. You will need to assign it to a group before the new account can be used. Click on Manage User Group Access from the Tools and Settings screen and then follow the steps below. 1. Click on the User Name you would like to edit. 2. Click on the checkboxes next to the groups you want the user assigned to. 3. Click on the Save button Page 63 of 65

64 Lockout User Session You can prevent a user from a logging into the system for any reason. 1. Click on Lockout User Session. 2. You should now see the User Lockout Tool. 3. Click on the name of the user that you want to lockout. 4. Click on the right arrow. 5. The user should now be in the 2nd box. 6. Optional: Enter a lockout message. 7. Click on the Lockout Users button Unlock User 1. Click on Lockout User Session. 2. Click on the Unlock Users tab. 3. Click on the user that you want to unlock. 4. Click on the Unlock Users button.
