3 1 Introduction This documentation covers the WebReport/i Dropbox Feature. It is intended to provide you with information on how to activate a Dropbox account and then configure WebReport/i to use it. This documentation will also provide an overview on how to insert new reports into Dropbox. Dropbox is a file hosting service operated by Dropbox, Inc. It offers cloud storage, file sharing, file synchronization, personal cloud and client software. This sharing is specifically controlled by you from the Dropbox web page. It can be an effective way to share reports from your system over the Internet and across multiple device types such as PCs, Tablets, Smart Phones and more. Pricing starts at $15 per month (as of this writing) for business users and that will support up to 5 users. Check with Dropbox for more details on pricing. Note: Using the Dropbox feature assumes that you have a working transport process in place for WebReport/i. Kisco recommends that you make sure that your configuration is working before you start implementation of the Dropbox feature. Overview Dropbox is an easy and convenient way that you can share information with multiple users and multiple devices through the Internet. WebReport/i allows you to insert reports from your IBM i system into Dropbox, making them available over the Internet in a secure and easily controlled environment. The current version of WebReport/i will let you share reports via Dropbox in PDF, XLS, XLSX, TXT, RTF and CSV formats. Before using the Dropbox feature, there are some configuration tasks you will need to complete. You will also have to create an account at Dropbox. You will also need to create an account at IFTTT ( If This Then That ) which is another Internet service that is used by WebReport/i to place your reports at Dropbox. Using IFTTT, you will need to create one or more recipes for your Dropbox transfers. Each IFTTT recipe will need to be registered to WebReport/i. The screen shots taken from the Dropbox and IFTTT websites shown here are as they looked when this documentation was initially prepared. Be prepared that, over time, they may change somewhat and may not be identical to the screen displays that you actually see when doing your configuration setup work.
4 2 Create Dropbox Account Before you can use the Dropbox feature in WebReport/i, you must create a Dropbox Account. Point your browser to you will see a panel in your browser similar to the following: Select the Sign up for free link after filling in your name, address and selecting a password. Your account will be created and you will be taken to a download panel as follows:
5 3 Select the Free download link to start the Dropbox install process on your device. You will need to save the download object and then run it once the download process completes. This follows normal procedures for installing software on your PC. You will also receive a validation at the address you signed up with. Make sure that you complete that validation process promptly. You may also see other integration software installed on your device that will simplify your personal use of Dropbox. When you are all done, you can sign in to Dropbox from your browser using the address and password that you signed up with. Your initial account display will look something like this: The files to be shared, and any additional folders that you create will be shown here and can be displayed from here. Note: You can use your Dropbox account just from your browser if you decide that you do not want to install the software on your device.
6 4 Create IFTTT Account To be able to use WebReport/i to post reports to your Dropbox account, you will also need to create an account at IFTTT. This is the If This Then That Internet service that will interface between your IBM i system and your Dropbox account. To get started, go to your browser and bring up the following address: As of this writing, the initial browser panel looks like this:
7 5 To get started, you will need to create an account. Click on the Sign Up link at the top right corner of the display. When you do, the following panel will be displayed: Enter the same address that you used when you signed up for Dropbox. Select a strong password and then click on the Sign in button. The IFTTT home page will now be displayed:
8 6 To start using IFTTT with your Dropbox account, you will need to create at least one recipe on IFTTT. To set up a sample recipe, click on the My Recipes link at the top of the page. Then click on the Create a Recipe button. The following panel will start the recipe create process:
9 Click on the word this to get started on your recipe. For this recipe, we are going to assume that you want to transfer a report to your Dropbox account and store it in a folder named MyFolder. With practice, you will find that you can set up multiple folders to process reports uniquely. 7 The first step is to choose a trigger channel. A list of many such triggers available in IFTTT will be displayed. For WebReport/i, we are going to use an trigger. Scroll down the list until you find the option (highlighted above) and click on the icon. The following will now be shown:
10 8 Choose the right hand option for Send IFTTT an tagged. On the next panel, fill in a unique value for the Tag field. This value must start with a # (pound sign) character. For our example, we are using the value #dropbox1". As you develop additional recipes, assign a unique Tag value to each one. This completes the Trigger part of the IFTTT recipe. The following panel will now be shown in your browser: Click on the that portion of the displayed link.
11 The next step will link the trigger to your Dropbox account via an IFTTT Action Chanel. Another list of application icons will be displayed: 9 Scroll down the list until you find the Dropbox icon and click on it next. The following will now be displayed: To complete the connection to your Dropbox account, click on the Connect button.
12 10 A new window will be opened in your browser to let you sign in to your Dropbox account using the credentials that you used for that process: After you sign in, the following will appear in your browser: Click on the Allow button to allow IFTTT to have access to your Dropbox accounts. Click on the Continue button to complete your recipe.
13 Your next process will define the specific action that you want taken. The following choices will be shown: 11 Choose the Add file from URL option. The following will now be shown: Leave the first two option set the way they initially are shown. In the Dropbox folder path, enter in the specific folder that you want to use at your Dropbox location. Keep in mind that this will be case sensitive when it is registered to WebReport/i. Press the Create Action button when you are done.
14 12 There is one last step to creating your recipe: To finalize your recipe, click on the Create Recipe button. Your recipe is now available to be used in WebReport/i. The folder name entered in the previous panel will identify the recipe to WebReport/i. Before you can transfer reports to your Dropbox account, you will need to register your recipe in WebReport/i.
15 13 Registering IFTTT Recipe to WebReport/i After you have created your Dropbox and IFTTT accounts and have created your first IFTTT recipe, you will need to register the IFTTT recipe with WebReport/i. To maintain these registrations, a new menu option has been added to the INSTALL menu, option #20. You can also access this by using the command WRKDROPBOX (Work With DropBox) from the WEBREPORT library. When you select this option or run the command, the following display will be shown: Initially, the display will show that no recipes have been registered. To register the IFTTT recipe that you created above, use the F6 key to start that process. Once you have recipes registered here, you can use option 2 to change a registration, option 4 to delete a registration and option 5 to simply view the detailed of the registration.
16 14 After you press the F6 key to create a new recipe registration, the following screen will be displayed: Fill in the parameters for your recipe as follows: Folder Name Recipe Description IFTTT Subject IFTT Addr Enter the name of the folder at your Dropbox account where you want files stored when processed with this recipe. This folder name will be used in WebReport/i to identify the recipe. Enter this folder name exactly the same was that it was specified when you created your IFTTT recipe. Remember that this value is case sensitive. Enter your own description of this recipe. Enter the Trigger Tag that you specified in your IFTTT recipe. In the example used in this documentation, this value was set to #dropbox1. This value must also be entered exactly the same as it was specified when the recipe was created. Enter the address that you used when you created your IFTTT account. You must use the same address here. Once all four fields have been entered, press ENTER to store the information and the list will be redisplayed. Now that you have created a Dropbox account and IFTTT account; created your initial recipe in IFTTT and registered that recipe to WebReport/i; you are now ready to start sending reports to your Dropbox site.
17 15 Using Dropbox Once the configuration and registration work has been completed, sending reports to your Dropbox site is quite easy. Sending a report to Dropbox can be accomplished by using the WREPORT command either from the command line or from the WRKWEBSPLF command (option 2). When the WREPORT command is prompted, specify the TYPE parameter (Type of Web Document) of *DBOX. When you specify *DBOX, the command prompter will make a new set of three parameters available that are shown as DropBox options. Within these options, there are three parameters, all of which are required as follows: DropBox Folder File Name at DropBox Keep file in IFS? Enter the name of the Dropbox folder exactly the same way that it was registered to WebReport/i. Keep in mind that this value is case sensitive. Enter the filename that you want to assign to the spool file when it has been converted and sent to Dropbox. Make sure that you name the file according to the spool file conversion that you are using. For example, a *PDF conversion should be named with the.pdf name modifier. A *XLS conversion should be named with the.xls modifier. Choose one of the following options: *NO The file will be left on the IFS on your system. All Dropbox files are stored in the /webwork folder in the IFS. *YES The file is deleted from the IFS following transmission to Dropbox. After you fill in these settings, and all other parameters needed for your spool file conversion process, run the WREPORT command and your report will be sent to your Dropbox account. You can also set this up to run automatically using the automatic report routing functions in WebReport/i.
18 To set up automatic routing to your Dropbox account, use option #17 on the MASTER menu to start maintenance for the routing rules. When you create a new routing, specify the value *DBOX for the HTML Destination Type parameter. When you do, the following additional panel will be displayed as you complete the entry of the rules for your routing: 16 Complete these parameters exactly the same was as documented on the previous page for the WREPORT parameter settings. Once the rule is in place, then all reports that qualify for your Dropbox process will be automatically transferred to your Dropbox account.
