1 Setting Up Dropbox for Location Document Storage in SuccessWare 21 If you are already using the Location Documents storage feature in SuccessWare 21 and ARE NOT using Dropbox STOP!!! You must move your existing documents to Dropbox first. To do so follow the Moving your Documents instructions which can be found here. Dropbox.com can be used as your location for the storage of Location Documents in SuccessWare 21. Using this cloud-based location will give your office as well as technicians using SWRemote in the field access to the documents in real-time. In order to use Dropbox as your location document storage location with SuccessWare 21, you must first create a Dropbox account. It is recommended that you create an account for your company, as all users who use SuccessWare 21 will have access to the information you store in the account. To create an account you go to We recommend an Individual Plus account as it has more than sufficient storage space and features required by our customers. The current price for an Individual Plus account is $99 a year. Once you have created the account, make note of the Username ( address) and password. Again, this Dropbox account will be shared by all users whom you want to be able to view Location Documents, so it is recommended you do not use a Username/Password combination which may be the same one you use for other, personal accounts. The rest of the setup will be performed from within SuccessWare 21. Note: If you have existing location documents stored somewhere other than Dropbox.com, you must complete steps outlined in the Moving your Documents instructions which can be found here, BEFORE you perform the SuccessWare 21 setup. SETTING UP DROPBOX WITH SUCCESSWARE Open a web browser and navigate to Log in using the account you created above. 2. Open SuccessWare 21 and click on the MAIN MENU button 3. Click Setup 4. Click ADD-ON MANAGER at the bottom of the list 5. In the ADD-ON MANAGER, select Browse More Add-Ons at the bottom of the form SuccessWare, Inc. 1

2 6. In the More Add-Ons view scroll down until you see Dropbox. 7. Click the Add link 8. In the screen that opens, click Next In order to connect your Dropbox account to SuccessWare 21 you will need to generate an Access Token from your Dropbox account and enter it in this form. 9. To generate the Access Token, click the Where is My Access Token? link A browser will open to your Dropbox account. If you are not logged into your Dropbox account, you will be asked to log in. You will now create an App within your Dropbox account that SuccessWare 21 will use to generate an Access Token 10. Click the Create App button 11. In the CHOOSE AN API step select Dropbox API SuccessWare, Inc. 2

3 12. In the CHOOSE THE TYPE OF ACCESS YOU NEED step select Full Dropbox 13. In the NAME YOUR APP step, ou can make up a name, we recommend, <YourCompanyName> Location Docs, or something similar. 14. Checkmark I Agree to Dropbox API Terms and Conditions 15. Click Create App You will be taken to a new screen. Here look about 2/3 of the way down the page for a button called Generate under the title Generate Access Token. SuccessWare, Inc. 3

4 16. Click the Generate button. This will generate an Access Token which will appear on the screen. 17. Double-Click on the token that was created to highlight it, then right click on it and select Copy Now you will return to SuccessWare 21 to complete the setup. 18. In the ADD-ON MANAGER, paste the Token into the ACCESS TOKEN field. SuccessWare, Inc. 4

5 19. Click the Confirm Account button You will receive a message in your web browser that the account has been connected properly. 20. Return to SuccessWare 21 and Click OK to the Account has been Confirmed message After confirmation you will be taken to the next screen in the Add-On Manager. Here we will test that the Locations Documents connection is working properly. 21. Click Setup SuccessWare 21 Storage SuccessWare, Inc. 5

6 22. In the STORAGE SETUP SCREEN, click Test You will again be taken to your Dropbox account in your web browser and to a folder that displays a Testing Location Data Storage Access document. This indicates that the test was successful. 23. Return to SuccessWare 21 and click OK in the STORAGE SETUP window. SuccessWare, Inc. 6

7 24. AGAIN, you will be taken to your browser and to message that Storage has been successfully enabled. Return to SuccessWare 21 and click OK to acknowledge the successful setup. 25. Click Next in the Add-On Manager. (You must click next or all the work you just did will be cancelled.) 26. SuccessWare 21 will now use the linked dropbox account to store your location documents. You can close the ADD-ON MANAGER. DISABLING DROPBOX INTEGRATION WITH SUCCESSWARE 21 To disconnect your Dropbox account from your SuccessWare 21 instance: 1. Open the ADD-ON MANAGER 2. Your active add-ons including Dropbox will be displayed. Click PROPERTIES for Dropbox. 3. Select DISABLE DROPBOX. You will be shown a message telling you the connection of your Dropbox account to SuccessWare 21 is successful. SuccessWare, Inc. 7
