3 PRODUCT OVERVIEW LeadAlert LeadAlert provides an instantaneous pop-up notification to alert property managers when a new lead enters Entrata or when your property receives a new Guest Card, application, SMS, or CallTracking phone call. LeadAlert is a free program that resides in the notification area of your Windows taskbar. Use this document to help you download, set up, and use LeadAlert. LeadAlert Product Overview 3

4 Using Live Chat In this article: Applicant Experience: Chatting With a Property Representative Leasing Agent Perspective: Chat With a Lead If the Live Chat option is enabled for a property or website, and if a property representative is logged in to their LeadAlert application, visitors to the website will see a Live Chat button displayed on the Property Overview page of the property s ProspectPortal website. Applicant Experience: Chatting With a Property Representativeesentative Associated Products: LeadAlert Click Live Chat on the property website. The About You window appears. Enter the required information and then select Start Live Chat. The Live Chat chat box appears with the message, Please wait one moment while we connect you with our next available representative. When the representative sends a message, it will appear in the chat box. To respond, type your message in the available field and then click Send. 4. If a representative is not available, you will receive the following message: Sorry all representatives are busy at this time. Please leave a message and we will contact you shortly. Enter your message in the available field and then click Send. When you have completed your live chat, close out of the window. Depending on how the representative s account is set up, the representative may have to submit and save additional account information before continuing on to the Live Chat window. Leasing Agent Perspective: Chatting With a Lead If you are logged in to LeadAlert when a prospect clicks the Live Chat button on the property website, then you will receive a popup with a flashing green icon. Click the green icon to open the live chat window. You will see the message, You are connected with [prospect s name]. Type your message in the available field and click Send to begin chatting with your prospect. Using Live Chat 4

6 Setting Up LeadAlert In this article: Setting Up Live Chat Downloading and Installing LeadAlert Logging In to LeadAlert Customizing LeadAlert Settings Use this document to help you download, set up, and use LeadAlert. Setting Up Live Chat In order to activate Live Chat for your property website, several settings must be adjusted in Entrata. Website settings can also determine whether or not the Live Chat option is displayed. Associated Products: LeadAlert Enabling Live Chat Go to: Entrata >> Setup >> Properties >> [select a property] >> Marketing >> Prospect Portal >> General >> Live Chat Click Edit Live Chat Settings. Toggle Enable Live Chat to Yes. Click Save. Website Settings Go to: Entrata >> Websites >> Settings>> [select a property] Under the Website section, make sure Hide Prospect Portal Live Chat is not checked. Scroll down to the bottom of the section and click Save. Downloading and Installing LeadAlert Downloading LeadAlert Go to: Entrata >> Help / Support >> Downloads Under the Installers & Drivers section, click Lead Alert Installer. In the Lead Alert Installer window, click Download. It is important to note that some features of Entrata, including the Help/Support section are permission based. If you do not have permissions to access the Help/ Support section, it will not appear on your screen. Save the file to your computer. Setting Up LeadAlert 6

7 4. A Windows dialog box appears. Use the dialog box to navigate to the location on your hard drive where you want to save the LeadAlertSetup.zip file, then click Save. Installing LeadAlert Locate the LeadAlert file on your hard drive, unzip it, and launch the setup.exe program. If you see a security warning that asks if you are sure you want to run the software, click Run. Read and follow the installation wizard s instructions to finish installing the software. Logging in to LeadAlert When the installation wizard finishes the installation, the LeadAlert login window appears. Users must first be given permission to access LeadAlert by going to Entrata >> Setup >> Users & Groups >> [select a user] >> LeadAlert User in Entrata. In the subdomain field, enter the first part of the URL (web address) you use to access Entrata. The subdomain is usually the name of your company. For example, companyname.entrata.com.) Enter the username and password you use to access Entrata into the corresponding fields, and then click Login. When logged in, the LeadAlert icon will appear in the notification area of your Windows taskbar. Customizing LeadAlert Settings To manage LeadAlert settings, right click the LeadAlert icon on your desktop taskbar and select Settings. Verify the Subdomain. This is entered the first time you download and log in to LeadAlert. Verify the Entrata username and Entrata password (these are the credentials you use to log in to Entrata). Use the checkboxes to select which lead types will be displayed in LeadAlert. If a checkbox is left blank, that lead type will not display in LeadAlert. Click Advanced Settings and review the remaining settings. Choose Save when complete. Setting Up LeadAlert 7

8 Advanced Settings Descriptions Enable Application Logging When checked, LeadAlert stores a log of application events on your computer used for debugging errors. Start App on Windows Start When checked, LeadAlert automatically starts up when Windows opens. Play Sound On New Lead When checked, LeadAlert plays a sound when a new lead is received. System Idle After (Minutes) The number entered in this field is how many minutes of inactivity are allowed before LeadAlert will go idle. Setting Up LeadAlert 8

9 Using LeadAlert When logged in to LeadAlert, the LeadAlert icon appears in the notification area of your Windows taskbar. Associated Products: LeadAlert Click the icon. The LeadAlert window appears above the task bar and displays your management company s three most recent leads. Lead types are identified by a unique icon and detailed information including date/ time, name, contact information, and lead source. Scroll through the list to see additional leads. The leads you see in LeadAlert depend on the access privileges your company s Entrata administrator (admin) gives you. Users with admin permissions see leads from all of your management company s properties, but users with limited privileges only see leads for properties to which the admin gives them access. If you use CallTracking, LeadAlert displays incoming calls made to your CallTracking phone number(s) and allows you to create a new Guest Card using a caller s information. Click on a lead to open the lead profile in Entrata. Using LeadAlert 9
