8 About This Guide The Image Check Processing System (ICPS) Graphical Work Flow Monitor (GWFM) provides a graphical online status of current ICPS processing conditions. It is a customizable system that displays information on overall prime pass capture volume and on each ICPS work function. The GWFM enables you to observe current status conditions and make any necessary operational adjustments to meet your daily processing requirements. Purpose This guide gives ICPS operators and system administrators operating instructions for GWFM and its accompanying utility, the GWFM Customizer. Scope The guide provides a complete overview of the GWFM and Customizer applications. It includes descriptions of each screen you encounter, as well as detailed operating procedures for both applications. Recommendations for adjusting ICPS processing based on the information provided by GWFM are also included. Audience The primary audience for this guide includes system administrators and supervisors who are responsible for monitoring ICPS work flow and adjusting operational procedures accordingly. ICPS staff who are assigned to monitor specific processing functions using GWFM are the secondary audience for this guide. 12 Section 1 Introducing the Graphical Work Flow Monitor System This section provides an overview of the Image Check Processing System (ICPS) Graphical Work Flow Monitor (GWFM) system. The GWFM is an extension to ICPS that presents status information in an understandable, user-friendly format. It uses graphics and color to simplify system monitoring and alert you to potential problems in your checkprocessing operation. What GWFM Does for You The GWFM complements the ICPS Work Flow Manager in reporting your current status. While Work Flow Manager provides detailed status screens by function, the GWFM provides an overview of the status of all functions in the system. It identifies work backlogs, staffing shortages, approaching deadlines, and other areas of concern, and alerts you to them. With the Customizer utility included with the GWFM software, you can customize the GWFM display to meet your specific needs. Every ICPS processing center has unique delivery times, throughput rates, deadlines, and so on. By specifying customized data that applies specifically to your site, you maximize the value of GWFM. Adding GWFM to Your System GWFM software and hardware can be added to an ICPS Image Workstation (IWS). This enables operators to monitor their progress without leaving their work area and supervisors to check work flow status from various locations throughout the processing center. Figure 1-1 illustrates the ICPS configuration with GWFM workstations added

14 Introducing the Graphical Work Flow Monitor System Describing the System Components The GWFM system includes hardware and software components, as described in the following paragraphs. Hardware The GWFM system uses either an IWS with a super video graphics array (SVGA), or an IWS with both an enhanced graphics adapter (EGA) monitor and an IWS monitor. (Your Unisys representative performs any necessary hardware installation.) The GWFM Customizer uses any standard development IWS and may be installed without any additional hardware. The alphanumeric (alpha) or ICPS proof keyboard may be used to operate the GWFM and Customizer applications. Software GWFM and Customizer software are separately installable applications. The GWFM application is stored on each GWFM workstation's hard disk. The Customizer may be installed on any GWFM workstation's hard disk if customization will be performed on that workstation. This separation limits access to Customizer and saves disk space on workstations that will not be used as a customization workstation. For detailed software installation instructions, refer to the ICPS Installation, Administration, and Maintenance Guide. Customization of the GWFM screens and data is an optional feature that enables the system to display site-specific status information. You may customize the GWFM screens and data using the Customizer utility, or operate the standard system. To customize the system, input of specific parameters and subsequent parameter-file maintenance is required. You need not enter customized parameters if you decide to operate the system with the default parameters provided. If you choose to operate a customized system, a system parameter file must be set up and maintained. The parameter file may be stored locally on the IWS hard disk or centrally on Storage and Retrieval Modules (SRMs). Maintaining a central storage facility ensures that each GWFM workstation displays information based on the same parameter settings. See Section 3 for more information on system maintenance and setting up parameters

15 Introducing the Graphical Work Flow Monitor System Describing the Software Interface The GWFM interface consists of two screens the Work Flow Status and Power Encode Status screens. They display status information on your entire ICPS operation. Each screen is described briefly in the subsections that follow. The fields on each GWFM screen are described in Section 2 and in the online Help facility described later in this section. The Work Flow Status Screen The Work Flow Status screen shows summary information in three separate windows, each containing data on a particular aspect of ICPS processing. One window displays projected and actual capture volumes, the second shows the status of Data Entry (DE), Balancing, and Power Encode (PE) functions, and the third indicates SRM capacity. Figure 1-2 illustrates a Work Flow Status screen

Work Flow Status Screen By referring to this screen, supervisors can easily recognize potential problems such as excessive work backlogs, staffing shortages, and SRM load balancing problems. Data Entry, Balancing, and PE operators can use the screen to monitor work in their areas as well. Section 2, "Understanding GWFM Screens and Fields" provides detailed descriptions of the Work Flow Status screen

17 Introducing the Graphical Work Flow Monitor System The Power Encode Status Screen The Power Encode Status screen displays all the detailed information necessary to get an up-to-date picture of work that is ready for power encoding as well as PE work pending in Balancing. This screen requires customized parameters to be defined. The Power Encode Status screen displays information on the Repass jobs that make up the PE work function. Each job is represented by a color-coded bar graph in the order of deadline, with the earliest deadline displayed first. The screen also indicates the time the current backlog should be complete with the current resources. With this information, you can monitor Repass jobs nearing deadline and react to any backlogs that my cause you to miss deadlines. Figure 1-3 illustrates the Power Encode Status screen. 18 Introducing the Graphical Work Flow Monitor System The Power Encode Status screen displays a number of Repass jobs at one time. You can customize the number of jobs to display, up to the maximum defined in the Customizer. If more Repass jobs exist than can be displayed on the Power Encode Status screen, an arrow indicator appears, informing you that additional jobs may be viewed by panning the display in the direction indicated. The Power Encode Status screen also indicates the dollar value of each job, the number of DP 500 Document Transports processing this job, and the anticipated completion time for each job. At the bottom of each status bar, it shows the actual deadline for each job, so it is easy to track jobs that are falling behind. Supervisors can decide whether to prioritize PE jobs or reorganize work to meet deadlines, and PE operators can monitor their work status as well. See Section 2 for a complete description of the Power Encode Status screen's fields and functions. Switching Between Screens You can switch between the Work Flow Status and Power Encode Status screens manually or use the automatic screen-toggle function. To toggle the automatic screen-switching function on and off, press the Shift- Pass key. The message "Automatic screen switching turned ON (OFF)" appears at the bottom of the screen. Note: You can customize the intervals between screen switches with the Customizer. To switch manually between screens at any time, press the Down Arrow key while on the Work Flow Status screen or the Up Arrow key while on the Power Encode Status screen

19 Introducing the Graphical Work Flow Monitor System Describing the Customizer Program The Customizer is separate from the GWFM, but it is accessible by the same personnel with access to the GWFM. It is used for entering user-specific parameters that control how status information is displayed by the system. By separating Customizer from the GWFM application, access to the Customizer can be restricted without restricting access to GWFM. Using the Customizer requires a knowledge of transit deadlines, throughput rates, arrival rates, typical volume levels, and other aspects of item processing at your site. To assist you, context-sensitive Help is available from within the program. See Section 3 for descriptions of each Customizer screen

Customizer Processing Rates Screen No additional workstation hardware is required to run the Customizer. However, the alpha keyboard is required for entering the path name used to access the program. The Customizer application displays on the standard IWS monitor. When using Customizer to alter GWFM screen display parameters, it

21 Introducing the Graphical Work Flow Monitor System is preferable to have the GWFM color monitor installed to view the changes as they are made. Getting Access If you have access to the ICPS Work Flow Manager, you also have access to GWFM. The system reads your user identification (User ID) and password to determine access rights before starting the GWFM. Access rights for each user are determined by their status in the Environment (ENV) file of ICPS. Refer to the ICPS Installation, Administration, and Maintenance Guide for more information on maintaining the ENV file. Note: You can choose to install the Customizer only on supervisor workstations, creating a barrier to access. Refer to Section 2 for instructions on accessing the GWFM. Refer to Section 3 for instructions on accessing the Customizer utility. Getting Help A context-sensitive online Help facility provides information for both the GWFM and Customizer applications. Simply press Help (F2 for the alpha keyboard) to get help specific to the screen you are working on. Press Cancel (F1) to return to the screen

22 Section 2 Understanding GWFM Screens and Fields This section describes the content and purpose of the Graphical Work Flow Monitor (GWFM) interface. Identifying GWFM Screens The GWFM interface includes the Work Flow Status and Power Encode Status screens. This section includes descriptions of both screens. Each GWFM screen serves a unique purpose. The Work Flow Status screen provides status information on the entire prime pass capture operation, including Amount Entry (AE), Data Correction (DC), Balancing, and a summary of the Power Encode (PE) function. It also describes overall capture volume and gives status information on Storage and Retrieval Module (SRM) capacity. The Power Encode Status screen provides a detailed status of Repass jobs available for PE and pending PE work that is still in Balancing. Figure 2-1 provides examples of each GWFM screen

This subsection identifies them and illustrates how they are used. 26 Understanding GWFM Screens and Fields Status Bars The status bars on the Work Flow Status and Power Encode Status screens indicate the time required to process the backlog for each function (for the Work Flow Status screen) or PE job (for the Power Encode screen). Status bars are displayed in the proper status display color to notify you of that function's status at a glance. See Figure 2-2 for illustrations of status bars on the GWFM screens. Status Colors GWFM uses its color-display capability to portray certain status conditions with variations in color. Screen elements such as status bars and arrow indicators are displayed in varying colors for each of three status conditions normal, warning, and critical. These color variations are referred to as the status colors. The default status colors and their corresponding status conditions are Green normal Yellow warning Red critical You may customize these colors, if you wish to do so. The GWFM reads the system parameters in Customizer to display the corresponding screen element (a status bar, for example) in the proper status color. This alerts you to abnormal conditions at a glance. To show how GWFM uses status colors, consider this example: You customize your GWFM system by entering a projected capture volume of 100,000 items by 2:00 p.m. in the Customizer. However, on a given day you actually process 175,000 items by 2:00 p.m. GWFM compares the actual and projected volumes and displays the Volume status bar in the critical status color (default red). Note: The Volume, AE, DC, RR and Balancing status bars on the Work Flow Status screen display normal and critical status colors only

Critical Status Color Capture Volume Status Window Status colors are also used for arrow indicators to indicate the status of offscreen items. For example, if your site uses more SRMs than the SRM Usage window can display, an arrow indicator appears in the window. If all SRMs are in the normal condition, the arrow indicator appears in the normal status color (default green). The arrow indicator displays the warning status color (default, yellow) when at least one of the SRMs has reached the warning stage but none has reached the critical stage. However, if any of the off-screen SRMs reach the critical stage, the arrow indicator appears in the critical status color (default, red). Status colors are described in more detail in "Interpreting the Work Flow Status Screen," and "Interpreting the Power Encode Status Screen" later in this section

28 Understanding GWFM Screens and Fields Threshold Bars Threshold bars are used to indicate the threshold levels for various functions. They appear at the point on the status bar where the threshold level for that function has been set in Customizer. Thresholds are defined as the points where the limit for "normal" processing would be reached. This graphical element alerts you to situations that could require changes in work flow. Setting thresholds is described in Section 3. Resource-Adjustment Numbers The numbers displayed inside or above each status bar on the Work Flow Status screen are the resource-adjustment numbers. They suggest, based on the current work flow status and deadlines and thresholds set up in Customizer, whether work is progressing as planned with the current level of resources. Resources may be operators or, for the PE work function, DP 500 Document Transports (DP 500s). A negative resource-adjustment number (such as "-2") suggests, based on current production rates and the specified deadline and thresholds, that the current backlog is lacking resources. As a result, you may wish to add the suggested number of resources (operators or DP 500s) in order to complete the backlog on schedule. A positive resource-adjustment number (such as "+2") suggests that the current backlog has a surplus of resources based on the current production rates and the specified deadline or thresholds. You may wish to reallocate resources to other functions, since the backlog will be completed ahead of schedule. These numbers are suggestions only, and are strictly informational. You are not required to take any action

29 Understanding GWFM Screens and Fields Arrow Indicators Arrow indicators indicate that data is available for viewing off-screen. In certain cases, screen size limitations do not allow all of the data available to be viewed. When an arrow indicator appears, it signifies that there is additional information that cannot currently be displayed. If you choose to, you may scroll the screen to view this information. See Figure 2-2 for an example. Arrow indicators are used only when a screen or window has a limited display capacity. For example the "SRM Usage" window of the Work Flow Status Screen may be configured with a display capacity of five SRMs. If your system includes more than five SRMs, an arrow indicator appears in the window, indicating that status data is available off-screen for the additional SRMs. See "Interpreting the Work Flow Status Screen," and "Interpreting the Power Encode Status Screen" later in this section for more information on arrow indicators. Date and Time Display The GWFM displays the current date and time in the upper right corner of the screen. The system displays time in military format (for example, 1:00 p.m. is 13:00). The time displayed right of the screen name is the time that the GWFM was last updated with data from the Image Check Processing System (ICPS) host. See Figure 2-2 for examples. Status Line The status line at the bottom of the screen displays system prompts, plus error and status messages when applicable. See Appendix A for a list of the messages that may appear. If the automatic data-update function is enabled, the status line also displays the time remaining until the next automatic update

30 Understanding GWFM Screens and Fields Site Number The site number identifies the site for your local operations. The central site is displayed as "Site: 0". Remote sites (if any) are identified as 1 through 9. All the GWFM data displayed (on both the Work Flow Status and Power Encode Status screens) relates to your local site only. Similarly, customizing the GWFM parameters and sharing of data between GWFM workstations applies to your local site only. Using the Keyboard You can use either the ICPS "proof" keyboard or the alphanumeric (alpha) keyboard (if installed) to operate GWFM. Note: All procedures in this guide refer to key commands for the proof keyboard. Table 2-1 describes the keystrokes for the proof and alpha keyboards. This information is repeated in the GWFM and Customizer help facilities. Table 2-1. Interpreting the Work Flow Status Screen This subsection describes the three windows of the Work Flow Status screen and provides detailed explanations of each field on the screen. It also describes accessing the screen and identifies customizable fields. Accessing the Screen The Work Flow Status screen appears when you first access GWFM. To access the GWFM, you must first log on to IIPS, then execute the ICPS application. The following procedure describes how to access the GWFM. 1. Power up the Image Workstation (IWS) system unit and display, and then the GWFM display. The IIPS System Logon screen (Figure 2-4) appears on the IWS monitor

It also indicates, through use of the normal and critical status colors, whether volumes are within range of expected levels

When volumes fall outside the customized rate threshold (either by more or fewer items), GWFM displays the Actl status bar in the critical status color (default red). It shows details on work completed in several categories, including AE, DC, Reject Reentry (RR), Balancing, and PE. You can display as many as three summary bars for each Balancing and PE, or as few as zero for Balancing and one for PE. Figure 2-8 shows the window customized to show the required AE, DC, and RR status bars, plus two bars that summarize Balancing and PE functions. The status bars describe status for each work function in relation to the y-axis, as well as other information. The resource-adjustment numbers (+ or - numbers) inside or above each status bar give recommendations on how you may wish to reallocate resources to meet your processing deadlines and thresholds. The fields below the status bar indicate the specific information related to each function

Amount Entry, Data Correction, and Reject Reentry Status In this window, the display format for AE, DC, and RR status is constant. The status bars indicate the work progress for each function against the time indicated by the y-axis. Balancing Status You can customize the Balancing status portion of the Work Available Status window to display zero, one, two, or three status bars one each for unencoded proof of deposit (UPOD), preencoded proof of deposit (PPOD), and Inclearings (Incl.). For each Balancing work type displayed, two status bars appear, a foreground (lower) and a background (upper) bar. The status bar in the foreground indicates the work that is in the Balancing backlog. The status bar in the background indicates the work pending in AE, DC, and RR that will be ready for Balancing when those functions are completed. PE Status Summary A summary of the PE status may be displayed in various forms. You can choose to display one bar that summarizes the entire PE operation, or divide the summary into as many as three bars, one each for on-us PE, local transit, and other transit items

The actual number displayed is set in Customizer and depends on the space remaining on the screen after the Balancing and PE Summary portion of the screen are set up. If the maximum three Balancing and PE status bars are displayed in the Work Available status window, only three SRM status bars may be displayed. However, if only one Balancing and PE bar is displayed, this frees space for more SRM bars to be displayed, up to the maximum eight. All such display functions are customized on the Customizer Display Parameters screen. An arrow indicator appears when additional SRM status bars are available for viewing off-screen. Scroll in the direction indicated (by pressing the left or right arrow key) to view the additional SRM status bars, if applicable. The GWFM status colors effect both the status bars and arrow indicators in this window. Pay special attention to the arrow indicators' status colors. If none of the SRMs off-screen have reached warning or critical status, the arrow indicator displays in the normal status color (default green). If at least one SRM off-screen reaches the warning stage and none has reached the critical stage, the arrow indicator appears in the warning status color (default yellow). However, if any of the off-screen SRMs reach the critical stage, the left or right arrow indicator appears in the critical status color (default red). Table 2-4 describes each field in the window

With the information provided on this screen, supervisors and operators can determine if PE work is progressing on schedule. The screen can display from three to 12 Repass jobs (in the form of status bars) in the order of PE deadline; the job with the earliest deadline is displayed at the far-left of the screen. You can customize the number of jobs to display, up to the maximum 12. Two status bars appear for each Repass job a foreground bar and a background bar. The bar in the foreground indicates the amount of PE work currently in the backlog for the job. The bar in the background indicates the amount of PE work pending in Balancing. Arrow indicators notify you when jobs are available for viewing off-screen. The status colors indicate when the estimated completion time for a job exceeds the threshold you set up in the Customizer. The completion time for each job (along with its dollar value) appears inside or above each status bar. It also indicates information about each Repass Job, including its sort pattern number (SPN), designated pocket and hourly processing rates

44 Understanding GWFM Screens and Fields When the processing deadline is reached for a job, the status bar for that job moves to the far-right of the screen, and it is displayed in the normal status color. Accessing the Screen You can reach the Power Encode Status screen at any time by pressing the Down Arrow key while on the Work Flow Status screen. If you have activated the screen auto-switching option (by pressing Shift-Pass), the system automatically toggles between the two GWFM screens at regular intervals. Note: You can customize the time between automatic screen toggles with the Customizer. Understanding the Screen's Fields The Power Encode Status screen includes a single window with several fields.
