7 Preface This manual describes how to install and configure My Documentum Desktop (MDD) to a server and to clients. Intended Audience This guide is intended for the administrators responsible to install and configure MDD on the host server and on client machines. 9 Chapter 1 Introduction This chapter contains the following topics: Introduction General Installation Guidelines Introduction My Documentum Desktop (MDD) enables users to directly access and edit files in Documentum repositories from within their authoring and page layout applications. Use the icon to start MDD from the system tray. Repositories are displayed and accessed as a node (like a shared network drive) on your computer s operating system. For example, on Windows, My Documentum Desktop (under which the repository nodes are listed) is displayed in Windows Explorer as another drive. On the Macintosh, repository nodes are displayed under localhost in Finder. General Installation Guidelines Installing MDD requires knowledge of the operating systems applicable to your installation. These can include one or more of the following: Windows, UNIX, and Macintosh. The MDD Server runs in a standard application server environment and is installed according to the application server s standard procedures. You also start and stop the MDD Server according to the application server s standard procedures. SSL is supported for MDD on Windows. See your application server documentation for instructions on installing and configuring SSL. Clustering is supported through the application server. See your application server documentation for instructions on installing and configuring clustering. Ensure that your system meets the requirements listed in the release notes before installing the software. Installing MDD also requires knowledge of the Documentum products listed below. The installation might require involvement from your Content Server and Transformation Services teams. The installation requires knowledge of the following: Documentum Content Server Documentum Foundation Classes (DFC) DFC is installed as part of the server installation. 10 Introduction Media Transformation Services (MTS) (optional) Documentum Thumbnail Server (optional) Either Advanced Document Transformation Services (ADTS) (optional) or Document Transformation Services (DTS) (optional) To install MDD, you install the following components: The MDD Server The MDD Client Important The MDD Server and MDD Client must be installed to different machines. Silent install and uninstall are only supported for: MDD Client on Windows MDD Client plugin for Adobe InDesign on Windows Before installing MDD client language packs, you must install the English MDD client. You can install multiple language packs on the same machine. However, ensure that you have the localized version of an operating system or install Windows language pack for the successful installation. You can run clients in SSO and non-sso mode against the same MDD server that has been enabled for SSO. 10 EMC Documentum My Documentum Desktop Version 7.2 Installation and Configuration Guide
11 Chapter 2 Upgrade My Documentum Desktop This chapter contains the following topics: Upgrade My Documentum Desktop Upgrade My Documentum Desktop If you are using a previous version of MDD, you can upgrade the MDD server and client to the latest version on Windows. The section describes the supported upgrade scenarios. Upgrading from MDD 6.6 to 7.2 This upgrade scenario is not supported. If you are using MDD 6.6, you must uninstall it and then install MDD 7.2. Follow the installation instructions provided in this guide. Upgrading MDD to 7.2 Install the MDD 7.2 server and configure the upgraded clients to the 7.2 server during the upgrade. Follow these steps: 1. Install the MDD 7.2 server. 2. Upgrade the existing clients to 7.2 client. 3. During the upgrade process, provide the 7.2 server URL when prompted during GUI install or update the silent installer script with the 7.2 server URL before running the silent installer. Note: Before performing the upgrade, make sure that you shut down the MDD client. It has been observed that sometimes the MDD client fails to start and shows an error message when an upgrade is performed without closing the MDD client. Restarting the MDD client resolves this issue. Existing clients cannot work with MDD 7.2 server. Upgraded 7.2 clients cannot work with MDD server. The existing clients must be configured to the server and upgraded client to the 7.2 server. Upgrading MDD on Macintosh is not supported. 13 Chapter 3 Install the MDD Server This chapter contains the following topics: Sequence to deploy the MDD Server Back up preferences and undeploy any previous version (Windows only) Install the MDD Server Verify MTS and DTS install Undeploy the MDD Server Sequence to deploy the MDD Server To install the MDD Server, perform the following tasks and procedures in the following order: 1. Verify that your system meets the requirements listed in the release notes. 2. Install WinZip or a similar extraction utility on the host machine for the MDD Server. 3. Verify that you have access to EMC Online Support, 4. Back up preferences and undeploy any previous version (Windows only), page Ensure that connection broker and repository services are running on the Content Server. For instructions, see the appropriate Content Server administration documentation. 6. Deploy the MDD Server in a stand-alone environment, page Verify MTS and DTS install, page 15 Note: For deployment instructions on various application servers, refer to DFS Deployment Guide. Back up preferences and undeploy any previous version (Windows only) If you have a prior version of the MDD/FSS server software deployed on a Windows host, then before you deploy the new version you must first perform the tasks described here: 1. Back up any modified preferences to a separate folder. If you do not back up the preferences, you must manually reconfigure them after deployment. The preferences for are typically found in: <Application Server Directory>\webapps\fss\fss\config. Note: Depending on which preferences you have modified, you may need to migrate them to a different file. 2. Because as of version 6.7, the MDD Server is deployed onto an application server, you must undeploy any previous versions. 14 Install the MDD Server To undeploy a previous version, see the installation guide for that version. Install the MDD Server Deploy the MDD Server in a stand-alone environment Before you deploy, you must first complete all previous steps in the Sequence to deploy the MDD Server, page 13. To deploy the MDD Server in a stand-alone environment: 1. Download and unzip the MDD Server installation files from to a temporary directory on your server host. 2. (For Solaris only) Set the DOCUMENTUM and DOCUMENTUM_SHARED environment variables to the installation location. For example, if /MDDServerHome is the installation directory, then execute these commands: export DOCUMENTUM = /MDDServerHome export DOCUMENTUM_SHARED =/MDDServerHome 3. Modify these files in the appropriate *.war or *.ear files (as specified in the Application Server files table and re-zip them. APP-INF\classes\mdd.properties: preferences property: Path to the preferences directory, which includes, for example, global.preferences. configuration property: The path for: default.displayconfiguration SystemConfiguration.xml CustomPropertyDisplayConfig APP-INF\classes\dfc.properties: Overwrite this file with the corresponding file from your Content Server installation. Note: For Tomcat server, refer to mdd.properties and dfc.properties in WEB-INF\classes. If multiple repositories (specified by different connection brokers) have identical names, when users log in to or out of one of these repositories, it will appear as though users are logged in to and out of all of these repositories at the same time. In addition, a user will not be able to log in to the identically named repositories as different users. 4. Copy these files to the directories specified in mdd.properties: default.displayconfiguration global.preferences SystemConfiguration.xml CustomPropertyDisplayConfig 5. 15 Install the MDD Server Application Server Apache Tomcat Files fss.war emc-dfs.war Note: Edit server.xml in the <TomcatHome>/conf folder and include the following setting between the <Host></Host> tag: <Context path="" docbase="emc-dfs" debug="0" reloadable="true" /> Oracle WebLogic Server fss-services.ear emc-dfs.ear IBM WebSphere Application Server fss-services.ear emc-dfs.ear Verify the server installation 1. Run the following: ps -ef grep <fss> If it returns a result, the MDD server is running. 2. In a browser, enter the following URL: An XML file appears for the MDD object service. 3. In a browser, enter following URL: An XML file appears for the MDD remote service. Verify MTS and DTS install To verify install of MTS and DTS, you must first install and configure the MDD Server and at least one MDD Client component. This client must run InDesign. 1. Import an Adobe InDesign document to the repository. 2. Using a Documentum client that is extended by MTS and DTS, log in to the repository where the file above was imported as an administrator user. 3. Locate the object you just imported and examine its Renditions page. 4. The object will have a PDF rendition, a low-resolution rendition, and a thumbnail rendition included in its list of renditions. Note: Renditions are not created instantaneously. It might take some time for a rendition to appear on an object s Renditions page. 16 Install the MDD Server Undeploy the MDD Server Log in using the MDD owner account. 1. Using the standard procedure for your application server, undeploy and delete the MDD Server Web application from the application server. 2. Delete the directories that you specified in the preferences and configuration properties of the APP-INF\classes\mdd.properties. See Configure global preferences, page 18. Note: For Tomcat server, refer to mdd.properties in WEB-INF\classes. To set preferences specific to a repository, a user, or a default user group, see Configure preferences for a repository, user, or default user group, page 21. Non-global preferences override global preferences. 18 Configure system preferences Global-user preferences Global-group preferences Global preferences Change the preferences directory To change the preferences directory: Set the new path in the preferences property in APP-INF\classes\mdd.properties. Note: For Tomcat server, refer to mdd.properties in WEB-INF\classes. Configuration file syntax The root element of a preference file is the <fsspreferences> element. Preferences that govern a common area of functionality are grouped into preference sets, designated by the <preferenceset> element. Within each preference set, the <preference> element describes a specific setting. To edit a preference setting, you modify the <value> element within a <preference> element. You can add additional <preference name> elements to a <preferenceset>. Duplicate <preference name> elements in a given <preferenceset> are ignored. Use multiple <character> elements to specify each illegal character. 5 <SystemFiles> Specifies the system files to ignore. Contains <filename> elements in which to specify the system file names. 6 <filename> The name of a single system file to ignore. Use multiple <filename> elements to specify each system file. 7 <ApplicationFiles> Specifies the paths (including filenames) to ignore. Contains <pattern> elements in which to specify a regular expression to match. 8 <pattern> A single regular expression that specifies the path to match. Use multiple <pattern> elements to specify multiple regular expressions. Notes The default temporary files filter configuration is installed on the MDD client machine. When the MDD client is started: If this configuration is not found in the C:\ProgramData\<user>\MyDD\Config folder, then it is copied to the C:\ProgramData\<user>\MyDD\Config folder from which the MDD client reads it. 21 Configure system preferences To ingest large files using MDD client, perform the following tasks 1. Restart the Application Server. In the Application Server, ucf.installer.config.xml is available at following locations: \webapps\root\web-inf\classes \webapps\emc-dfs\services\admin \webapps\emc-dfs\services\bpm \webapps\emc-dfs\services\ci \webapps\emc-dfs\services\collaboration \webapps\emc-dfs\services\core \webapps\emc-dfs\services\search Configure preferences for a repository, user, or default user group Note that user group preferences are based only on the Default User Group. 1. In the directory specified by the preferences property in APP-INF\classes\mdd.properties, create a subfolder with the name of the repository. 2. Copy and paste the global.preferences file from the root folder into the new subfolder and rename the file to name.preferences where name is the name of the repository, default user group, or user to which the preferences apply. Note: For Tomcat server, refer to mdd.properties in WEB-INF\classes. 3. Open name.preferences in a text editor and edit the <preferenceset> and <preference name> tag sets for the new preferences. 4. Delete the <preferenceset> and <preference name> tag sets for the global preferences. 5. Modify the preferences as appropriate. 6. Save and close the file. 7. On all clients, restart MDD. 22 Configure system preferences Configure attributes displayed in check-in, import, and properties dialog boxes In the Properties dialog, attributes displayed are the ones that have been configured for that object type s application= webtop scope. You use Documentum Application Builder or Documentum Composer to set an object type s scope and the attributes displayed for client properties. For specific instructions, see their online help. In the Check-in and Import dialog boxes, mandatory attributes are displayed by default. To display additional attributes in the Check-in and Import dialog boxes, you specify an object type s display configuration, which includes the additional attributes to display, in [repositoryname][.lang].displayconfiguration. 1. Copy default.displayconfiguration as [repositoryname][.lang].displayconfiguration and move it to the location specified by the configuration property in APP-INF\classes\mdd.properties. where: repositoryname is the name of the repository to which the display configuration applies..lang (optional) is the ISO language code to which the display configuration applies. The period must precede the ISO language code. If the ISO language code is not specified, then the display configuration applies to all languages. Note: For Tomcat server, refer to mdd.properties in WEB-INF\classes. If you want the display configurations to apply to all repositories and all languages, then do not make a copy of the default.displayconfiguration and simply add each <DisplayConfiguration> element to it. 2. 23 Preference sets 1 <DisplayConfiguration List> 2 <DisplayConfiguration objecttype= "object_type"> Root element for a set of individual display configurations (<DisplayConfiguration>). objecttype specifies the object_type to which this <DisplayConfiguration> applies. default cabinet, default folder, and default document are fallback display configurations for any object types that are not specified. Do not modify these fallback display configurations. 3 <ImportSettings> Container for attributes to display on the Import dialog box. 4 <Section name="info"> name specifies the name of the tab on which to display the attributes specified in the child <Attribute> elements. You can specify a string that is valid for the language that you have specified for this file. 5 <Attribute name="authors"/> name specifies the name of the attribute to display. 6 <CheckinSettings/> Container for attributes to display on the Check-in dialog box. Set the Search Scope to Selected Folders MDD does scope the search to selected folders. To enable this, the following configurations have been added to the global.preferences file on the server under the Search preference set: The DisableOrderBy flag Used to disable or enable the order of the search query. To remove the order (by clause) from the search query, set this property to true; by default, it is set to false. This configuration is applicable to full-text search only. The EnableReturnTop flag Used to return the top results from the full text search. To use this property, set this property to true; by default, it is set to false. This configuration is applicable to full text search only. In addition, ensure that the return_top_results_row_based setting in the server.ini file on Content Server is set to false. 24 Preference sets <preference name="recentfilesnumdays" description="this preference defines the number of days files are displayed in the recent files "> 1 <value value="14"/> </preference> <preference name="recentfilesmaxnumber" description="this preference defines the maximum number of files displayed in the recent files "> 2 <value value="50"/> </preference> <preference name="allcheckedoutfiles" description="if this preference is true, all checked out files will be displayed, regardless of RecentFilesMaxNumber"> 3 <value value="false"/> </preference> </preferenceset> 1. Specifies the number of days, since their last checkout, that files are kept in the Recent Files node. Valid values are integers, starting with 1. To determine the number of days back that a file needs to have been last checked out in order to be kept in this node, start with 1, which specifies the current and previous days. For example, if you want files to be kept in this node only if they were last checked out on the current and previous days, then specify 1. Ingest preference set Ingest preferences define locking characteristics, some PDF generation behaviors for InDesign files, and the default values assigned to a file on import and checkin. Users can edit the values for a given file when performing an import or checkin. Retain lock on import If set to true, then when a user imports a file, MDD locks the file in the user s name. Default value = false Default document object type Create PDF This is the default object type that is shown for documents that do not have an object type specified by a template mapping. Default value = dm_document. The value for this preference on the client takes precedence over the value set on the server. If set to true, users can choose to create a PDF rendition upon save of a layout file. Default value = true InDesign Quality Allows users to set the default PDF Quality for InDesign files. Values are: All, Optimized Subsampling, Proxy, or None. For definitions, see InDesign help. This preference is case-sensitive and must appear exactly as indicated by InDesign. If Subsampling, All, or Optimized is not chosen, transparency is lost. If the value is not set, the default value of Proxy applies. Object type filters preference set This sets the root object type that generates the list of object types from which users can select in the ingest dialog box. This also hides specific object types from display in MDD. Note that if a user imports a file of a type that is blocked, the file is imported but is not displayed in MDD. If this is not set, templates are applied only to listed formats. An attribute template defines a set of attributes to apply to an object. These attribute values take precedence over default attribute values from the data dictionary. The data dictionary contains all information related to attributes. For every attribute, it assigns a user-friendly label that is easily recognizable. It has the capability to translate labels into other languages, and holds a list of all the attributes you have created, in addition to the default and conditional attributes. The <preference name> element can be changed and additional names added to suit your needs. acstransfer preference set This enables and disables ACS and BOCS transfer. To enable, set the appropriate value to true. Configure scheduled import Scheduled import sets up the automatic upload of files from the WIP node to the repository at regular intervals. The WIP node contains imported and edited files that await upload to the repository. Through scheduled import, you set MDD to automatically upload those files at preset time intervals. Scheduled ingest lets you configure whether MDD uploads the files silently, without prompting the user for input, or non-silently, by prompting the user to confirm the upload and enter file information. MDD does not perform scheduled ingests: If you are logged out of the target repository On hidden files On non-writable files Change the configuration directory To change the configuration directory: Set the new path in the configuration property in APP-INF\classes\mdd.properties. Note: For Tomcat server, refer to mdd.properties and dfc.properties present in WEB-INF\classes. Configure a Scheduled Import Scheduled import can be configured on the client by selecting Preferences from the system tray. The MDD server contains default values. 1. (2) Set these properties for a system-initiated (that is, a scheduled) checkin or import: Property Valid values Description enabled true (Default) MDD automatically performs an import according to the interval specified in the interval property. false interval #[h m s] MDD does not automatically import; that is, users must perform a manual import, either via drag-and-drop or by right-clicking a file and selecting Check In. (Default is 5m) Specifies the number of hours, minutes, or seconds between automatic imports. # is an integer. h represents hours m represents minutes s represents seconds Ignored if enabled= false. For example, an interval of 10 minutes between automatic imports is specified as 10m. (3) Set enabled to true to automatically import files from applications (such as InDesign); false, otherwise. This property is ignored when <SystemInitiated enabled= false..>. (4) Set enabled to true to automatically check in files from applications (such as InDesign); false, otherwise. This property is ignored when <SystemInitiated enabled= false..>. 33 Configure D2 (6) Set mode to interactive to display checkin notification on system-initiated checkins; silent to prevent checkin notification from being displayed. (7) By default, this property is disabled (enabled is set to false). Set enabled to true to avoid the display of notification balloon on the system tray; instead, the ingest/check-in dialog box appears if auto-ingest or check-in is enabled and prompt for properties is turned on. 2. Save and close the file. 3. Restart the MDD Server. 4. Restart the MDD Client. Add a connection broker 1. On the MDD host, open the dfc.properties file in a text editor. 2. Enter the connection broker host and port.. 3. Save and close the dfc.properties file. Configure MDD to work with Retention Policy Services For MDD to work with Retention Policy Services (RPS), the DFC that runs on the MDD server must be designated as a privileged client. To designate it as such, do the following: 1. On the MDD Server, update the emc-dfs.ear\app-inf\classes\dfc.properties file to specify that DFC is privileged. See RPS documentation for more details. Note: For Tomcat server, refer to dfc.properties in WEB-INF\classes. 2. Save and close the dfc.properties file. Check for the D2 content option and if available, select it. 6. If you cannot select the D2 content option, check the global preference file or restart the application server. Note: When the D2 feature is enabled, Silent Checkin and Automatic Scheduling options should be disabled in the Preference Settings in the server. This setting modifies the following preference options in the MDD client: 1. Clears the Import documents automatically every option. 2.
