3 4.5 - Release Notes Introduction The release process for 4.5 will happen according to this plan: Version Focus area Date 4.5 Beta #1 All features October 17 th All features + reported issues in the 4.5 Beta version December 8 th This document describes the content of the 4.5 product offering in general. In addition, known limitations and issues of the Beta 4.5 version are described. Note! In general, the focus for 4.5 has been Web-based Budgeting and Budgeting Writeback to Data Warehouse and directly to a list of supported ERP systems 4.5 is a part of the 4.5 beta and release program. The installation of 4.5 is done via a separate installer. Please see the installation guides for OneStop Reporting 4.5 and 4.5 to understand to configuration of the full 4.5 product suite. The documentation for OneStop Reporting 4.5 has been updated with the new features in version 4.5. Descriptions of features that have not been changed in version 4.5 may not have been revised, and screen shots and illustrations may not be correct. All illustrations will be checked and if required replaced for the official release of OneStop Reporting 4.5. Warning! The 4.5 version will upgrade the Repository database. Make sure you make a backup of your Repository database if you later want to downgrade to 4.0 or any other previous version you may have had installed. Warning! The 4.5 version introduces a new and higher meta compatibility level for your integrations and extensions. As a consequence of this all customized integrations will require testing and verification. This version of will need you to upgrade your installation package. Please see the Administration User Guide for how to upgrade the integration package. If you start a 4.5 version product you will get the following information message until you have upgraded your Integration Package: Page 1

4 4.5 - Release Notes System requirements and installation Please see the " 4.5 Installation Guide v1.0.docx" and the " 4.5 Installation Guide v1.0.docx" for a detailed description on the System Requirements for the products. Obtaining the software The software can be downloaded from the Downloads area on The first time you go to Downloads you must register an account. You can then immediately log in using the user name and password you registered. Obtaining your licenses Licenses are available from OneStop Reporting, and will be updated when there are any changes. If you have not received your license keys after you have purchased the software, please contact support@onestopreporting.com to obtain them. Page 2

5 4.5 - Release Notes OneStop Reporting 4.5 Release Notes News Web-Based Budgeting With OneStop Reporting 4.5 we introduce Web-based Budgeting and direct write-back to the budgeting tables in your ERP system. See more details about this later in this document. Be aware of the fact that it requires a purchased license to get access to the Budgeting functionality Data Manager The Data Manager is a new feature in the 4.5 that offers you the ability to insert, delete or change data in your Budgeting Data Warehouse. See more details about this later in this document. Global Values You can now define system-wide, shared values that you can refer to and use in multiple reports or budgeting forms. See more details about this later in this document. Support for external third-party Document systems In version 4.5 we have added functionality to support third-party Document Systems. Some systems are already supported; these include Visma Document Center and Basware. Please contact your partner or distributor for more information about the options and possibility of integrating your Document management system. This feature makes it possible to drill-to a scanned voucher or other kind of document that is associated with a transaction posting. New Rendering Service performance enhancement in Version 4.5 introduces a new Rendering Service for the Portal. In version 4.0 the Portal rendered reports using an Excel object on the IIS web server. In some situations with many concurrent users and big reports the report rendering service availability could be reduced and the performance would decrease. In version 4.5 the uses a third-party spreadsheet component to render the reports, without any need for Microsoft Excel. As such having Microsoft Excel installed on the server is Page 3

6 4.5 - Release Notes no longer a requirement, it is however an optional component depending on your rendering needs. The Microsoft Excel rendering option is still supported but it is not the default configuration when the 4.5 is installed. Please see the User Guide and Installation Guide for how to switch between these two rendering options. Overview of the new features Budgeting High-lights Web-based, data entry Design a budget form exactly the same way you define a Report definition The data input cells automatically get storage rules assigned as default. This may be customized if needed Storage of calculated values Define historical data selection for helping the end-user to base the budget on previous actual data Spreading tool to help the end-user define the budget values Line Item Detail specifications for end-users Write back directly to your ERP systems budget data Web-based Data Manager application for changing data in the and BI360 Data Warehouses Extension attributes to the Employee and Account dimensions in some of the supported ERP systems in order to let you define budget forms for Payroll Lock specific areas of the form Page 4

7 4.5 - Release Notes Overview of the Web-based budgeting functionality This new budget functionality requires a separate license. Note: The functionality will not appear in the layout designer until the license has been installed. The OneStop Reporting 4.5 Budget forms are created in Report Designer like any other report definition. A new addition to the Layout Designer, in the shape of a new tab, makes it possible to define storage rules; for what values should be stored into the budgeting database. The picture below illustrates the definition of storage of the value in a specific cell in the budget form: The process of defining a data input cell Page 5

8 4.5 - Release Notes The data input cell will automatically get a set of default fields that will define the value in the database. The fields are inherited from the context of the cell. In this example the dimensions Budget version, Department, Account and Period define the context of this particular cell. The stored value will get the runtime-expanded values of these dimensions when the end-users work with the web-version of the form (see picture below). The Budgeting store-back allows storage of both user-input cells and calculated cells. This is a strong feature as you may want to make allocations and store values to other accounts based on input values entered by the user. The Form definition (Layout Editor) also allows the administrator to define a historyselection of data, so that the end-user can use that data as help when entering the budget values. The historical information could be one of the following: Retrieval of actual data for the same dimension context as the budget values last year (period 1 to period n) Retrieval of actual data for the same dimension context as the budget values rolling period selection with an offset compared to the period the users are entering data for Custom selection of any historical data The form shown in the Report Designer will look like this when uploaded and prepared for data input in the : The end-user has the following options for entering data: Manually entering the data directly into the form Page 6

9 4.5 - Release Notes Use the spreading tool to help create the values Use the Line Item Detail specification to enter data on the lowest level The picture below shows the Spreading tool and the different options the end-user has. In this example the historical actual data is not defined. See the User Guide for more information about the details of this feature. The following picture shows the Line Item Detail specification dialog. In this example the user has specified details for the account 8310 Software. It also illustrates that it is possible to enter comments for each single specification value. Page 7

10 4.5 - Release Notes Data Manager - overview A new feature of is the Data Manager. The main objective for using the Data Manager is to insert, delete and change data in the and BI360 Data Warehouses. The Data Manager is enabled for users with administrative rights. Note: This feature is only available for budget usage. The Data Manager can also be used to enter data for the extended attributes for the Employee and Account dimensions in the ERP systems. See the User Guide for details about how the Data Manager works. The picture below shows a screen shot of the Data Manager and the maintenance of the Account Dimension in the Data Warehouse. Note #1: In 4.5 there is no data import/export feature in Data Manager. This version will only allow for manual data editing. Page 8

11 4.5 - Release Notes Import/export will be introduced when the full Data Warehouse manager is released. Note #2: The Data Warehouse is only available for custom projects in cooperation with OneStop Reporting. In a later version the will include a Data Warehouse Manager tool for building and maintaining an Data Warehouse. Global Values overview Version 4.5 introduces the ability to define shared Global Values that can be used across multiple reports and forms. The picture below shows how a Global Value is defined and how it may be referred to in a report/form. Global Values support the string, integer and float data types. Page 9

12 4.5 - Release Notes Fixed issues and minor enhancements The following reported issues have been fixed from previous versions. The table below describes the issue in short.
