5 Release Highlights This release contains the following items: Recurring Tasks Enhancements on the Workflow Management Console Other enhancements Fault fixes Full details of these changes are included within this document. Prerequisites Installing CCH Central and Workflow This release is installed using the Central Suite Installer. This ensures that all prerequisites are in place and that all the products for which you are licenced are installed in the correct sequence. 6 1. Software Enhancements CCH Central 1.1 CCH Central User Interface - Classic View has been removed In this release, the CCH Central User Interface is set to use only the Ribbon mode at Practice and Employee level and the Classic View is no longer available. Note: The employee that logs into Central to perform the database upgrade for and that had set the classic mode, will still have the classic mode set the first time when he logs into Central after the database upgrade is finished. The next time when that employee will log into Central, the Ribbon mode will be turned on. The configuration key, Ribbon, which enabled/disabled the Ribbon mode in the previous versions and the Enable/Disable Ribbon option from the Support tab within the ribbon has been removed. 1.2 Recurring Tasks In this release, users can schedule repeating tasks without the need to re-create the tasks every time they need to work on them. When a task is marked as completed, the next task is automatically generated based on the repeating pattern that was set up in the completed task. Note: This functionality is available only for Central tasks which are created from the To Do tab within Client, Contact, Assignment, Employee, and Supplier. The recurring functionality is not available for Workflow, Document Management, and Practice Management tasks. To create a recurring task on a client, contact, assignment, employee, or supplier: 1. Open the client/contact/assignment/employee/supplier. 2. Select the To Do tab. 3. Click on the Tasks option from the ribbon and select the task type to create a new task or open an existing Central task from the To Do grid or the Tasks Home Page control. 7 4. The Task dialog will open: 5. To create a recurring task, tick the new option, Recurring, located in the right side of the Notes section within the Task dialog. 6. From the Frequency list, select Weekly, Monthly, Quarterly, or Annual. 7. The Date Next can be edited and represents the Start Time of the next task. It is automatically populated depending on the selected frequency and on the Start Time of the current task. For example, if the current task has the Start Time on 9 th of October and the selected frequency is Monthly, then the recurring task will be created with the Start Time on 9 th of November. 3 CCH CENTRAL AND WORKFLOW RELEASE NOTES OCTOBER 2017

8 8. Mark the current task as completed. The next task is automatically generated based on the repeating pattern that was set up in the previous task. On the new crated task: The Subject is the same as on the previous task. The Date field is populated with the date when the task was created. The Start Time and the End Time are populated with the Date Next set in the previous task. The Recurring option is ticked by default. The Frequency is populated by default with the frequency set in the previous task. The Date Next is automatically populated depending on the selected frequency and on the Start Time of the current task. 1.3 Add Job Two new fields, Start Date and Hours, have been added to the Add Job/Schedule dialog: CCH CENTRAL AND WORKFLOW RELEASE NOTES OCTOBER

9 The Hours set on the job are used within the Employee Planner when tasks are allocated to employees. The Start Date set on the job is used to calculate the Planned hours within the Employee Budget Homepage control. Note: The Hours field from the Add/Edit Job/Schedule is a numerical field and users can add only whole numbers. When a job is rolled forward using either the Job Roll Forward option from the right click menu on the job or the Job Roll Forward workflow activity, the value entered in the Hours field from the actual job is rolled forward on the new job with the same value. The Start Date on a job that is roll forward will come from the Frequency set on assignment plus the Start Date from the prior job. If a job that belongs to a quarterly assignment is rolled forward the Start Date on the job will be advanced by one quarter. Note: To allocate work on an employee from a Job within the Employee Planner screen, please refer to the CCH Practice Management Release Notes. 5 CCH CENTRAL AND WORKFLOW RELEASE NOTES OCTOBER 2017

10 1.4 Enhancements on the Preview Panel In this release, the following enhancements have been made on the Preview Panel from Find Clients and Find Contacts screen: Users can view and open the tasks created on clients or contacts in the new section, Tasks, from the Preview Panel. The sections from the Preview Panel are now resizable Tasks on the Preview Panel A new section, Tasks, has been added near the Notes in the Preview Panel within Find Clients and Find Contacts screen, allowing users the ability to view and open the tasks created on clients or contacts. In the Tasks tab within the Preview Panel are displayed all the tasks created on the client or contact except the completed tasks. In the Tasks grid within the Preview Panel are displayed the following columns: Task Id: Displays the ID of the task. Subject: Displays the subject of the task. Status: Displays the status of the task (e.g. Not Started, Planned, etc) Due Date: Displays the End Time of the task. CCH CENTRAL AND WORKFLOW RELEASE NOTES OCTOBER

11 Users can open and edit the task from the Tasks tab within the Preview Panel by clicking on the Subject: Resizable sections in the Preview Panel Users can now resize the sections from the Preview Panel: 1. In the Preview Panel, hover over any of the vertical borders that combines two sections until a double ended arrow appears: 2. 12 1.5 Tasks Homepage control Employee Department A new field, Employee Department, has been added to the Tasks Homepage control and it displays the department set for the employee that has the task assigned. By default, Employee Department is available in the Field Chooser and it can be placed near any other column header from the Tasks grid. Users can group and sort the Tasks grid ascending or descending by Employee Department: CCH CENTRAL AND WORKFLOW RELEASE NOTES OCTOBER

13 1.6 Add Photo on Clients or Contacts In this release, users can add a photo to the Client or Contact screen. By default, a blank box is displayed near the OK and Cancel buttons within the Client or Contact screen. To add a photo to a client s or contact s profile: 1. Open the client or the contact. 2. Right click on the blank box located in the top right section of the Client/Contact screen. Add Photo and Remove Photo options are displayed: 3. Select Add Photo. 4. 14 Note: Only JPG files can be added as photos to Client s or Contact s profile. 5. Select the image and click on Open. 6. The selected image is displayed on the Client or Contact screen: To remove the photo from the Client or Contact screen, right click on the image and select Remove Photo. 15 CCH Workflow 1.1 Workflow Wizard In the previous release, the Workflow Wizard functionality was by default disabled. In this release, the Workflow Wizard is by default available, so that the configuration key (WorkflowStandardDesignerWizardVisibility) that controls the visibility of the Workflow Wizard functionality is set to the value of 1 upon upgrade. For further information regarding setting up the configuration key, please refer to the System Administration section for Workflow Wizard Configuration key. Note: For more information on creating workflow templates using the Workflow Wizard, please read the Creating a Template using the Workflow Wizard section within the CCH Online Help. 1.2 Enhancements on the Workflow Log console The following enhancements have been made to the Workflow Log console: New fields are available in the Workflow Log and users have now more details about the running workflows, such as the employee who assigned the workflow, the client or the contact that has the workflow assigned, information specific to each workflow type and other details. The log messages related to stopping the Workflow Service has been improved and new informational and warning workflow log messages are available when progressing Client/Contact and Document activities Enhancements on the Workflow Log grid In this release, users can customize the Workflow Log grid using new fields which are by default available via the right click menu > Field Chooser: Client Name: Displays the name of the client or contact that have the workflow assigned. Employee ID: Displays the ID of the employee who assigned the workflow. Step Owner: Displays the name of the employee who has the workflow task assigned. Workflow Subject Details: Displays information specific to each Workflow Type: o Client/Contact: Displays the name of the client or contact that has the workflow assigned and it is a link to the Client screen > Workflow tab. o Assignment Jobs: Displays the name of the job that has the workflow assigned and opens the Client screen > Assignments tab. 11 CCH CENTRAL AND WORKFLOW RELEASE NOTES OCTOBER 2017

16 o Document: Displays the ID of the document that has the workflow attached and it opens the Client screen > Document Centre tab. o Personal Tax: Displays the Tax Year and opens the corresponding Tax Return that has the workflow started. o Accounts Production: Displays the Accounts Production Period End Date and opens the Accounts Production screen corresponding to the workflow that is started on that period. o Corporation Tax: Displays the Period of Account End Date and opens the corresponding Tax Return that has the workflow started. Other fields that are available by default in the Field Chooser: Workflow Definition Id: Displays the id of the workflow. Workflow Instance Id: Displays the GUID of the workflow. Workflow Primary Key Id: Displays the Contact ID for Client/Contact, Assignment Jobs, Document, Personal Tax and Corporation Tax workflows. For Accounts Production workflows, it displays the workflow Instance ID. Workflow Subject Name: Displays the workflow type. (e.g. Client/Contact, Personal Tax, etc) Workflow Version: Displays the version of CCH Workflow in which the workflow was started. (e.g ) Activity Assembly: Displays details (e.g. dll s version) about the dll that is used. Activity Name: Displays the activity type. (e.g. Create document, Check assignment, etc) Exception: Displays more details in case an error occurs. It is populated only related to an error message. 17 Logger: Displays the class that logged the message. Process Name: Displays the name of the process that is executing. (e.g. Workflow.Server.Versioning.exe) Server Name: Displays the name of the machine where the Workflow Service is installed. Thread: Displays the executing thread ID. Note: The Workflow Current Step field has been removed from the Workflow Log Log messages improvements The Workflow Log console is an important diagnostic tool for understanding the behaviour of the application as well as troubleshooting any issue with the application and so, the messages logged in the Description column within the Workflow Log grid that are related to the Client/Contact and Document activities have been improved in this release, producing a positive effect on readability and usability. When a Client/Contact or a Document activity is progressed with success, in the Description field from the log are displayed informational messages that contain details about the progressed activity such as the activity type, the name of the activity, the document Id or the name of the client that has the workflow started. An example of a log message after a Central Task is progressed: An example of a log message after an automated Client/Contact activity (e.g. Check Business Type) is progressed with success: An example of a log message after the Document activity, Convert Doc to , is progressed with success: In case a Client/Contact or Document activity fails to progress, in the Description field from the log a warning message is displayed containing details about the activity and the reason the activity failed to progress. An example of a log message after an automated Client/Contact activity (e.g. Check Business Type) fails to progress: An example of a log message after an automated Document activity (e.g. Automated Lock) fails to progress: 13 CCH CENTRAL AND WORKFLOW RELEASE NOTES OCTOBER 2017

18 When the Workflow Service is manually stopped, the following message is displayed in the log: Note: The new log messages are not displayed in the Log grid when progressing workflows started in a version prior to Enhancements on the Workflow Service console The following enhancements have been made to the Workflow Service console: If the Workflow Service is stopped, then a red background is displayed within the Workflow Service console with the Status: Workflow Service is not running. If the Workflow Service is not responding more than one minute, then a red background is displayed within the Workflow Service console with the Status: Workflow Service is not responding. 19 1.4 Enhancements on the Queue console Previously, the messages from the XML and Serialized queues were processed very fast (one message was processed in 5 milliseconds) so that if the number of messages from the queues was under 50, the XML and Serialized grids from the Queues console were not populated. In this release, we changed the way the messages from the queues are processed without affecting the performance. For example, if the Workflow Service is stopped while one or multiple workflows are progressed, the messages that remain in the Xml Queue until the Workflow Service starts again to process the messages are displayed in the XML Queue grid even if the number of messages is under Assignment Jobs workflows - New Custom Reference Dates and Date Rules 15 CCH CENTRAL AND WORKFLOW RELEASE NOTES OCTOBER 2017

20 Three new Workflow Custom Reference Dates have been created and are enabled for Assignment Jobs workflows: 31 January following job period end date Job period start date Job period end date Six new Date Rules have been created for use when creating new Assignment Jobs workflows: Job period start date Job period end date 1 month after Job period end date 6 months after Job period end date 11 months after Job period end date 31 January following Job period end date 1.6 Assignment Template Workflow settings Within the Assignment Template window, the Default Workflow column has been removed and replaced with a Workflow Tab, this allows multiple Assignment Jobs workflows to be assigned to an assignment. Note: The Assignment Jobs workflows that were set as Default Workflows within the Assignment Templates screen in a prior version, are displayed and marked as Default in the Available section within the Workflow tab. In this release, to start an Assignment Jobs workflow, users need to associate the workflow with the assignment template and then the workflow can be started on the job: 1. Select File > Maintenance > Assignment > Assignment Templates 1. Highlight the desired assignment template: e.g. Annual Accounts. 2. Select the Workflow tab. 3. Select a workflow template. 4. Move the workflow from the Unavailable to the Available section using the right arrow. 5. Repeat steps 3 and 4 to add more workflow templates. 6. Click OK to close the Assignment Templates screen. 21 7. Open the client. 8. Select the Assignments tab. 9. Highlight the job from the assignment that was created based on the assignment template that has Assignment Jobs workflows associated in the Assignment Templates screen. 10. Right click on the job, then select Start Workflow. 11. Select the workflow and click OK. Note: The Assignment Jobs workflows that are not associated with an assignment template cannot be started on a job. Those workflows are not displayed in the Start Workflow dialog from the job. 1.7 Standard Workflows - Changes to Add new workflow The following changes have been made to the Add new workflow window: Type: This was previously Subject and moved to be the first selection option Deadline Date Type: Defaults to Offset Date The same changes are visible in the Step 1 of the Workflow Wizard, Details tab: 17 CCH CENTRAL AND WORKFLOW RELEASE NOTES OCTOBER 2017

Quality Improvements 2.1 CCH Central The following quality issues were resolved in CCH Central : Extra Fields are not visible on clients for all employees Previously, if an employee group, for example Central Basic User, had the Can Modify option ticked for an Extra Field Group within the Extra Field Security screen, then the extra fields that belong to that group were not visible on the clients for the employees that belong to other employee groups. 2.2 CCH Workflow The following quality issues were resolved in CCH Workflow : ITS/ Filtered Workflows Homepage Control displays Team Security Restricted clients in error Previously, if a workflow was attached to a client that had the Apply Team Security option ticked in the Responsibility tab and if a filter was applied on the Workflow Homepage control, the employee that was not part of the client team security could view the workflow attached to the restricted client in the Workflow Homepage control ITS/56705 Terminated workflows when reaching the Create Document activity after the update Previously, the workflows started in a version prior to were terminated when the Create Document activity was reached ITS/ Filtered WF HP control > Select Employee step appears completed and workflow is terminated if the step is progressed (since ) In the previous version, if a filter was applied on the Workflow Homepage control and if the step in progress required the selection of an employee, the Select Employee step was displayed as a normal step and if that step was completed the workflow was terminated ITS/ Workflows Homepage Control fails when displaying over 9000 records in Use Icon mode 19 CCH CENTRAL AND WORKFLOW RELEASE NOTES OCTOBER 2017

24 The performance of the Workflow Homepage control with high volume of records (more than 9000) has been improved Workflow Wizard - Step Properties - Mandatory missing information was displayed until focusing on another step Previously, when selecting the Next button on the Step Properties tab within the Workflow Wizard after completing the mandatory information on the last step of the workflow, a validation message dialog was displayed until focusing on another step from the grid Workflow Wizard - The Pass/Fail automated activities have a single outcome Previously, the properties of the Pass/Fail automated activities (Workflow Launcher, Job Roll Forward, Check Assignment, Create Document, Publish Document to Portal, Convert doc to ) were displayed with a single outcome within the Workflow Wizard Workflow Wizard - Index Out of range error when using the Workflow Launcher step Previously, if the Workflow Wizard was run to create a workflow that contained the Workflow Launcher activity, an Index Out of range error message was displayed at the end of the wizard and the workflow was not properly saved Workflow Wizard - Workflows cannot be deleted or edited Previously, a workflow created with the Workflow Wizard and not started on a client, could not be deleted or edited when using right click > Edit option on the workflow name within the Standard Workflows screen and a warning message was displayed Convert doc to activity fails to progress if the client s address is ended with more than three characters Previously, if the client s address contained more than three characters in the end, for example test@qa.partners, then the workflow activity Convert doc to failed to progress WorkflowServiceConfiguration key from dbo.productconfiguration table is not properly updated when stopping the service Previously, the details like LastShutDownDate or IsRunning from the WorkflowServiceConfiguration key within the dbo.productconfiguration table, were not updated properly when the Workflow Service was stopped. Known Issues 3.1 CCH Central Recurring option is available on the existing Document Management and Practice Management tasks The Recurring option is available on the Document Management and Practice Management tasks created prior to Recurring option is not available in Assignment > Task screen If the Assignment Task is opened from Assignment Details screen > Home tab > Tasks and Appointments grid, then the Recurring option is not available Preview Panel - The modifications made to the size of the sections are not saved if the Find Clients or Find Contacts screen is closed and reopened When the sections from the Preview Panel are resized, the modifications made are not retained if the Find Clients or Find Contacts screen is closed and then reopened Add Job dialog with Frequency: Year or without frequency Job field is displaying only the current year When adding a new job on an assignment that has the Frequency: Annual with the Algorithm: YYYY or an assignment that does not have a frequency set, then the Job field from the Add Job dialog is displaying only the current year. 3.2 CCH Workflow Workflow Wizard Cannot change the type of the End of Workflow step The End of Workflow step cannot be changed from Central Task to another step type when using the Workflow Wizard Workflow Homepage control > Filter returns error if it is applied on workflows that contains Central Due Date Task in progress If the filter that is applied on the Workflow Homepage control should return records related to Central Due Date activities that are in progress, an error during data refresh message is displayed. 21 CCH CENTRAL AND WORKFLOW RELEASE NOTES OCTOBER 2017

System Administrator 4.1 Workflow Wizard Configuration Key The ability to turn on or off the Workflow Wizard functionality is controlled by the WorkflowStandardDesignerWizardVisibility configuration key which is automatically created with the default value of 1 upon upgrade under Maintenance > User Defined > Configuration. 30 Release Highlights This release provides a number of enhancements and usability improvements including: Supporting schedules for Limited FRS105 accounts Tagging of the FRS102 LLP accounts Updates to seven Master Packs (see 1.1) are also provided. These include: Revised Audit Reports for Pension Master Pack for periods commencing on or after 17th June 2016 Prerequisites Installing CCH Accounts Production This release is installed using the Central Suite Installer. This ensures that all prerequisites are in place and that all the products for which you are licenced are installed in the correct sequence. You can find out more about the Central Suite Installer here: Note: The CLG and Pension master packs will be visible to all users. These master packs are separately licensed and if you wish to use them you should ensure your current license agreement permits you to use them. If you are unsure, or if you have not purchased these master packs, please contact your Account Manager prior to using them. 39 2. Software Enhancements 2.1 Workflow Workflow defaults A new option has been provided to select the default Accounts Production Workflow for a practice. It is File > Maintenance > Accounts > Workflow Defaults. The available options are: Central Workflow. This refers to the usual Workflow option in Central. If selected, then you can choose which Workflow to use by default when the first Accounting Period is created for a client. It is also the default when you roll forward to a new year, even if a different Workflow was selected for the earlier year. None. In this case no Workflow will be selected by default when an Accounting Period is created for a client, either for the first Accounting Period or at Year End for a subsequent period. Notes Access to this option is controlled by a security task permission in File > Maintenance > Security > Task Permissions. The option is #Maintenance #Open Workflow Defaults Starting a Workflow Previously a Workflow was attached to an Accounting Period using the Ribbon button to Start Workflow. This is still possible. 40 The default shown is the default set up in Workflow Defaults but this can be overridden. If the default is None you are able to change the Workflow Type to Central Workflow and then select the required Workflow. At Year End, the default from Workflow Defaults is again offered, ignoring any Workflow that was selected in the previous year. 2.2 Consolidated viewing group values View Group Values (FRS 102 Consolidation entity) We have added a new function in the Statutory Database for this release to be able to drill-down on consolidated balances and obtain an analysis across the whole group. Note this function is only relevant for statutory database grid items and will be greyed out for paragraph and flag (yes/no) nodes. 42 United States Medical Chart Speedup The Medical Chart can be very large if there are a large number of members. This could make the Chart of Accounts screen slow. In this release there is a performance enhancement to speed up this screen Import - Warning about OneClick replacing direct import The Import option allows bookkeeping data to be imported From CSV file or From Software directly into CCH Accounts Production. Importing From Software means that Accounts Production calls the client s bookkeeping software directly over the web. This facility is being replaced by enhanced functionality available through CCH OneClick and the ability to import From Software will in time be replaced by importing from OneClick. You are now warned of this change when you click the Preview button. The warning is displayed below. This only affects importing From Software. There are no plans to change importing From CSV file Warning for FRS105 UK with no Directors Report If you produce UK FRS105 accounts and select not to include the Directors Report, then a warning is displayed on going into Review ixbrl: 13 CCH ACCOUNTS PRODUCTION VERSION OCTOBER 2017

43 This is because, although the Principal Activities are not present in the accounts, they are required if you are going to file the accounts with HMRC. So the knowledge base article explains how to add the Principal Activities tag to Other Data in ixbrl Review and Tag. We have provided this warning as we have received a lot of calls questioning why an Exception is shown in the HMRC Errors tab that states Document missing mandatory tag Description of Principal Activities. Notes If you are not intending to file these accounts with HMRC then the Exception in Review and Tag can be ignored. The warning will appear every time a user selects Review ixbrl until they click the tick box Do not show again. After ticking this, the message will never appear again for that user on this client or on any other. If you include a Directors Report through Statutory Database > Client Preferences but do not select to show the Principal Activities within Statutory Database > Directors Report then the warning does not appear in AP, but Review and Tag still shows that the Principal Activity is missing as an Exception. 44 3. Quality Improvements 3.1 General APGROUP() and APGROUPSTATRANGE() could show incorrect results when the composition of a group has changed. The APGROUP("SUM",...) and APGROUPSTATRANGE("SUM",...) commands both return information about the totals of a Statutory Database item across the companies in a group. The APGROUP() command sums an individual field, e.g. =APGROUP("SUM","#on99956"). While the APGROUPSTATRANGE() command sums a Statutory Database "range" which is a formula involving several individual Statutory Database fields. However both these commands could give incorrect results if the subsidiaries in the group were different in different years, usually because of acquisitions or disposals. =APGROUP("SUM","b,#on99956"). This formula should sum last year's values for #on But the formula was also being evaluated for companies that form part of the group this year, but not last year. =APGROUPSTATRANGE("sum","a","OPLEASELESSEEOTH"). This formula should sum current year values for the companies in the group in the current year. But it was including companies that were in the group last year and had now left the group Statutory Database General Information Changing the Decimal Places field was not always saved. It was not saved if the Rounding Unit was set to 1 s OutOfMemoryException if you go into Statutory Database multiple times There was a problem in version that if the Statutory Database was opened many times, the memory used each time was not all freed. This could eventually result in an OutOfMemoryException. The problem could also manifest itself in a red cross covering the entire Statutory Database screen. On testing at CCH, one had to open Statutory Database about 40 times before these symptoms occurred. But this could happen in practice after several hours of working in Accounts Production. The work around was to exit Central completely and then go back in again which forced the memory to be freed Error "The given key was not present in the dictionary" in Statutory Database This error could occur when switching quickly between Statutory Database and Financial Statements. 3.2 ixbrl Review and Tag 15 CCH ACCOUNTS PRODUCTION VERSION OCTOBER 2017

45 Removal of Empty tag values when accounts exported to Review & Tag When a tagged cell on the formats had the contents deleted in the Statutory Database the ixbrl tag was still being produced in Review & Tag but with an empty value. This would cause a malformed XML error on filing to HMRC. We have updated the export rules to remove any empty value tags before sent to Review & Tag. CCH ACCOUNTS PRODUCTION RELEASE NOTES OCTOBER

46 4. ixbrl Hints and Tips 4.1 FRS 105 Principal Activities where no directors report has been included This is a frequently asked question to our support desk I have a HMRC missing mandatory tag Description of principal activities. For accounting and Companies House purposes no Directors Report is required, but HMRC filing insists that the submission contains details of the principal activities for the business. You should resolve this as follows: 1. Double click on the XBRL error message 2. Then navigate to Other Data on Ribbon bar 3. Drag the `Description of principal activities` field from the taxonomy onto the Other Data panel 17 CCH ACCOUNTS PRODUCTION VERSION OCTOBER 2017

47 4. Click in the value field and replace the text No description of principal activities with relevant text for this business e.g. bicycle shop 5. Click Ok and the error message will no longer be displayed Future release This has not been a simple issue to address due to potential RTF issues in the paragraph text but we will be looking at a robust solution to this issue in the software to handle this scenario better in a future release. Known Issues 5.1 ixbrl filing issues Companies House Submissions Database multiple users We are aware of an issue when 2 or more users are submitting accounts to Companies House through Review & Tag at the same time. When multiple submissions are made the first item is written to the submissions database but subsequent submissions made at the same time do not get written to the submissions.xml file. An error is shown: This results in the accounts not appearing in the submissions database. We are advising that until a fix is deployed, users are mindful not to submit at the same time as others on the same network Incorrect exception LLP FRS 102 Audited Small Companies Reduced Filing to Companies House When producing LLP FRS102 audited small companies reduced filing accounts for Companies House an exception will be shown in ixbrl Review & Tag stating missing mandatory tag for Statement on quality and completeness of information provided to auditors This warning can be ignored and the accounts can be filed with Companies House. 19 CCH ACCOUNTS PRODUCTION VERSION OCTOBER 2017

49 5.1.3 LLP FRS102 Small Companies Reduced Filing Audit Report ixbrl tagging If no Auditors Report is produced when filing Audited LLP FRS102 small companies reduced filing accounts for Companies House and the Auditor Information note is shown. The mandatory tag Opinion of Auditors on Entity exception will need to be cleared within Review & Tag. To clear this in Review & Tag click on the exception this will take you to the required tag in the taxonomy tree. Drag the tag over to the Auditor Information note tagging the text The Auditors report was unqualified LLP small companies exemptions disclosure If the option on the Statutory Database: FRS102 - Small LLP Exemptions is set to No; where the size of entity is set to small then when submitting to Companies House you will receive the following error message: If the Small LLP Exemption is set to Yes then this statement is present on the Balance Sheet and the submission is successful IFRS/FRS101 Companies House filing with Detailed Profit and Loss Account taxonomy CCH ACCOUNTS PRODUCTION RELEASE NOTES OCTOBER

50 When exporting accounts prepared under the IFRS or FRS101 taxonomies from Accounts Production the taxonomy will be set to the Detailed Profit and Loss extension by default. If you require the accounts to be submitted to Companies House you will be shown a warning. Please chose no on this option and manually change the taxonomy to the non-dpl version. In the Document information Screen select the taxonomy drop down Set the taxonomy to the non DPL version. Your file will close and reopen with the new taxonomy set. You will now be in a position to file online with Companies House FRS105 ixbrl tagging Error When producing FRS105 accounts, there is no requirement to file the Directors Report at Companies House: 21 CCH ACCOUNTS PRODUCTION VERSION OCTOBER 2017

51 When the accounts are viewed in CCH Review & Tag, the following error will be displayed: You should resolve this as follows: 1. Double click on the XBRL error message 2. Click OK and the error message will no longer be displayed Audited FRS102 Republic of Ireland Accounts submission error When performing an ixbrl test submission with the Revenue Ireland servers you may receive an error regarding the tagging of the Auditors report. The error message will be similar to the one below fatal cvc-complex-type.2.2= Element 'aurep=directorsreportconsistentwithaccountstruefalse' must have no element [children], and the value must be valid.. XBRL Line= 323. XBRL Column= fatal cvc-datatype-valid.1.2.1= 'truetruetruetruetrue' is not a valid value for 'boolean'.. XBRL Line= 323. XBRL Column= 184 To resolve this error in Review & Tag find the paragraph on the auditors report Directors Report Consistent With Accounts [True/False] 23 CCH ACCOUNTS PRODUCTION VERSION OCTOBER 2017

53 Right click on the highlighted text and select Locate in Taxonomy and the tag will be highlighted in the taxonomy tree. 54 The issue will now be resolved and filing error will be resolved. 5.2 Other issues Error 49 on upgrade When logging into Central following a release, the error message error code 49 is shown. This indicates that the Central database and the Document Store database are no longer in sync. Please contact CCH Support for assistance Transferring fixed assets from AP to Corporation Tax for IFRS The link from AP to CT for Tangible Fixed Assets does not work for IFRS clients. The data must be entered manually in Corporation Tax Import from Xero unexpected error has occurred 25 CCH ACCOUNTS PRODUCTION VERSION OCTOBER 2017

55 There are two known reasons that trigger this message when importing transactions from Xero; i. Bank account codes in Xero do not have a specific nominal code assigned to them ii. A nominal code description in Xero has a trailing space Workaround to correct the data in Xero is by either: i. Define a nominal code for the bank codes ii. Remove trailing spaces from nominal code descriptions Unable to travel images Any images stored in the Image Library will not be available in the travelled database. CCH will investigate providing this ability in a future release Unable to load accounting period if server data format is MM/DD/YY An issue has been identified that prevents CCH Accounts Production from loading the Accounting Period if the date format in your environment is not dd/mm/yyyy. There is no solution to this at present, other than to amend your Date/Time settings in Windows FRS 105 Directors Report Disabled persons and political donations We have an issue with some node rules causing the disabled persons and the political donations paragraphs to print. The workaround is to open the Statutory Database and clear the paragraph if not required FRS 102 Countries that are incorporated in region 3 We have an issue with the Directors Report and Investment Property note not printing correctly. The majority of users are unaffected as accounting periods incorporated in England and Wales, Scotland and Northern Ireland are all set to region 1. Republic or Ireland and Eire are set to region 2. Other countries fall into region 3 and there may be a format issue caused by the print condition or row conditions incorrectly testing on either region 1 or region Reconciliation of Members Interests (Page7romi and Note55) We have an issue with headings not printing in the scenario where we have a heading in a merged field but the column is being suppressed, not hidden. Examples are the words Equity, Debt and also the longer heading underneath Members' other interests and Loans and other debts due to members less any amounts due from members in debtors. 56 The work-around is to make the format local and use the Split Cells (right click) in these merged fields. Then cut and paste the wording into the appropriate cell that is print, or re-merge over 2 columns Test entered in to paragraph is more than one page in length We have an issue where text entered into a paragraph node in the Statutory database does not print correctly if it is more than one A4 page in length. The bottom of the text falls off the A4 page and is not continued on the following A4 page. The workaround is to split the text across two or more nodes, or if that is not possible, enter the text directly into the format cell and make the format local. 27 CCH ACCOUNTS PRODUCTION VERSION OCTOBER 2017

System Administrator 6.1 Configuration Keys Configuration keys to access specific entities Some of the master packs available within the application are hidden unless a certain configuration key is entered. This may be done in Maintenance > User Defined > Configuration. Once entered, you must log off and back in to Central to activate the new configuration. 58 Appendix A Pension Audit Report Amendments CCH Accounts Production service pack 2 introduced the new Audit Report for most entities and it has now been extended to UK Pension Fund (which is FRS 102 compliant). Adopting the new Audit Report The revised ISAs (UK) are effective for audits of financial statements for periods commencing on or after 17 June Earlier adoption is permitted for periods commencing on or after 01 January 2016 and CCH Accounts Production has allowed for early adoption by providing a new question node #cd in the statutory database: Question node #cd will only be visible in periods commencing between 01 January 2016 and 16 June If early adoption is chosen or the period start is on or after 17 June 2016 the old Audit Report folder will disappear and a new audit report folder called Audit Report 2016 will become visible: Note: If the Exempt from Audit question (#cd22) must be set to Non- Exempt Audit Report for the Audit Report nodes to be active. The revised ISAs (UK) introduce new sections to the audit report and alter the positions in which existing sections are output. In order to achieve the required presentation order, a new folder was added to the statutory database with new paragraph nodes ranging from #cd to #cd The nodes in the Audit options folder and the date of signing the Auditor s report retain the statutory database references provided to them under the previous Audit Report folder and will not need to be reapplied. 29 CCH ACCOUNTS PRODUCTION VERSION OCTOBER 2017

59 New layout Opinion ISA (UK) 700 requires that the first section of the auditor s report shall include the auditor s opinion, and shall have the heading Opinion. The requirements of paragraph 24 of ISA (UK) 700 modify what was the introduction paragraph and move it within the opinion section. Basis for opinion section CCH Accounts Production provides a statutory database folder with title and description paragraph nodes each with default output. The user must edit the default text if the opinion is qualified. Going concern section CCH Accounts Production provides a statutory database folder with title and description paragraph nodes each with default output. ITS/ On Consolidated Portfolios the investment schedule and certain other reports do not work correctly. There is a Knowledge Base article KB2597 that discusses this in more detail. ITS/51008 B&B doesn't work properly over year end Bed and Breakfasting does not work over a year end. If a sale is made towards the end of one tax year, it is not matched to a later purchase made within 30 days that falls in the next tax year. There is a workaround: Enter both the sale and repurchase in the old year (even though the repurchase is past the year end date). The matching will now occur on the old year's CGT calculation which is correct. Roll forwards. The repurchase will be brought forwards as a negative B/Fwd and a same day positive Sundry. If transactions are being imported, then the situation is a little more complicated. The repurchase will automatically be posted into the new year as its date falls in the new year. To fix this: Delete the repurchase in the new year. Repost it in the old year as above. This will correct the old year s CGT computation. Historic Addresses in Central In some intances the sync with CCH Company Sectretarial was causing historic addresses to update to the original linked address regardless if the address had been ended. The sync will now ignore addresses that have an end date in CCH Central. Linking a Company to a Person It had been reported that in some instances a company could link to a person s surname. 77 1.3 Government Gateway Transformation The current Government Gateway which was developed in 2002 is nearing its end of Life and the current arrangement and HMRC support contract ends by February The Government Gateway has been redeveloped and redesigned and replaced with a new version providing improvements to security design and usability. HMRC has built a replacement Transaction Engine to support the Government Gateway and replicate the existing Government Gateway Submission Protocol. Corporation Tax users will not see any changes within Corporation Tax as we have updated the URL for the Transaction Engine end point. The new domain for the online submission is: There is no changes in user experience and online submissions will continue as normal. The aspirational date for this to go live is 13 th October. Quality Improvements The following items have been rectified in this release. 2.1 ITS Loans to Participators This has been resolved by reconciling the S455 tax charge to the total loans made to all participators on the form CT600A. This was previously reconciled for the loans made to each Participator. Where there were loans made to more than two participators that ended in an odd number, and the tax charged on the loan was at 32.5% tax rate, then the CT600A did not pass HMRC online validation. 2.2 ITS Online filing attachments are not showing In the online filing screen and add the accounts, before invoking the pre validation option navigate back to elsewhere in the case when going back to online filing the attachments were not shown. 2.3 ITS Transfer of Tangible Fixed Assets from AP to CT Where the accounts entity type is FRS102/FRS105 the TFA were not being imported into Corporation Tax. Note: Where the accounts entity type is IFRS/FRS101 this will be fixed in a future release. 2.4 ITS Remuneration Unpaid In the unpaid remuneration fields were not available. 79 3. Known Issues 3.1 Losses The Finance Act 2017 has introduced changes for the utilisation for the majority of losses and deficits brought forward from earlier years. We will be introducing the following in Losses brought forward from an earlier Accounting Period have a maximum loss that may be offset, this is restricted to 50% of the chargeable profits plus the amount of the Deductions Allowance allocated to the company. There is a relaxation for the utilisation of the losses brought forward from an earlier Accounting Period arising after 1 April These losses can now be offset against General Profits and also surrendered to group companies. A new Loss Utilisation screen for the utilisation of losses made before and after 31 March Update to the existing Loss Utilisation screen to include the changes for the surrender of losses made after 1 April 2017 for Group relief. Software enhancements 1.1 CCH Central User Interface - Classic View has been removed In this release, the CCH Central User Interface is set to use only the Ribbon mode at Practice and Employee level and the Classic View is no longer available. Note: The employee that logs into Central to perform the database upgrade for and that had set the classic mode, will still have the classic mode set the first time when he logs into Central after the database upgrade is finished. The next time when that employee will log into Central, the Ribbon mode will be turned on. The configuration key, Ribbon, which enabled/disabled the Ribbon mode in the previous versions and the Enable/Disable Ribbon option from the Support tab within the ribbon has been removed. 1.2 Workflow Log console Improved log messages related to Document activities The Workflow Log console is an important diagnostic tool for understanding the behaviour of the application as well as troubleshooting any issue with the application and so, the messages logged in the Description column within the Workflow Log grid that are related to the Client/Contact and Document activities have been improved in this release, producing a positive effect on readability and usability. When a Client/Contact or a Document activity is progressed with success, in the Description field from the log are displayed informational messages that contain details about the progressed activity such as the activity type, the name of the activity, the document Id or the name of the client that has the workflow started. This feature has been disabled as the through popular request as it is not used and to help address support issue raised in related to the CCH Transient Store. This setting is configurable per installation of the CCH Filing plugin. To re-enable this feature: 1. Run Notepad as an Administrator. 2. Click on File> Open. 3. In the Open dialog, navigate to this location: C:\Program Files (x86)\cch ProSystem\CCH Filing 4. Select All Files, then select the IEF.Addin.dll.config file. 5. Click Open. 6. Legislative & Compliance Updates 1.1 HMRC Computation V5.18 HMRC has released an updated version of their Tax Computation, version 5.18; this was made live by HMRC against the Government Gateway on 23 rd October We have included this version of the computation in this release Fixed Exclusions HMRC have advised that the following exclusions are corrected in this release: Exclusion ID Summary 48 Non-UK resident with profit liable to UK tax and Class 4 49 No reference to 'Attributed gains where personal losses cannot be set off' (CGT18) 50 Basic rate band extended incorrectly when Gains from life policies of greater than reliefs and allowances 51 Savings rate band not allocated to savings when non-savings-non-dividend income between 1 and amount of relief and allowances 52 The Basic rate band is extended incorrectly for Dividends of more than 118,000 when liable to additional rate tax with income which is more than extended Basic + Higher rate band 53 Lloyds Underwriters who complete LUN9 and LUN10 54 Relief claimed on a qualifying distribution on the redemption of bonus shares or securities at AOR9 55 Basic rate band extended incorrectly for Lump Sum payments where non-savings and savings income nil and total income more than extended Basic rate band 56 The amount of up to 500 Personal Savings Allowance is not allocated when liable to additional rate tax but, after reliefs and allowances 58 Carry forward trade loss relief, foreign trades etc reliefs and carry forward property loss relief can only be set off against profits arising from the same trade 59 The amount of Relief/Allowances in the calculation are being increased and reducing amounts in income components by more than they should. If you decide that the exclusion applies select Tax Return Other Information > Additional Details and Click Tick if Excluded Tax Return, and enter the Exclusion ID When this option is selected, this is an excluded case and needs to be submitted on paper along with a reasonable excuse claim Note: The new exclusions have been coded to capture the identification parameters specified by HMRC; these are very narrow and specific parameters. With regard to Exclusion 70 there is a possibility that the HMRC definition is too narrow and other cases falling outside the HMRC definition may not be identified. If submitted on line the return will be accepted. 101 1.2 Government Gateway Transformation The current Government Gateway which was developed in 2002 is nearing its end of life, the current arrangement and HMRC support contract ends by February The Government Gateway has been redeveloped and replaced with a new version providing improvements to security design and usability. HMRC has built a replacement Transaction Engine to support the Government Gateway and replicate the existing Government Gateway Submission Protocol. Personal Tax users will not see any changes within Personal Tax as we have updated the URL for the Transaction Engine end point. The new domain for the online submission is: There is no change in user experience and online submissions will continue as normal. This went live on 23rd October. If you have not yet done so already, please ensure that this new address is added to your firewalls etc. Note: The existing end point is still valid until February 2018, and users should ensure that Version is loaded before this to ensure that live submissions continue. Software Enhancements 2.1 Businesses qualifying for averaging Calculation of the Tax implications when averaging across 2 or 5 years When averaging adjustments are made to previous years trade profits/(losses), re-calculating the tax position for each earlier year can be a lengthy process. Following the introduction of the Averaging calculation screens in , we have further enhanced this area to calculate the change in tax position for earlier years due to the averaging adjustments. The Averaging calculation screen provides three new rows, displaying for each tax year: Original tax position Revised tax position The change in tax position for each year, and the sum of all differences as required in the SA100 Tax calculation summary To activate the calculation click Recalculate to perform or update the computations: The original tax position is taken directly from that year s Return, but updated for any adjustments made in subsequent years, i.e. to display the tax position based on the most recently assessed profit/(loss) For example, in the above screen shot the 2013 profit originally subject to averaging = 130,000. This was averaged in the 2013 Return to 65,000, but was subsequently updated in the 2014 Tax Return to 72,500 where the additional tax due would be have been reported in the SA110 box 14 Increase in tax due because of adjustments to an earlier year. The original tax position displayed for 2013 of is based on the 2014 adjusted profit of 72,500 7 CCH PERSONAL TAX RELEASE NOTES OCTOBER 2017

103 The revised tax position is based on the amount calculated in the Taxable profit for year row. For example in the above screen shot the 2013 revised tax position is based on averaged profits of 71,000 The final column highlighted in the above screen shot shows the overall changed tax position. This value is NOT written back to box CAL14 or CAL15 as other adjustments may be required in addition to the Farmers Averaging. Note: Tax Return data must be present in Personal Tax for each required year, and must have been rolled forward between each tax year for the calculation to function correctly This enhancement currently only applies to the Partnership data screen, it is not yet available in Business Tax. It is only available when a single trade qualifies for averaging, multiple trades are not yet supported The earlier year calculation uses the original tax return data, amended for the averaging adjustment. These calculations include all required adjustments such as top slicing relief, restricted personal allowances, national insurance etc 2.2 Making Tax Digital: Pre-population Data for Employment and Pensions This release includes access to employment, pensions (excluding state pensions) and State Benefits data held by HMRC for a taxpayer. The release of CCH Central included a new View DTA option which produces a report listing any information HMRC already holds for a client. The initial pre-population data made available by HMRC was for National Insurance and Marriage Allowance claims. This data has now been expanded to include the following: Employment: This returns employment income, tax and benefits in kind. Pensions & Retirement Annuities: HMRC provide a single figure for any pension income (excluding state pensions). State benefits (excluding state pensions). Tax refunds. Please note that HMRC s systems go through an end of year reconciliation process during which this data is added to an individual s record. This process started in June, but runs for a number of months. The majority of records should now have data available, but there may be some that are still awaiting data. HMRC have also informed us that some pensions are showing in the Employment section due to quality issues with the RTI data they receive. Where this is the case, HMRC have confirmed that these figures are then excluded from the single pensions figure; they are not double counted. HMRC stress that this facility is still in its beta phase. While the service is expected to work, there may be errors showing on occasion when you try to access data. On these occasions, we advise you try accessing the data again at a later time. To access this additional data, further setup is required within Personal Tax; details are included in the System Administrator section at the back of these release notes. Quality Improvements 3.1 ITS SA900 Other UK Investment Income Schedule not appearing Where details of any Other UK Investment Income had been entered in the SA900 for the year ended 5 April 2017, the relevant schedule was not being produced. 3.2 ITS SA900 RAT Grid overstated by Dividends When dividend distributions from UK Unit Trusts are present in the SA900 box 9.11, the Income Not Liable to RAT data screen, Savings income was being overstated, and Non savings income understated Note: If the income allocated to beneficiaries and their R185 certificates were prepared in an earlier version they are likely to be incorrect and need to be updated. 9 CCH PERSONAL TAX RELEASE NOTES OCTOBER 2017

105 3.3 ITS Online filing timing out where large numbers of documents exist (DM Users) Where a client has a large number of documents (approx. 2000) in their Document Centre, when accessing Online Filing in Personal Tax to generate the IR Mark, the online filing screen appeared to time out/ hang upon entry. When accessing the online filing screen, a search for all valid pdf documents is invoked. Documents may have been attached in a previous session and these need to be retrieved, any attachments are downloaded. In our tests, for a client with approx documents this process now completes in 5 minutes as opposed to the system timing out. CCH PERSONAL TAX RELEASE NOTES - OCTOBER

System Administrator 4.1 Configuration Keys 4.2 Making Tax Digital: Pre-population Data System Setup Configuration Keys The previous releases included two configuration keys for the pre-population data. With all prepopulation data now accessible to our users, the PT_DigitalTax_Employment_Enable key has been removed. The single key PT_DigitalTax_Enable is used to enable the View DTA option in the ribbon bar within a client s Tax Return, and includes access to all data held by HMRC. Setting the Key Value to 1 enables this functionality. As always, after making any changes to the Configuration keys, please cick Save and then close out of Central to activate these changes HMRC Authorisation Where you are already using the View DTA option within CCH Central, the software must be reauthorised to access the new data, as new APIs are used. The existing HMRC authorisation token(s) need to be cleared. Click on the status in the Authorise HMRC DTA column and select Clear token. When you go through the process to authorise credentials now, additional data sources are listed by HMRC on the Authority to interact with HMRC on your behalf webpage. Once authorisation is successful, the report generated by clicking on the View DTA option now includes the additional information sources. Software Enhancements 1.1 Employee Planner with Jobs In this release, users can manage the capacity of resources in the team within the Employee Planner screen, by allocating work to employees capable of completing the work associated with a job. A new configuration key, (JobPlanner), which is automatically created with the default value of 0 upon upgrade, enables users to allocate work to employees from a Job within the Employee Planner screen. For further information regarding setting up the configuration key, please refer to the System Administrator section for Job Planner Configuration key. Two new fields, Start Date and Hours, have been added to the Add Job/Schedule dialog: The Hours set on the job are used within the Employee Planner when tasks are allocated to employees. The Start Date set on the job is used to calculate the Planned hours within the Employee Budget Homepage control. CCH PRACTICE MANAGEMENT RELEASE NOTES - OCTOBER

111 Note: The Hours field from the Add/Edit Job/Schedule is a numerical field and users can add only whole numbers. When a job is rolled forward using either the Job Roll Forward option from the right click menu on the job or the Job Roll Forward workflow activity, the value entered in the Hours field from the actual job is rolled forward on the new job with the same value. The Start Date on a job that is roll forward will come from the Frequency set on assignment plus the Start Date from the prior job. If a job that belongs to a quarterly assignment is rolled forward the Start Date on the job will be advanced by one quarter. To allocate work on an employee from a Job within the Employee Planner screen: 1. Open the Employee Planner screen from File > View menu. 2. On the Employee Planner screen, tick the View All Allocated Employees check box to view the existing employees. If the employee you want to allocate a task to is not listed, select the Go to Employee option from the Tasks tab within the ribbon. The Find Employees dialog appears. Search for the employee you want to allocate work to by typing at least four letters of their surname in the Search field or by clicking Search and then selecting the employee from the list. 3. Click on the Load Job option from the Allocation section within the ribbon. 4. On the Load Job dialog, select an assignment that has a job by clicking the button from the Assignment field. Click on the Search button on the Find Assignments dialog, select the assignment, then click OK. 5. 112 1.1.1 Allocating using jobs In this example, the jobs 2017/01 and 2017/02 were created on the client Alexander Smith, assignment Bookkeeping and assigned to the employee Andrew Taylor. The hours set on jobs are used to allocate hours to the tasks that are added in the Employee Planner. 6. From the Load Job dialog, select a job, then click OK. 7. The Stage Details dialog for the selected assignment and job is displayed: The Allocated Hours displayed in the Stage Details dialog are the hours set in the Add/Edit Job dialog. 8. Drag the task with the cursor from the Stage Details to the date required on Employee Planner for the desired employee. Note: Clicking hyperlinked text in the Stage Details dialog opens the Assignment screen. Use the cursor to drag from a text that is not hyperlinked. 113 9. The allocated hours can be edited. Click the Edit Allocation option from the Tasks tab within the ribbon. 10. Modify the Allocation Start Date and the number of Hours: 11. Click OK then click the Refresh button to refresh the allocation from the Employee Planner. 12. The unallocated hours can be assigned to another employee by dragging the task with the cursor from the Stage Details to the date required on Employee Planner for the desired employee. The tasks from the planner can be moved from one employee to another by simply dragging the task with the cursor to another employee and on another date. The timesheets that are posted on non-changeable assignments (e.g. Annual Leave, Holiday) are also displayed in the Employee Planner screen. 5 CCH PRACTICE MANAGEMENT RELEASE NOTES - OCTOBER 2017

114 If the Job mode is enabled, practices can decide if they want to display or hide the nonchargeable timesheets within the Employee Planner. A new configuration key, (JobPlannerShowNonChargeableTimesheets), which is automatically created with the default value of 1 upon upgrade, enables users to show or hide the nonchargeable timesheets within the Employee Planner if the Job mode is enabled. Note: The JobPlannerShowNonChargeableTimesheets configuration key can be used only if the JobPlanner configuration key has the value of 1. For further information regarding setting up the configuration key, please refer to the System Administrator section for JobPlannerShowNonChargeableTimesheets Configuration key. The hours allocated in the Employee Planner are also displayed in the Planned column within the Employee Budget Homepage control.
