5 INTRODUCTION The Software Updates/Upgrades function allows libraries to upgrade their Innovative software from Release 2009B to Release Libraries that run Innovative software on two machines (two-pac sites) must upgrade both machines. There is no system-down time during the Preparation Phase, so staff may continue to work. The system will not be available during the Commit Phase. If your library runs Innovative software with a Remote Web Server (RWS) or Single-Sign On (SSO) machine, please contact the help desk to arrange for these machines to be upgraded. For this upgrade, you need a secure shell (SSH) connection to the Millennium system. Begin a new telnet session before beginning the conversion. The upgrade procedure consists of: Preparation Phase Complete a full backup within 24 hours of beginning the upgrade, authorize a user to perform the upgrade, and perform a space check of the system. If your Innovative machine does not have enough disk space for the new software, or if you run into other difficulties, Innovative staff will need sufficient time to rectify the problem. Commit Phase Restart the system in maintenance mode to continue with the software upgrade. Initiate the primary upgrade and convert data for use by upgraded software. Reboot and begin running Millennium Release The Upgrade Checklist on page 16 lists each step of the upgrade procedure. Use the checklist to ensure that you complete all of the necessary steps. Introduction 1
6 PREPARATION PHASE Plan to complete the Preparation Phase up through the space check at least one week (but no more than 14 days) before you want to begin running the latest software. If your Innovative machine does not have enough space for the new software, Innovative staff will need sufficient time to solve the problem. You do not need to let Innovative know that you are updating your system software. You must perform a full backup and verify the tape before upgrading. AUTHORIZE A USER TO UPGRADE SOFTWARE Before you perform the software upgrade, you must authorize a user for the Software Updates/Upgrades function. (Note: to authorize users, you need to be authorized for function 30, Passwords and authorizations.) From the Main Menu, select ADDITIONAL system functions ALTER system parameters PASSWORDS and authorizations. Select an administrative user (i.e., the Innovative System Administrator) from the List of Authorized Users. 7 If the A > ADD functions option appears, select it by keying A. The system prompts: Key list of functions to ADD: Enter the number 100 and press <Enter>. QUIT and save your changes. If the A > ADD functions option does not appear on the opening menu, this indicates that the user you have selected has already been authorized for all functions. SPACE CHECK After authorizing the user for the Software Updates/Upgrades function, restart the hardwired terminal you are using for this process, or start a new telnet/ssh session. Log in to the system. Select ADDITIONAL system functions ALTER system parameters LOGIN names & parameters, and then select the U > Software Updates/Upgrades menu option (shown below) to begin the upgrade. You'll need to enter the authorized user's initials and password. INNOVATIVE SYSTEM ADMINISTRATION Update L > LOGINS T > Parameters of hard-wired TERMINALS S > Locations SERVED N > Limit NETWORK access G > GATEWAY menu U > Software Updates/Upgrades Q > QUIT Choose one (L,T,S,N,G,U,Q) If you have not completed a full backup in the last 24 hours, the system will not allow you to continue with the upgrade, but will prompt: Software Updates/Upgrades cannot find a successful full backup and verify from the last 24 hours. Please check the system logs to confirm that the most recent backup was both completed and verified successfully. Press <SPACE> to continue Primary Upgrade and Conversion Phase 3
8 After you press <Space>, the system will return to the System Administration menu. If you are performing an upgrade on the second Innovative machine, the system reports: Running on slave machine. No database backup required. Press <SPACE> to continue. After the system verifies that a full backup ran in the last 24 hours, the following menu displays: Software Updates/Upgrades T > TAPE S > Secure FTP Q > QUIT Choose one (T,F,Q) Choose S to load the new software image via secure FTP. The system displays the following messages: Loading preliminary build software The software upgrade pre-builds many of the system functions without affecting normal system use. Continuing with previous execution. Library staff should review the Release Notes before upgrading to Millennium Release URL: These announcements are intended to assist the system coordinator with planning for the conversion process. Some software changes may require library staff action depending on the library s installed software. In some cases, that action may have to occur prior to upgrade. I have read the Release Notes? 9 As you proceed with installation, the system displays messages describing what is in progress and when each stage is complete. For example: Testing platform and configuration Creating upgrade directories on the Encore server... Encore upgrade directory setup complete. Checking disk space on the Encore server... Encore disk space check complete. Verifying that there is free space to complete the install If there is insufficient space to continue with the upgrade or if any other problem is found, the system displays an error message. Contact Innovative for further instructions. If there is sufficient disk space to complete the install, the system displays: Sufficient disk space has been found to complete the install. You may proceed with the preparation phase of the upgrade to Release During the preparation phase, Millennium is available to all users while the upgrade runs in the background. All applications should work as expected during this phase. Do you wish to continue with the preparation phase? (y/n) To continue with the software load, press Y and <Enter>. The system provides update and completion messages during the process: Setting up upgrade work directories... Upgrade work directory setup complete. Determining local configuration... Local configuration query complete. Finding update dependencies for the Millennium server... Millennium server dependency query complete. Finding update dependencies for the Encore server... Encore server dependency query complete. Primary Upgrade and Conversion Phase 5
10 The system then provides the following message: Preparing database for upgrade. This will take several minutes... Database preparation complete. Though unlikely, it is possible that you will see a message if either of the following conditions is true: If your library already has the latest software, the system displays: ******************************************************************** Your Innovative system is up-to-date! You are already running Release No update necessary. ******************************************************************** Failed in Innovative update Press return to exit Press <Enter> to return to the Main Menu; no upgrade is required. If Innovative has installed any software more recent than what is included in Release 2011, the system displays: ********************************************************************* Some of your Innovative software is more recent than the software included in Release You will not be able to load the update at this time. Please contact the Innovative Help Desk at your convenience for assistance. (800) or helpdesk@iii.com You may be able to try the update at a later date, or Innovative may schedule a time to perform the Update for you. ********************************************************************* Failed in Innovative update Press return to exit Press <Enter> to return to the Main Menu and then contact the Help Desk for assistance. SOFTWARE LOAD The system displays a message similar to the following example, and begins loading the new software image via secure FTP. Note that the system indicates to you the estimated time to load each component in the ETA. 6 November 2011

If your library has acquired Encore, you will see the following information: And then: Configuring update requirements on the Encore server. This will take several minutes, and the progress will not be output to the screen... Encore update requirements configuration complete. The software upgrade pre-builds many of the system functions without affecting normal system use. If the screen "hangs" for more than 30 minutes while you load the software (i.e., the file ETA does not change), contact Innovative for further instructions. Also, if it takes more than two hours to load the software, please call Innovative. After the upgrade software is loaded, the system displays the following message: Building update requirements on the Millennium server. This will take several minutes building bldtools bldtools build complete. building dataservice dataservice build complete. building dsclient dsclient build complete. building aws aws build complete. Update requirement builds complete on the Millennium server. If your library has acquired Encore, you will see the following additional messages: Building update requirements on the Encore server. This will take several minutes, and the progress will not be output to the screen... 8 November 2011
13 And then: Update requirement builds complete on the Encore server. Additional supporting components are installed: Installing component 1 of 4 Installing component 2 of 4 Installing component 3 of 4 Installing component 4 of 4 After all components are installed, your libraries and programs are built: Building Library Routines. This will take several minutes... Building... Finished. Library build completed. Building r2011 binaries... This will take several minutes... The amount of time the library routine build process takes will depend on the size of the libraries and the speed of your machine. It may take as little as 30 minutes or as long as two hours. As it builds system functions, the system alerts you to how much of the build is completed. For example: Building... 11% done and when complete, it displays: Finished. Build completed. The system then displays the following message about system availability. If you have Encore, please note the information about your Encore server's availability: ********************************************************** You are now finished with the preliminary software upgrade step In order to complete the upgrade, you must reboot the system and return in Maintenance mode. If you are not ready to do so at this time, you may restart the procedure from here any time during the next fourteen days. While the server is in Maintenance Mode, the Millennium server will not be available to users, the system will be down. Primary Upgrade and Conversion Phase 9
14 If your library has acquired Encore, you also will see the following as part of the message: Your Encore server will be affected as well. Encore will experience a restart at some point during the upgrade. Encore will not be able to retrieve records for up to 2 minutes while the restart is occurring. You may wish to review the Release Notes before continuing, here: URL: ********************************************************** Do you wish to proceed with reboot to maintenance mode? (y/n) Press Y and <Enter> if you want to continue with the conversion. Press N and <Enter> if you do not want to continue with the conversion at this time. If there is a delay of more than 24 hours between the completion of the Preparation Phase and the beginning of the Commit Phase, the system will prompt you to do another full backup before you begin the Commit Phase. 10 November 2011
15 COMMIT PHASE During the Commit Phase, the Millennium software will be unable for approximately 1-2 hours. If you entered N at the Do you wish to proceed with reboot to maintenance mode? prompt at the end of the Preparation Phase, you will disconnect from the from Software Updates/Upgrades. You can restart the upgrade within 14 days. Note that if more than 14 days have elapsed since you completed the Preparation Phase of the upgrade, the system will not allow you to proceed, but instead will prompt you to call Innovative for advice. If you have not performed a full backup of your system in the last 24 hours, you must do so now. To restart the Software Updates/Upgrades, log in with the user initials and password you authorized during the Preparation Phase. Select ADDITIONAL system functions ALTER system parameters LOGIN names & parameters Software Updates/Upgrades. The system displays the following message: Continuing from an earlier load. Hit 'c' to continue. Continuing with previous execution. Press C; the system displays the following screen: ********************************************************** You are now finished with the preliminary software upgrade step In order to complete the upgrade, you must reboot the system and return in Maintenance mode. If you are not ready to do so at this time, you may restart the procedure from here any time during the next fourteen days. While the server is in Maintenance Mode, the Millennium server will not be available to users, the system will be down. If your library has acquired Encore, you also will see the following as part of the message: Your Encore server will be affected as well. Encore will experience a restart at some point during Primary Upgrade and Conversion Phase 11
16 the upgrade. Encore will not be able to retrieve records for up to 2 minutes while the restart is occurring. You may wish to review the Release Notes before continuing, here: URL: ********************************************************** If you entered Y at the Do you wish to proceed with reboot to maintenance mode? prompt at the end of the Preparation Phase begin the Commit steps in this section. The system displays the following message: The system will now reboot and all terminals and logins will display: INNOVATIVE SYSTEM SOFTWARE UPDATE IN PROGRESS When you see this message, type in the passkey: upgrade2011 NOTE: There will not be a login prompt, or even a blinking cursor. You will be typing the passkey in after the reboot and directly on the screen right beneath where you will see: INNOVATIVE SYSTEM SOFTWARE UPDATE IN PROGRESS Please try again later... You will then be prompted for your initials and password. Once the passkey and your initials and password are entered, this program will continue to complete the upgrade. The above message or a login prompt should appear within five minutes; if the shutdown takes longer than this, call Innovative for assistance. Press return to continue Press <Enter>. You will then see the prompt: Are you sure you want to shut down Innovative now? (y/n) 12 November 2011
17 Two-PAC Sites When upgrading the PAC1 machine, you will see the prompt: <machine name> is the master system. Do you want to shut down the slave system(s) first? Press N so that only PAC1 shuts down. Later, when you upgrade the PAC2 machine, press N again to shut down only that machine. If you press Y, the system displays the following screen: Broadcast Message from root (Tues Nov 1 13:17:20): **** SYSTEM IS NOW SHUTTING DOWN FOR MAINTENANCE **** Broadcast Message from root (Tues Nov 1 13:17:24): The system is going down for reboot NOW! Depending on the client emulator you are using, if you were connected to the system via a telnet/ssh connection, the system displays: Connection closed by foreign host. and terminates your connection. You must initiate a new telnet/ssh session to your Innovative machine in order to continue with the conversion. The system displays: INNOVATIVE SYSTEM SOFTWARE UPDATE IN PROGRESS Please try again later... (This message also displays to anyone who tries to connect to your Innovative system while the software update is in progress.) To continue with the conversion, enter the passkey: upgrade2011 and press <Enter>. Note that there will be no login prompt or blinking cursor for entering the passkey. Primary Upgrade and Conversion Phase 13
18 The system prompts you for your initials and password with this display: Please key your initials : bah Please key your password : --- *************************************** System is now in maintenance mode -- Ready to continue with software upgrade *************************************** Press return to continue After you key your initials (you must be authorized for password function 100), press <Enter> to continue. The system begins the software build and data conversion. Please note that the data conversion can take some time to complete. The system displays the following messages: ******************************************* Please wait while we update your system. This will take up to 30 minutes but might take longer depending on your system and the number of records. If your library has Encore, you will see the following additional message: Your Encore server will be affected as well. Encore will experience a restart at some point during the upgrade. Encore will not be able to retrieve records for up to minutes during the restart. ******************************************* Please DO NOT terminate your upgrade session. Please contact the help desk for a status of the upgrade. Once complete, the system will then display the following: Starting Release 2011 Data Conversion Data conversion complete. Now finished with Innovative upgrade Please r2011@iii.com to let Innovative know that you have loaded Release System will now reboot to resume normal operation 14 November 2011
19 Press <Enter>. The system displays the following prompt: Are you sure you want to shut down Innovative now? (y/n) Press Y to reboot the system. The system will confirm that it is rebooting, which may take several minutes. If you are connected to the system via a hardwired terminal, the Innovative main menu will appear on the screen after the system reboots. Depending on the client emulator you are using, if you were connected to the system via a telnet/ssh session, your session will be terminated, and you will see the following message: Connection closed by foreign host. You must re-connect to the system after it reboots. At this point, your Innovative system is now running Millennium Release 2011 software. In some instances the data conversion may require a consultation with Innovative staff. In this case, the system then displays a message similar to: A follow up consultation with Innovative staff is required. A service request has been opened and Innovative staff are working on this issue. Please review your Service Requests on CSDirect to monitor the status. Please contact the Help Desk if you have any questions, or if you have not received a status update within 24 hours. System will now reboot to resume normal operation After completing the upgrade, notify Innovative by to r2011@iii.com. Innovative will update your library's records to reflect that you are running a new release of the Innovative software. Primary Upgrade and Conversion Phase 15
20 UPGRADE CHECKLIST Use the following checklist to ensure that you complete all of the steps necessary for upgrading to the latest release of the Innovative software Read the Release Notes on CSDirect at. Make sure that you have a secure shell (SSH) connection to the Millennium system AUTHORIZE USER TO UPGRADE SOFTWARE 3. Complete a full backup of the system no more than 24 hours before beginning the upgrade. 4. Authorize an administrative user for function 100 using ADDITIONAL system functions ALTER system parameters PASSWORDS and authorizations. SPACE CHECK 5. Start a new telnet/ssh session, and then log in to the system with the user initials you authorized in the previous step. 6. Select ADDITIONAL system functions ALTER system parameters LOGIN names & parameters Software Updates/Upgrades. 7. When prompted, select S > Secure FTP to begin software load. The system displays the following message: Loading preliminary build software. The software upgrade pre-builds many of the system functions without affecting normal system use. Continuing with previous execution. Library staff should review the Release Notes before upgrading to Millennium Release URL: These announcements are intended to assist the system coordinator with planning for the conversion process. 21 changes may require library staff action depending on the library s installed software. In some cases, that action may have to occur prior to upgrade. I have read the Release Notes? [y/n] 8. Enter Y to indicate you have read the Release Notes. The system continues with the conversion: Testing platform and configuration. (Etc.) Verifying that there is free space to complete the install. 9. After the system verifies that there is sufficient disk space to continue, you are prompted: Sufficient disk space has been found to complete the install. (Etc.) Library build completed. The system performs another space check to make sure there is enough room before proceeding into the Commit phase. 11. Press Y or N and press <Enter> at the following prompt depending on whether you want to continue with the upgrade: Do you wish to proceed with reboot to maintenance mode? (y/n) COMMIT PHASE 12. a. If you answered Y to the prompt in Step 11, proceed to Step 18. b. If you answered N to the prompt in Step 11, continue with Step Complete a full backup if you have not done so in the last 24 hours. If you have not already done so, log in to your system with the user initials you authorized in Step November 2011
23 15. Select ADDITIONAL system functions ALTER system parameters LOGIN names & parameters Software Updates/Upgrades. 16. Press C at the following prompt: Continuing from an earlier load. Hit 'c' to continue. Continuing with previous execution. 17. Press Y, and press <Enter> at the following prompt: Do you wish to proceed with reboot to maintenance mode? (y/n) The system displays an informational message. Press <Enter> at the prompt. Press Y when the system asks if you want to shut down the system. (If you are a two-pac library, press N so that you only shut down the machine you are upgrading, not both.) After rebooting, the system displays the message: INNOVATIVE SOFTWARE UPDATE IN PROGRESS (If you were connected to the system via a telnet/ssh connection, you will need to initiate a new telnet session to display this message.) Under the "Please try again later" text, enter the upgrade2011 passkey, and press <Enter>. Then key your initials and password, and press <Enter>. 21. As the system performs the software build and data conversion process, you will see messages similar to the following and a report on the percentage complete: ****************************************** Please wait while we update your system. This will take a few minutes. ****************************************** Starting Data Conversion... Data conversion complete. Now finished with Innovative upgrade 22. The system reports that it is finished with the upgrade and displays the following prompt: Please r2011@iii.com to let Innovative know that you have loaded the latest version of Release Upgrade Checklist 19
24 System will now reboot to resume normal operation. Press return to continue 23. Press <Enter>. The system displays the following prompt: Are you sure you want to shut down Innovative now? (y/n) 24. Press Y to reboot the system. The system will confirm that it is rebooting, which may take several minutes. If you are connected to the system via a hardwired terminal, the Innovative main menu will appear on the screen after the system reboots. Depending on the client emulator you are using, if you were connected to the system via a telnet/ssh session, your session will be terminated, and you will see the following message: Connection closed by foreign host. You must re-connect to the system after it reboots. 25. Your system is now running Millennium Release You can verify this by choosing the following options from the Main Menu: M > MANAGEMENT information I > INFORMATION about the system F > FILE information S > SYSTEM status 26.
