1 IntraVet Build 300 Update Installation & Summary P L EAS E R EVIEW A L L I N ST R UCTIO N S P RIO R T O R U NNING THE U P D A TE L O A D I NG TH E I N TR A V E T U PD A T E 1. Always run a complete back up PRIOR to running the update. 2. To better facilitate any update issues, please run the update during IntraVet Support hours: 8am-9pm Monday Friday (Eastern Standard Time) 9am-1pm Saturday (Eastern Standard Time) 3. The update will run quicker for those on Build 280 and above. Other factors that may affect the length of the update: Hardware specs of the computer Size of the data files 4. Run this update directly on the IntraVet server unless you have Windows NT. Windows NT requires the update be run from a workstation. If you have Terminal Services or Citrix, the update must be run on the server. 5. Turn off all power management and screen savers applications. 6. Close all other programs and be sure that all users have exited from IntraVet. 7. While running the update you will see the IntraVet Data Conversion screen with many different messages showing in the status line below the picture. 8. When your update has finished successfully, you will see a Conversion Completed pop-up window. If you receive any errors during the update, call IntraVet support. DO NOT try to run the update again without consulting IntraVet. 9. Each workstation should automatically update from your server upon confirmation as you log in. (This will not occur if you are using Terminal Services/Citrix.) 10. Please call IntraVet at or Support@Intravet.com to tell us that you have installed your update. > Clinics with FieldVet should review the FieldVet installation instructions prior to running the update. > All Boarding Setup and reservations will be blanked out by this update if your current version is below 260. If you are below 260, be sure to print all your reservations and take note of setup decisions first! > If you have Windows NT, you may not be able to run this updated version. (Windows NT as a file server only will work.)

The demo with audio runs approximately 40 minutes and sections can be viewed independently. To play the demo video: 1. Navigate to My Computer and right click and select Explore on the CD drive with the update disc. 2. Double left click on the.net Overview folder and double left click on demo.exe icon. 3. The video will prompt with a chapter selection left click on the section you would like to view. 2

3 HOSPITAL SETUP IntraVet can reminders, referral letters, and purchase orders. You can also send with attachments such as pictures, appointments, callbacks and reminders to individual accounts and doctors. Before using within IntraVet you must set up the options within the program for each branch that will use it. To use the capabilities of IntraVet, you will need Internet access and an account for your practice. To send from a workstation, that workstation must have access to the Internet. If you are on Terminal Services or Citrix, your server must have access to the Internet. Please note that if your Internet/ Service Provider does not use POP or SMTP protocols, you cannot use the IntraVet functions. This would include AOL, MSN and Hotmail which offer only HTML From the IntraVet Main menu, select Setup > Program Setup > Hospital Setup. 2. The main hospital and each additional branch can have individual addresses set up for sending and receiving . To enter the information for the main clinic, click on <Main>. 3. Enter your Address then tab to the next field and enter the default Reply Address. In most cases the and the reply address will be the same. The reply address is the default address if someone tries to reply to your Tab to the next field and enter the outgoing Server Address (SMTP). Your Internet service provider (ISP) should be able to supply you with this information. 5. If your ISP requires authentication, check the Authentication Required box and enter the information in the following fields: Account Name, Password and Confirm Password 6. If your ISP requires SSL (Secure Socket Layer), check the Advanced box and the SSL Required box and enter your ISP s SMTP Port in the adjacent field. If the advanced box is checked in the setup window, IntraVet will make the reply address the same as the sender address even though it doesn t reflect in the setup window; this is not a bug but a security requirement. 3

4 7. Information in the signature field will be printed at the bottom of each . You can enter your clinic name, address, and phone number, or any other relevant information that will show at the bottom of every Click on <Send a Test > to send an to the Reply address to verify the setup. 9. Click <Save> to store the information and repeat for other branches if applicable. Click <Close> when your changes are complete. LIVE CHAT SUPPORT AND REMOTE SUPPORT Quickly reach an IntraVet support technician through your IntraVet program with the option for them to log into your workstation if needed to help answer your questions. Workstations will need to have Internet to access IntraVet s Live Chat Support. Live Chat will be available: > Monday Friday 8am to 5pm EST > Accessible through the IntraVet program > Chat from the IntraVet website. TO USE LIVE CHAT: 1. Inside of IntraVet go to Help > Live Support or Join A Session (if a remote session has already been started by a support technician) 2. Your Internet Browser will prompt with the following window which should be filled in with the following information: Clinic Name Phone Number please use a number where we can reach you in case the session is disconnected. Address Department - select the department you best think will be able to answer your question How can we help -give a brief description as to why you are contacting support Select <Submit> to alert a support technician 4

If Live Chat is closed or you wait longer than 3 minutes in queue, you will receive the following prompt and have the option to leave a message with one of the following return contact requests: Phone call Fax None, I will check back Chat message will display here Type question here Live Chat / remote support can also be accessed through the IntraVet website: > Select to open a Live Chat session > Select to join a session already started by a support technician PET ID COLLARS IntraVet has partnered with PetDetect to create temporary ID collars for your clinic s boarding, grooming and hospital centers. Collars can also be used as labels to identify other items such as: > Treats > Food > Bedding > Toys > Leashes > Blankets > Medications > Cage Cards Patient information is thermally printed on the front of the PetDetect collar through a Star Printer. Each 6" section has two peel off areas that expose the adhesive and the collar is then placed around the patient s neck by overlapping the adhesive at the desired finished length. Information is repeated every 6 inches enabling the handler to view information regardless of its position on the pet's neck. ID Collars are available in yellow or white and can be ordered from IntraVet. 5

6 PetDetect Printers and media can be purchased by contacting IntraVet Sales at Mon Fri from 8am to 5pm or Support during regular business hours at $599 Starter pack includes printer, the patented pending driver and 3 rolls of yellow labels. Each roll contains labels or enough for about 70 to 80 average collars. White or yellow labels $21.50 /per roll. Driver Installation Instructions 1. Do not plug in the printer until prompted. Insert the PetDetect driver software into the drive of the computer and select <Next>. If the CD does not auto-start, navigate to your CD or DVD drive and double click the PetDetectInst.exe to run the installer. 2. Select <Next> and choose <Continue Anyway> if prompted with Windows Logo testing screen. 3. Select <Next> and plug in the USB cable for the printer when prompted. 4. The Found New Hardware Window will appear. Make the following selections: a. No, not at this time > Next b. Install this software automatically > Next c. PetDetect Raster Printer > Next 5. Select <Next> and <Finished> 6. The printer may now be shared and installed on other computers. Clinics running IntraVet over Terminal Services should contact their hardware or network providers to install printers properly on the server. Clinics who have purchased their Hardware from IntraVet may contact support for assistance in installing the PetDetect printer. Printer Set Up for installation 1. Set up your printer in an area that will allow for easy retrieval of your ID collars. DO NOT PLUG YOUR PRINTER INTO YOUR COMPUTER UNTIL ASKED TO DO SO. 2. Open the printer case by pressing the button on the top right side on the front of the printer. You will need 3 rolls of PetDetect media tape (included in starter pack) to load your printer properly. 6

7 3. Unroll about 6 inches on one of the rolls and drop it into the far left side of the printer with the roll feeding from the bottom. Feed the tape under the spring loaded black guide bar (see top cover inside of the printer or image below). 4. Place the remaining 2 rolls to the right of the installed roll. Do not remove the masking tape securing the rolls from unraveling, 5. Pull enough media tape from the left roll so that you can now close the printer cover with a few inches of media showing, and gently close the cover until it clicks firmly in place. Printer Setup for IntraVet 1. In IntraVet navigate to Tools > Maintenance > System Printer Setup and double left click on Patient ID Collar field under Job column so Patient ID Collar will appear at the bottom of the window Double click Select Printer 2. Double left click in the field at the bottom to the right of Patient ID Collar and click the F3 key or use the up and down arrow keys or mouse to toggle through and highlight the appropriate printer. 3. Click on <Select>, the printer should now show under the device column next to Patient ID Collar. 4. Select <Save> to keep the new printer setup. 7

8 Printing ID Collars with IntraVet 1. Go to Client > Patient ID Collar 2. Select the following information: > Client and Patient > Quantity number of collars to be printed based on collar size > Boarding Grooming - Hospital (Boarding is selected by default) > Prescription? -check the box if you would like Rx to show on the collar to indicate the patient is taking medication > Leave empty for client phone number If left blank, IntraVet automatically prints 1 st phone number field from the client s account or you can input an emergency number or other 32 character message > Collar Size Size increase in 6 inch increments 3. Select <Print> to print collar/labels IntraVet will NOT support printers, printer drivers, or media tape purchased from unauthorized sources. PetDetect s patentpending products are designed to work collectively and stock printer drivers are not functional with this product. The use of other thermal media will damage your print head and void the 3 year printer warranty. 8

9 ADDITION TO PRODUCTIVITY REPORTS Both the Doctor and Departmental Productivity reports now offer the option to exclude the percentage discount in the numbers. Percentage discounts are those discounts given automatically based on code setup or by applying a percent discount at the time of invoicing. TO RUN THE DEPARMENTAL/DOCTOR PRODUCTIVITY REPORTS EXCLUDING DISCOUNT % 1. Reports > Productivity Reports > Departmental or Doctor Productivity Report 2. Check the box to Exclude discounts this will display a Discount column in the report containing the discounted amount for the code or department depending on the parameters of the report. The Net $ amount will show the value minus the discount and the cost. 9

10 NEW LAB INTERFACES IntraVet has several new lab integration options in Build 300. Please call our office if you need assistance in setting up your lab equipment. IDEXX LAB INTERFACES Lab Interface for the following equipment setup through the Idexx Lasercyte will automatically be imported into IntraVet. No extra setup is required once the machines are properly connected to the Lasercyte. > Catalyst Dx TM > Snapshot Dx TM > Coag Dx TM > Vetlab UA TM ABAXIS LAB INTERFACE Lab Interface Support for: > Abaxis HM5 Must be on Serial Protocol 2.23 Setting up the Abaxis HM5 2 options for setup: Serial Port or USB: Serial Port Setup (on the workstation to which the equipment is connected): 1. Right click on My Computer on the desktop and select Properties 2. Click on the Hardware tab and select <Device Manager> * Vista has device manager on the left pane. 3. Inside the device manager locate Ports (Com &LPT) and expand to show Communication Port (COM1) 10

11 4. Right click on Communication Port and select Properties. 5. Inside the Properties window select the Settings tab and enter the following settings: > Data Bits: 8 > Stop Bits: 1 > Parity: None > Flow Control: Hardware 6. Click <Ok> and close the remaining windows. Serial cable must be NULL MODEM with a FEMALE connection on both ends. Connect one end to the computer s serial port, and other to HM5 s serial port. USB Setup (on the workstation to which the equipment is connected): 1. On the back of the HM5, plug the USB cable into USB B port and the other end into the workstation. 2. The workstation should prompt that the USB device has been detected. Follow the instructions and when prompted, locate the drivers from the Abaxis disc or download them from their website. 3. This will create a new virtual serial port to which it will assign a port number. 4. Right click on My Computer on the desktop and select Properties and navigate to the Hardware tab and select <Device Manager> * Vista has device manager on the left pane. 5. Inside the device manager locate the new USB serial port and right click and select the Settings tab. Enter the following settings: > Data Bits: 8 > Stop Bits: 1 > Parity: None > Flow Control: Hardware 6. Click <Ok> and close the remaining windows. 11

12 Inside of IntraVet: 1. Go to Setup > Lab Interface > Abaxis HM5. Enter the port number that was assigned in device manager (COM1) in the top right blank text box. Click <Save>. Configuring the HM5 for use with IntraVet: 1. Push the settings Bolt at the top of the HM5 and go to Settings 2. Next select Customize > General Settings 3. Click <Ok> once on the HM5 4. Use the right arrow to go down to PC Link. Push the down or up arrow to select the following option: > Change to 9600 for a serial cable. > Change to USB if using a USB cable. 5. Right arrow down to Serial Protocol Version and make sure it is set to 2.0 or 2.23 Transferring Results into IntraVet 1. Make sure the Lab Interface in IntraVet is opening by navigating to File > Lab Interface > Abaxis HM5. 2. The HM5 Lab Interface window will open. 3. Click <Connect>. The box to the left of the Connect button should be green. This means you have a good connection. Before we can run a test, we need to restart the HM5. 12

13 4. With the IntraVet HM5 Lab interface window opened and connected, run your lab test using the Client s account number for the Patient ID and the patient name as pet s name. 5. The lab results should transfer over when the test is completed. HESKA LAB INTERFACES Lab Interface Support through Data Capture Utility (DCU) for: > HemaTrue Veterinary Hematology System > DRI-CHEM Veterinary Chemistry Analyzer > i-stat Handheld Clinical Analyzer *DCU also works with Heska SpotChem and CBC- Diff Heska Data Capture Utility (DCU) IntraVet already has a lab interface for Heska s CBC and SpotChem but this utility will allow integration with other Heska equipment. Clinics that currently use the CBC and/or SpotChem lab interface do not need to change the way their equipment is hooked up currently unless they want to integrate all their Heska equipment into one interface. The Heska DCU will allow the following transfers: > HemaTrue > DRI-CHE M Veterinary Hematology Veterinary Chemistry Analyzer > i-stat 1 Analyzer manual transfer into DCU > SpotChem EZ Chemistry > CBC Diff 13

14 Installing the DCU Software (provided by Heska): 1. Insert the DCU disc and select <Next>. Accept the default location and click <Next>. 2. Leave all the features checked and click <Next> and then <Install>. 3. Click <Ok> to confirm that the equipment is turned off and to begin installation. 4. Click <Finish> and <OK> to finalize the installation. 14

15 Configuring equipment for DCU: 1. After the utility is has been installed, a Heska icon will be located in the bottom right tray. 2. Double left click on the Heska tray icon to open the DCU. You can also open the DCU through Start > Programs. Click on Configure Analyzers 3. Select Add to enter the desired equipment and select the port and the units the device is set to. Once equipment is added, it should be ready to communicate to IntraVet. 4. Double click on Preferences to specify results destination. Results should be directed to the IntraVet > Temp folder on the server (normally through network drive I:\Temp\) and a check mark placed in the Copy Reference Range 5. Click <OK> and close any remaining windows. Setting up in IntraVet: 1. Open IntraVet and navigate to Setup > Lab Programs >Heska DCU and enter the path of Temp folder for the server ( I:\Temp\) computer and select <Save>. 15

16 DIA LITE DENTAL Exclusive to our IntraVet users, DIA (Diagnostic Imaging Atlas) allows you to display dental images and animations to clients to increase compliance and give them a better understanding of their pet s dental health. No more scrambling for books or sketching out conditions or procedures on a piece of paper. This application will drastically improve your ability to validate your diagnostic findings and justify in-hospital and referral procedures. Your clients will be amazed with the insight you can provide into their pet s health and well being. The content is the result of contributions from leading board certified specialists. For more information on the full version of DIA with more than 1500 images and animations with audio, visit or contact DIA directly at DIA Installation: If you wish to use the animations contained in DIA, IntraVet recommends running the software local to the computer that it is installed. Streaming video and audio requires more bandwidth and can slow your network. If you would like to run DIA over the network or through Terminal Services, a standalone gigabit network is highly recommended for video and audio quality. In slower networks the refresh rate will make animations appear choppy or cause portions to skip. If IntraVet is running through Terminal Services, a session of DIA can be left open at all times. To toggle between the programs, minimize IntraVet or DIA in the top right (not the yellow session bar) and click on the title bar of the program you would like to view. To Install: 1. Insert the DIA Lite Dental CD into the workstation you want to run it on or on the server if you are running Terminal Services*. 2. Click Install > Next > Next > Accept the End User Agreement and select Next 3. Accept the default path selection and click Next > Next > Finish 4. Reboot your computer when prompted. If DIA Lite is installed on the server, close IntraVet on all workstations prior to rebooting. *Latency issues may occur when running DIA through a Terminal Service session. A standalone gigabit network is highly recommended for video and audio quality. Clinics who have purchased the full version of DIA should contact IntraVet Support at for setup instructions. 16

17 Using DIA from within IntraVet: 1. Open IntraVet and select File > DIA Lite. The DIA software window will launch with an informational window. Select <OK> to close window. 2. Select either the Content or Favorites tab on the left to open the list view. This will expose the dental focused content available in this version. Content & Favorites 3. The list view categorizes content by file type in the following order: > Animations/Virtual Anatomy > Clinical Images > Radiology Files IMAGE ICONS: > A = Animation > I = Illustration > P = Clinical Photo > R = Dental Radiograph COLOR CODES: > Blue = Dogs & Cats > Purple = Canine Specific > Red = Feline Specific 17

18 4. Click on an image icon to see a thumbnail version of the picture Thumbnail Image 5. Drag and drop or double click in the list to show images in the window panes. Double left click on the black title bar to open that image to full screen view. For animations, double left click on the video window. The toolbar will still be accessible at the bottom of the window. Select <Esc> to return to the main window. IMAGE VIDEO For animations, click Play prior to maximizing to full screen 18
