2 What is OneDrive? OneDrive is Microsoft's service for hosting files in the cloud. It offers users a simple way to store files that are accessible online, locally synchronize to any device, and share this information with other devices as well as NIC employees and students. 2. Click on the App Launcher and choose OneDrive. OneDrive Access 1. Access your Office 365 by logging into your MyNIC account. Click on the NIC mail button if you are an employee or the Cardinal Mail button if you are a student. Files Create New 1. To create a file or folder inside OneDrive, click on New. Page 2 of 13

3 2. Choose what you would like to create. You can create a new folder or a Word, Excel, PowerPoint, or OneNote file as well as a link to a file or web page. 2. Choose if you want to upload individual files or a whole folder. 3. Find the file or folder and select it, choose Open. Your files or folder will upload to the cloud and should appear in OneDrive. Note: It is best to upload files since the drag and drop feature changes all file dates (when created or last modified) to the current date and time. Upload Files 1. To upload a file, click Upload. 4 Open Files 1. Select the file you would like to open by clicking once on the file name. 3. To open in the full version, click Edit in xxxx. For example, Edit in Word. Note: This works for Word, Excel, PowerPoint, and OneNote. 2. By default, the file will open inside of Office 365 in a new browser tab. For example, Word documents open in Word online. Any changes made to this document will automatically save to the cloud. 4. When you are finished, close the tab to the document you have open to return to OneDrive. Sync Files 1. To ensure your OneDrive files are synced to your local device(s), click on Sync. To setup local sync, see the Local Access section. Note: The syncing process should complete automatically. 5 Sharing via 1. To share a file or folder from within OneDrive, choose the radio button next to the file or folder. 3. For each person you would like to share this fie or folder with, enter his or her address. Add any message in the message area. Note: Only NIC employees and students can be included. 2. Choose Share. 6 4. By default, OneDrive gives Edit permissions to shared files and folders. If you do not want to allow editing, go to Step #5, otherwise click Send. 5. To change permissions to View Only, click on Only people in North Idaho College with the link can view and edit. 6. Uncheck the Allow editing box, then click Apply. Page 6 of 13

7 7. You should now see that the item is View only. Click Send. via Link 1. To share a link to a file or folder from within OneDrive, choose the radio button next to the file or folder. 2. Choose Get link. Page 7 of 13

8 3. By default, OneDrive gives Edit permissions to shared files and folders. If you want to allow editing, click Copy. If you want to change permissions to view only, go to Step To change permissions to View Only, click on Only people in North Idaho College with the link can view and edit. 6. Uncheck the Allow editing box and then click Apply. 4. Once you see the Check Mark, the copy was successful. You can now paste this link where others can access it (i.e. in an , a Word document, etc.) Note: Users will need this link to access the file or folder you have shared. Page 8 of 13

9 7. You should now see that the item is View only. Click Copy. Stop Sharing 1. To the right of the file under the Sharing column, click on Shared beside the file or folder you would like to stop sharing. 8. Once you see the Check Mark, the copy was successful. You can now paste this link where others can access it (i.e. in an , a Word document, etc.) Note: Users will need this link to access the file or folder you have shared. 2. Click on Manage Access. 3. From here, you can remove people and/or links by clicking the X beside the person or link. Page 9 of 13

10 4. Confirm by clicking Remove link. Setup OneDrive 1. Open OneDrive. When OneDrive starts, enter your NIC address and click Sign in. Local Access Get OneDrive 1. Download OneDrive from: Click the Start OneDrive button, or it may say download if you do not already have OneDrive installed locally. Note: Windows 10 has OneDrive installed by default, so you will see a Start OneDrive button. Page 10 of 13

11 2. Leave the default to Sync all files and folder in my OneDrive OR Choose the files and/or folders you want to sync from your online OneDrive account to your local device. Click Next. 3. You should now have a OneDrive for business showing in your file explorer called: OneDrive North Idaho College Note: Any file or folder saved under OneDrive locally will automatically sync to your online OneDrive account as long as you have internet access. Syncing with Office 2016 Setup OneDrive Sync 1. Ensure you have Office 2016 installed and open Word. Click on Sign In in the top left. Page 11 of 13

12 2. Enter your NIC address and click Next. 4. You will be routed to the North Idaho College login page. Your address should already be displayed, enter your NIC password and click Sign In. 3. Click Yes on the next one or two pop-up windows to allow. 5. You should now see that you are signed in. Page 12 of 13
