5 About this document This document describes how to install and use the database synchronization solution delivered as part of the ipack for ibaan E-Enterprise Server 2.5. This document contains the following chapters: Chapter 1, Overview, describes the problems and the architecture of the data synchronization solution and gives an overview of the installation procedure. Chapter 2, To install ibaan E-Enterprise Exchange schemes, explains how to install the Exchange schemes delivered with ibaan E-Enterprise. Chapter 3, To install ibaan E-Enterprise DTS packages, deals with the installation of the Data Transformation Services (DTS) packages delivered with ibaan E-Enterprise. Chapter 4, To use Exchange Schemes and DTS packages, describes how to use the Exchange schemes and the DTS packages to exchange data between ibaan ERP and ibaan E-Enterprise. iii

7 1 Introduction This section describes the problems and the architecture of the data synchronization solution and gives an overview of the installation procedure. Architectural overview The data that you require for ibaan E-Enterprise cannot all be retrieved online from the Business Information System (BIS) that is related to the data. The reasons why you must store data in a local E-Enterprise database are the following: Improved performance. E-Enterprise needs additional Internet application specific data that is not stored in the BIS. Decreased load on the BIS. The load from the Internet can be heavy and unpredictable. This load must not influence the load on the BIS machine. The drawback of local E-Enterprise storage is that some data is redundant. To have a single point of data entry and data consistency, you need data synchronization technology that can synchronize the data that is stored in the E-Enterprise database with the BIS. The synchronization system takes the BIS as a starting point. The BIS provides flat (ASCII) files that contain the data that must be synchronized. In ibaan BIS, Exchange Schemes are used to extract these flat files from the BIS database. This document describes how you can install these Exchange Schemes from the E-Enterprise ipack installation CD-ROM, and use the Exchange Schemes for BIS data extraction. In ibaan E-Enterprise, a number of DTS packages are also available to import the files into the E-Enterprise database. By periodically running the Export Program (ttxch0233m000) session on the ibaan ERP machine, and the DTS packages on the E-Enterprise database server, system administrators can synchronize databases in E-Enterprise and the ERP system. 1-1

DTS is a feature of Microsoft SQL Server 2000 and runs on the E-Enterprise database server machine. Data files (ASCII) can be transferred from the ERP machine to the SQL Server machine by means of FTP, if ibaan ERP runs on a UNIX machine, or by means of simple file copy, if ibaan ERP runs on a Windows machine connected to the LAN. As the previous figure indicates, data transfer is one way only: data is exported from the ERP system and imported into E-Enterprise. Reversing this process would compromise the integrity of the ERP database. To modify data in the ERP system, E-Enterprise uses other mechanisms, for example, EDI and BOIs. 1-2

Install DTS packages Copy package files Install E-Enterprise DTS packages Run DTS package EE_Master to import data As shown in the figure, the process consists of the following three phases: Installation of the Exchange Schemes. Installation of the DTS packages. Use of the Exchange Schemes and the DTS packages. The first two steps, installation of the Exchange Schemes and DTS packages, must only be carried out to install a new version of the ipack. The third step, the use of the Exchange Schemes and packages, is carried out each time you perform the data synchronization. The remainder of this chapter explains how to carry out the first two steps, installation of the Exchange Schemes and DTS packages. 1-4
11 Introduction Installation of the data synchronization solution The data synchronization solution is part of the ipack for E-Enterprise. As shown in the following table, the ipack installation program performs some steps of the data synchronization installation automatically, while other steps must be carried out manually. No Yes Yes Recommended installation procedure If you use the ipack installation program, the recommended installation procedure is as follows: 1 Install ibaan E-Enterprise Server, if you have not already done so. For more information, refer to the ibaan E-Enterprise Server Installation Guide. 2 Install the latest Service Pack for ibaan E-Enterprise Server, if you have not already done so. The Service Pack must be installed on the E-Enterprise database server and on the E-Enterprise Web servers. 3 Install the ipack for ibaan E-Enterprise Server. The ipack must be installed on the E-Enterprise database server and on the E- Enterprise Web server(s). For more information, refer to the ipack Installation Guide (U7889AUS). The ipack installation program will do the following: Copy the DTS package files (.dts files) to your E-Enterprise database server machine. Install and configure the DTS packages. 4 Install the Exchange Schemes. This is described in Chapter 2, To install ibaan E-Enterprise Exchange Schemes. After you complete these steps, you can begin to use data synchronization as explained in Chapter 4, To use Exchange Schemes and DTS packages. 1-5

13 2 To install ibaan E-Enterprise Exchange Schemes Before you can export data, the E-Enterprise Exchange Schemes must be installed. The Exchange Schemes will be used to export data from the ERP system to E-Enterprise. After installation, you can run the Export Program (ttxch0233m000) session to create the flat files containing the data that can be exchanged between ibaan ERP and ibaan E-Enterprise. Installation procedure NOTE NOTE NOTE The following sections describe the installation of the ibaan E-Enterprise Exchange Schemes. The installation procedures for Baan IV and for ibaan ERP differ slightly from each other. As a result, the procedures for Baan IV and ibaan ERP are described in separate sections in this chapter. You must repeat this procedure each time you receive a new version of the E-Enterprise Exchange Schemes. Installation on a Baan IV system To install the Exchange schemes on a Baan IV system, take the following steps: The following procedure applies to Baan IVc3, but also to other versions, for example Baan IVc4. Minor differences between these versions are noted in the text. 1 Create a directory ${BSE}/Exchange on the Baan (UNIX/Windows) Server. 2 Insert the E-Enterprise ipack installation CD-ROM into the drive. 3 Copy all the files from the following folder on the CD-ROM to the UNIX/Windows server: From: E-Enterprise\Exchange Schemes To: ${BSE}/Exchange If you use FTP to copy the files, use ASCII mode. 2-1
14 To install ibaan E-Enterprise Exchange Schemes 4 Start Baan. Log on as a user with sufficient permissions for your Package VRC. Also, make sure that you selected the correct company, in other words, the company in which you want to install the Exchange Scheme. In the following example, company 750 is used. 5 From the Baan IV Main menu, double-click BAAN Tools > Database Management. 6 In the Miscellaneous folder, start the Create Table from Sequential Dump (ttaad4227m000) session. 7 Enter the field values for this session as shown in the following figure. Select the company in which you want to install the Exchange Schemes. The company number must either be your working company or the company in which the user wants to use the interface. NOTE Choose the tilde character (~) as the field separator. 2-2
15 To install ibaan E-Enterprise Exchange Schemes 8 Click the Form 2 tab and enter the field values as shown in the following figure. 9 Click Continue to install the Exchange Scheme. 10 After this process is completed, Baan prompts the user to run the Reorganize Tables (ttaad4225m000) session. Note that you must enter the company that you selected in Step 7 in this procedure. 2-3
16 To install ibaan E-Enterprise Exchange Schemes 11 Enter the field details for this session as shown in the following figure. 12 Click Continue to start the reorganize process. 13 Exit the sessions. 14 Return to the Baan IV Main Menu and double-click BAAN Utilities > Master Data. 2-4
17 To install ibaan E-Enterprise Exchange Schemes 15 In the Maintain folder, start the Maintain Exchange Schemes (tuxch0101m000) session. Locate the Exchange Scheme Ee20_IV (Sync Baan IV - E-Ent. 2.0) and change the paths of the files as shown in the following figure. Make sure you type {BSE} and not (BSE). 16 Click Save to save your changes and close the session. 2-5
18 To install ibaan E-Enterprise Exchange Schemes 17 In the Maintain folder, run the Maintain Batches (tuxch0104m000) session and locate the Exchange Scheme Ee20_IV. The field details are as shown in the following figure. 18 Change the Company field to the current working company of the user and click Save to save your changes. 2-6
19 To install ibaan E-Enterprise Exchange Schemes 19 To verify that the Exchange Scheme was installed correctly, select the batch line (10) and, on the Application menu, click Maintain Table Relations (Export). Note that for Baan IVc4, this menu is called the Special menu. The Maintain Table Relations (Export) (tuxch0131s000) session appears. Verify that the batch lines are displayed as shown in the following figure. 20 Quit both sessions. 2-7
20 To install ibaan E-Enterprise Exchange Schemes 21 In the Maintain folder, run the Maintain Conditions (tuxch0114m000) session. Locate the Exchange Scheme Ee20_IV and select the EXPORT_COMPANY condition, as shown in the following figure. 22 On the Tools menu, select Text. The Text Manager dialog box appears, as shown in the following figure. 23 Select Condition Script and click OK. The Maintain Texts dialog box appears, as shown in the following figure. 2-8
21 To install ibaan E-Enterprise Exchange Schemes 24 Click Create. NOTE For Baan IVc4, the Assign Text Group dialog box now appears, as shown in the following figure. This dialog box only appears for Baan IVc4. Choose Text for the Text Group and click Assign. 25 The Text Editor dialog box appears, as shown in the following figure. NOTE The previous figure represents Baan IVc3. For Baan IVc4, a different editor, NOTEPAD, is used. 26 Enter the following text in the text editor: return(export.company) 27 On the File menu, click Save then click Exit to save the script and exit the text editor. 2-9
22 To install ibaan E-Enterprise Exchange Schemes 28 Close the Maintain Conditions (tuxch0114m000) session, return to the Baan IV Main Menu, double-click BAAN Utilities > Export > Maintain. 29 Run the Create Export Scripts (tuxch0228m000) session and locate the Exchange Scheme Ee20_IV. The following figure shows the field details: 31 Click Create to create the export scripts. 32 Exit the session. The installation of the Exchange Schemes is now complete. You can delete the table dump files from ${BSE}/Exchange. 2-10
23 To install ibaan E-Enterprise Exchange Schemes NOTE NOTE Installation on an ibaan ERP system You can use the following procedure to install the Exchange schemes on an ibaan ERP system. This procedure was created for ibaan ERP 5.0c, but also applies to ibaan ERP 5.0b. Minor differences between the two versions are noted in the text. 1 Create a ${BSE}/Exchange directory on the Baan (UNIX/Windows) Server. 2 Insert the E-Enterprise ipack installation CD-ROM into the drive. 3 Copy all the files from the following CD-ROM folder to the UNIX/NT server: From: E-Enterprise\Exchange Schemes To: ${BSE}/Exchange If you use FTP to copy the files, use ASCII mode. 4 Start ibaan ERP. Log on as a user with the sufficient permissions for your Package VRC. Also, make sure that you selected the correct company, that is, the company in which you want to install the Exchange Scheme. In the following example, company 902 is used. 5 From the ibaan ERP Main menu, double-click BaanERP Tools > Database Management. 6 In the Database Utilities folder, start the Create Table from Sequential Dump (ttaad4227m000) session. 2-11
24 To install ibaan E-Enterprise Exchange Schemes 7 Enter the field values for this session as shown in the following figure. Select the company in which you want to install the Exchange Schemes. The company number must either be your working company or the company in which the user wants to use the interface. 8 Click the Files tab and enter the field values as shown in the following figure. NOTE Choose the tilde (~) character as the field separator. 9 Click Create to install the Exchange Scheme. 10 After this process is completed, the system prompts you to run the Reorganize Tables (ttaad4225m000) session. Note that you must use the same company that you selected in Step 7, previously in this procedure. 2-12
25 To install ibaan E-Enterprise Exchange Schemes 11 Enter the field details for this session as shown in the following figure. 12 Click Reorganize to start the reorganize process. 13 Exit the sessions. 14 Return to the ibaan ERP Main menu, Double-click Baan Exchange > Master Data. 2-13
26 To install ibaan E-Enterprise Exchange Schemes 15 In the Master Data folder, start the Exchange Schemes (tuxch0501m000) session. Locate the Ee20_V Exchange Scheme (Sync ibaan ERP E- Enterprise 2.0) and then open the details session (tuxch0101s000) as shown below and change the paths of the files as shown in the following figure. Make sure you type {BSE} and not (BSE). 16 Click Save to save your changes and click Close to exit the session. 17 In the Master Data folder, run the Batches (tuxch0104m000) session and locate the Ee20_V Exchange Scheme. 2-14
27 To install ibaan E-Enterprise Exchange Schemes The following figure shows the field details: 18 Change the Company field of this figure to the current working company of the user, and click Save to save your changes. 19 To verify that the Exchange Scheme was installed correctly, select the batch line (10) and, from the Specific menu, choose Maintain Table Relations (Export). The Table Relations (Export) (tuxch0531m000) session appears. Verify that the batch lines are displayed as shown in the following figure. 20 Exit both sessions. 2-15
28 To install ibaan E-Enterprise Exchange Schemes 21 In the Master Data folder, run the Conditions (tuxch0114m000) session. Locate the Ee20_V Exchange Scheme and select the EXPORT_COMPANY condition, as shown in the following figure. 22 On the Edit menu, click Text, and click Condition Script. The Texts dialog box appears, as shown in the following figure. 23 Click Create. The Assign Text Group dialog box appears, as shown in the following figure. NOTE This dialog box is only shown for ibaan ERP 5.0c and later. 2-16
29 To install ibaan E-Enterprise Exchange Schemes 24 Choose text for the Text Group and click Assign. The Text Editor dialog box appears, as shown in the following figure. 25 Enter the following text in the text editor: NOTE return(export.company) For ibaan ERP 5.0c and later, rather than manually typing the text, you can use the Import File feature to import the condition script into the text editor. Note that this feature is not available for ibaan ERP 5.0b. To use this feature, from the File menu, choose Import File. In the Import File dialog box, enter the following file location: ${BSE}/Exchange/export_company.txt Select file location Remote and click Import. The condition script will be inserted into the text editor. 26 Choose Save from the File menu to save the script, and choose Exit from the File menu to exit the text editor. 27 Close the Conditions (tuxch0114m000) session, return to the ibaan ERP Main menu and double-click BAAN Exchange > Export. 2-17
30 To install ibaan E-Enterprise Exchange Schemes 28 Run the Create Export Programs (tuxch0228m000) session and locate the Ee20_V Exchange Scheme. The following figure shows the field details: 30 Click Create to create the export scripts. 31 Exit the session. The installation of the exchange schemes is now completed. You can delete the table dump files from ${BSE}/Exchange. 2-18
31 3 To install ibaan E-Enterprise DTS packages Data Transformation Services (DTS) is a feature of Microsoft SQL Server DTS can be used to transfer data from all types of data sources that are compliant with the Microsoft OLE DB standard. Users or developers can use the DTS tools to define how to transform data from the destination source to the target source. These definitions are stored in DTS Packages, which can be installed and run independently. E-Enterprise includes the following DTS packages. The suffix _IV or _V at the end of the package name refers to the supported Baan version, that is, Baan IV or ibaan ERP. EE_ImportCommonData_IV and EE_ImportCommonData_V This package imports the following E-Enterprise database tables: Countries. Forwarding Agents: also known as Transport Carriers. EE_ImportCurrencyData_IV and EE_ImportCurrencyData_V This package imports the following E-Enterprise entities, such as database tables: Currencies. Currency Rates. EE_ImportBPData_V This package is an auxiliary package that must be executed prior to EE_ImportCustomerData_V or EE_ImportSupplierData_V. EE_ImportCustomerData_IV and EE_ImportCustomerData_V This package imports the following E-Enterprise database tables: Customer Business Partners. Customers; Customer Addresses. Customer Postal Addresses. Customer Delivery Addresses. 3-1

The following packages are used by the E-Procurement application: EE_ImportCommodityData_IV and EE_ImportCommodityData_V This package imports the following E-Enterprise database tables: Commodity Codes. EE_ImportEmployeeData_IV and EE_ImportEmployeeData_V This package imports the following E-Enterprise database tables: Employees. EE_ImportWarehouseData_IV and EE_ImportWarehouseData_V This package imports the following E-Enterprise database tables: Warehouse Codes. EE_ImportWorkcenterData_IV and EE_ImportWorkcenterData_V This package imports the following E-Enterprise database tables: Work Center Codes. The following package is used by the E-Service application: EE_ImportServiceData_V This package imports the following E-Enterprise entities (database tables): Questions. Answers. Start Diagnostics. Diagnostics Tree. Finally, you can use the Master package EE_Master to run the other packages correctly. Installation procedure The E-Enterprise DTS packages will be installed and configured automatically as part of the ipack for E-Enterprise. 3-3

35 4 To use Exchange Schemes and DTS packages Exchange Schemes and DTS are used in conjunction with each other to transfer data from ibaan ERP to E-Enterprise. To perform the data transfer, take the following steps: 1 Run the Ee20_IV Exchange Scheme (for Baan IV) or Ee20_V (for ibaan ERP 5.x) on the Baan system to export the data. 2 Copy the data files from the ibaan ERP system to the E-Enterprise database server. 3 Run the Master package (EE_Master ) on the E-Enterprise database server to import the data. The remainder of this chapter explains each of these steps in detail. 4-1
36 To use Exchange Schemes and DTS packages To run the Exchange Scheme Ee20_IV This procedure applies to Baan IV systems. For ibaan ERP, refer to the following section. 1 Start Baan. 2 From the Baan IV Main menu, double-click BAAN Utilities > Export > Maintain. 3 Run the Export Data (Non-Regular) (tuxch0233m000) session. 4 Fill out the field details as shown in the following figure. 5 Click Continue. The data is exported to the folder ${BSE}\Ee_xch. NOTE You can view these files with any text editor, to verify that the data were exported correctly. To automate this process, create a job. On the Tools menu, click Make Job to create a job. 4-2
37 To use Exchange Schemes and DTS packages To run the Exchange Scheme Ee20_V This procedure applies to ibaan ERP systems. 1 Start Baan. 2 From the ibaan ERP Main menu, double-click BAAN Exchange > Export. 3 Run the Export Data (Non-Regular) (tuxch0233m000) session. 4 Fill out the field details as shown in the following figure. 5 Click Export Data. The data is exported to the folder ${BSE}\Ee_xch. NOTE You can view these files with any text editor to verify that the data was exported correctly. To automate this process, you can click Make Job to create a job. 4-3
38 To use Exchange Schemes and DTS packages To copy the data files NOTE NOTE NOTE Copy all the ASCII data files from the directory ${BSE}\Ee_xch on the Baan system to the proper directory on the E-Enterprise database server machine. The target directory on the database machine already exists; the installation program creates this directory. The target directory is located in the root of the C: drive and is named Ee_xch The last part of the directory name, in other words, the part following Ee_xch, specifies the target database set to which the data must be uploaded. The reason for this is that the database server can host the databases for multiple independent Web servers. For example, the user can install Web server A to be used for E-Sales, and Web server B to be used for E-Procurement. Both Web servers can link to the same database server machine. In that case, the database server machine will contain two sets of databases, one for Web server A and one for Web server B. In addition, for each Web server, a separate folder will be created to contain the data files, for example: Ee_xchA and Ee_xchB. If ibaan ERP runs on an NT machine connected to the LAN, you can copy the data files by means of simple file copy using Windows Explorer or a batch file. If ibaan ERP runs on a UNIX machine, you can use an FTP utility. Be absolutely certain to use the correct mode for FTP. With Baan IV, you must use FTP in ASCII mode. With ibaan ERP 5.x, you must use Binary mode. Various methods are available to automate this step. For example, to integrate this step into DTS, you can add an Execute Process task to the Master package. To run the E-Enterprise DTS packages E-Enterprise comes with several DTS packages. The order in which you run these packages is important, because several dependencies exist between the packages. For more information on this topic, refer to Package dependencies later in this chapter. For this reason, you must always use the Master package to run the other packages. Using the Master package ensures that the packages are executed in the correct order. 4-4
39 To use Exchange Schemes and DTS packages NOTE NOTE NOTE If you run DTS packages for Baan IV: Before you run the Master package, the home currency and the euro currency must be configured properly. For more information, refer to To import currency rates and product prices from Baan IV systems, later in this chapter. For ibaan ERP 5.x, this step is not necessary. To run the Master package 1 Start SQL Server 2000 Enterprise Manager on the E-Enterprise database server machine, open the (local) SQL Server machine, double-click Data Transformation Services and select Local Packages. The E-Enterprise DTS packages must be installed and run on the E-Enterprise database server, that is, the SQL Server machine on which the E-Enterprise databases are installed. You cannot install the E-Enterprise databases on one machine and install and run the DTS packages on a different machine. If you want to run the packages remotely, in other words, from another SQL Server machine, use SQL Server Agent. 2 Right-click the package EE_Master. Multiple EE_Master packages exist. The last part of the package name, the part following EE_Master, specifies the target database set to which the data must be uploaded. The reason for this is that the database server can host the databases for multiple independent Web servers. For example, the user can install Web server A to be used for E-Sales, and Web server B to be used for E-Procurement. For each Web server, a separate EE_Master package will be created. 4-5
40 To use Exchange Schemes and DTS packages 3 On the Context menu, click Execute Package. DTS displays a progress window while running the package. After the package finishes, you can view the result for each step in the package. See the following figure. The Master package consists of several steps, for example DoBeforeRun and Import Currency Data. 4 If a step fails, double-click the step to see what went wrong. Some steps can fail without severe consequences. For example, the step DoBeforeRun is not crucial to the end result. If this step fails, the package simply continues with the next step. 4-6
41 To use Exchange Schemes and DTS packages Package dependencies As part of the ipack installation procedure, you can specify which packages you want to execute. However, a package can be dependent on data imported by another package. As a result, if you run a package, you must also run the packages on which this package depends. 4-7

43 To use Exchange Schemes and DTS packages Examples: For ImportProductPriceData, you must also select ImportProductData because a direct dependency exists between product prices and products. Additionally, you must select any packages on which ImportProductData depends because an indirect dependency exists between product prices and those other packages. If you select ImportProductData, you have the option to select ImportProductPriceData: product prices are dependent on products, but not the other way around. NOTE NOTE To import currency rates and product prices from Baan IV systems The information in this section applies to Baan IV systems only. The import of currency rates and product prices from Baan IV will not work correctly unless the currencies are defined properly in E-Enterprise. ibaan ERP does not have this problem, because ibaan ERP is fully eurocompliant. The reason for this requirement is because you cannot automatically determine all the relevant properties, notably, home currency and EPC, for the imported currencies. Because the home currency and EPC parameters are not set properly on the currencies, currency rates and product prices are not always interpreted correctly. As a result, you must not run the E-Enterprise DTS packages before you define all the currencies you want to use in E-Enterprise. The correct procedure is as follows: 1 Enter all the currencies you want to use in E-Enterprise through the E-Enterprise manager pages. For each currency, set the home currency and EPC options appropriately. 2 Carry out the data synchronization (Exchange scheme and DTS packages). You must inspect the log files to see whether problems occurred during the importation of the data. 4-9
44 To use Exchange Schemes and DTS packages NOTE Log files and troubleshooting After each run, you must inspect the DTS log files. You can find these files in the folder C:\Ee_xch \Log or C:\Ee_xch5 \Log on the E-Enterprise database server machine, and this folder s subfolders. These files contain detailed error information. Each DTS package, such as ImportCommonData, ImportCurrencyData, and so on, produces the following two main log files: MasterLog.txt and ExceptionLog.txt. The purpose of these files is as follows: MasterLog.txt: This log file contains information about the result of each package task. If any task encounters one or more severe (fatal) errors, MasterLog.txt displays the status Failed. In that case, you must inspect the log file for that specific task to see what went wrong. If all tasks show Success, you can proceed with the other main log file, ExceptionLog.txt. ExceptionLog.txt: This log file reports the non-fatal errors that were encountered during the package run. For example, data validation errors, which is a mandatory field that is empty in the input file. These exceptions are handled explicitly in the transformation script and written to the log file. The ExceptionLog.txt file also reports the installed package version. You can use this file to verify that the correct package versions are installed. Summary MasterLog.txt is system-generated and reports unhandled exceptions. ExceptionLog.txt is script-generated and reports handled exceptions. Usually, MasterLog.txt must contain few or no errors because most exceptions are handled explicitly and are logged to ExceptionLog.txt. In addition to these two main log files, detailed log files exist for each package step. If you require additional details to solve a problem, you can check these files. 4-10
45 To use Exchange Schemes and DTS packages Other troubleshooting techniques Another technique to track problems in a DTS package is to run the package separately, rather than run the package by the Master package. The advantage of this method is that the package displays a detailed progress window that enables you to see which of the package tasks causes problems. To open this window, right-click the package, such as ImportCommonData, ImportCurrencyData, and so on, in Local Packages, and click Execute. For example, the following figure shows the progress window for the package EE_ImportProductData_IV. NOTE If the status Error Occurred appears for a task, as shown for the Import Units step in the previous figure, this does not necessarily mean that the data transfer failed. You must, however, inspect the log files to see what went wrong. 4-11
46 To use Exchange Schemes and DTS packages Examples: The task ClearLogFiles tries to delete the old log files. If no log files exist, the task fails, however, this has no consequences for the remainder of the data transfer. If you double-click a task that failed, and you receive an error message such as the following, the data file from Exchange is probably empty, in other words, no data was exported from the Baan table. To check if no data was exported from the Baan table, you can view the data file under C:\Ee_xch or C:\Ee_xch5 If the file is indeed empty, this means that there was simply no data to be imported, and you can safely ignore the error. Some rows in the data file can be skipped during the import, for example, because the files violate referential integrity. The log files will provide details on these problems. To make the data synchronization run automatically You can schedule the DTS packages so they run automatically at regular intervals. You can set this up in one of the following two ways: Method 1: schedule the package directly 1 Start SQL Server 2000 Enterprise Manager, open your SQL Server machine, double-click the item Data Transformation Services, and click Local Packages. 2 Select the Master package (EE_Master ) in the list and right-click on the mouse. 3 From the shortcut menu that appears, choose Schedule Package. 4-12
47 To use Exchange Schemes and DTS packages Method 2: use the SQL Server Agent The second method is to use SQL Server Agent. This method is more complex, but also more flexible. 1 Start SQL Server 2000 Enterprise Manager. 2 Create a SQL Server Agent job to execute the Master package. Use the command line utility DTSRUN to execute the package from within the SQL Server Agent job. For more information, refer to the Microsoft SQL Server 2000 documentation. You can now run the job in two ways: Manually: You can execute the SQL Server Agent job locally, from the E-Enterprise database server machine itself, or remotely, from another machine that has SQL Server 2000 Enterprise Manager installed. Automatically: You can schedule the SQL Server Agent job to run automatically. Summary To completely automate the data exchange process, you can take the following steps: In Baan, create a job to schedule the Exchange Schemes to run automatically. In DTS, schedule the DTS packages to run automatically some time after the Exchange Schemes are run. You can automatically copy the data files from the Baan server to the Database server by modifying the script DoBeforeRun.cmd, which you can find in the folder C:\Ee_xch \Dts or C:\Ee_xch5 \Dts. This script is called at the beginning of the Master package. 4-13
