3 Chapter 1 Terminal Features The Universal Series FingerPunch terminal contains an embedded application which manages the device internals, sends data to the host, performs backup and archive duties, synchronizes time and other device management functions. While there are features discussed in this guide which pertain to maintenance, the Universal Series terminal is essentially a maintenance-free device it requires no periodic or routine care other than occasional cleaning. Database purging, data archival, system time and host synchronization are finger led automatically. In addition, software updates are pushed to the terminal by the host and are selfinstalled. At the most, a periodic reboot of the terminal may be required under some circumstances. Cleaning The Terminal Use a soft cloth and mild cleaner on the screen and lumidign sensor in order to keep dirt from building up. Do not use any abrasive materials, brushes or other hard apparatus. Buttons The face of the terminal consists of a standard numeric keypad with keys 0..9, ENTER and Universal Series User & Maintenance 1 CLEAR. To the right of the keypad are eight function keys. The LCD screen is comprised of customizable touch buttons. These buttons inherit different functions depending on the application state and selected function. You can program these buttons to perform standard features, favorites or shortcuts to specific transaction types. An internal speaker provides audible feedback during enrollment and verification, and can be disabled if a quiet mode is desired. Boot-Up The boot-up process take several minutes to launch the application. To shutdown, it is recommended that you follow the Shutdown or Reboot procedures outlined later in this guide. Battery Backup If your terminal came equipped with the battery backup option, simply pulling the power plug will have no affect on the terminal since battery power will keep it running. Should you need to restart or shutdown the terminal, follow the Shutdown and Reboot procedures. The battery backup will keep the terminal running in the absence of line power for several hours. During this time data will continue to flow to your host application--assuming the network infrastructure has not been compromised. Any data not sent to the host due to a network outage will remain safely stored on the internal flash drive and will be resent automatically when service is restored.
4 Main Screen The main idle screen of the terminal application is defined via Terminal Profiles which can be customized. The profile defines which caption will appear, the welcome message on the top of the LCD screen, the action message in the lower middle, and the format of the date and time. Not all of the buttons need be used, and in-fact, none of them can be used if desired. Throughout this guide keep in-mind that the buttons referenced in each section may be different than the button captions and functions on your terminal as driven by the selected profile. The profile used throughout this guide is known as the Default profile. Universal Series User & Maintenance 2
5 Chapter 2 Enrollment Enrollment is the process by which a user's finger is captured by the terminal's internal camera and the biometric template calculated. The terminal will scan to capture the enrollee's finger, from which an average template is derived. The biometric template is a mathematical value which cannot be reconverted into anything meaningful. In other words, the template can only be used to verify that, on a subsequent placement of the same finger, if the same or nearly similar mathematical number is calculated from the finger image, then the biometric templates match, and the user is verified to be the same as the person who's finger was presented during the original enrollment. Privacy is not compromised in any way by use of this technology. Non-Biometric Mode Prior to enrollment, you may have had an employee list loaded into the clock, which would contain the user's first and last name, badge number and optionally, their assigned group. The group would be used to determine to which terminals the user is assigned, and therefore on which terminals they are allowed to punch. It is entirely possible to start punching on the terminal prior to enrollment, which renders it a non-biometric terminal. When recording a transaction, if the selected user does not have a biometric template, the application simply relies on the badge number for verification. Once enrolled, the template will be enforced and the users identity verified. This allows you to enroll users at a pace which is reasonable, without holding up the punch process. In addition, you may enable or disable an allow add new users preference which allows or restricts the ability to add new users (or badge numbers) during the enrollment process. If enabled (the default), you can create a new employee by entering the badge number during the enrollment process. If disabled, the user must be imported from the back-end host application before enrollment can take place. Finger Placement Care should be taken during the enrollment process to insure the enrollee exhibits good finger placement and technique. Proper placement requires the following steps: stand square to the terminal, shoulders parallel to the wall and insert finger straight onto the lumidign sensor. Place finger joint on the raised ridge of the sensor remain relaxed until the terminal has captured the finger image, usually about 6-7 seconds. follow on-screen prompts. Enrollment Security In order to perform enrollments, you must be designated as Administrator or Supervisor. A third security level is Maintenance which is allowed to maintain the terminal, but not perform enrollments. The initial security levels may be setup when the user list is loaded into the clock. If no list has been loaded, then the first person added and enrolled will become the Administrator. All other users are of the Authority level User unless upgraded to Supervisor or Maintenance. To enroll a user biometrically press the Enroll button 2. enter your badge number and if necessary, press ENTER (required if the length of your badge number is less than the ID Length setting in the terminal) Universal Series User & Maintenance 3
6 3. if previously enrolled, place your finger to verify 4. enter the badge number of the person to enroll 5. have the new enrollee place their finger three times 6. upon completion, use the Practice button (upper right) to test the enrollment. 7. when satisfied, press Back to accept Use the Practice feature freely, as the practice verifications are not stored nor will they clutter the database, so have the user repeat the Practice steps until they are comfortable, and the reported scores are satisfactory. Template Propagation Following successful enrollment, the users template will be copied automatically to other terminals within that user's assigned group, or to all terminals if grouping is not used (the default). This propagation is near real-time up to the host, but depending on what other terminals are doing and whether the host can reach them, it could take as long as 60 minutes before appearing in other terminals. Re-enrolling In the event a user has an obstruction which may render the original enrollment challenging, you can re-enroll by repeating the above process. After entering the user's badge, you will be informed that the users is already enrolled. However, simply press the Re-enroll button to start the three-try enrollment procedure, followed by the Practice button to test. Universal Series User & Maintenance 4
7 Chapter 3 Punch Transactions Normal punch transactions are initiated by simply entering your badge number on the keypad Assuming a biometric enrollment exists, you will be prompted to place your finger for verification. 3. place finger Following successful verification, the transaction is logged with the transaction code that corresponds with the button. NOTE: This capability can be disabled, which means you must start a transaction by pressing one of the predefined buttons first. After placing your finger, the captured image is compared with the stored image. If the images match then a successful verification has taken place and the transaction recorded. In the event they do not match, an error is logged and the transaction rejected. During display of successful verification results, the current time and score are included. The users stored template is updated with a new template based on the freshly captured image, and if necessary, propagated to other terminals in the user's group. Predefined Actions Depending on the terminal profile selected, some buttons may be predefined to represent a transaction, such as PUNCH IN, PUNCH OUT, LUNCH or other. You can define any type of transaction necessary for your application, with the terminal sending the corresponding transaction code to the back-end host application. To punch IN or OUT using a predefined action press the PUNCH IN or similar button 2. enter your badge number Universal Series User & Maintenance 5
8 Chapter 4 User Functions Several other functions are available to all users assuming the functions have been published in the currently selected terminal profile. Position of these function on the terminal screen (i.e. which button they are associated with) and the corresponding caption, are all configurable through the terminal profile. 3. Place finger for verification From the Timecard screen you can move forward and back a week at a time using the NEXT/ PREVIOUS buttons. Press the PRINT button to send the timecard data to the optional printer. Messaging If provided by the host application, user messages can be displayed on the terminal following a successful verification. These may include notices, reminders or other periodic instructions. A CONFIRM button allows the user to confirm that the message has been read and will remove it from the terminal (and won't appear again). If the message is not confirmed, it will reappear each time the user punches. Messages originate from the host application and are unique to each user. Timecard The Timecard function displays an user's past punches, organized by day and show the first and last punch of each day along with total hours. The Timecard is meant to be a raw review of punch history, not an exact representation of the user's timecard as presented through your Time & Attendance system. However, it is a good tools to spot missed punches, review overall raw hours and potential overtime situations. To review your timecard Press the TIMECARD button 2. 9 Schedule The Schedule function displays a user's upcoming schedule, or allows you to review past schedules. Schedule data is provided by the host Time & Attendance system, and must be configured for import into the terminal application. to import the data accordingly. However, any data can be displayed on the Accruals screen once imported from the host. Press the ACCRUALS button to invoke this function. To remove the Accruals function from the terminal menu, edit the terminal profile. Job & Tip Entry Functions can be defined for collecting job, task and tip data. Job data entry can be validated against a host-provided validation table. Data entry functions and the associated validation tables are defined by the terminal profile and associated import services. To review your schedule Press the SCHEDULE button 2. Enter your badge number 3. Place finger for verification From the Schedule screen, press the NEXT/ PREVIOUS buttons to move forward and backward a week at a time. The START and STOP columns may contain the shift times if provided, and the NAME column may contain the shift name. Press the PRINT button to print the schedule. Other Data Entry Other forms of data can be collected by the terminal, including validation, and is not limited to the examples listed here. Accruals The Accruals function can be used to display totals for items such as overtime, vacation, sick or other data, such as 401k balance, tips earned and YTD withholding. The contents of the Accruals screen is determined by the host Time & Attendance application, and must be configured Universal Series User & Maintenance 7
10 Chapter 5 Supervisor Functions Supervisors have the ability enroll users, review the employee list, add punches and promote other users to Supervisor status (or demote another Supervisor to User status). Employee List The Employee List function allows you to review a list of all users. Detailed information includes the user's name, associated group, enrollment status and authority level (Admin, Maintenance, Supervisors are not, however, able to program or otherwise maintain the terminal, as those functions are accessible to users with the Maintenance status. Enrollment The steps to enroll are outlined Chapter 2, so are only briefly reviewed here. If users are populated in the terminal by the host application, then it is possible to punch without being enrolled. Alternately, if a user list has not been provided by the host, you can add users on-the-fly during the enrollment process. This behavior can be changed. To enroll a user Press the ENROLL button 2. Enter your Badge No, then verify 3. Enter the Badge No of the person to enroll 4. Have the enrollee place their finger three times to capture the initial enrollment 5. Press the PRACTICE button to practice, or REENROLL to start over 6. Press DONE to return The Practice function is provided so that the user can get comfortable with the verification process before actually punching. Supervisor or User). You can remove users from the terminal, or change an existing user's authority level. To display the Employee list Press the Manage button from the main terminal menu 2. Press Employee List 3. Enter your Badge No and verify Once viewing the employee list, use the buttons to zoom in on a range of the alphabet. For example, the upper left key corresponds to ABCD and will list users with last names starting with A and running through D. As you press the buttons to zoom in, the range is updated such that the button that represented ABCD now represents just A. When you have narrowed the list down, press the UP/DN arrow keys to move the selection bar to the desired user, then ENTER to select. The Employee Details screen shows the Name, Group, Authority Level and Enrollment Status of the selected user. Use the buttons along the right to change the Authority from User to Supervisor or Maintenance, or back to User. Use the REMOVE button on the left to remove the user. Punch List The Punch List allows you to review punches by Universal Series User & Maintenance 8
11 day in chronological order. To review punches Press the Manage button from the main terminal screen 2. Press Punch List 3. Enter your Badge No and verify From the Punch List screen, use the PREVIOUS/ NEXT buttons to move to another day, or the PRINT button to print the list of punches. Add Punch Use the Add Punch function to add a punch when a user has forgotten to punch, or was otherwise unable to punch. The punch will be sent to the host Time & Attendance application along with normal punches, however, a System IN/OUT 8. Press the SAVE button to save the punch While the punch will be added to the terminal database and sent to the host Time & Attendance system, a System Log entry will be created with your badge number indicating that the punch was added manually. Change Authority (create Supervisors) To promote a user with the Authority level of User or Maintenance to Supervisor (which will allow the functions within this chapter to be performed) use the Employee List function to first locate the user, then press ENTER to view the user's details. From the Employee Details screen you can use the buttons to promote or demote the Authority for the selected user. Changes to the user are propagated to other terminals automatically. Log entry is created which documents the manual entry. To add a missing punch Press Manage from the main terminal menu 2. Press the ADD PUNCH button 3. Enter your Badge No, then verify 4. Enter the user's badge number; the badge number must exist in the terminal 5. Enter the date in MMDD format: you can enter just the month and day, or just the day and the current month and year will be filled in. You do not need to add delimiters 6. Enter the time in the format HHMM; the minutes will be assumed zero if only the hour is entered (i.e. 8 by itself will become 08:00 AM) 7. Optionally choose a punch action, such as Universal Series User & Maintenance 9
12 Chapter 6 Maintenance Functions Most of the configuration and maintenance of the terminal can be performed from the optional Host. However, in the event the Host is not installed, most device details can be updated at the terminal if you have Maintenance or Admin authority. The following sections: Preferences, Language, Profile, Device and Info are located on the Setup menu. Require button to start If enabled, users must press a button before punching (i.e. PUNCH IN/OUT or LUNCH) and cannot simply enter their badge number. If disabled (the default) a user can simply enter their Badge No then verify to create a punch transaction. Language The terminal application can operate in a number of languages. Alternately, you can choose a default language for the terminal, yet To access the Setup menu Press Manage from the main terminal menu 2. Press Setup After making the necessary changes, press the SAVE button to save, or CANCEL to return to the main terminal menu. Preferences Device Preferences include items which control the behavior of the terminal, such as requiring the use of buttons when punching, or setting the ID Length. allow the application to switch to a user's native language when they punch (requires that they user is assigned a native language). Profile The Terminal Profile controls the appearance and functionality of the terminal GUI. Through the profile you can publish functions, change the caption and create nested submenus. Standard ID Length Maximum number of digits entered for a Badge No. If fewer than ID Length digits are entered, press ENTER to finish Allow add users If enabled, Supervisors can add new users during the Enrollment process. Users added during enrollment will only have a Badge No, not a name, so greetings will only display the number. Names must be entered through the Host or via the host Time & Attendance application. Universal Series User & Maintenance 10 profiles are included which can be used as-is. The Host is required to make changes to the existing profile or to create new profiles. Device Device parameters include a logical name and
13 device ID (used by the host Time & Attendance system), the timezone, and relay configuration. Device name identification and support. The following sections: Network, Host, Diagnostics, Reboot and Shutdown are located on the Maintain menu. To access the Maintain menu Press Manage from the main terminal menu 2. Press Setup 3. Press Maintain After making the necessary changes, press the SAVE button to save, or CANCEL to return to the main terminal menu. The device name is used to identify the device in a verbose manner, such as its location or purpose (i.e. Office, Warehouse, etc). This value is for convenience only. Device ID This is used as a unique identifier for the host Time & Attendance application in the event a unique ID is required, and is otherwise optional. UTC offset Specifies the timezone where the terminal is located. The terminal will maintain its time automatically using an atomic time server, however, needs to know how UTC time corresponds to the local timezone. Info The Info function provides basic information about the terminal, such as its IP address, device Network By default, the terminal will use DHCP to obtain its IP address, gateway and DNS entries. When DHCP is enabled (the default settings) the IP address and other values are not visible. Pressing the Static button enables those fields. Pressing the DHCP button hides them. Upon saving, the network interface is restarted automatically, such that you do not need to restart the terminal. Use the Info function to check the IP after making changes. Host model and serial number, and various OS info such as amount of memory and free disk space. This information is used primary for terminal During boot-up, the terminal performs an automatic discovery process to search for the Host within the local network. If found, the IP address of the Host is displayed on this screen. The Discover button can be used to force a rediscover the Host in the event it has rebooted or otherwise changed its IP address. If the terminal determines that the Host IP address is Universal Series User & Maintenance 11
14 reboot automatically, while configuration updates normally do not require a reboot. During the reboot process (which may take several minutes) the terminal will request its IP address via DHCP (unless set to static) and perform the Host discovery process. Shutdown Shutdown is required if the terminal is to be wrong, it will rerun the discovery process automatically. In the event the Host is not on the local network, or the terminal's data collection and management responsibilities are hosted elsewhere, then the Host URL may need to be entered manually. Enter the public IP or URL of the host device. transported or sent in for service. Diagnostics Diagnostics can be used to test various aspects of the terminals performance. Tests run during diagnostics include: Pinging the host URL Sounding the audible beeper Flashing the light bar Opening the door relay Press the Start button to begin the tests. Reboot A terminal reboot may be required from time to time if an update is performed and the terminal is unable to reboot itself, or if the terminal is behaving in an unexpected manner. Software updates to the terminal will normally install and Universal Series User & Maintenance 12

If the terminal is under a standard maintenance agreement, then a loaner unit may be available during the service period. If possible, use the Info function covered in the Maintenance Functions chapter to retrieve the serial number of the terminal.
