13 Océ 8400 Series System Operation Manual Chapter 2 Before you start printing This chapter informs you on the user interfaces of the Océ 8400 Series, and describes how to switch on and off the controller and the engine of the printer. 13

14 User interfaces The Océ 8400 Series basically has two points of User Interaction. Therefore, it is important that you understand which point of user interaction is required to perform a specific task or function. The operating panel of the printer engine is used to carry out normal operational user interaction. This is described in chapter 3, Key Operator System of the print engine on page 27. This graphical operating panel can be used for engine-related actions (E-KOS) as well as engine-related error recovery (e.g. paper jam handling). The following modes of operation are distinguished: Normal User mode, E-KOS mode and Limited E-KOS mode. Controller related system settings (C-KOS) require a terminal connection to the printer controller. This terminal connection can be established directly by connecting a terminal or PC. Another way of connecting a terminal to the system is via a Telnet session. For more information about a terminal connection, refer to the Océ 8400 Series System Administration Manual. Note: The Océ 8400 Series integrated operating panel can not be used for controller-related (C-KOS) functions. 14 Océ 8400 Series System Operation Manual

15 The operating panel The operating panel consists of a display and several buttons which are grouped by function. Note: An illustration of the Océ 8400 Series operating panel is presented on the inside back cover which can be folded out. Section buttons The section buttons are located above the display. Pressing a section button (see figure 1) gives you access to a field in which related settings are gathered. You can choose specific functions within a section with the function button. Function buttons The function buttons are located below the display (see figure 1). The function names belonging to each button is shown on the display. message area section buttons arrow buttons function buttons C [1] Operating panel Each function offers two or more choices for a setting. The setting which is currently being used is indicated by a black bullet beside the name of the selection. Pressing the function button moves the bullet to the following selection (or combination of selections). Some settings require the arrow buttons to define the selection (,, and ). Before you start printing 15

16 When there are many functions in a specific section, the functions are described on several cards. In that case, one of the function buttons acts as a card selection button. By pressing this button or one of the arrow buttons you can move from one card to another. Message area When the Océ 8400 Series is printing, you will be informed on the running print job through the message area. The message area shows 3 lines of text information. If the message is longer than 3 lines, the message area is enlarged in order to display more text strings. The following information is shown: the state of the printer, like processing, idle, aborting thenameandtheowneroftheprintjob dialogues, which display a number of options and how to execute them warnings, which inform the user that one of the consumables has run out or will run out soon. Consumable area This area displays the paper format and the paper level in each tray/cassette. Start button The green button with the symbol is used to set the printer on-line and for instructions on the operating panel of the printer. Correction button C Use this to stop the current print process and to set the printer off-line. Stop button The red button with the symbol is used to stop the current print process, to set the printer off-line and to abort a job. Arrow buttons The arrow buttons,, and, which are grouped in the form of a star to the right of the display, are used to choose settings. If these buttons can be used, this will be indicated in the display. Numeric buttons Use these buttons in the Engine Key Operator System (E-KOS) Mode to change numeric settings. Graphic display The graphic display is the main part of the operating panel. Here, you will find important information, e.g. information concerning the status of the printer. 16 Océ 8400 Series System Operation Manual

17 Assistance The display assists you at all times by: displaying a status message; e.g. Idle displaying job information giving an instruction; e.g. Empty Sorter bin displays consumable warnings; e.g. Nearly out of toner giving information about mutually-exclusive print job settings. Error message In the event of an error, the message area shows: what the problem is where it occurred how to solve it (step-by-step instruction). When a paper jam occurs, the exact error location is indicated in the printer drawing on the display (see figure 2). After solving the problem, any jammed pages will be reprinted. The instructions help you to solve the problem. [2] Example of an error message For more information on problem solving, refer to chapter 5, Troubleshooting on page 69. Before you start printing 17

18 Poweron/offtheOcé8400Series The Océ 8400 Series is equipped with three separate power switches for the printer engine and the controller. When the engine was processing jobs at the time it was switched off, or the controller received jobs during the engine power off, a message is displayed: Processing Note: Check the printed job if you switched off the engine during a job. 3 The operating panel displays the following message: Idle The printer is ready for printing. Before you start printing 21

22 Power-off procedure A power-off procedure implies that you switch off either controller and engine, or just the engine. Attention: Do not switch off the controller without performing a shutdown. If you do so, you risk losing data or damaging the hard disk. There are two ways to switch off the controller: carry out a shutdown procedure via the Engine Key Operator System. After that switch off the controller power. press the controller standby switch. To shut down the controller by the Engine Key Operator System 1 Make sure the printer is idle or suspended, (as indicated on the operating panel). If not, the printer is still processing. Wait until the printer has finished or suspend the job. 2 Access the Engine Key Operator System (see Accessing the Engine Key Operator System on page 28). 3 Open the Printer controller section and select the Management setting. 4 Press the function button Shutdown controller. The controller will shut down and a counter will be displayed: Wait 30 seconds to switch off the printer. [8] Shutdown the controller Wait 30 seconds to make sure the shutdown process has completed. The green LED at the front of the controller will go out to indicate that the controller has shut down. The controller is now switched off electronically. To switch off the engine only 1 Make sure the printer is idle or suspended, (as indicated on the operating panel). If not, the printer is still processing. Wait until the printer has finished or suspend the job. 2 Press the engine power switch. In order to reduce power consumption, switch off the engine when it is not used for a while, for instance at night. Jobs that are sent anyway, will be stored on the internal hard disk. When the engine is switched on again, these jobs will be processed. By default the engine is switched off when the engine has not been used for 60 minutes to comply with the ENERGY STAR criteria (see page 103). For more information on the automatic switch off, see Defining to switch off the engine automatically on page 32. Attention: If the engine is switched off and you have no terminal connection, only the green LED at the front of the controller will indicate whether the controller is switched on. If the green LED is on, the controller is switched on. If you want to shut down the controller, press the standby switch at the front of the controller or, switch the engine back on first! After switching on the engine, carry out the switch off both controller and engine procedure described below. Note: Although the pages to be printed will be recovered when the engine switches on, it is strongly recommended to only switch off the engine in the Idle state, in order to avoid paper jams. Before you start printing 23

24 To switch off both controller and engine Switch off both engine and controller only, if the printer will not be used for a substantial period of time. Make sure to carry out the Shutdown procedure before switching off the controller. 1 Make sure the printer is idle or suspended, (as indicated on the operating panel). 25 Predefined shutdown and reboot of the controller The timetable is used to define the times and days, at which the system is to reboot or shut down. The timetable has two major objectives: to avoid disk crashes due to an uncontrolled switch-off (e.g. when a timer is used) to restart the system at a predefined time. Avoid disk crashes due to an uncontrolled switch-off You may set the timetable to shut down the controller prior to the switch-off time of a time switch. When the time switch is activated again, the controller will start up. The engine, however, will have to be switched on manually. Restart the system at a predefined time It is sometimes profitable to restart (reboot) the software once a week. Set the timetable to reboot the system at a quiet moment each week, e.g. at 24h00 on Sunday. The table consists of 7 time slots; one for each day of the week. This set up allows you to make the system reboot or shut down at any time, any day of the week. For more information on defining the TIMETABLE option, refer to the Océ 8400 Series System Administration Manual. Before you start printing 25

28 What can you achieve through KOS? At delivery the Océ 8400 Series settings are based on your company s or department s requirements. However, you may want to adapt them when working procedures are changed. The Key Operator System of the engine (E-KOS) allows you to access advanced functions when the printer is off-line, merely by using the operating panel of the printer. Functionality of E-KOS includes: basic maintenance such as registration of toner defaults settings such as linking paper trays and maximum output bin level Reports printing image adjustment (paper positioning) registration parameters. It is possible to access E-KOS during printing. In this mode only a limited number of the normal E-KOS features is available. The features of Limited E-KOS are: change the display language adjust the automatic switch off show the print counter registering added toner. You can communicate interactively with E-KOS and Limited E-KOS via the operating panel of the printer. Accessing the Engine Key Operator System You require a password to use E-KOS and Limited E-KOS. The password will be assigned to you by the Océ service engineer during the installation of the printer. The procedures below describe how to log on and off to E-KOS and Limited E-KOS. Note: Accessing E-KOS or Limited E-KOS is not possible when you are already logged into the Key Operator System of the controller (C-KOS) via a remote interface. In this case the message area of the operating panel will show the message Remote off-line. 28 Océ 8400 Series System Operation Manual

36 Double-sheet detection Your printer can detect whether the feed rollers pick up more than one sheet at a time. Double-sheet detection is useful to prevent paper jams. Attention: To assure that the double sheet detection is working properly, do not place sheets with different paperweights or colour in the same input trays. You can enable or disable double-sheet detection for each of the paper trays separately. When enabled and a double sheet is detected, the printer will resolve this automatically: it will free the paper path and deposit the obstructive sheet(s) in the error output tray. Printing will continue after this. Attention: Not all types of paper support double-sheet detection. Black paper, coated paper or slides may cause continuous error messages. For trays containing these types of paper the double-sheet detection should be disabled before printing is started. To enable or disable double-sheet detection 1 Access the Engine Key Operator System (see page 28). 2 Open the Machine section and select the Paper trays setting. [19] Double sheet detection function 3 Select a tray. 4 Press the function button Double sheet detection to set the detection On or Off. 5 When ready, quit the Engine Key Operator System. 36 Océ 8400 Series System Operation Manual

37 Side correction If your printer is equipped with a Paper Position Module (PPM), you are able to switch the PPM on and off. With the PPM switched on you have the highest possible registration accuracy. Only if the PPM is in failure, we advise you to switch off the PPM. For more information on the registration accuracy with the PPM switched on, referto Paperformats onpage89. 41 Printing various reports The Printer Status Report is an important source of information for key operators and programmers. Most of the information on the Printer Status Report is self-explanatory. For the explanation of the Printer Status Report, as well as an example, refer to the Océ 8400 Series System Administration Manual. There are four standard types of reports. Each report contains different types of information. The available reports are: Configuration Report Total Report Logging Report NVS Report (with non volatile system files). To print these reports, it is necessary that the Controller is switched on. Printing a Configuration Report The referable objects part of a Total Report can be quite long. If you want to omit this part, you can print a Configuration Report. A Configuration Report contains the following information: the printer identification and serial number the printer configuration printer error counters PDL settings JAC settings binmaps tray maps interface and network specifications license information. To print a Configuration Report 1 Access the Engine Key Operator System (see page 28). 2 Open the Printer controller section and select the function Reports. 3 Select Configuration report. 4 Confirm by pressing Start ( ) (or press Correction button C to cancel the number and enter the correct one). 5 When ready, quit the Engine Key Operator System. 44 Image Registration tool With the aid of the registration tool you are offered the possibility to change a few registration parameters. When do you need the image registration tool? The image registration tool is useful in the following situations: If your printer is not equipped with the Paper Position Module (PPM), or when you have switched off the PPM. After switching to a different paper size, you may notice that the image position on the sheet changes. After switching to a different paper material, you may notice that the size of the image in the feed direction changes. This may normally only occur when using a very special material, like overhead sheets or labels. During printing for long periods, you may notice a gradual drift in registration. This can affect both image position as image size. You are printing in duplex mode, and the dimensions of the sheets are not standard. For example: A4 should be 210 mm, if you are using 211mm there will be a 1 mm shift of the image position between front and back. You are using pre-printed material, and the batch you are using now has other cutting tolerances. You may either change the document in your application, or adjust the parameters with this tool. Note: Tray 4 is preferably used for critical registration jobs, because it is closest to the printing station. Always align sheets in trays towards the plate at the front side of the printer. Adjustment options You may adjust several parameters: the position of the image in the feed direction (X), front side the position of the image in the feed direction (X), back side the position of the image in the cross-feed direction (Y), front side the position of the image in the cross-feed direction (Y), back side the size of the image in the X direction, both sides simultaneously 44 Océ 8400 Series System Operation Manual

45 You can assign different values to each paper tray, according to the specific material you are using. How do you use the tool? There are two possibilities: 1 You know how much you want to adjust the image position, just follow the procedure To adjust the image position other than through the test job on page You do not know how much you want to adjust. You need to make a registration test job (see To adjust the image position through the test job on page 46). PPM support The procedures differs for printers with, or without a Paper Position Module (PPM): With the PPM enabled, you have to print one test page only. Without a PPM, or with the PPM switched off, the registration accuracy is less compared to a printer with a PPM switched on. Therefore, we recommend that you measure at least 5 test pages and average these values. To adjust the image position other than through the test job 1 Access the Engine Key Operator System (see Accessing the Engine Key Operator System on page 28). 2 Open the Image registration section. Enter the correct values with the arrow buttons. Note: Be aware that the units are in millimeters. 7 If you have made a mistake, press the Correction button C to reset the values. Note: Be aware that you reset the values for all trays. To adjust the image position through the test job Note: If you use the test job, make sure that there are at least 2 sheets in tray 4. These sheets will be used to print an instruction sheet and a ruler. 1 Access the Engine Key Operator System (see Accessing the Engine Key Operator System on page 28). 2 Open the Image registration section. 3 Press the function button Papertray, to select the required tray. 4 Press the function button Correction, to select Position. 5 Press the function Print to select 1-sided (see figure 26) or 2-sided (see figure 27). 6 Press Start to print the test job. 7 Press Start again to confirm printing of the registration job. 8 Follow the instruction on the printed sheet, and measure with the printed ruler. 9 Select the page side and feed direction. Enter the correct values with the arrow buttons. Note: Be aware that the units are in millimeters. 10 If you have made a mistake, press the Correction button C to reset the values. Note: Be aware that you reset the values for all trays. 46 Océ 8400 Series System Operation Manual

47 To adjust the image size through the test job Note: Especially when printing on overhead sheets or labels, you may notice that the image size can change a few percent. This occurs only in the direction of the paper transport. 1 Access the Engine Key Operator System (see Accessing the Engine Key Operator System on page 28). 2 Open the Image registration section. 3 Press the function button Papertray, to select the required tray. 4 Press the function button Correction, to select Size. 5 Press Start to print the test job. 6 Press Start again to confirm printing of the registration job. 7 Follow the instruction on the printed sheet, and measure with the printed ruler.
