7 1. Corporate Electronic Banking- customer workstation: Getting started 1.1 How To Use This Guide This Guide covers the Customer Workstation features and functions. In each section, an exhaustive coverage is made on all the features deployed, highlighted with screenshots, tips and images to help you navigate the site. To help you quickly find the topics that are most important to you, we have added links to key subject areas. 1.2 About Security Online Banking is more SECURE than ever! Our Online Banking system uses industry-standard technology including password -controlled entry, Secure Sockets Layer (SSL) protocol, data encryption, public-private key pair, firewalls and filtering routers. Each security component acts as a layer of protection to safeguard sensitive data from unauthorized users. Customer Security Tips: CHANGE your password at regular intervals Always ensure your password is unique by mixing with characters and numbers. Try to avoid using pets or parents or friends or relatives names as password. It can easily be detected or guessed. Always avoid use of save password features offered by any mailing application or software A Transaction Password is provided to enhance the security aspect while conducting transaction online. Never SHARE this password, or for that matter any password. Make sure you always logout of any application, terminating transactions and all possible activities Spaces and other special characters are not allowed in the password. The password should contain a minimum of 6 characters and maximum of 16 characters. Security tip: Refrain from using password which may contain all the characters as in your login id. For example, if your login id is 'aazeem', then your password should not be 'aazeemkamel'. ITS 2008 Page: 7 of 169

8 2. Introduction 2.1 Purpose of this document The purpose of this document is to help the user acquaint, understand and use the banking services offered by the application. This guide has been prepared to provide Online Banking customers with tips to navigate the system with relative ease. 2.2 Foreground This is an Final version of Corporate Electronic Banking ver Scope This document covers the Front End Operation of Corporate Clients. The following is out of scope of this document: Credit Card Transactions. 2.4 Document Audience The document is intended for the use of all end-users, particularly, Corporate & Bank Staff. 9 3. Product Overview The core objective of the Retail e-banking application is to provide the banks with the ability to offer its customers the Online Basic Banking. Functionally the system will be divided into two sets of applications, based on segregating the operational motivation behind the two sets of distinct users, which are as follows Bank customers (Retail) whose motivation is to use the system in conducting the banking activities with the respective bank Bank Back Office support users whose motivation is to use the system in supporting & maintaining the Banking customers who are using the Front End System For the sake of clear understanding the two applications are named as Retail Electronic Banking- Customer Workstation (REB-CW) Retail Electronic Banking-Bank Back office (REB-BB) 3.1 Before using this service To access REB the user will need a PC (preferably Pentium with Windows3.x or Windows 95 or above with a mouse), a connection to the Internet and browser. Please check the following to ensure you are able to access the site: 1. In case you are accessing the site through a proxy: Go to Internet Explorer > Tools > Internet Options > Advanced > HTTP 1.1 settings > Check ( ) both options Enable HTTP 1.1 settings and Enable HTTP 1.1 settings through proxy connections 2. Check security Settings by going to Tools > Advanced > Security ( ) > Enable both boxes SSL 2.0 and SSL Check if the cipher strength = 128 bit. This can be checked by going to Internet Explorer > Help > About Internet Explorer. Cipher strength is displayed. If the same shows a number less than 128 bit, you have to update it by clicking on the adjacent link Update Information. Download the 128 bit encryption pack suitable for your browser. Let s get started 4.1 Getting Online To begin banking online, go to the Home page of E-pula Portal: Follow these simple steps to log-in: 1) Access the Internet through your Internet Service Provider (ISP). 2) Open your Web browser and get connected to our website by typing the following url or web link: 3) Kindly secure your User Id and Password from your system administrator to access the Online Banking application. 11 Corporate Name: Login Password: Transaction Password: ITSoft epulaloginl1 translogint1 Login password: You NEED this password to login to the online banking system Transaction password: You NEED this password to perform any transactions online. 4) Follow the sequence narrated in steps to login: Enter your Corporate Name Enter your User-ID Enter your Password Press the <Login> button to submit the details entered. Upon successful acceptance of the entries page, the landing page will appear. Points to Note 1. You have three attempts to login. 2. The new password should be alpha-numeric - a combination of alphabets and numbers. The password should be a minimum of 6 characters. Password Security 1. The passwords are case sensitive i.e. A (upper case) is different from a (lower case). 2..You are advised to change passwords as often as you may feel necessary. The passwords can be changed by clicking on CHANGE PASSWORD under the Maintenance link available on the navigation bar. 3. The system will force you to change the password as set in the Bank s guidelines. Your new password cannot be the same as any of your previous 5 passwords. 4. If you do not use the password for 90?? days then your password will expire and your login is automatically disabled. For re-issue of fresh password an request should be sent to the Customer Support team at Security Concerns. There are constraints deliberately imposed on the application in order to enhance the security of the system and integrity of transactions conducted online: Disabling of Back Button in the browser, Session Timeout Duration and Transaction Password. 12 Disabling Back Button: The Back button present in the browser has been disabled. In case the User clicks on the back button, the system will terminate operation and the login screen will appear. Session Timeout Duration: While conducting transactions online, there are possibilities for you to leave your computer unattended over and above a given period of time. This presents an opportunity for others to access your account without your knowledge. To enhance the security, the system is equipped with the session timeout feature which enables the system to log-you off over a period of inactivity. The system will advise you of the session expiry and prompt you to login again. Transaction Password: The security cover was further enhanced with another layer by securing the data through the Transaction Password. As a Bank Customer, you are allowed three attempts to submit the Transaction Password to complete the Transaction. In case, you fail in the permitted three attempts and attempt to enter the Transaction Password again for the fourth time, the system will terminate the transaction by an automatic logout. 13 4.2 The Home Page The home page will feature Message Center Pending Item List Message Center: A typical mailing section wherein you can read new mails in your Inbox, post your reply and even type a message and save it as a draft Pending Item List The Pending Item List will feature the list of functionalities that awaits Verification or Approval/Authorization and also records that were rejected. There is a <Refresh> button beneath the Pending Item Lists, which can be clicked to view the latest list. ITS 2008 Page: 13 of 169

14 4.3 Operational Flow - How to use this Application The Bank will create 2 Users-ids by default. As a Corporate, you can use these two user-ids to create your own roles and assign users, create your account groups and assign users to the groups. A typical set-up initiation works on the following lines 1. Maintenance. In the main menu displayed select the Maintenance tab Select the Account Group Maintenance and create a Group using the <Add Group> link. You can assign your account numbers to the Group created Select the User Role Maintenance tab and Create Roles using the <Add Role> link and assign access rights to create, verify, approve and/or view 1.3. Select the User Management tab using the <Add User> link and assign users to the roles created 2. Setup. In the main menu displayed select the Setup tab Workflow configuration Select the Corporate Signatory Class Setup and create a New Corporate Signatory Class using the <Add New Class> link. You can assign Users to the Class created. Once a user is assigned to a particular Class, a Transaction Password will be auto-generated by the system, which will be conveyed to the user. The system will force the user to change his Login and Transaction password during the subsequent login. Further, one user can be assigned to one class ONLY Select the Authorization Matrix Configuration and configure using the <Configure> link. You can view the classes created using the previous step. The system will force you to configure the new setup class using the <Configure> link. When you click on the link, the configuration screen appears wherein the authorization criteria can be set by selecting the choices as required. Basically, there are only FOUR choices: single, dual, treble and quadruple. o By single, the authorization requires only one signatory o By dual, the authorization requires two signatories ITS 2008 Page: 14 of 169

15 o o By triple, the authorization requires three signatories By single, the authorization requires four signatories Please Note that the Class and Number of signatories are inter-linked, and caution is urged while interpreting the matrix, you need to take both into consideration. For e.g., in the figure displayed, Class001 will require ONE signatory for any payment above 10,000, TWO signatories for payment above THREE signatories for payment above FOUR signatories for payment above Select the Account Signatory Class Setup and create a new Account Signatory class using the <Add Class> link. Your account numbers for which a Class has not been assigned will appear in the drop-down box. You need to select the account number for which a class has to be assigned. Its here you decide whether the account needs single authorization or dual or treble or quadruple. You can also edit the account already created using the edit link in the search results display. Note: Minimum one class is mandatory to setup a signatory level for an account Thus it s evident that the modules highlighted and explained are interlinked and interdependent. You need to understand the operation of the system commences by setting up the modules highlighted. The rest of the document would cover in detail the salient features and operation of all the functionalities handled in the banking application.

16 4.4 Account Information Account Summary: Account Summary on E-pula enables the User to view all the transactions for a particular account within a particular period in a detailed manner. Account Statement Account Statement on E-pula enables the User to view all the transactions for a particular account within a particular period in a detailed manner. Transaction History Transaction History on E-pula enables the User to view all the Transactions in a particular period. Cheque status enquiry Cheque Status Enquiry on E-pula enables the User to request for the status or position of a particular collection or payment cheque. ITS 2008 Page: 16 of 169

17 4.4.1 Account Summary Account Summary - Account Summary on E-pula enables the User to view all the transactions for a particular account within a particular period in a detailed manner. Step 1: View: You can view the summary of the Transactional Accounts (Savings / Current) in terms of Account Number Account Type Currency Alias Name Corporate Name Available Balance Ledger Balance Available Balance in Local Currency Ledger Balance in Local Currency Step 2: Transaction History. To view the details of a Transaction, you need to click the Account Number link in the Account Number Column. (Transaction History is discussed in detail in next section 4.4.3) ITS 2008 Page: 17 of 169

18 4.4.2 Account Statement Account Statement - Account Statement on E-pula enables the User to view all the transactions for a particular account within a particular period in a detailed manner. Step 1: Select the Account Type in case you are holding multiple accounts like savings, current etc. Step 2: Select the Account Number held in the selected Account Type. Step 3: Select the particular month in a particular year to view the Account Statement Step 4: Submit. The details entered need to be submitted by clicking on the <Get Statement> button. Step 5: Result. The screen displays all the transactions performed executed in the selected month year Transaction History Transaction History - Transaction History on E-pula enables the User to view all the Transactions in a particular period. Step 1: Select the Account Type in case you are holding multiple accounts like savings, current Salary, etc. Step 2: Select the Account Number held in the selected Account Type. Step 3: Select the Transaction Date. You can check the transaction performed for a period of time, by selecting the From and To dates. Step 4: Enter the Amount. You can view the transaction history for a range of amount by entering ITS 2008 Page: 18 of 169

19 the From and To fields. Step 5: Submit. The details entered need to be submitted by clicking on the <Search> button. ITS 2008 Page: 19 of 169

20 Step 6: Result. The screen displays all the transactions performed for the given timeline and given amount range. Step 7: Select the View last Transactions. Alternatively, You can view the number of previous transactions made by selecting the number from the drop-down box and click on View last Transactions. tep 1: Enter the Cheque number for which you wish to check the status. Step 2: Select your Account Number related to the Cheque. Step 3: Submit. The details entered need to be submitted by clicking on the <Submit> button. Step 4: Result. The screen displays the status of the cheque - whether cleared, or pending or put on hold or invalid cheque number. ITS 2008 Page: 20 of 169

21 4.5 Instructions Term Deposit: Term Deposit enables the Corporate user to request the bank to initiate a transfer of funds towards a Deposit, culminating after a fixed period with the Principal and Interest. Letter of Credit: Letter of Credit Instruction is sent to the Bank by the Corporate User to facilitate Credit availability towards dues payable to the Creditors of the Corporate Customer. Bank Guarantee: Bank Guarantee Instruction is designed by the Corporate Customer towards Guarantee of Payments due or Performance of any legal/ Contractual Obligations of the Corporate Customer. Account Creation: Account Creation ITS 2008 Page: 21 of 169

22 4.5.1 Term Deposits Term Deposits: Term Deposits enables the Bank User, on behalf of the customer, to initiate a transfer of funds towards a Deposit, culminating after a fixed period with the Principal and Interest Search Step 1: Enter the Profit Account. You need to enter the Profit Account as one of the criteria for the Search based on which the search will be performed and corresponding results displayed accordingly. (You can press the < Search > button, if your search is based only on the Profit Account. The matching record for the Profit Account entered will be displayed, else No Record Found displayed.) Step 2: Enter the Transfer Amount. You need to enter the Transfer Amount and select the corresponding currency based on which the search will be performed and corresponding results displayed accordingly. (You can press the < Search > button, if your search is based only on the Transfer Amount. The matching record for the Transfer Amount entered will be displayed, else No Record Found displayed.) Step 3: Select the Status of the Transaction. The status of the Transaction can also be selected as criteria for the search. Select the status of the Transaction from the drop-down box provided, based on which the search will be performed and corresponding results displayed accordingly. (You can press the < Search > button, if your search is based only on the Status. The matching record for the Status selected will be displayed, else No Record Found displayed.) Step 4: Submit. After making the entries, you need to submit by clicking the < Search> button. The matching record for the entries made will be displayed; else No Record Found will be displayed. Step 5: View the Profit Account List. From the result displayed, you will be able to View, edit or ITS 2008 Page: 22 of 169

23 delete a record. Step 6: ***** It must be understood that every transaction depends heavily on the role and the rights assigned to that role. **** Click on the Profit Account. To view the details about a Profit Account, you need to click on the Profit Account link. The screen that appears will feature the following options: If your role is privileged with the rights to create and the status is Active, Inactive or Rejected, the options presented are: <Print> : print the contents displayed <Back> : shift the control back to the previous screen If your role is privileged with the rights to verify or approve and the status is Pending Verification or Pending Approval, the options presented are: <Approve> / <Verify> : Approve / verify the transaction (which is also referred as Record ) <Reject> : Reject the transaction (which is also referred as Record ) <Print> : Print the contents displayed <Back> : Shift the control back to the previous screen Step 7: To Edit, click on Edit. To Edit the Profit Account, you need to click on the Edit option, by which the related profit Account screen will appear with some of the fields in editable mode. You can make your changes and submit it by clicking on the <Submit> button. If your role is privileged with the rights to create and the status is Active or Rejected, the options presented are: < Submit> by clicking on the <Submit> button, the changes you made will be updated <Discard> by clicking on the <Discard> button, the Transaction (or Record) will be removed from the workflow permanently (This option will be active only when the status is Rejected) <Reset> by clicking on <Reset> button, the entries made by you will disappear, replaced by previous records. <Cancel> by clicking on the <Back> button, the control will be shifted to the previous ITS 2008 Page: 23 of 169

24 screen. Note: Edit link will appear only when the record is in Active, Inactive or Rejected status. When a record is rejected, the creator can submit and resend it the workflow; else discard and remove the record permanently from the workflow. Verifier or approver doesn t have the rights to edit. Only the Creator can Edit. Step 8: To Delete, click on Delete. To Delete a particular Profit Account created, click on the Delete option. Confirmatory messages will pop-up prompting for your confirmation. If you click on <OK>, the Profit Account will be deleted; and if your choice is <No>, the control will return to the screen itself. Step 9: There is an option to create a New Transaction by clicking on the <Add New Transaction> button placed at the bottom of the screen. The creation of New Transaction is discussed in the next section. ITS 2008 Page: 24 of 169

25 Add New Transaction Step 1: Select the Account Type. Select the Account Type FROM which the payment will be made towards the Term Deposit amount. The account number can be selected from the drop-down box displayed. Step 2: Select the Class. Select the Class from the drop-down box displayed. The Term and period will be populated automatically on the screen. Step 3: Enter the Term Deposit amount. You need to enter the term deposit amount. The currency based on the Class will be displayed. Step 4: Profit Account Information. The profit from your terms Deposit can be linked to any of your accounts. You need to select the account from the drop-down box displayed. 26 Step 5: Enter Narration. To keep a track on why the transaction was made and for whom, note down some references in the narration fields. Step 6: Submit. You need to submit the entries made by clicking on the <Submit>.button. Alternatively, you can click on the <Reset> button to reset to default values or click on <Back> button to transfer the control to the previous screen. Step 7: Result. A message Success. The transaction - FLDFP has been approved (or sent for verification or sent for approval) will be displayed indicating successful transfer of funds. The screen will further display the following: the Debit Account details highlighting the Debit Account Number, the Currency in which the account is held and the available balance the Demand Draft amount and Currency the Beneficiary details highlighting the Beneficiary Account Number ITS 2008 Page: 26 of 169

27 4.5.2 Letter of Credit Letter of Credit: Letter of Credit enables the bank, on behalf of the customer, to draft an assurance that the customer's payment to a seller will be received on time and for the correct amount. There are two features on the landing page: Search and New Letter of Credit Search You can carry out your search based on any one or some or all of the criteria provided. Step 1: Enter the Letter Id. Enter the Id of the Letter of Credit, based on which the search will be performed and results displayed accordingly. Step 2: Enter the Letter Date. Select the Date of the Letter of Credit, based on which the search will be performed and results displayed accordingly. ITS 2008 Page: 27 of 169

28 Step 3: Select the Status. The status of the Transaction can also be selected as criteria for the search. Select the status of the Transaction from the drop-down box provided, based on which the search will be performed and corresponding results displayed accordingly. Step 4: Submit. After selecting the Status, you need to submit by clicking the < Search> button. The matching record for the entries made will be displayed; else No Record Found will be displayed. Step 5: View L/C List. You can view the list of L/C records awaiting verification or authorization. Also, you can edit the records for which the edit option is enabled. Step 6: Click on ID. To view in detail the L/C created, click on the Letter ID link of the record On click of the ID link, the screen that appears will display the details of the L/C which include Party Details, General Details, Amount Term, Shipment Credit Details, Payment Details, Good, Documents, Special Instructions and Customer to Bank Instructions. There will be buttons placed at the bottom of the screen by which you can exercise your rights and perform the following actions: Back Clicking on the <Back> button transfers the control back to the previous page Print You can print the contents of the screen by clicking on the <Print> button. Authorize (or Verify) If your privilege enables you to Approve/verify, then you can Approve/verify the functionality created and send it to next phase (verify/approval). Reject In line with the privileges provided to you, you can also Reject any transaction by clicking on the <Reject> button Step 7: To Edit, click on edit. Only those records saved as incomplete or reject can be edited. You need to click on the edit option (which is a hyperlink) and the screen bearing the L/C details will appear in edit mode. Step 8: There is an option to create a new Letter of Credit by clicking on the <New Letter of Credit> button placed at the bottom of the screen. 30 New Letter of Credit Party Details Step 1: Select Template (Optional). You can select a template from an existing list of templates from the drop-down box displayed. The template is a pre-formatted version of the existing screen already customized for the convenience of the Customer. This feature is optional. Step 2: Fill-in the Applicant and Beneficiary Details. Applicant. Select the Applicant from the two options displayed: Third Party or Company. o The Applicant can be a corporate or Third Party (for e.g., Proprietor). In case of Corporate, you need to select from the drop-down box displaying the list of Corporate. The list will also display the subsidiaries of a corporate. o If it s an Individual (for e.g., Proprietor), you need to select the Third Party Applicant option. Fill in the address, city and Pin. Select the Country and enter the phone number. Beneficiary. You need to fill-in the following particulars: Code of the Beneficiary; Name; address; city; pin; country and Phone Step 3: Fill-in the Issuing and Advising Bank Details. Issuing Bank is the one that interacts with and on behalf of the applicant while Advising Bank interacts and represents the Beneficiary. Fill-in Issuing Bank details. Select the Country first and the data would be populated for other pertaining fields. Select the Issuing Bank ITS 2008 Page: 30 of 169

31 Select the Branch Enter the address of the Issuing Bank Enter the Pin number followed by the Phone number Fill-in Advising Bank details. Select the Country first and the data would be populated for other pertaining fields. Select the Advising Bank Select the Branch Enter the address of the Advising Bank Enter the Pin number followed by the Phone number Step 4: Submit. The entries and selections made need to be submitted by clicking on one of the appropriate buttons placed at the bottom of the screen, namely. <Save Incomplete> you can save the Incomplete record, to work on it later. The record will be stored under a BGID (Bank Guarantee Identification Number). The record can be retrieved using the edit option on the Bank Guarantee list (use the Search option and select Incomplete option from the drop-down box, which will display the Bank Guarantee List) and complete the record. <Save and Add> You can save the record and also create another record <Save as Template> You can save the record created (by record, we refer Bank Guarantee) and make that a template by clicking on the <Save as Template> button. <Submit> You can submit the entries made and send it to the workflow wherein it will pass through the required verification and authorization to become an active record. <Cancel> The Control will be shifted from the present screen to the previous or default screen <Print Preview> You can preview the contents of the screen before printing by clicking on the <Print Preview> button <Reset> the entries will be reset to the default status ITS 2008 Page: 31 of 169

32 <Continue> You can pass the control to the next/succeeding screen by clicking on the <Continue> button ITS 2008 Page: 32 of 169

33 General Details Step 1: Enter the Name. You need to enter the name of the Beneficiary Step 2: Select the Type. There are 5 options for the type of L/C (Letter of Credit) that can be created. You need to choose from the following type : Revocable Irrevocable Transferable Non-Transferable Stand by L/C Step 3: References Enter the Customer Reference. You need to enter the reference of the Beneficiary Enter the Bank s L/C Number. You need to enter the Bank s L/C number Enter the Schedule/Application date. You need to enter the Schedule/Application date in case the date isn t the same as input date. Step 4: Issue by Select the Mode. The L/C can be issued by either courier or SWIFT mode. You need to select the mode from the drop-down box displayed. SWIFT is wire- mode of transfer. Step 5: Confirmation Instruction. You can confirm the L/C or may decide to add some more details or just prefer no instructions at all. You need to make a choice from the options provided. Step 6: Charges. Beneficiary: The bank charges to be borne by the beneficiary can be debited from the applicant s account or beneficiary s account. You need to select the option from the drop-down box displayed. Correspondent Bank: The bank charges to be borne by the Correspondent Bank can be debited from the applicant s account or beneficiary s account or from none. You need to select ITS 2008 Page: 33 of 169

34 the option from the drop-down box displayed. Confirmation Bank: The bank charges to be borne by the Confirmation Bank can be debited from the applicant s account or beneficiary s account or from none. You need to select the option from the drop-down box displayed. Special Rule Charge: You need to mention if any special rule for bank charges is to be used Drawdown Account: Drawdown account indicates account to markdown limit utilization. 46 4.5.3 Bank Guarantee Bank Guarantee: Bank Guarantee enables the bank, on behalf of the customer, to create an instruction that guarantees the customer's liabilities to the creditors. In other words, if the customer fails to settle a debt, the bank will cover it. There are three features on the landing page: Search and New Bank Guarantee and Export Search You can carry out your search based on any one or some or all of the criteria provided. Step 1: Enter the Id. Enter the Id number of the Bank Guarantee (OR Bank Guarantee ID), based on which the search will be performed and results displayed accordingly. Step 2: Enter the Bank Guarantee Date. Enter the Date of the Bank Guarantee, based on which the search will be performed and results displayed accordingly. Step 3: Enter Customer ID. Enter the Id number of the Customer, based on which the search will be performed and results displayed accordingly. Step 4: Select the Status. The status of the Transaction can also be selected as criteria for the search. Select the status of the Transaction from the drop-down box provided, based on which the search will be performed and corresponding results displayed accordingly. Step 5: Submit. After selecting the Status, you need to submit by clicking the < Search> button. The matching record for the entries made will be displayed; else No Record Found will be displayed. Step 6: View Bank Guarantee List. You can view the list of Bank Guarantee records awaiting verification or authorization. Also, you can edit the records for which the edit option is ITS 2008 Page: 46 of 169

47 enabled. Step 7: Click on ID. To view in detail the bank Guarantee created, click on the ID link of the record On click of the ID link, the screen that appears will display the details of the Bank Guarantee which include Party Details, General Details, Tender/Contract Details, Customer to Bank Instructions, Guarantee Wording and special Instructions. There will be buttons placed at the bottom of the screen by which you can exercise your rights and perform the following actions: Back Clicking on the <Back> button transfers the control back to the previous page Print You can print the contents of the screen by clicking on the <Print> button. Authorize (or Verify) If your privilege enables you to Approve/verify, then you can Approve/verify the functionality created and send it to next phase (verify/approval). Reject In line with the privileges provided to you, you can also Reject any transaction by clicking on the <Reject> button Step 8: Activity Trail. The activity trail will list of the chronology of events right from the creation of the Transaction, to necessary Verification and Authorization. It s recommended that any Transaction must necessarily have at least one verifier and one approver New Bank Guarantee Party Details Step 1: Select Template (Optional). You can select a template from an existing list of templates from the drop-down box displayed. The template is a pre-formatted version of the existing screen already customized for the convenience of the Customer. This feature is optional. Step 2: Party Details. The first step in constructing a bank guarantee starts with entries of party details. The word Party refers to the participants of the Bank Guarantee, namely the applicant and the beneficiary.
