1 Date: 10/17/2011 No. MB39-11AG Marketing Bulletin Product Family: Ariens and Gravely From: Distribution: Subject: Ariens Sales Department Partner Plus Dealers (US & CAN), RM s, DM s, Sales Partners, Tech Service, Customer Service Extranet Partner Plus Rebate Tracking Dealer Action: Notification to Change Password Ariens Company introduces real-time Rebate Tracking on the Dealer Extranet beginning October 31, The new screen will allow dealers to check on their rebate amount at any time throughout the year by simply logging onto the Dealer Extranet and going to the Sales and Marketing link on the main screen. As shown below, the Rebate Tracking screen will include: Your Ariens/Gravely sales to date for each store location Your Stens sales to date for each store location Total of sales for all store locations (Ariens/Gravely, Stens and grand total) Calculated rebate amount at current rebate percentage level The next rebate percent level available based on sales Please note: because the Stens data is merged into the system only once daily, it will run 24 hours behind. 2 IMPORTANT: The Rebate Tracking Screen will be visible to anyone logging onto your dealer extranet account using the Administrator login/password. This means that if you share your Administrator login/password with employees, they will have access to this screen. If you want to restrict access to the Rebate Tracking Screen, you will have to change your administrator password and set separate employees passwords using the instructions below. Once this process is complete, each Extranet user in your dealership will continue to sign on with the Dealer/Account number. Then, they will use their own password which you have assigned. How to Reset Your Administrator Password The following instructions will outline how to Reset Your Administrator Password prior to October 31, 2011 when the Rebate Tracking Screen goes live on the Dealer Extranet. STEP 1: Log On to the Extranet Sign on to the Dealer Extranet using your dealer number ID and password as usual. This ID and password will remain the same even after you change your Administrator password. Page 2 of 6
3 STEP 2: Change Your Administrator Password Click on link titled Change Account Information located on the Main Menu screen. Use this window to change your administrator password. Keep this password for yourself and use the next step to set up other passwords for your employees. Page 3 of 6
4 STEP 3: Set Up New Passwords for Employees or Departments Scroll down the same window until you reach the table with the headings of User Name, Password and Address at the top of the columns. Use the rows to set up new passwords for your employees. This can be organized by department name, employee title, employee name etc. Choose the set up that best works for your business. If you need more than seven entries it will expand as you fill in the rows. Please note: The User Name is just for your identification (all users will continue to sign on with the same user name which is your dealer or account number). Please note: The Address is totally optional and only informational. Click the Submit button at the bottom of the page to update any and all information that you have added or changed. Once you have completed this step, only those logging on to the Extranet with the Administrator password will have access to the Rebate tracking Screen STEP 4 (OPTIONAL): Set Additional Security for the New Users You Have Added As the Administrator, you have the option to allow or restrict access to critical or sensitive menu options. The options that have a feature to allow or restrict are: Service Parts Order Entry (defaults to allow access) Equipment Planning Order Entry (defaults to allow access) Service Parts Returns (defaults to allow access) Warranty Claim Entry (defaults to allow access) Open Invoice Payment (defaults to allow access) Partner Plus Rebate Inquiry (defaults to restrict access) Page 4 of 6
5 For any menu option listed above that you want to set security, click on the heading from the drop down menu (in this case, Service Parts order Entry). Once in the menu item screen, click on the button titled, Security. This will allow you to set security for this option on the next screen. Page 5 of 6
