1 Exercise 2 Adding Graphics, Animation, and Sound To A Presentation 1. Click Start on the Menu bar, point to Programs, and select Microsoft PowerPoint. 2. The PowerPoint dialog box opens. 3. Select Design Template. 4. Click OK. 5. The New Presentation dialog box opens. 6. Click the Design Templates tab. 7. Select the Soaring presentation design template. 8. Click OK. The Soaring design has a dark blue background, contrasting gold titles, and white text. 9. Select the Title Slide AutoLayout 10. Click OK. 11. You should be in Normal View. 12. Click on the Normal View button Notice that the Status bar displays information about the current slide the slide number and current design template. Saving Your Presentation Presentation1 has not been saved with a name. 14. Press Ctrl+S. 15. The Save dialog box appears. 16. To the right of the Save in text box, click the drop-down arrow and select your period folder. 17. In the File name text box, a suggested file name should be highlighted. 18. Replace this filename by typing Westchester Triathlon, press Spacebar, type your initials, press Spacebar, and type your partner s initials. PowerPoint Exercise 2 Page 1

6 Adding Headers and Footers to the Slides and Handout You can add headers and footers to add information on each slide and on your printed material Click View on the Menu bar and select Header/Footer The Header/Footer dialog box opens Click the Slide tab Check the Date and time box Select Update automatically Check the Slide number box Check the Footer box In the Footer text box type your names Uncheck the Don t show on title slide box Click the Notes and Handouts tab Check the Date and time box Select Update automatically Check the Header box In the Header text box type your names Check the box next to Footer In the Footer text box type PowerPoint Exercise Click Apply to All. Formatting the Text 144. Insert a Motion Clip Art PowerPoint has the ability to show animated GIF files. Animations are good ways to get your audience s attention Click the Slide 4 icon in the Outline pane of the PowerPoint window PowerPoint moves to Slide You want to find a picture of a trophy Click Insert on the Menu bar, point to Picture, and select Clip Art The Clip Gallery opens Click the Clips Online button This will connect you to Microsoft on the World Wide Web Click the drop-down arrow next to Search and select Animations Type trophy in the text box Click the Go button Find the trophy that looks like the picture to the right Check the box under the picture. Using AutoLayouts to Add Clip Art PowerPoint simplifies adding clip art to a slide by providing AutoLayouts designed specifically for clip art Click the Slide 5 icon in the Outline pane of the PowerPoint window. PowerPoint moves to Slide Double-click the clip art placeholder This will automatically open the Clip Gallery In the Search for clips text box type directions Press Enter Find the sign that looks like the picture to the right Click the sign clip art and select the top button from the Pop-up menu Close the Clip Gallery by clicking the Close button Notice that the picture has been automatically resized to fill the clip art placeholder Look at Figure 5 to see the sign on the slide. Inserting Multiple Clip Art Pictures on a Slide Let s make a group of cyclists race across the screen on this slide Click the Slide 2 icon in the Outline pane of the PowerPoint window PowerPoint moves to Slide 2. Move and Copy the Clip Art 224. Drag the picture to the bottom right corner of the screen With the racer still selected, press Ctrl+C Press Ctrl+V to paste a copy of the racer Drag the new racer a bit behind the first racer Press Ctrl+V to paste a copy of the racer Drag the new racer a bit behind the first racer Make a group of 4-5 racers. 10 Group the Clip Art Grouping a when you combine a number of clip art pictures into one picture Hold down the Shift key and click each racer to select it You should see the handles for each picture Release the Shift key Right-click any of the racers, point to Grouping, and select Group. Adding Animation Effects PowerPoint provides many animation effects to make your slide show presentation look professional. In this exercise, you use slide transitions and custom animations. Slide transition effects define special effects for progressing from one slide to the next in a slide show. Custom animation effects define animation, sound effects, and timing for objects on a slide. The following pages discuss each of these animation effects in detail. The title slide of every presentation should seize the attention of the audience. In order to excite the audience with the Westchester Triathlon presentation, you want to intensify the clipart object on the title slide. First, you emphasize physical activity by displaying the running quickly toward you from the center of the slide. Finally, you add a sound effect to the runner to emphasize winning and glory. PowerPoint allows you to animate clip art and at sound by selecting an effect from a list. Animate a Piece of Clip Art 236. Click the Slide 1 icon in the Outline pane of the PowerPoint window PowerPoint moves to Slide Right-click the runner Select Custom Animation The Custom Animation dialog box opens Under Check to animate slide objects, select Picture frame 3 (the runner) Click the Order & Timing tab Under Start animation select On mouse click Click the Effects tab. Changing Line Spacing In the last exercise, you changed the level one line spacing in the Slide Master to change every slide in the presentation. In this exercise, only two slides need line spacing changes. Therefore, you must change the line spacing on each slide individually Click the Slide 4 icon in the Outline pane of the PowerPoint window PowerPoint moves to Slide Click in the level-one bulleted text Classification winners Click Format on the Menu bar and select Line Spacing Change the Before paragraph spacing to 1 Line Click OK Click the Slide 5 icon in the Outline pane of the PowerPoint window. PowerPoint moves to Slide Click in the level-one bulleted text Mail $25 to: Click Format on the Menu bar and select Line Spacing Change the Before paragraph spacing to 1 Line Click OK Click in the level-one bulleted text Call: Click Format on the Menu bar and select Line Spacing Change the Before paragraph spacing to 1 Line Click OK Look at Figure 4 again and notice that the date, the address, and the phone number bullets have some extra space. Adding Slide Transitions to a Slide Show PowerPoint allows you to control the way you advance from one slide to the next by adding slide transitions to an on-screen slide show. Slide transitions are visual effects that display when you move one slide off the screen and bring the next one on. PowerPoint has 46 different slide transitions Click the Slide Sorter View button at the bottom of the screen PowerPoint displays the presentation in Slide Sorter View. PowerPoint Exercise 2 Page 14

16 Spell Check the Document 348. Click the Spell Check button on the Standard toolbar Check all your spelling carefully Press Ctrl+S to save. Running an Animated Slide Show Exercise 1 introduced you to using slide show view to look at your presentation one slide at a time. This exercise introduces you to running a slide show with slide transition effects and object animation effects. When you run a slide show with slide transition effects, PowerPoint displays the slide transition effect when you click the mouse button to advance to the next slide. Animated clip art objects display the selected animation effect in the sequence established in the Custom Animation dialog box. Perform the steps to run the animated Westchester Triathlon slide show Click Slide 1 to select it With Slide 1 selected, click the Slide Show View button When Slide 1 opens in Slide Show View, click the slide anywhere except on the Popup Menu buttons PowerPoint first displays Slide 1 without the runner Click the slide anywhere except on the Popup Menu buttons The runner s animation and sound effects will display Click on Slide 1 again and you will move to Slide Continue clicking to move through the slide show When you reach the end of the show, you will be returned to Slide Sorter View You can watch the slide show again or move on to the next step. Printing a Handout 361. Click File on the Menu bar and select Print The Print dialog box opens Make sure Ireland is the selected printer Under Print range, All should be selected Under Print what, click the drop-down arrow and select Handouts Next to Slides per page, click the drop-down arrow and select Under Number of copies, type Click OK.
