The Persoal Etertaimet Orgaiser (hereafter referred to as 'CLIÉ hadheld') fuctios as a persoal digital orgaiser where you ca record addresses, evets, memos, expese reports ad much more. As well as these fuctios, the CLIÉ hadheld also works as a iformatio termial with a excellet exteded ability to coect to other devices such as persoal computers. Ejoy the followig major features of the CLIÉ hadheld: The Persoal Digital Assistat applicatios: Date Book, Address Book, To Do List, Memo Pad, Expese ad Calculator. Data exchage capabilities or data sychroizatio with your computer (HotSyc ). Playback or still or motio pictures workig with PictureGear Lite software o your computer. Data exchage with a computer or other CLIÉ hadhelds usig the Memory Stick ad Jog Dial. Exteded features with the istallatio of add-o applicatios for the Palm Operatig System (see the Software Guide for more). 7 Gettig Started Gettig Started This sectio is desiged to complemet the prited Read This First documet. Please refer to the gettig started explaatios there for more details. Turig your CLIÉ hadheld o ad off To tur o your CLIÉ hadheld, proceed as follows: 1 Press the power butto (1) as show i the illustratio. 2 Your CLIÉ hadheld is tured o. If this is the first time you are usig your hadheld, you will see the Setup scree. If this is ot the first time, you see the last scree you viewed. 3 If the power does ot come o, make sure that the hold switch (2) is ot i the lock positio. 6 To tur off your CLIÉ hadheld, proceed as follows: Press the power butto. The power is tured off. You do ot have to save data, quit a applicatio or perform ay of the other shutdow procedures that your computer requires. Holdig the POWER butto dow for two secods or loger will tur the scree's frotlight o or off.

8 Gettig Started Usig the stylus With your CLIÉ hadheld, you ca use the supplied stylus to eter characters or to specify a applicatio you wat to ru. The stylus is stored i the holder at the back of your CLIÉ hadheld. As show below, simply pull it out whe eeded. To avoid losig the stylus, always put it back i its holder after use. 7 Tappig To ope a applicatio or select a item, take the stylus ad press the tip lightly o the ico or item o the scree as show. This actio is called "tappig".

9 Gettig Started Draggig Just as you ca drag the mouse to move objects or text o your computer, you ca use the stylus to drag a item o the scree of your CLIÉ hadheld. To drag, press the stylus lightly o the item ad move it alog the scree surface to its ew positio. 8 You ca use the draggig actio i the followig scearios: To display data above or below the curret viewig area o the scree, use the stylus to drag the slider of ay scroll bar. To select multiple characters or items together, drag the stylus alog all the required characters or items. To display the oscree Graffiti Help, drag the stylus from the bottom of the writig area to the top of the scree. You ca assig the full-scree drag to aother activity, see Assigig prefereces to the full-scree stroke (page 107).

10 Gettig Started Usig the Jog Dial Your CLIÉ hadheld is equipped with a Jog Dial, which allows you to perform all major operatios without the stylus. You ca operate your CLIÉ hadheld usig the Jog Dial with just oe had. The ico of ay applicatio that supports Jog Dial operatios is marked with the Jog Dial symbol. For other applicatios, you ca also use the JogAssist fuctio to eable Jog Dial operatios. For details, see Chagig the Jog Dial prefereces (page 109). Rotatig the Jog Dial Rotate the Jog Dial to select various items i successio or to select a applicatio to start. The operatios you ca perform by rotatig the Jog Dial differ depedig o the applicatio you are usig. For details, refer to the istructios for each applicatio. 9 Pressig the Jog Dial Press the Jog Dial to highlight the item or to ru the applicatio you selected by rotatig the Jog Dial. The operatios you ca carry out by pressig the Jog Dial differ depedig o the applicatio you are usig. For details, refer to the istructios for each applicatio. Pressig while rotatig the Jog Dial Some applicatios support operatios executed by rotatig ad pressig the Jog Dial. For details, refer to the istructios for each applicatio.

11 Gettig Started Adjustig the frotlight You ca tur the frotlight o the scree o or off, or adjust the brightess accordig to the lightig coditios or temperature of the eviromet i which you are usig your CLIÉ hadheld. To tur the frotlight o ad off, press ad hold dow the power butto for more tha two secods. Eve with the frotlight o, you may eed to further adjust the brightess o the scree. To adjust the brightess of the frotlight level, proceed as follows: 1 Tap the ico. The adjustmet cotrol scree is displayed. 2 To chage the brightess level slightly, tap to the left or right. 3 To chage the level cosiderably, drag the slider to the left or right. You ca also press the scroll butto to move the slider gradually. 4 Tap Doe. The brightess level is adjusted. 10

12 Resettig your CLIÉ hadheld Resettig your CLIÉ hadheld Uder ormal circumstaces, you will ot have to reset your CLIÉ hadheld. O rare occasios, however, your CLIÉ hadheld may o loger respod to buttos or the scree due to isufficiet memory or other reasos. I this case, you eed to perform a reset to get your CLIÉ hadheld ruig agai. Performig a soft reset A soft reset tells your CLIÉ hadheld to stop what it is doig ad start over agai. All records ad etries stored o your CLIÉ hadheld are retaied with a soft reset. To perform a soft reset, proceed as follows: 1 Take out the reset tip by uscrewig the metal barrel from the stylus quill, as show below. 2 Use the reset tip to getly press the reset butto iside the hole o the back pael of your CLIÉ hadheld. 3 The system shuts dow ad the restarts. After restartig, the system displays Palm Powered, CLIÉ, ad Soy, followed by the Prefereces scree for settig the time ad date. 11

13 Resettig your CLIÉ hadheld Performig a hard reset Please be fully aware that followig the procedure below will make you lose all the data you have saved o your CLIÉ hadheld! If there is a problem that a soft reset caot resolve, you eed to perform a hard reset to restart your CLIÉ hadheld. With a hard reset, all records ad etries stored o your CLIÉ hadheld are erased; oly the curret date ad time are retaied. Formats, prefereces, ad other settigs are restored to their factory default settigs. Oly perform a hard reset if a soft reset does ot resolve your problem. If you save a backup of your CLIÉ hadheld data o your computer, you ca restore ay data previously sychroized with your computer durig the ext HotSyc operatio. To perform a hard reset, proceed as follows: 1 Take the reset tip from the stylus (see Performig a soft reset (page 11)). 2 While holdig dow the power butto, use the reset tip to getly press ad release the reset butto. The Palm Powered widow is displayed. 3 Release the power butto. You will see a message warig you that you are about to erase all the data stored o your CLIÉ hadheld. 4 Tap the upper half of the scroll butto o the frot pael of your CLIÉ hadheld. Your CLIÉ hadheld udergoes a hard reset ad everythig is erased apart from the curret date ad time. If the scroll butto was used just prior to hard resettig, the hard reset may ot work. 12

14 Eterig data Eterig data There are three ways to eter data o your CLIÉ hadheld: Usig Graffiti writig Usig the oscree keyboard Usig your computer keyboard. Graffiti writig Your CLIÉ hadheld icludes Graffiti writig software as the primary system for eterig text ad umbers. With Graffiti writig, you write simple strokes with the stylus ad they are istatly recogised as letters or umbers. The Graffiti strokes closely resemble the upper case letters of the regular alphabet, which makes Graffiti writig easy to lear. This sectio explais the procedures for creatig letters, umbers, puctuatio, ad symbols, as well as teachig you some Graffiti tips ad tricks. 13 Writig Graffiti letters The Graffiti writig area is divided ito two parts: oe for writig the letters of the alphabet ad oe for writig umbers. The small marks at the top ad bottom of the Graffiti writig area idicate the two areas. There are four basic cocepts for success with Graffiti writig: If you draw the character shape exactly as show below, you ca achieve 100% accuracy.

15 Eterig data The heavy dot o each shape shows where to begi the stroke. Certai characters have similar shapes, but differet begiig ad ed poits. Always begi the stroke at the heavy dot (you should ot create the heavy dot; it is oly there to show you where to begi the stroke). Most characters require oly a sigle stroke. Whe you lift the stylus from the Graffiti writig area, your CLIÉ hadheld recogises ad displays the text character immediately. To allow you to write a etire character with a sigle stroke, some Graffiti strokes are portios of the regular alphabet equivalets. Keyboards Usig the oscree keyboard 14 You ca ope the oscree keyboard ay time you eed to eter text or umbers ito your CLIÉ hadheld. ote that you caot eter Graffiti characters while usig the oscree keyboard. To use the oscree keyboard, proceed as follows: 1 Ope ay applicatio i which you wat to eter text (such as Memo Pad). 2 Tap ay record, or tap ew. 3 Tap <a> to ope the alphabetic keyboard, or tap <1> to ope the umeric keyboard. The selected keyboard is displayed. You ca toggle betwee the iteratioal, alphabetic ad umeric keyboards, as show i the ext sectios. 4 O the keyboard, simply tap the characters to eter text ad umbers. You ca use the olie keyboard i the same way as o the keyboard of your computer. For example, to eter capital letter, tap <cap> ad the tap the character butto. To delete a character, tap <B>. 5 Whe you have fiished, tap Doe to close the oscree keyboard ad place the text i the record.

18 Eterig data Usig your computer keyboard If you have a lot of data to eter, or simply prefer to use the computer keyboard, you ca use Palm Desktop for CLIÉ software or ay other supported persoal iformatio maager (PIM), such as Microsoft Outlook, to eter iformatio. You ca the perform a HotSyc operatio to sychroize the iformatio o your computer with the iformatio o your CLIÉ hadheld. All the mai applicatios o your CLIÉ hadheld are also available i the Palm Desktop for CLIÉ software ad i most PIMs, so you do ot eed to lear differet applicatios. Refer to the Palm Desktop for CLIÉ software olie Help for more iformatio o eterig data o your computer. If you have data stored i computer applicatios such as spreadsheets, ad databases, or if you wat to import data from aother hadheld, you ca trasfer the data to your CLIÉ hadheld ad use it without eterig data maually. Save the data i a compatible file format (.csv,.txt,.tab,.tsv,.dba,.aba,.tda,.mpa), import it ito your Palm Desktop for CLIÉ software, ad the perform a HotSyc operatio to trasfer the data to your CLIÉ hadheld (see Usig HotSyc operatios (page 74)). 17

19 Maagig applicatios Maagig applicatios This chapter explais how to switch betwee applicatios o the CLIÉ hadheld, how to persoalize applicatio settigs, ad how to categorize applicatios ito related groups. The Applicatio Laucher The Applicatio Laucher displays all the default applicatios available o the CLIÉ hadheld. You ca also display selected applicatios by arragig them ito categories. To start the Applicatio Laucher, tap the Home ico. 18 As well as beig your gateway to all the applicatios, the Applicatio Laucher scree displays the curret time, battery level, ad applicatio category.

20 Maagig applicatios Opeig applicatios To ope a applicatio, proceed as follows: Tap the ico of the applicatio you wat to ope. If you have may applicatios istalled o the CLIÉ hadheld, tap the scrollbar to see all the available applicatios. Or 1 Tap the Home ico. 2 Rotate the Jog Dial to select the applicatio. 3 Push the Jog Dial to lauch the selected applicatio. Or Press a applicatio butto o the frot pael to display the selected applicatio immediately: Date Book 3. To Do list 2. Address Book 4. Memo Pad

21 Maagig applicatios Opeig applicatios o the Memory Stick To ope a applicatio o the Memory Stick, proceed as follows: 1 From the Applicatio Laucher scree, tap the arrow i the upper-right corer of the scree ad select Card (or a category with the Card ico). 2 Tap the ico of the applicatio you wat to ope. The Card ico is displayed oly whe a Memory Stick is iserted ito the CLIÉ hadheld. There are some restrictios whe opeig a applicatio copied (ot istalled usig MS Gate) oto the CLIÉ hadheld from the Memory Stick. See the Software Guide for more details. 20 Chagig the display of the Applicatio Laucher By default, the Applicatio Laucher displays applicatios as icos. You ca also display applicatios i a list format. To display applicatios i a list format, proceed as follows: 1 Tap the Home ico. 2 Tap the Meu ico. 3 Tap the Optios meu. 4 Tap Prefereces. 5 Tap the View by drop-dow list. 6 Select List. 7 Tap OK. The applicatios are ow displayed i list format.

22 Maagig applicatios Categorizig applicatios The category feature eables you to maage the umber of applicatio icos that appear o scree i the Applicatio Laucher. You ca assig a applicatio to a category ad the display a sigle category or all your applicatios. To categorize a applicatio, proceed as follows: 1 Tap the Home ico. 2 Tap the Meu ico. 3 From the App meu, select Category. The Category scree appears. 4 Tap the dow arrow ext to the applicatio you wat to categorize. 5 Select the category you wat. 6 Tap Doe. To create a ew category for a applicatio, proceed as follows: 1 Tap the Home ico. 2 Tap the Meu ico. 3 From the App meu, select Category. The Category scree appears. 4 Tap ext to applicatio you wat to categorize. 5 Tap Edit Categories. 6 Tap ew. 7 Eter the category ame. Write the ame i the Graffiti text area. 8 Tap OK to add the category. 21

Sortig applicatios To display applicatios by category, proceed as follows: 1 Tap the Home ico. 2 Do oe of the followig: Tap the Home ico repeatedly to go through all the categories. Tap i the top right-had corer of the scree ad the tap the category you wat from the dropdow categories list. Push the Jog Dial repeatedly while o applicatios are selected. 22 Searchig for records Your CLIÉ hadheld lets you fid iformatio i several ways: I all applicatios, startig with the curret applicatio, you ca fid/search for selected text. I the Date Book, the To Do List ad the Memo Pad, you ca fid a telephoe umber from the Phoe Lookup to display the Address List scree ad let you add the iformatio that appears i this list to a record. I the Address Book, you ca use the Fid optio to eter the first letters of a ame ad scroll immediately to that ame. I the Expese applicatio, you ca use Lookup to display the ames i your Address Book that have data i the Compay field. You ca add these ames to a list of attedees associated with a Expese record.

24 Maagig applicatios Usig the Fid optio The Fid optio lets you search for text i ay or all applicatios. For example, if the text appears i the Address Book ad the Date Book, the Fid optio displays both occurreces i the Fid dialog box. To use Fid, proceed as follows: 1 Tap the Fid ico. The Fid dialog box appears. 2 Eter text you wat to fid. You ca fid the letters of the alphabet, symbols, ad umbers. 3 Tap OK. Fid starts ad the fid result list displays all words which iclude the text you etered. The otes attached to each record ca also be foud. 4 Tap the data you wat from the fid result list. The applicatio icludig foud data automatically starts up to display data. Tap Stop to stop the search at ay time. Tap Fid More to restart Fid. The Fid optio is ot case sesitive; searchig for 'soy' also fids 'Soy'. Select text i a applicatio before tappig the Fid ico to automatically place the text i the Fid dialog box. 23 Usig the Phoe Lookup optio The Phoe Lookup optio lets you fid a telephoe umber from the Address list ad add it to a etry i aother applicatio. For example, you ca add a telephoe umber from the Address list to a etry i the Memo Pad usig the Phoe Lookup. To use Phoe Lookup, proceed as follows: 1 Display the record i which you wat to isert a phoe umber. The record ca be i the Date Book, the To Do List, or the Memo Pad.

25 Maagig applicatios 2 Tap the Meu ico. The meu of the applicatio appears. 3 Tap Optios, the Phoe Lookup. The Phoe umber Lookup scree appears. 4 Tap a phoe umber you wat to add. 5 Tap Add. The Phoe Lookup scree closes ad the ame ad phoe umber are added to the record. To fid a phoe umber quickly, eter the first few letters of the ame you wat to fid i the Look Up field i the lower scree. You ca use Phoe Lookup by writig the shortcut for the Phoe Lookup commad i the text Graffiti area. You will fid it easy to use Phoe Lookup without displayig the Phoe Lookup scree by performig the followig: Eterig a ew ame with Phoe Lookup: For example, you write Joh with Graffiti to eter the ame ad phoe umber of Joh Smith. The ame ad phoe umber of Joh Smith are added, if Joh Smith is the oly oe i records. The records iclude may Johs, the Phoe umber Lookup scree appears. Phoe Lookup by text: You drag ad highlight text before you write with Graffiti. The Phoe Lookup starts up to exchage the selected text for the foud ame ad phoe umber. If may records for the selected text are icluded, the Phoe umber Lookup scree appears. 24 Opeig the Applicatio Laucher at the category you last opeed You ca set your CLIÉ hadheld to display the last category of applicatios you selected, each time you retur to the Applicatio Laucher. To display the last-selected category of applicatios, proceed as follows: 1 Tap the Home ico. 2 Tap the Meu ico. 3 Tap the Optios meu, the Prefereces. The Prefereces scree is displayed. 4 Select the Remember Last Category check box.

26 Maagig applicatios 5 Tap OK. The settig is made. Oly applicatios started from the Applicatio Laucher scree will be remembered as the last-used applicatio. Switchig betwee applicatios To switch betwee applicatios, you ca either: Tap the ico of the applicatio you wat. Or Press the appropriate applicatio butto o the frot pael of the CLIÉ hadheld. The CLIÉ hadheld automatically saves your work i the curret applicatio ad displays it whe you retur to that applicatio. 25 Usig the Edit scree The Edit meu is available with ay scree where you eter or edit text. I geeral, commads available i the Edit meu apply to text that you select i a applicatio. To use the Edit meu, proceed as follows: 1 Tap the drop-dow ico. The meu appears. 2 Select Edit. The Edit meu appears. You ca also double-tap to select a word, or triple-tap to select a lie of text. You ca also drag across the text to select additioal words, or drag dow to select a group of lies. The followig commads may appear i a Edit meu:

27 Maagig applicatios Udo: Reverses the actio of the last edit commad. For example, if you used Cut to remove text, Udo restores the text you removed. Udo also reverses deletios doe by usig backspace. Cut: Removes the selected text ad stores it temporarily i the memory of your orgaiser. You ca paste the text you cut ito aother area of the curret applicatio or ito a differet applicatio. Copy: Copies the selected text ad stores it temporarily i the memory of your orgaiser. You ca paste the text that you copy ito aother area of the curret applicatio or ito a differet applicatio. Paste: Iserts the text that you cut or copied at the selected poit i a record. The text you paste replaces ay selected text. If you did ot previously cut or copy text, Paste does othig. Select all: Selects all of the text i the curret record or scree. This eables you to cut or copy all of the text ad paste it elsewhere. Keyboard: Opes the oscree keyboard. Whe you have fiished with the oscree keyboard, tap Doe. 29 Usig your CLIÉ hadheld Usig your CLIÉ hadheld Usig the basic Palm OS applicatios Your CLIÉ hadheld is pre-istalled with the followig Palm OS basic applicatios: Date Book, Address Book, To Do List, Memo Pad, Expese ad Calculator. This sectio explais how to use them. For the basic Soy applicatios ad other software available for use o the CLIÉ hadheld, please see the Software Guide. 28 Date Book Date Book lets you quickly ad easily schedule appoitmets or ay activity associated with a date or a date ad time. A record i Date Book is called a evet. To ope Date Book, proceed as follows: 1 Press the Date Book butto o the frot pael. Date Book starts up. Today s schedule is displayed with a list of times for a stadard busiess day. 2 Press the Date Book butto repeatedly to cycle through the Day, Week, Moth, ad Ageda views. The Date Book views are displayed i the bottom left-had corer of the scree. Schedulig evets Schedulig a evet for today To schedule a evet for the curret date, proceed as follows: 1 Tap the appropriate time lie for the begiig of the evet. 2 Eter a descriptio of the evet. You ca eter a descriptio or ote up to 255 characters i legth.

If the evet is loger or shorter tha oe hour, tap the time of the evet to ope the Set Time dialog box. 4 To set the duratio of the evet, either: Tap the time colums o the right side of the Set Time dialog box to set the start time. Tap the Ed Time box, the tap the time colums to set the Ed Time, or; Tap All Day to automatically isert the start ad ed time of the evet as defied i your Date Book prefereces. 5 Tap OK. 6 Tap a blak area of the scree to deselect the evet. 7 A vertical lie appears ext to the time, idicatig the duratio of the evet. You ca also ope the Set Time dialog box by writig a umber i the Graffiti writig area ad makig sure o evet is selected. To schedule a utimed evet, proceed as follows: I step 3 above, tap o Time. A ew utimed evet is displayed i the first lie i Date Book. Schedulig a evet for aother date To schedule a timed evet for aother date, proceed as follows: 1 Press the Date Book butto o the frot pael. Date Book starts up. 2 Do oe of the followig to select the date you wat for the evet: Tap the day of the week o top of the Date Book scree. To move to aother week, tap oe of the scroll arrows of either side of the day of the week area. Tap Go to at the bottom of the scree. The Go to Date dialog box appears. Select a date by tappig a year, moth, ad day i the caledar. 3 Follow the steps i Schedulig a evet for today (page 28). You ca also use the scroll butto o the frot pael to move forward or backward oe day or oe moth at a time. 29

Schedulig repeated ad cotiuous evets The Repeat fuctio lets you schedule evets that recur at regular itervals or exted over a period of cosecutive days. Examples of repeated or cotiuous evets: A birthday: a aual evet A weekly guitar lesso: a evet that falls o the same day of the week ad at the same time of day Busiess trip or vacatio: a cotiuous evet. To schedule a repeated evet, proceed as follows: 1 Tap the descriptio of the evet. 2 Tap Details. The Evet Details dialog box appears. 3 Tap Repeat. The Chage Repeat dialog box appears. 4 Tap Day, Week, Moth, or Year to set how ofte the evet takes place. Whe you tap Week: After Repeat, tap a letter represetig the appropriate day of the week. Whe you tap Moth: After Repeat by, either tap a day to repeat the evet o a certai day of the same week each moth, or tap Date to repeat the evet o the specified date each moth. 30

The Date Book scree appears. 7 Make sure the Repeat ico is displayed to the far right of the evet. If you chage the start date of a repeated evet, your CLIÉ hadheld calculates the umber of days the evet was moved by. Your CLIÉ hadheld the automatically chages the ed date so that the duratio remais the same. If you chage the repeat iterval (for example, daily to weekly) of a repeated evet, past occurreces (prior to the day o which you chage the settig) are ot chaged, ad your CLIÉ hadheld creates a ew repeated evet. If you chage the date of a repeated evet (for example, from Jauary 14 to Jauary 15) ad apply the chage to all occurreces, the ew date becomes the start date of the repeated evet. Your CLIÉ hadheld adjusts the ed date to maitai the duratio of the evet. If you chage other repeat settigs (for example, time, alarm, private) of a repeated evet ad apply the chage to all occurreces, your CLIÉ hadheld creates a ew evet. The start date of this ew evet is the day o which the settig is chaged. Past occurreces (prior to the day of chage) are ot chaged. If you apply a chage to a sigle occurrece of a repeated evet (for example, time), that occurrece loses its repeat ico. 31

To display the Date Book views, proceed as follows: 1 Tap the blak area o your scree, so that o evet is selected. 2 Press the Jog Dial. Each time you press the Jog Dial, you go through the differet views: daily caledar, weekly caledar, mothly caledar ad schedules for the day. 3 You ca also select a Date Book view by tappig a ico i the Date Book scree. I additio, the graphical display helps you spot overlaps ad coflicts i your schedule. To go to Week view, proceed as follows: 1 Press the Date Book butto o the frot pael. Date Book starts up. 2 Press the Jog Dial. The Week view appears. This scree shows the utimed evets or available time slots. 3 Rotate the Jog Dial to select the day you wat to review. 4 Press the Jog Dial. The cotet of the selected evet appears. 5 A evet coflict (this meas that two or more evets overlap each other) appears i the Week view as overlappig time bars. To reschedule a evet while you are i Week view, tap ad drag the evet to a differet time or day. Tap a blak time o ay day to move to that day ad have the time selected for a ew evet. Tap ay day or date that appears at the top of the Week view to move directly to that day without selectig a evet. The Week view displays the time spa defied by the Start Time ad Ed Time i the Date Book Prefereces settigs. If you have a evet before or after this time spa, a bar appears at the top or bottom of that day s colum. Use the scroll arrows to scroll to the evet. 33

The Moth view appears. 3 Rotate the Jog Dial to select the day you wat to review. 4 Press the Jog Dial. The cotet of the selected evet appears. Tap a day i the Moth view to display that day i the Day view. Tap the scroll arrows i the top right-had corer to move forward or backward a moth. Tap Go To to ope the Go To Date dialog box to select a differet moth. Use the scroll buttos o the frot pael of your CLIÉ hadheld to move betwee moths. The Date Book starts up. 2 Press the Jog Dial repeatedly, or tap the Ageda view ico. The Ageda view appears. Today s schedule ad To Do List are displayed. Tap ay appoitmet while i the Ageda view to display the Day view of the appoitmet. Check off completed To Do List items i the Ageda view, or tap a descriptio of a item to go directly to the To Do List applicatio. Chagig betwee date ad time views To chage betwee the date ad time views, proceed as follows: 1 Tap ad hold the date i the title bar of Date Book. The curret time appears. 2 Whe you release the stylus, the meu bar appears. If you wat to avoid displayig the meu whe releasig the stylus, drag the stylus away from the date display oce the curret time appears. 35

The Date Book starts up. 2 Select the descriptio of the evet you wat to delete. The Start Time ad the descriptio are i a grey box. 3 Tap o the date i the left corer of your scree. The Record meu opes. 4 Select Delete Evet. The Delete Evet dialog box opes. You have the optio of savig a archive copy o your PC or ot. 5 Tap OK. The evet is deleted. Alteratively: 1 Press the Date Book butto o the frot pael. The Date Book starts up. 2 Tap the evet you wat to delete. 3 Tap Details. The Evet Details dialog box appears. 4 Tap Delete. The Delete Evet dialog box appears. 5 Tap OK. If you select Save Archive Copy O PC, the deleted data from your CLIÉ hadheld is saved to the Palm Desktop for CLIÉ software durig the ext HotSyc. If you delete the start ad ed times of recurrig evets, all the related evets that are defied i cojuctio with the recurrig evet will be deleted. Whe you delete the evet with the Delete Evet commad, you ca specify whether a sigle evet is to be deleted as a exceptio, or all of the related evets are to be deleted. 37

39 Usig your CLIÉ hadheld Settig the alarm The Alarm settig eables you to set a audible alarm to remid you about evets i your Date Book. You ca set a alarm to soud miutes, hours, or days before a evet. The default Alarm settig is 5 miutes before the time of the evet. To set the alarm for a utimed evet, proceed as follows: 1 I the Date Book scree, tap the evet for which you wat to set the alarm. 2 Tap Details. The Evet Details dialog box appears. 3 Select the Alarm check box. The alarm is set. 4 Tap the dow arrow to choose from miutes, hours, or days. 5 Tap the 5 ext to the Alarm check box ad eter ay umber from 0 to 99 as the umber of time uits. 6 Tap OK. The alarm ico appears ext the evet. You ca set a silet alarm for a utimed evet. I this case, the alarm is set for the specified period of miutes, hours, or days before midight (begiig) of the day of the utimed evet. o audible alarm souds for a utimed evet. The remider message appears oscree istead. Example: Whe you set a alarm for a utimed evet that occurs o 4 th February ad if the alarm is set for 5 miutes, the remider message appears at 11:55 PM (23:55) o the ight of 3 rd February. Record meus ew Evet: Creates a ew evet. Delete Evet: Deletes the curretly selected evet. Attach ote: Attaches otes to the curret evet. Delete ote: Deletes otes from the curret evet. Purge: You ca specify a certai period based o the curret date ad discard ay evets that were formed before the specified date. Use this fuctio to save memory space. Beam Evet: Seds the curret evet to aother CLIÉ hadheld via the ifrared commuicatios port. A repeated evet will ot be deleted. By default, the evets that you purge are restored ad saved i the Palm Desktop for CLIÉ software o your computer at the ext HotSyc operatio. To delete the evets completely, deselect the check box for Save archive copy o PC i the Purge dialog box. Optio meus Fot: You ca select the fots of the Date Book. Uder Prefereces, you have the followig optios: Start/Ed Time: Defies the start ad ed times for Date Book screes. If the time slots you select do ot fit o oe scree, you ca tap the scroll arrows to see more. Alarm Preset: Automatically sets a alarm for each ew evet. About the Date Book: Shows the versio iformatio for Date Book. 40 Address Book The Address Book lets you keep ames, addresses, telephoe umbers, ad other iformatio about your persoal or busiess cotacts. With the Address Book, you ca: Quickly eter, look up, or duplicate ames, addresses, phoe umbers, ad other iformatio. Eter up to five phoe umbers (home, work, fax, mobile, ad so o) or addresses for each ame. Defie which phoe umber appears i the Address list for each Address Book record. Attach a ote to each Address Book record, i which you ca eter additioal iformatio about the record. Assig Address Book records to categories so that you ca orgaize ad view them i logical groups. Paste images to address iformatio usig the PictureGear Pocket applicatio.

Creatig Address Book etries To create a Address Book etry, proceed as follows: 1 Tap ew. The Address Edit scree appears. 2 Eter the last ame of the perso you wat to add. The first letter of each field (except umeric ad fields) is automatically capitalized. 3 Tap First ame. The cursor shifts to the first ame field. 4 You ca also use the Graffiti software to move the cursor to the ext field, by usig a full-stroke. 5 Fill i the First ame field. 6 Repeat the last steps to eter the other items of iformatio that you wat to iclude. 7 You ca tap the scroll dow arrow ext to each item to display the list of choices ad the tap the desired item i the list. 8 To move to the ext page of iformatio, tap the scroll dow arrow i the bottom right-had corer of the scree. 9 Whe you have fiished eterig all the ecessary iformatio, tap Doe. 10 The Address scree is displayed agai. Displayig etries by compay You ca set up the address list so that the items of the address records appear ot i the order of last ad first ame, but i the order of compay ad last ame whe Address Book is started. o cotets are chaged whe you chage the order of the address records. To view addresses by compay, proceed as follows: 1 Press the Address Book butto o the frot pael. To search for address records, proceed as follows: 1 Eter the first character of the record you wat to search for. The list scrolls to the first etry that begis with that letter. If you write aother letter, the list scrolls to the first etry that starts with those two letters. For example, writig a s scrolls to Sads, ad writig sm scrolls further to Smith. If you have sorted the list by compay ame, the Look Up feature scrolls to the first letter of the compay ame. 2 Tap the record you wat to view. The record you selected is show. Editig etries To modify part of a address record, proceed as follows: 1 I the Address Book list scree, tap the etry you wat to modify. The Address View scree of the selected record appears. 2 Tap Edit. The Address Edit scree appears. 3 Tap the field that you wat to edit, ad make the chages. 4 Whe you have fiished, tap Doe. After istallatio, proceed as follows: 1 I the address list, tap the address record for which you wat to paste a image. The Address View scree of the selected address record appears. 2 Tap Edit. Assig To Do List items to categories so that you ca orgaize ad view them i logical groups. Sort your To Do List items either by due date, priority level, or category. Attach otes to idividual To Do List items for a descriptio or clarificatio of the task. To ope the To Do List, proceed as follows: 1 Press the To Do List butto o the frot pael. The Memo Pad opes to display the last Memo Pad scree that you viewed. 2 Press the Memo Pad butto repeatedly to cycle through the categories i which you have memos. This makes it easy to locate ad review your memos. You ca also create a ew memo by begiig to write i the Graffiti writig area i the Memo scree. The first letter is automatically capitalized. While eterig text, the text may overlap the Doe or Details buttos. Whe you fiish eterig the text, the overlap disappears. Displayig memos To review a memo, proceed as follows: 1 Rotate the Jog Dial to select the memo you wat to display. If the required memo is ot displayed, rotate the Jog Dial further to scroll up or dow the memo list. 2 Press the Jog Dial. The cotet of the selected memo is displayed. Mask all records that you mark as private so the iformatio appears greyed out. Hide all records that you mark as private so they do ot appear o ay scree. Hide private records with or without a password. Without a password, private records are hidde or masked util you set the Security applicatio to show them. HotSyc is a techology which automatically sychroizes CLIÉ hadheld applicatio data with the Palm Desktop for CLIÉ software data o the computer. You ca reduce the time required for completig a HotSyc by limitig the trasfer to oly the ecessary data. Performig a local HotSyc This sectio describes how to perform a HotSyc operatio usig the cradle (local HotSyc ), assumig that you have doe all the ecessary preparatios ad istallatios for your CLIÉ hadheld ad your computer. For the required preparatios ad software istallatio, ad for iformatio o performig a HotSyc for the first HotSyc operatio, please see the Read This First maual. To perform a local HotSyc operatio, proceed as follows: 1 Place your CLIÉ hadheld i the cradle. 2 Press the HotSyc butto o the frot pael of the cradle. The HotSyc operatio starts. 74 If

76 Usig your CLIÉ hadheld Whe the HotSyc operatio is complete, a message is displayed o your CLIÉ hadheld. Do ot remove your CLIÉ hadheld from the cradle util the HotSyc operatio is complete. Otherwise the Palm Desktop for CLIÉ software may ot quit ormally ad you may have to perform a soft reset. If the HotSyc operatio does ot start Make sure that the HotSyc ico is displayed i the Widows task tray o your computer scree ad Local is ot selected from the shortcut meu. If the HotSyc ico is ot show i the task tray, click Start, poit to Programs, Soy Hadheld, ad the click HotSyc Maager. Click the HotSyc butto o the cradle to start the HotSyc operatio. If a message is displayed statig that the selected COM port is ot available, uistall the Palm Desktop for CLIÉ software ad the re-istall it. Proceed as follows: 1 Click the HotSyc ico i the Widows task tray (bottom-right corer of the taskbar). A shortcut meu is displayed. 2 Make sure that Local is ot selected. If it is selected, click Local to clear it. Do ot remove your CLIÉ hadheld from the cradle durig a HotSyc operatio. Do ot push the HotSyc butto durig a HotSyc operatio. It might cause errors ad force termiatio of the operatio. Do ot eter power savig mode durig a HotSyc operatio. If your computer eters power savig mode durig a HotSyc operatio, the HotSyc Maager will be forced to termiate. To cotrol multiple CLIÉ hadhelds from a computer, you have to create a user profile for each CLIÉ hadheld (see Creatig a user profile to cotrol multiple CLIÉ hadhelds (page 78)). To chage the user ame, proceed as follows: 1 I the Palm Desktop for CLIÉ widow, click Users from the Tools meu. The Users dialog box is displayed. 2 Click the user ame you wat to chage i the list box ad the click Reame. The Reame User dialog box is displayed. 75

Advaced HotSyc optios Settig the HotSyc setup optios You ca chage the settigs for a local HotSyc or o how to start the HotSyc Maager, for example. To chage the HotSyc setup optios, proceed as follows: 1 Click the HotSyc ico i the Widows task tray (bottom-right of the taskbar) ad the select Setup from the shortcut meu. The Setup dialog box appears. 2 Click the Geeral tab to select oe of the followig optios: If you are ot sure which optio to use, keep the default settig (Always available). Always available: Adds the HotSyc Maager to the Startup folder ad tells the HotSyc Maager to moitor the USB port as soo as Widows is started. This allows you to perform a HotSyc operatio eve whe the Palm Desktop for CLIÉ software is ot ruig. Available oly whe the Palm Desktop is ruig: Starts the HotSyc Maager whe you lauch the Palm Desktop for CLIÉ software. Maual: Starts the HotSyc Maager oly whe you select it from the Widows Start meu. 3 If you are coected to a etwork, click the etwork tab to display the etwork settigs ad the adjust the optios as eeded. See Coductig a HotSyc operatio via a etwork (page 82) sectio for more iformatio. 4 Click OK. 76

78 Usig your CLIÉ hadheld Customizig HotSyc applicatio settigs (Coduit) What is a Coduit? For each applicatio, you ca defie a set of optios that determies how records are hadled durig sychroizatio. Each set of these optios is called a coduit. By default, a HotSyc operatio sychroizes all files betwee your CLIÉ hadheld ad the Palm Desktop for CLIÉ software. I geeral, you should leave the settigs as they are to sychroize all files. The oly reaso you might wat to chage these settigs is to overwrite data o either your CLIÉ hadheld or the Palm Desktop for CLIÉ software, or to avoid sychroizig a particular type of file because you do ot use it. I additio to the coduits for Date Book, Address Book, To Do List, Memo Pad, ad Expese, the Palm Desktop for CLIÉ software offers System ad Istall coduits. The System coduit backs up the system iformatio stored o your CLIÉ hadheld. The Istall coduit istalls add-o applicatios o your CLIÉ hadheld. To customize HotSyc applicatio settigs, proceed as follows: 1 Click the HotSyc ico i the Widows task tray (bottom-right of the taskbar) ad the select Custom from the HotSyc Maager meu. Alteratively, select Custom from the HotSyc meu of the Palm Desktop for CLIÉ software. The Custom dialog box appears. 2 Select the user ame you are usig o your CLIÉ hadheld from the drop-dow list. 3 Select a applicatio from the Coduit list. 4 Click Chage. The Chage HotSyc Actio dialog box appears. 5 Click the directio i which you wat to write data, or click Do othig. 6 Click OK. 7 Repeat steps 2 to 6 to chage coduit settigs for other applicatios (or users). 8 Click Doe. Ay chage i the HotSyc settig from the default affects oly the ext HotSyc operatio. Thereafter, the HotSyc actios revert to their default settigs. To use a ew settig o a ogoig basis, select the Set as default box. To restore the default settigs, click Default i the Custom dialog box. 77

79 Usig your CLIÉ hadheld Creatig a user profile to cotrol multiple CLIÉ hadhelds If your compay distributes multiple CLIÉ hadhelds to its employees, for example, you ca create a user profile (such as a compay phoe list) to load the data ito several CLIÉ hadhelds without associatig that data with a user ame. This feature is desiged oly for the first HotSyc operatio (before you assig a User ID to a particular CLIÉ hadheld). For the procedure used to sed a profile after settig user ames, see Sychroizig with exteral data (File Lik) (page 86). Creatig a profile To create a profile, proceed as follows: 1 Start the Palm Desktop for CLIÉ software. 2 Select Users from the Tools meu. The Users dialog box appears. If o user profile is created, the ew Profile dialog box is displayed; skip to step 4. 3 Click Profiles. The Profiles dialog box appears. 4 Click ew. The ew User dialog box appears. 5 Eter a user ame ad the click OK. 6 Repeat steps 4 ad 5 for each profile you wat to create. 7 Click OK. 8 Select profiles from the User list, ad create data for the profile (for example, compay phoe list). 78

The Users dialog box appears. 3 Click Profiles. The Profiles dialog box appears. 4 Select the profile you wat to trasfer to your CLIÉ hadheld, ad the click OK. 5 Click Yes. The selected profile is trasferred to your CLIÉ hadheld. The ext time you perform a HotSyc operatio, the Palm Desktop for CLIÉ software shows a dialog box where you ca specify a user ame for your CLIÉ hadheld. Coductig a ifrared HotSyc operatio You ca use the IR (ifrared) port of your CLIÉ hadheld to perform a IR HotSyc operatio with a computer equipped with a IrDA (Ifrared Data Associatio) IR port. A IR HotSyc operatio allows you to perform a HotSyc operatio without usig the cradle. Before you start performig a IR HotSyc operatio Check the followig: Your computer s operatig system is ot Widows 2000 (you caot perform a IR HotSyc operatio with a computer ruig the Widows 2000 operatig system.) Your computer is equipped with a ifrared port supportig the IrDA stadards. The ifrared port of your computer is eabled for Widows use. Preparig your computer To perform a IR HotSyc operatio, you have to allocate a virtual port to a IR HotSyc operatio. To allocate a virtual port to a IR HotSyc operatio, proceed as follows: 1 Click the HotSyc ico i the Widows system tray (bottom-right of the taskbar) ad the select Local from the shortcut meu. 2 Click the HotSyc ico i the Widows system tray agai ad the select Setup from the Shortcut meu. The Setup dialog box is displayed. 3 Click the Local tab to chage the settig for a IR HotSyc operatio as eeded. Serial Port specifies a virtual port for a ifrared port. If you are ot sure of the coectio port, see the Ifrared Moitor i the Widows Cotrol Pael. Speed determies the speed at which data is trasferred. Try the As Fast As Possible rate first, ad the adjust dowward if you experiece problems. 4 Tap OK. Your computer is ready to perform a IR HotSyc operatio. Whe performig a local HotSyc operatio with the cradle after you make the HotSyc Setup settigs for a IR HotSyc operatio, you should restore the local HotSyc settigs. For details, see Restorig the local HotSyc settigs (page 81). Performig a IR HotSyc operatio Whe you have prepared your computer ad your CLIÉ hadheld, as well as selected your Coduit Setup optios, you are ready to perform a IR HotSyc operatio. 80

82 Usig your CLIÉ hadheld To perform a HotSyc operatio, proceed as follows: 1 Rotate the Jog Dial to select HotSyc ad the press the Jog Dial. Or tap the HotSyc ico o the Applicatio Laucher scree. The HotSyc dialog box appears. 2 Tap Local. 3 Tap the arrow beeath the HotSyc ico ad the select IR to a PC/Hadheld from the drop-dow list. 4 Poit the IR port of your CLIÉ hadheld directly at the IR port of the receivig computer. For best results, your computer ad your CLIÉ hadheld should be 4 to 8 iches (approximately 10 to 20 cetimeters) apart, ad the path betwee your CLIÉ hadheld ad the computer must be clear of obstacles. 5 Tap the ico. The HotSyc operatio starts. Wait for the message showig that the HotSyc operatio is complete. Restorig the local HotSyc settigs To restore the local HotSyc settigs, proceed as follows: 1 Coect the cradle to your computer. 2 Click the HotSyc ico i the Widows system tray ad deselect the check mark of Local from the shortcut meu. 3 Click the HotSyc ico i the Widows system tray agai ad the select Setup from the Shortcut meu. Coectig to your compay's dial-i server The etwork HotSyc applicatio requires the followig: Your computer has TCP/IP support istalled. Both your compay s etwork system ad its remote access server support TCP/IP. You have a remote access accout. Everythig you eed to coect to your compay s dial-i server (etwork modem) is icluded i the Palm Desktop for CLIÉ software ad your CLIÉ hadheld. You eed to activate certai features, however, o both the Palm Desktop for CLIÉ software ad your CLIÉ hadheld. Preparig your computer To prepare your computer, proceed as follows: 1 Click the HotSyc ico i the Widows system tray ad the select etwork from the Shortcut meu. 2 Click the HotSyc ico i the Widows system tray agai ad the select Setup from the Shortcut meu. The Setup dialog box is displayed. 3 Click the etwork tab ad make sure your user ame has a check mark selected ext to it. To check if your computer s etwork iformatio (Primary PC ame ad Primary PC address) is etered o your CLIÉ hadheld, proceed as follows: 1 Rotate the Jog Dial to select HotSyc ad the press the Jog Dial. Or tap the HotSyc ico o the Applicatio Laucher scree. The HotSyc scree appears. 2 Tap the Meu ico. 3 Tap Primary PC Setup from the Optios meu. Importable file formats Save data i oe of the file formats listed below, import it ito the Palm Desktop for CLIÉ software, ad the perform a HotSyc operatio to trasfer the data to your CLIÉ hadheld. The Palm Desktop for CLIÉ software ca import data i the followig file formats: Comma delimited (*.csv,*.txt): Address Book ad Memo Pad oly Tab delimited (*.tab,*.tsv,*.txt): Address Book ad Memo Pad oly vcard File (*.vcf): Address Book oly CSV (Lotus Orgaiser 2.x/97 Mappig): Address Book oly Text (*.txt): Memo Pad oly Date Book archive (*.dba) vcal File (*.vcs): Date Book oly Address Book archive (*.aba) To Do archive (*.tda) Memo Pad archive (*.mpa) Archive formats ca oly be used with the Palm Desktop for CLIÉ software. The Import dialog box is displayed. 5 Select the file you wat to import. 6 Click Ope. 7 To import data ito the correct Palm Desktop for CLIÉ fields, drag the fields i the left-had colum so that they are opposite to the correspodig imported fields o the right. 8 Deselect the check box for the field that you do ot wat to import. 9 Click OK. The imported data is highlighted i the applicatio. 10 To add the imported data to your CLIÉ hadheld, perform a HotSyc operatio. Sychroizig with exteral data (File Lik) The File Lik feature allows you to import Address Book ad Memo Pad iformatio o your CLIÉ hadheld from a separate exteral file such as a compay phoe list. You ca set the File Lik feature to check for chages to the exteral file whe you perform a HotSyc operatio. Beamig betwee your CLIÉ hadheld ad aother Palm OS hadheld Your CLIÉ hadheld is equipped with a IR (ifrared) port that you ca use to beam iformatio to aother Palm OS PDA device that is close by ad also has a IR port. The IR port (1) is located at the top of your CLIÉ hadheld, behid the small dark shield. 87 You ca beam the followig iformatio betwee your CLIÉ hadheld ad aother Palm OS PDA: The record curretly displayed i Address Book, Date Book, To Do List, or Memo Pad. You ca use Graffiti to beam the curret etry ( the,or ad the tap ). If Beam Receive i the Prefereces meu is set to Off, you caot receive data usig the beamig feature. Use the flash memory techology to dowload aythig that ca be coverted ito digital data, such as pictures, music, words, souds, movies ad photographs.
