1 Fax No: Tender no: RITES/IT/AMC-SUN/ Dated: 7 th Sept, 2012 M/s Dear Sir, Subject: Tender for Annual Maintenance Contract of SUN Servers for You are invited to submit your most competitive bid duly marked Tender no: RITES/IT/AMC-SUN/ for AMC of Sun Servers on or before 17 th Sept, 2012 up to hrs. Bids will be open on same day at 15:30 hrs. Information about the tender is also available on our website Instruction to bidders The annual maintenance contract would be comprehensive for a period of one year and shall start from the date of work order. The bid must be accompanied by an EMD of Rs 8000/- (Rs. Eight thousand only ) in the form of Demand Draft/pay order favoring RITES Ltd payable at Gurgaon. EMD of successful tenderer shall be released on acceptance of performance Bank Guarantee. The EMD of unsuccessful bidders shall be refunded within one month after finalization of the tender. No interest shall be payable by RITES Ltd on the amount of EMD. Bids not accompanied by EMD shall be rejected. A performance bank guarantee shall be submitted by the successful bidder, for 10% of the value of contract in the event of contract being awarded. It should be

2 valid for a period of 13 Months from the contract start date and shall be submitted in the format supplied by RITES. Bid submitted through your authorized vendor will not be accepted. Bid shall remain valid for a period of 90 days from the last date specified for submission of bid. RITES reserves the right to accept / reject any bid without assigning any reason. The quoted price shall be firm during the contract period. All vendors are requested to drop their sealed bids in a tender box kept in 3 rd Floor IT Division/RITES LTD. RITES Bhawan, Plot no 1, Sector 29, Gurgaon on or before 17 th Sept, 2012 up to hrs and bids will be open on same day at hrs. Sealed bids should be super scribed "Bid for AMC of Sun Servers, Tender no: RITES/IT/AMC-SUN/ and addressed to GM/IT RITES. Scope of Work The scope of work shall cover the following: Shall provide on line. Support from 8 A.M to 8 P.M. and need based on site support from Monday to Saturday On-site service response should be 4 hours. Online & telephone technical support: 12 hrs./day Monday-Saturday Software releases and updates as a part of the coverage. Repair / replacement of the defective hardware parts. To find the cause with complete details due to which server is malfunctioning or not working at all. Rectification of defects/ errors in all respect with minimum possible time. After complete rectification of defect, do the complete testing of server like minimal connectivity test on network etc to the satisfaction of concerned in charge. Terms & conditions Time limit to attend faults: All calls must be attended within 4 hours of reporting. The fault shall be rectified within 8 hours of registering the call. Submission of bills: The AMC firm shall submit bills on quarterly basis on completion of quarter. Payment of bills

3 The bills for AMC will be submitted in duplicate for payment. Any other bills connected with the works but not covered in AMC shall be paid along with quarterly payments. If there are any pending payments, due to deduction of amounts or payment not settled in previous quarter bills, the same would be settled in the last quarter bill at the end of contract. Termination/ end of contract RITES reserves the right to terminate the contract by issuing one month's notice to the bidder, without assigning any reason In case the repairs are not carried out and the Server not made operational within reasonable time as mentioned then the equipment would be got repaired from the firm as suggested by the Sun Micro Systems Pvt Ltd and the charges of repair shall be recovered from the AMC firm. Any equipment / parts taken out of RITES premises and not returned by the effective contract end date / termination date would be procured by RITES from other sources and the cost incurred would be deducted from the quarterly payments due to the firm. In case of termination of contract both parties shall sign a joint document to the effect that there are no pending issues to be sorted with relation to the contract.
