2 Intermediate Report Cards MyEducation BC Before beginning: please ensure that you are using Chrome and that your pop ups are enabled Step 1: Entering Subject Grades and Comments: 1. Log on to MyEducationBC 2. Click the Gradebook top tab and the Scores side-tab. This brings you to the report card section. 3. Ensure that the Grade Columns drop down list is set to Post Column-Term and the Term dropdown is set at the correct term (i.e. Tri 1, Tri 2, Tri 3), and Status is set to Enrolled Intermediate Report Cards - 1
3 4. The course you are working in will be displayed in the top left corner (in blue). To navigate between courses, use the arrow buttons on the right side of the screen. 5. Enter the grade for each student in the Tri 1 column (A, B, C+, C, C-). Note: Entries in this column will be automatically saved. 6. To enter comments, click on the page icon in the Tri 1 Com (the Tri 2 Com, Tri 2 Com) column. Enter your comments in the window that comes up. Remember to SAVE! Please see tips and tricks for time saving hints. To add a comment from a comment bank (see comment bank section for details), click on the triangle on the right hand side of the pop up box. 4 Step 2: Posting Grades to the Report Card Once grades and comments have been entered for each student, you must post grades in order to create the report card. 1. In the Scores side tab: a. Grade Columns: Post Columns Term. b. Term: set to the current reporting term. c. Status: should be Enrolled. d. Click Post Grades. 2. In the pop-up window: a. Grade Term: use the drop-down menu to select the grade term that represents the report cards being issued. (Tri 1, 2 or 3). b. Grades to post: set to Term grades for all students. c. Click OK. 3. Repeat the above steps for all classes to be reported on in the specified term. Intermediate Report Cards - 3
5 Helpful Tips A general template can be set up for each subject. It can then be personalized for each student. o Open your first student s comment box and enter the general comment you wish to use and press SAVE. o Click on the comment cell (it will be highlighted) and Press CTRL+D (or Control+D). This comment will now be copied into the comment box for all students. o To personalize: click on each individual student s comment box and make the appropriate changes don t forget to SAVE! o CTRL+D also works for performance scales columns. Formatting such as bullets, dashes, bolding, and italics do not easily transfer from Word when you copy and paste. Copying and pasting within the program also will cause formatting issues. In order to copy and paste you must remove formatting from your document (see Tips and Tricks document) Bullets can be typed into your pop up box o Type: then your comment A dash (-) is another option for point form In the Tri 1/Tri 1 Pref and Tri 1 Com columns you will see an image of a pin. See the chart below for a description of each pin colour. Subjects that are not posted, will not be printed. Intermediate Report Cards - 4
6 Comment Banks Adding a Teacher Comment Category to the school comment bank A teacher wanting to create their own custom comments must add their comments to the existing school comment bank. Only the teacher creating the comment will be able to see these comments. 1. Log in with staff view. 2. Click the Tools top tab. 3. Select the Comments side tab. 4. The School Comment bank appears. 5. Click the Codes leaf. 6. To add a new code, go to the Options menu and select Add. 7. Fill in the fields according to the table below. A red asterisk indicates a required field. 8. Click SAVE when done. Field Description ID * Comment Preview* This identifies the comment entered. Teachers are encouraged to use an alpha or alphanumeric value. Ex: M1. This is to accommodate School Comments that may be created in the future. This is short preview of the comment so that you can identify what the comment is about Comment* Category 1* Category 2 Category 3 This is where you type in the complete comment. This is also where you would type in any tokens. (see using tokens below) Categories are for filtering and organizing. If you prefer to view all your comments in one list choose ALL for this category. If you would like to organize comments by subject, type in the subject. Optional: This is where you can further identify the comment, such as content, competency, term etc. Optional: further categorizing. It is recommended not to use this filter Intermediate Report Cards - 5
7 Using Tokens (Replacement Characters) MyEducation BC has the ability to use replacement characters for name, gender, he/she, etc. These are called tokens. The codes for character replacement are as defined in the table below. To be clear, Tokens only work if entered into a comment bank. They will not work if typed into the comment field when doing report cards They will not work if copied from an external source into the comment field The character replacement will not occur when using the CTRL+D fill down option. Tokens must be entered exactly as they appear below or they will not work These tokens can be copied and pasted online. Click Help in any report card subject area. A new window will open, click Search, type Comment Bank in the search bar, click 1-Creating Comments this will allow you to view the chart online. Intermediate Report Cards - 6
8 Printing Report Cards 1. From the Student top tab click: Reports > Report Cards >Report Cards Kindergarten, Primary, Intermediate 2. Select the appropriate report card type for your students and check the appropriate boxes as shown below. Ensure you have selected the appropriate report type (Intermediate) Double check Term is correct Select Legal for First Name Format and Last Name Format Click: School Message box if your principal will be including a school message on the report card Check: print on both sides Check: Print Performance Scale Check: print on legal size paper (ensure printer is also set to legal) Click Run to create a PDF of reports NOTE: Remember to verify Printer Setting: Printer settings> Page Setup> Paper size > Legal Ensure the Scale is set to 100 in the advanced setting option If printing a 3/4 class, see printing guidelines in the Elementary (Primary) MyEd document Intermediate Report Cards - 7
