1 Lynx Mobile Enhancements April 29, 2011 On the evening of April 29 th, 2011, McKesson Specialty Care Solutions will enhance Lynx Mobile to add improved inventory and user management functionality. We are pleased to inform you that these enhancements, which are based on user feedback, offer the following new features and functionality: Inventory Management Item Transfer between practice locations New item transfer functionality allows items to be transferred between practice sites. Multiple Storage Location Restock Perform restocks for auto-refill items stored in multiple locations at a site. Additional Labels by Item Generate up to three labels when dispensing items. User Management Global User Permissions A single user permissions process has been established, simplifying user creation and permission changes for practices with multiple sites. Password Login Support Improved functionality and instructions for users who forget their passwords. Additional Enhancements Allergies Field Highlight Greater visibility into important information when at least one allergy is listed for a patient. Item Usage History Report Improved Excel export lists Inventory Units and subtotals per item. Functionality Patches Contact Support , dispense via orders when regimen name > 100 characters, escript patient update, report related fixes. 2 Item Transfer between practice locations We ve added item transfer functionality that makes it much easier to transfer items between practice sites. Users can transfer items between practice sites in a structured manner and track transfer activity through the Item Audit Report. Transfers - Outbound Go to Inventory Inventory Admin Inventory List Display the item to be transferred. Enter the amount to be transferred in the Transfer Amount field. Select the destination for the Transfer from the site list. o This list automatically displays all practice sites o Additional non Lynx Mobile sites can be added via a new Admin page Transfer Locations Click SAVE A Transfer transaction will be created in Queue. Navigate to the Queue to complete the Transfer. Click on the Transfer entry. o The destination site is listed in the Tx Reason field. Click Transfer and remove item from Storage Location. The amount of the item indicated will be removed from Inventory. 2
3 Transfers-Inbound The receiving site completes the Transfer by performing a Transfer transaction and accepting the transferred item. Go to Queue and click on the Transfer entry. o The sending site is listed in the Tx Reason field. Click Transfer to accept the item(s) into Inventory. Managing Transfer Locations Go to Admin Transfer Locations The Allow/Block Transfers to other Lynx Mobile sites list allows the user to enable or disable transfers from the site in focus to other sites. o Click the desired radio button to either allow or block transfers to each listed site from the site currently in focus. The Transfers to or from non-lynx Mobile sites list allows users to create non Lynx Mobile transfer locations such as hospitals and pharmacies. o o o Enter the location description in the text box and click SAVE. Click CANCEL to not save the entry. Click the x in the Delete column to permanently remove the non-lynx Mobile location. 3
4 Transfer Reporting The Item Audit Report has been enhanced to show Transfer activity. Select Transfer from the Transaction Type list. o These represent the outbound and inbound transactions at the selected sites. The report will show the originating and destination sites for the Transfers. NOTE: Transfers are excluded from the Item Usage History and Lynx Practice Intelligence Item Utilization reports. Note: If you have previously tracked transfers in Lynx Mobile using a different method, it is important to not delete the reason codes you used to retain reporting functionality for previous transactions. 4
5 Multiple Storage Location Restock We ve added the ability for users to perform restocks for auto-refill items stored in multiple locations at a site. The Restock tab will show these separate locations in the Auto Refill and Packing Slip Restock views. Go to Inventory Inventory Admin Restock Select Show Auto-Refill Items or Restock per Packing Slip The Cart field shows the actual shipped amount, which might be different than the order amount due to packaging. o The Cart amount will automatically adjust based on the Restock Amt values you enter. 5
6 Additional Labels by Item We ve updated the Label control on the Inventory List to allow for each item to generate up to three labels when dispensed for a patient or set to suppress label printing. Go to Inventory Inventory Admin Inventory List In the Label column, click the arrow to open the Label count list. Select the number of labels to print for the item. Select 0 to suppress Label printing. Click SAVE to save settings. 6
7 Global User Permissions We have improved the User record page in several ways: Set Web Site Permissions for new users with access to multiple practice sites in one screen. Easily add a current user to multiple practice sites. New one click feature to set uniform Storage Location permissions. New REMOVE button to disassociate a user from a site. Page has been reformatted to reduce vertical scrolling. Setting up a new user for multiple practice sites Go to Admin User List and click NEW. Enter all mandatory data and optional data as desired. Set permissions o Click on the permission value header to set that value for all permissions (e.g. None/View/Update). Below the permissions list, select one or more sites from the list using Ctrl+Click (hold the Ctrl key and Click site names). The user will always have permissions at the site in focus when the user record is created, even if no additional sites are selected. Click SAVE. The user will be established at the site in focus and at the other selected sites with identical permissions. 7
8 Adding an existing user to additional practice sites Go to Admin User List and click an existing user. Select the site to copy by using the Updating Permissions for list. The page will refresh with the permissions for the selected site. At the bottom of the page, select one or more additional sites from the Also add user to below new sites with above permissions list using Ctrl+Click (hold the Ctrl key and Click site names). Click SAVE The user will be established at the new sites with the same permissions as at the site in focus when the additional sites were added. Modifying Web Site Permissions for a user with multiple site access Go to Admin User List and click an existing user. Web Site Permissions for the site in focus are displayed Modify Web Site Permissions as desired Select other sites where these permissions should be copied from the... and also applying below permissions to these associated sites: list. o Use the Select All or Select None links to quickly choose other sites. o Use Control+Click to select one or more sites. o All sites associated with the user are selected by default. Click SAVE. NOTE: Storage Location permissions changes only apply to the site selected in the Viewing Permissions For field. 8
9 Setting All Permissions to the same value The permission value column headers (None/View/Update and None/Open Door) are now clickable. Click the column header to set all permissions in the grid to that value (e.g. click Update to set all Web Site permissions to Update). o HINT: If most of a user s permissions will be set to one value, click that column header then make row by row adjustments as needed. Removing a user from a site Go to Admin User List and click on an existing user name. Select the site from which the user will be removed by using the Updating Permissions for: picklist. The page will refresh with the permissions for the selected site. Click REMOVE The user will be removed from that site. When the user record in focus has been removed from the last remaining site, the User List page will appear. NOTE: Storage Location permissions cannot be copied from one site to another due to differences in location types and names. Location Permissions will default to Open Door at all sites other than the site in focus when a user s Web Site Permissions are copied to other sites. Set user record focus on other sites using the Viewing Permissions For list to modify user s Storage Location permissions if needed. 9
10 Password Login Support We have extended the number of login attempts to 10. A counter will remind users how many attempts they have until their account is locked. The failed login attempt alert messaging has also been improved by listing the on-site administrators who can assist with password or account lockout problems. Admin users will be able to unlock user accounts from the user record Go to Admin User List and select the user record. Click the Unlock User button to release the account. Enter a new password for the user (if applicable) and click SAVE. 10
11 Allergies Field Highlight The Allergies field on Dispense and Queue pages will be highlighted when a patient has at least one allergy listed. This change will help make this important information more visible. 11
12 Item Usage History Report The Excel version of the Item Usage History Report now lists Inventory Units and provides subtotals per item. 12
13 Functionality Patches Existing Lynx Mobile patient demographic data will no longer be updated when escript activity or renewal messages are processed. New patients will still be created in Lynx Mobile when originated in escript. Contact Support address now properly formatted in mail message. Dispense via orders no longer blocked when regimen name is longer than 100 characters. The "Date" column has been changed to "Date of Service" on the Item Usage History Report. escript Activity Report Description revised for clarity. Fixed erroneous error message when clicking "run" with no items selected on item audit, item usage, and restock activity reports. 13
