A range of standard pages may be automatically incorporated into the template or the entire document can be created with individual components. A UserForm may display to capture information. 3 The KP Ribbon The KP Ribbon The customised ribbon tab (KP) provides a central location to access formatting and reusable content. The KP ribbon is displayed between the File and Home tabs for all documents. Group Clipboard Styles Bullets Numbering Insert Elements ShowHide Colours Zoom Use Copy and Paste data Format text Apply indent bullets and numbering Insert Watermark, Tables and predefined Building Blocks: > Watermarks grey text placed behind the document text > Tables use Tables > Quick Tables to insert preformatted tables Once inserted, the layout can be manipulated > Autotext create your own content > QuickParts Insert Headings > Footers used when creating a document from scratch (some templates have preformatted footers) > Textboxes insert captions and quotes (lines and text must be the same) Display and hide paragraph marks and table gridlines Select a different colour theme (orange is recommended for customer facing documents) Increase or decrease the size of the viewable page Update report data Report Tools Ribbon Document information can be automatically updated. Button Data Contents Use Redisplay the userform so that text can be changed the document is updated automatically. 4 Building Blocks Building Blocks Reusable content is displayed in menus in the Insert Elements group and is available from the customised ribbon tab (KP). These include: > Watermarks > Tables > Quick Tables > AutoText > Quick Parts used to insert headings > Footers > TextBoxes Watermarks A menu of text imprints includes: > Confidential > Disclaimers > Urgent Tables The Quick Tables menu displays a variety of tables that are preformatted. Note: The AlternativeIndented table is formatted with margins, line height and text paragraph formatting that is narrower when compared to the standard KP table format. 6 Quick Parts - Headings The Quick Parts menu displays menu categories: Report Template Board Reports Policies and Manuals _KP Headings and Headlines _KP Reports Captions and Page Dividers _Board Reports Headings and Headlines _KP Headings and Headlines _KP Headings and Headlines Note: These building blocks include the heading number required for the various reports and have been formatted to match the margin settings of the template. 7 Formatting headings Formatting headings The styles for Heading 1 through to 9 are preconfigured with the correct number style (if appropriate), font and paragraph settings. All key headings styes 1-9 within the Board Report are formatted with legal numbering. Use a Quick Part to insert a heading level 1 style and the associated tables and formatting. Styles for heading levels 2 4 are available from the KP ribbon > Styles group All heading levels can be applied using quick keys. Style Name Quick Key Heading 1 (Do Not use the quick parts to insert a heading level 1 table block) Alt + H, 1 Heading 2 Alt + H, 2 Heading 3 Alt + H, 3 Heading 4 Alt + H, 4 Heading 5 Alt + H, 5 Heading 6 Alt + H, 6 Heading 7 Alt + H, 7 Heading 8 Alt + H, 8 Heading 9 Alt + H, 9 SubHdg Alt S, 1 SubHdgSmall Alt S, 2 SubHdgIndented Alt S, 3 Quick keys that use a combination of a letter and a number (for example, Alt + I, 1) are designed to group like functions together. For example, Alt + I, # are used for the NIndent styles. To use these quick keys: 1. Press the Alt key and the associated letter together, then release 2. 8 Indenting text Indenting text After a heading is typed, it is important that the text is indented at the same point as the heading text. Once you have applied a heading style the following paragraph will be automatically indented. Style Name Following paragraph style Quick Key Heading 2 4 NIndent3 Alt + I, 3 Heading 5-9 NIndent4 Alt + I,3 SubHdgIndented Normal Alt S, 3 Bullet points Bullet points To ensure the bullet points within the Reports are aligned at the same point as the heading text an additional bullet style called KP MultiLevel Bullet Indent 1.5cm is available from the KP ribbon > Bullets Numbering group > Multilevel List button > Note: This bullet style is only available in report templates. 9 Footers Click here to enter heading. Report The Footer information is automatically added when the userform is completed. To change the footer information use the Report tools tab > Update Document group > Data button. Board Report The document footer must be edited to enter the: > Document name > Meeting description and date > Document section number and description Policies and Manuals The document footer must be edited to enter the: > Date > Version Tip: > Double-click the footer area to edit the text. > Double-click the document area to return to the document. 10 The Navigation pane Use of the Navigation pane The Navigation pane displays the all headings (including the styles SubHdg and SubHdgSmall). Because the style Heading 1 is placed in a table, this is not automatically displayed in the Navigation pane. In order for text assigned to the style Heading 1 to be displayed in the Navigation pane a StyleRef field is needed in the main body of the document. This StyleRef field code has been placed in the paragraph immediately after the orange line and before the text for the main body of the document begins. The StyleRef field has been formatted white (using the style Heading 1 NavPane) so therefore is not visible unless you click into the line as shown below: Display the Navigation pane 1. Click the View tab > Show Group 2. Ensure the Navigation Pane check box is ticked Hide the Navigation pane 1. Click the View tab > Show Group 2. Ensure the Navigation Pane check box is ticked Update the StyleRef codes to display text typed as a heading in the navigation pane Update a single field 1. Click into the paragraph containing the field code 2. Press F9 OR a. Right mouse click over the field b. Click Update Field The Navigation pane is updated Update all fields in the document This method will update all fields (e.g. Cross Reference and StyleRef fields) in the document. 1. Press Ctrl + A to select the entire document 2. Press F9 The Navigation pane is updated Note: Should the StyleRef field be accidently deleted, copy and paste the code from another heading. 11 Working with images Working with images Pictures and images can be inserted at the position of a placeholder or they can be inserted within the body text. Note: Where a picture inserted at a placeholder, Instructions are displayed for specific sizing of the image. Manipulate images This tab is used to manipulate an image. The ribbon tab is only displayed when an image is selected. When an image is inserted within body text and resized, depending on the image orientation, it may be necessary to resize the placeholder to fit the picture. From and layout perspective, this allows text to be wrapped within close proximity of the edges of the image. Before After Resize a Picture 1. 12 Reduce the white space around the image 1. Select the image 2. Click the middle hand along the edge and drag towards the image. Following text is automatically realigned.
