7 Template for s Foreword Eurachem gudes have been developed over a long perod of tme but the format of dfferent gudes has vared. After a proposal from B. Magnusson n 2014, the Eurachem executve commttee decded that a nonmandatory template should be developed gvng gudance on the format of all parts of the gude. Ths Gude s provded n such a way that t serves as an example of the gudance that t provdes. TEG 2015 Page 1

9 Template for s 1 Introducton and scope Gudes publshed by Eurachem should be easy to read, clear and unambguous. To acheve these objectves, the document shall: be as complete as necessary wthn the lmts specfed by ts scope, be consstent and clear, be comprehensble to qualfed persons who have not partcpated n ts preparaton, take nto account the prncples for the draftng of documents see Eurachem procedure for the development of Gudes [1]. Ths template apples to new and revsed s. Ths template s not mandatory but contans recommendatons for the style and structure of Eurachem gudes. Ths verson of the template s wrtten n Mcrosoft Word The recommendatons are based on prevous s and also loosely based on the ISO/IEC Drectves, Part 2, Rules for the structures and draftng of Internatonal Standards [2]. Smlar gudes are publshed by companes [3], metrology nsttutes [4] and natonal standardsaton bodes [5]. TEG 2015 Page 3
10 Template for s 2 General format of a Eurachem gude 2.1 Language The language n the Englsh verson of Eurachem Gudes s UK Englsh spelled accordng to, e.g. the Concse Oxford Dctonary [6]. In MS Word ths requres a secton break before and after each Level 1 headng. 2.3 Page numberng For the man text after the Contents page, the page number s placed at the bottom rght corner and s prefxed wth the word Page, startng wth page number 1 on the rght-hand page. Before the man text, page numberng starts on the Contents page (ncludng cover page) wth Roman numerals n lower case placed at the bottom of the page and centred. 2.4 Paragraph numberng When t s necessary to refer to sngle paragraphs n the Gude, numberng of paragraphs s recommended. 2.5 Authors and ther afflatons The names of authors should be gven n alphabetcal order of surnames wth the format shown on the ttle page n ths Gude. The afflaton after the author s name may be the author s employer or, where approprate, the name of the relevant lason organsaton. For authors contrbutng as ndvdual experts, the hometown s gven. The country code after the author s afflaton should be the two-letter code defned n ISO [7]. Edtors, where dentfed, should be lsted separately from other authors. Authors may also be grouped accordng to representaton (for example n the case of jont workng groups). Examples of edtor, author and contrbutor lsts for some common crcumstances are shown n Annex A. 2.6 Text format Body text The body text (style Normal, sngle lne spacng) s gven n Tmes New Roman 11 pont (pt) wth two columns, wth space 0.6 cm between columns. The font s chosen to be the same as the default n the current Word equaton edtor whch s used for mathematcal formulas. Text n paragraphs s left and rght justfed. The space after a paragraph s normally 6 pt. A mult-lne paragraph should not begn or end wth just one lne on a page at least two lnes should appear on each page. If two columns do not fll a page, both columns should end at about the same level on the page. An example s gven n Secton 1 Introducton and scoe Headngs Use of headngs Headngs should be used as necessary to separate and dentfy text under specfc topcs. If any subheadngs are used wthn a headed secton, all subsectons wthn that secton should have separate headngs. In partcular, the frst secton n a secton contanng subheadngs should also have a subheadng so that t can be unquely referenced. TEG 2015 Page 4
11 Template for s Headng format Headngs are gven n font Aral and the font sze depends on the headng level: Headng level 1: 14 pt bold, centred on page margns, over two columns, starts on top of a new page, preferably on an odd (rght hand) page number. Headng level 2: 13 pt bold. Headng level 3: 12 pt bold. Headng level 4: 11 pt bold. Headngs are numbered consecutvely accordng to ther levels such as, 1, 1.1, and A lst style s used to defne the numbered headngs. The man headng for foreword, abbrevatons, annexes A, B, C etc. and the bblography secton has the same format as headng level 1 but wthout numberng. Annexes should be desgnated by Roman letters (Annex A, B etc) Subheadngs n annexes are formatted smlarly to the correspondng headng levels n the body text, but the headng number should be preceded wth the Annex letter code (A1, A1.1 etc). Headngs of level 1 and 2 should normally appear n the table of contents. Further subdvson (levels 3 or more) may be gven where ths does not make length of the table excessve. The subheadngs of annexes do not normally appear n the Table of Contents unless annex subdvsons extend over several pages. Normally only the frst word n a headng should begn wth a captal letter. In the full ttle of a Gude all mportant words begn wth a captal letter as n the ttle of ths Gude: Template for Eurachem Gudes A Gude for Gude Edtors. The page header s n Tmes New Roman bold 12 pt (uprght) and footer s n Tmes New Roman 9 pt The headlne of the Table of Contents s n Aral 14 pt bold. The secton headngs n the Table of Contents are as follows: level 1 headngs Aral 11 pt bold talcs wth space before 8pt and space after 4 pt; level 2 n Aral 11 pt; and level 3 n Aral 10 pt Notes, footnotes and endnotes A note should be preceded by the word NOTE. If there s more than one note n the same paragraph, they should be numbered usng Arabc numerals. Footnotes should be ndcated wth superscrpt symbols (*...) placed at the bottom of the page. Bblographc references should be ndcated consecutvely wth cross-references to the numbered lst n secton Bblography and placed nsde square brackets [] on the lne. 2.7 Terms and defntons Terms and ther defntons should prmarly be those publshed by nternatonal bodes, such as ISO and IUPAC. The VIM [8] and the GUM [9] are the prme references for fundamental concepts related to measurement and measurement uncertanty. Other useful references are: ISO Gude 30 for reference materals [10]; ISO/IEC for conformty assessment [11]; ISO 9000 for qualty management systems [12]; IUPAC colour books for analytcal chemcal termnology ( [13, 14]. The most recently publshed verson of terms and defntons should normally be used. If an older defnton s used, the gudance document should explan the dfference and the ratonale for the choce TEG 2015 Page 5
12 Template for s 3 Formulas, numbers, quanttes and unts 3.1 Mathematcal formulas Formulas that are referred to n the text should be numbered sequentally n parentheses as n Equaton (1) below. u(f temp ) = = 0.06 C (1) Numberng for formulas n Annexes should recommence at 1 and nclude a letter desgnatng the Annex, e.g. A.2. A subscrpt s gven n Roman (uprght) font unless t s a symbol of a quantty tself; n Equaton (2) the subscrpt c (n Roman) denotes combned, whereas the talc subscrpt denotes a varable ndex. 3.2 Numbers n 2 u = 1 2 uc = (2) Express numbers n the same font and sze as surroundng text (usually Tmes New Roman 11 pt). Examples are gven n Table 2. The decmal marker should be the form most commonly used for the language of the document. For UK Englsh the decmal marker s a pont on the lne. Long numbers are structured n groups of 3 dgts as seen n Table 2 (as counted away from the decmal marker) usng a short non-breakng space also called an en space. (CTRL+SHIFT+SPACE n MS Word). A 4-dgt number s preferably wrtten wthout a separator, e.g Where used, the thousand separator should be a short non-breakng space Reportng results Although s do not usually report measurement results, they often nclude llustratve examples. These should demonstrate good practce n reportng. Mean values, measures of precson and uncertantes, should be reported wth a sensble number of dgts. Standard devatons are generally not reported to more than two sgnfcant fgures unless more dgts are needed to avod roundng errors n ntermedate calculatons. Mean values and relatve standard devatons should be rounded to be consstent (same number of decmal places) wth the standard devaton. Fnal measurement results (y) and expanded uncertantes (U) should be reported n the same unts and n the format y ± U. The unt could be stated once, (523 ± 17) µg or twce 523 µg ± 17 µg. Dfferent unts should be avoded, e.g. the format 523 µg ± 3 % s dscouraged. Accordng to GUM the expanded uncertanty should not be gven wth more than two sgnfcant dgts. The coverage factor k (usually 2) should always be stated. The result should be rounded and presented wth the same number of decmal places as the expanded uncertanty. TEG 2015 Page 6
13 Template for s 3.3 Quanttes and unts ISO :2009 [15] gves general nformaton and defntons concernng quanttes, systems of quanttes, unts, quantty and unt symbols, and coherent unt systems, especally the Internatonal System of Quanttes, ISQ, and the Internatonal System of Unts, SI. Examples of expresson of unts are gven n Table 3. Quantty symbols for lengths, concentratons etc. should be wrtten n Tmes New Roman talcs (m, c, U, u, k ) wth unts n regular (Roman) type (kg, mol, ml,...). Examples: m = 10 kg where m s a mass, c = 12.3 mol L -1 where c s a concentraton. Wrte symbols for chemcal elements and chemcal formulas n Tmes New Roman regular type, ncludng any ndces, e.g. 208 Pb, BaSO Quanttes descrbng composton of mxtures In Eurachem gudes, when the text descrbes general features of laboratory work, quanttes are often used n a generc sense (unqualfed) or even omtted. Examples are: - The customer wshed to know the content of copper n the water sample ; - The laboratory has developed a new method for determnaton of serum albumn concentraton ; - The amount of proten requested for the analyss proved nsuffcent. However, n stuatons where focus s on metrologcal aspects, e.g. n specfyng the measurand durng uncertanty evaluaton, or depctng lnks n a specfc metrologcal traceablty chan, or when drawng up a protocol for an nterlaboratory comparson, any quantty of nterest must be specfed n detal. When descrbng composton of mxtures use the name and approprate symbol (Table 4). Concentratons are quanttes descrbng the rato of one of the quanttes of a sngle substance (mass, volume, chemcal amount or number of enttes) to the total volume of the mxture. Abbrevatons such as ppm, ppb and ppt can have dfferent meanngs and should not be used. * Preferably use nstead, e.g. mg kg -1, mol L -1 etc. Abbrevatons such as m/m, w/w and V/V should not be used to dentfy the measured quantty because they can have dfferent meanngs. Wrte nstead mass fracton, volume fracton etc. and use the recommended symbols from Table 4. The per cent (%) and per mlle ( ) symbols are not suffcent to descrbe a composton n a metrologcal context. Wrte nstead, e.g....the mass fracton (%) s 2.5. The generc term concentraton or content may be used on ts own n s,.e. unqualfed, when a general term s requred. To represent the famly of terms whch ncludes mass fracton, mass concentraton, amount of substance concentraton etc. * The abbrevaton ppt s used for both parts per thousand and parts per trllon TEG 2015 Page 7

16 Template for s 4 Tables and fgures 4.1 General Tables and fgures should be used when they are the most effcent means of presentng nformaton n an easly comprehensble form. It must be possble for the reader to understand the nformaton n a table or fgure wthout consultng other parts of the Gude. The same nformaton should not be presented n both a table and a fgure. Tables and fgures are numbered consecutvely as they are addressed n the text. Tables and fgures should be accompaned by a ttle that provdes suffcent nformaton about the respectve content. 4.2 Tables Tables shall be desgnated Table and numbered wth Arabc numerals, begnnng wth 1. In annexes tables should be numbered separately, e.g. Annex A Table A1, Table A2 etc. The table desgnaton and ts ttle should be centred and n bold 11pt Tmes. The ttle s not followed by a full stop. If the table s broad coverng two columns t should be placed at the top or bottom of the page. Any notes or footnotes should be located wthn the frame of the table. A table wthn a table and subdvson of a table s not recommended. The fgure desgnaton and ts ttle should be centred, n bold, below the Fgure. The ttle s not followed by a full stop. Examples are gven as Fgure 1 and Fgure 2. The legend should be n bold, Tmes New Roman 10 pt, and left and rght justfed. Fgures n annexes should be numbered from 1 accordng to ther Annex desgnaton, e.g. for Annex A Fgure A1, Fgure A2 etc. Any fgure coverng two columns should be placed at the top or bottom of the page. Use ether of the followng two optons: 1) Quantty (unt), for example Mass concentraton (mg L -1 ). An example s shown n Fgure 2. 2) Quantty/unt, for example Wavelength/nm, Temperature/K etc. Ths s the metrologcal opton recommended, e.g. by the BIPM. The character / s a dvson sgn. 18 Template for s 5 Lsts 5.1 Constructon of lsts Lsts should be ntroduced by: a) a sentence, b) a complete grammatcal proposton followed by a colon, or c) the frst part of a proposton. Lsts, whether ordered or otherwse, should normally be left-algned to the startng pont of the ntroductory paragraph (ncludng paragraph number, f any). EXAMPLE: Preferred lst algnment: Item 1; Item 2. Not recommended: Item 1; Item Unordered lsts Lsts wthout numberng or other orderng are common for separatng ponts whch have no specal prorty order, and for whch there s no need to refer to separate tems. Each tem n an unordered lst should be preceded by a dash or a bullet and termnated wth a semcolon, except for the fnal lst tem whch should be completed wth a full stop. As far as possble the format of ordered lsts should be consstent wthn a document; that s, unordered lsts should use only one of the above formats n any one gudelne. 5.3 Ordered lsts Ordered lsts are used where there s an mportant prorty order for dfferent tems or where there s a need to refer to ndvdual tems from elsewhere n the text. Each tem n an ordered lst should be preceded by - an Arabc numeral (1, 2, ) followed by a full stop, - a lower case Roman numeral (,, ) followed by a parenthess, or As far as possble the format of ordered lsts should be consstent wthn a document; that s, ordered lsts should use only one of the above formats n any one gudelne. 5.4 Multlevel lsts A multlevel lst ncludes a number of tems each of whch s tself a lst. A multlevel lst may be any combnaton of ordered and unordered lsts. Where a multlevel lst requres two levels of orderng the lst dentfers should not be the same for both levels. For example: ) Item 1 a) Sub-category 1, b) Sub-category 2. s preferred to ) Item 1 ) Sub-category 1, ) Sub-category 2. Sub-categores n multlevel lsts should be ndented (as above) so that the structure of the lst s easly vsble. In other respects the choce of lst dentfers and format s at the dscreton of the edtor, bearng n mnd the formats chosen for smple ordered and unordered lsts n the remander of the document. Note that for unordered multlevel lsts, sold bullet markers (, ) usually stand out more than leadng dashes (-) and are therefore more lkely to be sutable as the top-level marker n multlevel lsts. 5.5 Example of a non-ordered lst The fbre content as a mass fracton n per cent, w fbre, s gven by: w fbre = ( b c ) 100 m where: (3) m s the mass (g) of the sample. Approxmately 1 g of sample s taken for analyss; b s the loss of mass (g) durng ashng of the sample; c s the loss of mass (g) durng ashng of a blank. - a lower case letter followed by a parenthess. 19 Template for s 6 Smplfyng edtng and revson 6.1 Usng styles It s recommended to use the styles for body text (Normal) and headng and fgure captons used n ths template. In order not to create new styles for all changes the automatc style creaton can be turned off n Word. 6.2 Use of automatc numberng The headngs, captons for fgures, tables and formulas are set up wth automatc numberng. It s recommended to use that throughout the document. 6.3 Use automatc cross-referencng Use bookmarks to smplfy cross-referencng when there s no bult-n numberng style. When referencng to a partcular headng, table, fgure, equaton etc. the secton should start wth a captal letter. Examples: See Table 4 ; As shown n Fgure 2... ; Equaton (1) contans.... TEG 2015 Page 13
